Delay, substitute or split: the three real options
When a bestseller's oil goes out of stock at your supplier, the pressure is to pick one of two extremes: stop making the candle until the oil returns, or pour the nearest-smelling alternative into the same jar under the same name and hope. The first protects your formula and costs sales. The second protects sales and bets your best product's reputation on an untested oil. There is a third option that most small businesses under-use: split production — use whatever original oil you still have for part of the order, validate a substitute on a fixed timetable for the rest, and decide at a dated gate.

The honest version of any substitute is the one where the customer is not misled. If the substitute is indistinguishable from the original in a blind comparison and passes every test, it can carry the product name as a revised formula. If it is noticeably different — even if it is lovely — sell it under its own name. That protects the bestseller, and it turns a stock-out into a festive limited edition rather than a quiet change your regulars notice.
What "out of stock" means on CSI's list
On CSI's 24 September 2026 pull, seven fragrance oils had no size in stock at all: Spiced Rum, Rajnigandha (Tuberose), Mogra, Baccarat Rouge 540 Inspired, Regal Royal Oud, Frankincense and Tonka, Acqua Di Gio Inspired. Several others had individual sizes out of stock — for example Chocolate Fudge's 100 g, Vetiver's 1 kg and Freshwater's 500 g and 1 kg — while their other sizes remained available. That is a stock-out on the pull date, not a discontinuation, and CSI publishes no restock dates. If your bestseller is one of these, message us before you plan anything: a size-level stock-out can sometimes be worked around with another listed size of the same oil, which is not a substitution at all.
This page uses Spiced Rum — out of stock in every size on the pull — as the example bestseller, with the maker still holding some original oil and some retained candles. The two candidates, Spicy Cinnamon and Cinnamon Vanilla, are chosen only because they sit in the same warm-spice family by name and are in stock in test sizes. We are not claiming either smells like Spiced Rum or performs like it; CSI publishes no throw or composition data for any oil. Smell your candidates on strips first and bring the two closest into candles.
The minimum validation: what cannot be skipped
Under deadline, some tests can be compressed and some cannot. The rule of thumb this page uses: anything that protects the customer's safety or the candle's identity must be done before release; anything that only refines it can continue after a conditional release, on retained candles, with a stop rule. KEEP, CONFIRM, REPEAT and NEW carry their usual meanings.

Notice that load optimisation is deferred. Under a deadline you release at the old load if and only if the old load passes every before-release line; you do not ladder the load and wait for the best rung. If the old load fails, that candidate is out for this season. The fragrance-change checklist is the version without a deadline.
The calendar: 40 days, one validation cycle
The timeline uses three figures that are examples, because CSI publishes none of them and yours will differ: candidates arriving 4 days after ordering, a consumption rate of 7 g an hour for a 200 g candle (measure your control's), and four production pouring days followed by a 7-day cure before dispatch. Replace them with your own and the dates move; the structure does not.

The calendar works — just. With these examples, stock is ready on Thu 29 Oct, 10 days before Diwali. That slack is your courier window, and it is not enough for a second attempt: if both candidates fail at the gate on 18 Oct, there is no time to start again and still cure production stock. That is the whole case for running two candidates in parallel from day one rather than one at a time, and for starting today rather than after the weekend. Every day of delay at the start is a day of slack lost at the end.
The test itself: two candidates, one control set
Each candidate gets 4 candles at your approved 8% in a 200 g White Matte Glass Jar of Luxury Soy Wax Chunks (16 g oil + 184 g wax): three to burn — one of which goes to the end — and one to store. The control set is 4 candles poured the same day from your remaining original oil; if you have none left, use unburned retained candles from your last batch for appearance and throw reference, and note that they are older.

CSI publishes no numeric flame-height or jar-temperature limit. The safety lines pass when they are no worse than the control and within your jar supplier's guidance and the fire-safety standard you work to (ASTM F2417 is commonly cited). A deadline never changes that line.

Now the split. Suppose — as an example — your festive plan for the bestseller is 300 candles and you still hold 1,200 g of the original oil. At 16 g a candle, that oil makes 75 original candles. The other 225 need a substitute: 3,600 g of oil, or 3,780.0 g with a 5% allowance. On CSI's listed sizes that is 4 × 1 kg of Spicy Cinnamon (₹25,996.00) or 4 × 1 kg of Cinnamon Vanilla (₹18,219.20). Oils are listed up to 1 kg per bottle; for larger quantities, ask on WhatsApp — no volume discount figure is published.

Pour the original-oil candles now: they are approved, and pouring them early spreads your production load. Allocate them to the customers who will notice a change most — repeat buyers, corporate clients, anyone who ordered the bestseller by name. The substitute batch goes to new customers and general stock, labelled honestly.

The gate decision
Written today, before any candle is poured: at the gate, release a candidate under the original name only if it was not reliably picked out in the blind strip test and passed every before-release line; release it under a new name if it passed every safety and throw line but is noticeably different; otherwise delay the substitute part of the order and sell what the original oil made.

Whatever the gate decides, write it down with the date and the reason, and file the scores. If a substitute is released, keep a retained sample of it and one unburned candle from the first production batch; it is now part of your formula history.
