Place each material by two questions: does running out stop production, and does switching source mean retesting or changing the product? Do both, material by material. Consolidate most of your buying with one main supplier. You get fewer invoices, combined deliveries and a single relationship to negotiate volume with, and at 3,000 candles a month you are buying about 574 kg of wax and 50 kg of oil every month. Then ask of each material: does running out stop production, and does switching source need a retest? Wax and jars answer yes to both, so pre-qualify a backup by testing it before you need it. A 20-candle test costs about ₹6,067.47 in materials, far less than the ₹1,58,711.04 it would take to hold two extra weeks of wax instead. Signature oils cannot really have a backup, because another supplier's oil is another scent, so protect them with safety stock. Wicks are cheap enough to hold deep. Assess every supplier with the same checklist, including us. CSI covers wax, oils, wicks, jars and tools, but lists no tealight cups, three-wick jars, labels or boxes. Sort materials by what a stockout does

"Backup supplier" sounds like one decision. It is really five, one for each material, and the answers differ.

A backup supplier is insurance. Like any insurance, it is worth buying only where the loss it covers is large and the premium is small. For candle materials the loss depends on one question: does running out stop production? The premium depends on a second: does switching source mean retesting, or changing the product? Put every material through both questions and the strategy for each falls out.

Oils are the odd one out, and they matter most for a brand. A second supplier's "lavender" is not your lavender. It is a different formula, and a customer who reorders your candle will notice. So for a signature scent the backup is not another supplier. It is time: stock deep enough, and reorders early enough, that one late delivery or one out-of-stock notice does not reach your customer. A second wax from the same supplier is a spec backup, not a supply backup
Qualifying CSI 464 as an alternative to Luxury Soy Wax Chunks protects you if one listing goes out of stock. It does not protect you if the supplier itself is delayed. For real supply resilience, at least one qualified backup should come from a different source. We would rather say that than pretend a second listing from us is the same thing.

Backup or buffer: price both

At volume there are two ways to protect a critical material: hold more of it, or have a tested alternative ready. Price both. Our example is 3,000 candles a month, 200 g at 8%, with a 4% allowance on wax and oil. That uses 132.48 kg of wax a week. Oil is priced at the median in-stock 1 kg rate (₹5,999.00 a kilo) for illustration:

The contrast is stark. Qualifying a backup wax costs about ₹6,067.47 once, plus your time for the burns. Two extra weeks of wax held permanently ties up ₹1,58,711.04. For wax and jars, a tested backup is the cheaper insurance by a wide margin. For oils it is not available at all, so the buffer is the only option, and its cost is why the oil buffer should be concentrated on your signature scents, not spread across the tail.

And the loss you are insuring against? At 3,000 a month you pour about 100 candles a day. A five-day wax stockout is 500 candles not made. At an example contribution of ₹150.00 a candle (your figure, not ours), that is ₹75,000.00 of margin lost, before counting late orders and upset stockists. That is more than ten times the cost of qualifying the backup.

The backup that was never tested. Many makers "have a backup supplier", meaning they know a name. When the main wax runs out, they order the backup, pour, and find the candles tunnel or frost differently, because the wick and load were tuned to the old wax. A backup only counts once it has been poured, cured and burned in your jar with your wick and your oils, and the result written down.

Read the gaps as your backup plan. If your range includes tealights or three-wick candles, those containers and wicks must come from another supplier today, because we do not list them. You can ask on WhatsApp whether we can supply them, but do not plan on it. If a signature scent of yours is one of the oils that was out of stock, that scent needs a deeper buffer or a plan to replace it. And because no delivery times are published, the lead time you use for reorder points has to come from your own records and from written confirmation, not from an assumption about us.

Argued against our own interest, plainly. The easy advice from a supplier is "put everything with us". At thousands of candles a month, do not rely on any single supplier for wax and jars, including us. Keep us as your main supplier if we earn it on range, price and service, and keep a tested backup elsewhere for the materials that would stop your production. A buyer with a qualified alternative also negotiates better, with us or anyone.

What to ask your main supplier for

At ₹8,73,444.00 of materials a month (the example at median oil prices), you are worth a conversation. Negotiating is not only about price. The most valuable things to get in writing are often these:

Confirmed delivery times. Your reorder points depend on them. If a supplier does not publish them, as CSI does not, ask for current times and note them against each order so you build your own record.

Stock reservation for signature items. Ask whether your monthly wax and your top oils can be held for you, and how much notice is needed. That is worth more than a small discount on a scent that goes out of stock.
