The method in one table

A requirement sheet for a split order has two parts. The top part has one row per scent and carries everything that is different between scents. The bottom part has one row per shared material and carries everything that is the same. The last row is a check that ties the two parts together. The table below is the empty sheet, with the rule for each column written in.

Notice what is not on the sheet: a percentage added to the whole order at the end. Every allowance has already been added once, in its own column. The filled sheet for 1,000 heart jars

Here is the sheet filled in for the example: 1,000 favours in the 50 g heart jar at 8%, so W = 50 g, L = 8% and 4 g of oil per candle. The backup allowance is 2% per scent, rounded up. There are 3 test candles per scent and a 4% pour loss. We use 4% rather than 3% here because a 50 g pour loses proportionally more at the jug lip than a large one. All three allowances are working assumptions to replace with your own records.

The check row is the important one. The four scent lines add up to 1,032 poured jars and 4,293.12 g of oil. Run the whole order as a single calculation, 1,032 × 4 g × 1.04, and you get the same 4,293.12 g. When those two numbers agree, no scent has been missed or counted twice. When they disagree, go line by line. The usual culprits are a scent whose backups were added to the total instead of the line, or a line that used the wrong candle weight.

The rounding is done per scent, in the last two columns. Across the four lines you buy 4,330 g against a need of 4,293.12 g, only 36.88 g over, because each line is topped up with the smaller bottles. The pooled lines

Wax. 1,032 jars × 46 g = 47,472 g, plus 4% = 49,370.88 g. Luxury Soy Wax CSI 464 is rated up to 10% by the wax maker, so 8% sits inside it. It is priced flat at ₹507.40 a kilo from 1 kg to 10 kg; 4 × 10 kg + 1 × 5 kg + 4 × 1 kg + 1 × 500 g costs ₹25,122.60. Wicks. One per poured jar, plus about 5% for wicks spoiled while setting: 1,084. Eco Candle Wicks Thin C1 in 1 × 1000-pack + 1 × 100-pack give 1,100 for ₹6,490.00. A heart-shaped cavity is not round, so confirm with a burn test that the pool reaches the lobes. CSI does not publish wick sizes per container. Jars. 1,032 heart jars at ₹45.00 each, bought in tens with a couple of singles: 103 × 10-pack + 2 × single = ₹46,440.00. The listing's price is the same per jar at every pack size. Ask us to confirm we can supply 1,032 before you quote the couple. The White version is out of stock, so a colour change would mean a different container and a new fill test.

Costing each scent

Four scents at four prices means four material costs per favour. If you quote one price for every favour, you need the weighted figure; if the couple is choosing the mix, show them each scent's cost. Both are below, using each oil's 1 kg price, wax at ₹507.40 a kilo, a ₹5.90 wick and a ₹45.00 jar.

Weighted across the 400 / 250 / 200 / 150 split, the oil comes to ₹22.92 per favour and the full material cost to ₹97.17. Raat Ki Rani is the dearest line at ₹6.77 a gram and Sandalwood and Ylang Ylang sit around ₹5 a gram. Even so, the dearest scent adds less than ₹8 a favour over the cheapest, because each favour holds only 4 g. On small favours the container dominates the cost, not the scent. When the split moves after sampling

Suppose that after sampling the couple moves 50 favours from Sandalwood to Raat Ki Rani: 450 / 200 / 200 / 150. The total is still 1,000. What changes?

The wax, wicks and jars do not change at all: still 1,032 poured jars, because the backups (2% rounded up per scent) happen to come out the same. Only two oil lines move. The oil bill changes by ₹386.58, because Raat Ki Rani costs more per gram than Sandalwood. This is the value of keeping wax and oil in separate parts of the sheet: a change in scent mix touches only the scent lines. Five checks before you order

Sheets get more complex when an order has several candle sizes as well as several scents, because the wax line then depends on the size mix too.
