I Need to Quote a 5,000-Candle Order Before Buying Anything — How Do I Convert the Client Quantity into Wax, Fragrance, Wick and Jar Procurement Quantities?

Six conversions, in order

Each conversion takes the previous result and changes its unit. The order matters, because allowances must be applied to the right base and rounding must happen last. Here is the full chain for this page's example: 5,000 container candles of 200 g finished weight at an 8% fragrance load, poured in CSI 464 with Roasted Coffee, in White Matte Glass Jars with Eco Thin C1 wicks.

Read the table down each column and the logic of every line is visible. The wax column never contains 200 g per candle, because 16 g of every candle is oil. The oil column is 8% of finished weight, not 8% of wax: 8% of 184 g would be 14.72 g, which would leave you 6.70 kg short across the order. Choosing the wax at 900 kg

At this volume the wax line is the biggest by weight and one of the biggest by cost, so the choice of wax changes the quote. Three CSI container-suitable waxes list large enough packs to be realistic here. Prices below are for the gross need of 962.5 kg, rounded to each wax's own packs:

Natural Soy Pearl is the cheapest on paper, and it is the only wax in the catalogue with a real bulk break: ₹450.00 a kilo at 1 kg, ₹424.80 at 5, 10 and 50 kg (5.6%). But no fragrance-load ceiling is published for it in our data, so an 8% load in Soy Pearl is a test, not a spec; check the product page or ask on WhatsApp for the wax maker's stated maximum, and burn-test it before quoting. CSI 464 is rated to 10% and Luxury Soy Wax Chunks to 13%, both by their wax makers; 8% sits inside either. Whichever you quote on, pour the test candles in that wax: switching waxes after the samples is switching products.

Oil, jars and wicks

The oil line is 83.7 kg of one fragrance. At the listed 1 kg bottle, that is 84 × 1 kg of Roasted Coffee, ₹3,13,992.00. Roasted Coffee is one of the oils with a small real break at the top: ₹3.74 a gram at 1 kg against ₹3.90 at 100 g. Mango Coconut has a bigger one (₹3.96 at 500 g and 1 kg against ₹5.00 at 100 g), and the same quantity lists at ₹3,32,976.00. For most oils the per-gram price barely moves above 100 g, so the 1 kg buys fewer bottles rather than a lower rate. Beyond the listed 1 kg bottles, volume pricing is quoted on WhatsApp; no discount figure is published, and you should not build one into your quote.

Jars are the other large line. The White Matte Glass Jar is listed as a pack of 5 at ₹354.00 (₹70.80 each), so 5,081 jars is 1,017 packs, ₹3,60,018.00: the single most expensive line on this order. Its fill weight is not published, so weigh a test pour to your fill line before quoting 200 g. Do not assume a 200 ml jar holds 200 g: 200 ml is brim volume, and solid soy wax is lighter than water, so a 200 ml jar filled to a sensible line holds noticeably less. Procurement cost vs theoretical cost

The number that belongs in your quote is the procurement cost per quoted candle: everything you will buy, divided by the candles you will invoice. Here that is ₹11,93,977.00 ÷ 5,000 = ₹238.80. The theoretical cost of one perfect candle (184 g of CSI 464, 16 g of Roasted Coffee, one jar, one wick) is ₹229.87. The difference is small per candle and large per order.

Before the quote leaves your desk

Every price on this page is CSI live pricing pulled on 24 September 2026, with wick and jar prices verified on 10 September 2026. Prices change, and a 5,000-candle order may not be bought for weeks after you quote it. As a sense check, a 5% move in the wax and oil lines alone would shift this order by about ₹40,181.65, or ₹8.04 a candle. Finally, write the assumptions into the quote itself. A line such as "price based on 5,000 candles of 200 g finished weight at an 8% fragrance load, in a white matte glass jar, one scent" does two jobs. It tells the client exactly what they are buying, and it tells you what has changed if they come back asking for 220 g, a second scent or a coloured wax. Each of those changes one or more of the six conversions, and each can be re-run in minutes from the same sheet. A quote without its assumptions cannot be re-run; it can only be renegotiated.
