I'm Accepting a 1,000-Piece Custom Candle Order — What Should be Fully Tested and Approved Before I Spend Money on Bulk Raw Materials?
शेयर करना
How much does testing cost before a 1,000-candle order? The programme on this page, with three candidate oils in 50 g, an extra 100 g of the winner, two waxes, two wicks and ten jars, costs ₹3,604.52 at CSI listed prices. That is 1.2% of a ₹3,06,357.84 bulk bill for 1,000 Neroli candles.
Does CSI sell a sample pack for testing fragrances? No. CSI does not sell a fragrance sample pack, discovery set or testing kit. Build your own from the listed 15 g, 50 g and 100 g sizes. For client approvals, 50 g is usually the better size because it leaves oil to keep as a reference. Ask on WhatsApp for help putting the set together.
What is a golden sample? One complete finished candle — scent, wax, wick, jar, fill, colour, label, box — made exactly as production will be, and signed off by the client. Make two: one for the client and one you keep. It becomes the reference every production batch is compared against.
What is at stake
The example is a 1,000-piece custom order: 200 g candles in a White Matte Glass Jar, at an 8% load, with a printed label and box, for a client choosing between three scents. Here is the bulk material bill for each candidate, bought in whole CSI packs (oil as 1 kg bottles plus the cheapest smaller top-up) with a 4% wax and oil allowance, 2% spare jars and 5% spare wicks (working assumptions). Wax is Luxury Soy Wax Chunks, rated up to 13% by the wax maker.
| Candidate oil | Oil bought | Oil cost | Wax + jars + wicks | Bulk material bill |
|---|---|---|---|---|
| Neroli | 16 × 1 kg + 1 × 500 g + 2 × 100 g (16.7 kg) | ₹1,11,141.84 | ₹1,95,216.00 | ₹3,06,357.84 |
| Jasmine Coconut Spa Ceylon | 16 × 1 kg + 7 × 100 g (16.7 kg) | ₹1,33,577.00 | ₹1,95,216.00 | ₹3,28,793.00 |
| Roasted Coffee | 16 × 1 kg + 1 × 500 g + 2 × 100 g (16.7 kg) | ₹62,478.00 | ₹1,95,216.00 | ₹2,57,694.00 |
Two things stand out. First, the scent alone moves the bill by ₹71,099.00 between the dearest and the cheapest candidate, so the client's choice is also a pricing decision, and you should price each option before gate 1. I Need to Give a Bulk Candle Price for 100, 500 and 1,000 Pieces — How Do I Calculate Quantity Discounts Without Accidentally Eliminating My Margin? covers pricing tiers. Second, the non-oil part of the bill (₹1,95,216.00) is the same whichever scent wins. It depends on the wax, wick and jar decisions in gates 2 and 3. A late change to any of them is as expensive as a late change of scent.
The six gates
| Gate | What is tested | How | Who signs | Unlocks |
|---|---|---|---|---|
| 1 · Scent | Which oil, at what load | One candle per candidate at 8%, cured, smelled cold and burning, ideally blind | Client | Oil choice; lets you price the order |
| 2 · Performance | Wax and wick in the real jar | Full burn test: melt pool to the edge, no heavy soot, steady flame, scent carries | You | Oil, wax and wick purchase |
| 3 · Look | Jar, fill weight, colour | Filled jar at the agreed fill; colour chip under daylight, if coloured | Client | Jar purchase; dye purchase |
| 4 · Print | Label and box artwork | Printer's proofs, on the actual jar and box | Client | Printing |
| 5 · Golden sample | The whole candle, finished | Two identical candles made exactly as production; one to the client, one kept | Client | Production |
| 6 · Paperwork | Documents and terms | IFRA and MSDS for the oil if required; price, quantity, date, advance | Both | Everything |
The order matters. Scent comes first because it drives the price. Performance comes before the look, because a jar that can't burn the chosen oil cleanly with any wick you have tested is not an option, however good it looks. Print comes late, because artwork is cheap to change until it is printed and expensive after. The golden sample comes last, because it is the sum of all the others. The client signs one physical object, not a list of choices.
The test programme, priced
Here is a complete programme for this order, built from CSI's listed small sizes. There's no sample pack or testing kit to buy, so you assemble it yourself. Three rounds cover the six gates:
| Item | Cost |
|---|---|
| Round 1 scent: 50 g of each candidate oil | ₹971.20 |
| Extra 100 g of the chosen oil for rounds 2–3 and the retained sample (example: Neroli) | ₹665.52 |
| Luxury Soy Wax Chunks 1 kg | ₹599.00 |
| Luxury Soy Wax CSI 464 1 kg | ₹507.40 |
| Eco Candle Wicks Thin C1 10-pack | ₹59.00 |
| Eco Candle Wicks Thick C2 10-pack | ₹94.40 |
| White Matte Glass Jar × 10 (2 packs of 5) | ₹708.00 |
| Total test programme | ₹3,604.52 |
That is ₹3,604.52 against a ₹3,06,357.84 bulk bill: 1.2%. It makes nine candles: three in round 1, four in round 2 and two golden samples. The leftover wax, wicks and jars go into your next test or retail batch. The largest single line is the oil samples, and the 50 g size is deliberate. At 16 g a candle, a 15 g bottle can't make even one 200 g candle, while 50 g makes the round-1 candle and leaves a reference. I Have a 500-Candle Wedding Order with a Custom Fragrance — How Much Extra Fragrance Oil Should I Buy for Testing and Production Wastage? covers how much extra oil to allow when the scent is custom.
Release money one gate at a time
| After gate | Buy | Cost | Cumulative |
|---|---|---|---|
| Before gate 1 | Test programme | ₹3,604.52 | ₹3,604.52 |
| 1 + 2 (scent, performance) — ideally after 5 | Oil 16 × 1 kg + 1 × 500 g + 2 × 100 g, wax 39 × 5 kg, wicks 1,050 | ₹2,34,141.84 | ₹2,37,746.36 |
| 3 (look) | Jars: 1,020 (204 × 5) | ₹72,216.00 | ₹3,09,962.36 |
| 4 (print) | Labels and boxes | Your printer's quote | — |
| 5 (golden sample) | Nothing new — production starts | — | ₹3,09,962.36 |
Waiting for gate 5 before buying the oil is the safest route, because then nothing is bought until the client has signed the finished candle. It costs time, though, because the bulk has to arrive after sign-off. A common compromise is to buy the oil and wax after gate 2, once the client has approved the scent and you have proved the performance, and to hold the jars until the look is approved. Whichever you choose, tie the spend to the advance. I Got an Inquiry for 1,000 Corporate Candles — Should I Purchase All the Raw Materials Before Receiving the Customer's Advance? covers how much to commit before the client pays, and I Received a Large Candle Order but the Client Hasn't Finalised the Fragrance — Which Raw Materials Can I Safely Buy Before Scent Approval? covers what is safe to buy while the scent is still open.
CSI does not publish lead times, so a staged plan needs one early message. Before gate 1, send us the likely bulk quantities for each candidate and ask about stock. Then you know whether the winning scent can actually be supplied in 16–17 kg before the client falls in love with it. I've Received My First Large Corporate Candle Order — Which Raw Materials Have the Longest Lead Times and Should be Secured First? covers securing the approved oil and jars first.
Getting the sign-off in writing
Each gate ends with something written. It doesn't need to be formal. A WhatsApp message that says "Approved: candle B, Neroli, 8%, white matte jar, 200 g fill" with a photo is enough, as long as it names exactly what was approved. The golden sample deserves more: a short sheet, signed or confirmed by message, listing every specification, with the photo and date.
| Specification | Approved as |
|---|---|
| Fragrance oil and load | e.g. Neroli Fragrance Oil, 8% |
| Wax | e.g. Luxury Soy Wax Chunks |
| Wick | e.g. Eco Candle Wicks Thin C1 (burn-tested in this jar) |
| Jar and lid | e.g. White Matte Glass Jar |
| Fill weight and tolerance | e.g. 200 g ± 2 g |
| Colour | Reference chip no. __ (or: uncoloured) |
| Label and box | Proof version __, dated __ |
| Quantity, delivery date, price, advance | __ |
| Documents | IFRA certificate and MSDS for the oil (if required) |
| Client confirmation | Name, date, message or signature |
Once that is signed, anything the client asks to change is a change order, re-priced and re-dated. Without a signed golden sample, a late change is just a disagreement about what was agreed. I'm Producing a Large Candle Order in Several Batches — How Do I Keep Fragrance Strength, Colour and Fill Weight Identical from the First Batch to the Last? covers keeping production identical to the golden sample once the pour begins, and I Have a Large Candle Order with a Strict Delivery Date — How Much Extra Raw-Material Inventory Should I Keep in Case of Rejects or Supplier Delays? covers the reject buffer.

When the order is delivered, keep the golden sample twin, the sign-off sheet and the retained oil. If the client reorders, those three are the specification, and the next approval takes one message instead of six gates. For colour-specific orders, A Client Wants a Custom-Coloured Candle — Should I Finalise Fragrance, Colour, Wick and Wax Before Ordering 1,000 Jars? covers what to fix before ordering 1,000 jars.
CANDLEMAKINGSUPPLIESINDIA supplies raw materials, not finished candles. A supplier gains from bulk orders placed early. This page tells you to hold the bulk spend until the client has signed a finished candle, and to spend about one percent of the order on samples first. It also says plainly that we don't sell a sample pack, so you build the test set from our listed small sizes.
Oil and wax prices are CSI live pricing, pulled 24 September 2026. The Thick C2 10-pack price was pulled 25 September 2026. White Matte Jar and Eco Thin C1 wick prices are Blog 760's, verified 10 September 2026. Bulk bills are the cheapest whole-pack combinations, and the percentages are arithmetic.
The gate order, round design and sign-off template are a planning method. Allowances and the fill tolerance are working assumptions. Wick sizing per jar, cure times and lead times aren't published, and printing is outside CSI.
