For an example 300 / 300 / 250 / 150 split with 6 test candles each, 3% rejects and 3% pour loss: Bergamot Amber 4,679.0 g (4 × 1 kg + 1 × 500 g + 2 × 100 g), Sandalwood 4,679.0 g (5 × 1 kg — only 500 g and 1 kg in stock), White Royal Oud 3,914.4 g and Neroli 2,385.4 g: ₹98,712.48 in oil. The per-fragrance formula

A corporate order for 1,000 candles in four fragrances is four orders that happen to share a wax.

The oil for each fragrance comes from that fragrance's own numbers and nothing else: candles in that fragrance × oil per candle, then that fragrance's own test candles, reject allowance and pour loss, then rounding to that oil's own bottles. At CSI's convention the load is a share of the finished candle, so a 180 g candle at a working 8% holds 14.4 g of oil and 165.6 g of wax. The split used here — 300 Bergamot Amber, 300 Sandalwood, 250 White Royal Oud, 150 Neroli — is an example of the kind a corporate client sends; replace it with yours and every line follows.

Each fragrance carries its own six test candles — three on each of two wick candidates — because a fragrance oil can change how a melt pool behaves, so the wick has to be proven per fragrance. That is 24 test candles across the order, and it is why the per-fragrance stack, not a single 1,000-candle stack, is the right starting point. The reject allowance is per fragrance too: if one fragrance rejects more often in your own history, give it a higher rate and the oil for that fragrance alone rises.

Rounding each oil separately — where the bottles differ

Four oils, four price shapes, four sets of in-stock sizes. There is no single rounding rule that fits them all.

Rounding is where four fragrances really behave like four orders, because each oil has its own price shape and its own in-stock sizes. Bergamot Amber is ₹5.60 a gram at 50 g and 100 g and ₹5.44 at 500 g and 1 kg, so the cheapest cover mixes sizes: 4 × 1 kg + 1 × 500 g + 2 × 100 g. Sandalwood is the awkward one: on CSI's 4 October stock check its 15 g, 50 g and 100 g are out of stock, so only the 500 g (₹2,513.40) and 1 kg (₹5,026.80) can be bought, and a 4,679.0 g need rounds up to 5 × 1 kg — 321.0 g left over that a 100 g bottle would otherwise have trimmed. White Royal Oud is flat at ₹8.10 a gram from 100 g to 1 kg, so fine rounding costs nothing: 3 × 1 kg + 1 × 500 g + 4 × 100 g + 1 × 50 g. Neroli is flat at ₹6.66 from 100 g: 2 × 1 kg + 4 × 100 g.

Rounding four times costs something. Across the four oils the leftover after rounding is 392.3 g, worth ₹2,114.20 — more than a single-fragrance order of the same size would leave, because every fragrance rounds up on its own. That leftover is not waste: it is that fragrance's remake reserve, and the replacements post counts it as such. But it is the honest cost of a four-fragrance order, and worth putting in the quote.

The mistake: one oil figure for the whole order. "1,000 candles × 14.4 g plus allowances = 15,657.7 g, call it 16 kg, split four ways." A quarter each gives 300-candle fragrances too little and the 150-candle fragrance far too much; even split by candle share, a pooled figure rounded to whole kilos ignores that Sandalwood cannot be bought below 500 g. Fix: one stack and one rounding per oil, every time. The 40/30/20/10 split post shows the same failure with percentage splits.
If the client names an oil that is out of stock
Corporate briefs often name a fragrance before checking it can be bought in volume. On CSI's 4 October check, Regal Royal Oud was out of stock in every size and Sandalwood had no size below 500 g. Confirm stock for every oil on WhatsApp before you quote. If an alternative is needed, White Royal Oud is listed and in stock — but it is a different oil, not an equivalent, so it goes through the client approval like any new fragrance.

What to buy before the client approves, and what after

A corporate order usually means four fragrances the client has to approve. The shared materials — wax, jars, stickers — are needed whichever fragrances survive, so they can be bought now. Each oil is bought in two parts: a test bottle now, for that fragrance's six test candles (89.0 g of oil with pour loss) and its approval sample, and the balance after written approval. For three of the oils the test bottle is 100 g. For Sandalwood it is 500 g, because nothing smaller is in stock — ₹2,513.40 at risk before approval, not ₹502.68.

Buying in two stages costs ₹0.00 more in oil than one order per fragrance, because each oil is rounded twice. That is the price of not holding ₹94,163.56 of oil the client might reject. Stage one is ₹1,99,004.72 and stage two ₹1,00,299.56. Per candle the oil alone ranges from ₹72.39 (Sandalwood) to ₹116.68 (White Royal Oud) at the 1 kg rate, so if the client pays one price across the four fragrances, the split decides your margin — a fact worth raising before they choose 600 of the dearest one. Branded packaging is the client's or your supplier's quote and stays out of the CSI subtotal.

Argued against our own interest, plainly. Sandalwood's 500 g minimum means we sell you more Sandalwood than the trial needs. If your client is undecided between Sandalwood and another wood, trial the other one first from a 100 g bottle; buy the 500 g only when Sandalwood is the likely choice. And do not let a four-fragrance order push you into 1 kg bottles of everything — for three of these oils the price per gram is the same or almost the same in smaller sizes.
