How much wax does 5,000 candles a month need? 1,000 kg of scented wax: 920 kg wax plus 80 kg oil at 8%. Planned in 10 kg loads with 5% wastage, that is 105 loads, or 966 kg wax and 84 kg oil.
Does buying in bigger packs lower the price? It depends on the wax. CSI 468 and Natural Soy Pearl Wax are cheaper per kg from 5 kg. CSI 464 and Soy Pillar Wax are the same per kg at every pack.
Do I stop using reorder points? No. Keep them as a safety net underneath the schedule. The schedule covers forecast demand; the reorder point catches the month that runs ahead of it.
What changes between 2,000 and 5,000 candles
At 2,000 candles a month, reorder points per material keep production moving. You notice a shelf reaching its figure, place an order and carry on. At 5,000 the same approach starts to crack, not because it is wrong but because of how often it fires. More materials hit their point in the same week, each fragrance triggers its own order, and a surprising share of the working week goes into placing, chasing and checking small orders.
The volumes also stop being small. 5,000 candles of 200 g is 1,000 kg of scented wax: 920 kg of wax and 80 kg of fragrance oil at an 8% load on total candle weight. Planned in 10 kg melter loads with a 5% wastage allowance, 5,000 ÷ 48 is 104.2, so 105 loads, needing 966 kg of wax and 84 kg of oil. That is close to a tonne of wax passing through your unit each month.
None of the listed wax packs goes beyond 10 kg, or 50 kg for Natural Soy Pearl Wax. Larger quantities are quoted on WhatsApp. So at this volume you are already partly outside the pack-by-pack model whether you planned it or not.
The three signals that say it is time
Switching too early locks cash into stock you may not need. Switching too late means stoppages. Rather than pick a candle count, watch for three signals and act when they appear together.

The thresholds in the right-hand column are starting points, not rules. A maker with a single fragrance might switch earlier; one with 30 scents and wildly seasonal sales might keep reorder points for oils and schedule only wax and jars.
Signal three is the one people skip. If your volume jumps from 2,000 to 4,500 and back to 2,500, a fixed monthly order will leave you short one month and buried the next. In that case, schedule the steady base and keep reorder points for the swing.
Building your first monthly schedule
A scheduled order is simply a forecast turned into materials, placed on a fixed date, with a check halfway through the month. The steps below build one from your production plan.
Keep the first schedule simple. One order date a month, one sheet listing forecast, stock and order quantity per material, and one person responsible for placing it. Complexity can come later, once you have three or four months of forecast-versus-actual figures to show where the plan is loose.
Price and pack realities at this volume
It is tempting to assume that scheduled buying is mainly about price. On the listed packs, that is only partly true, and it is worth being clear about which waxes reward bigger packs.

For CSI 468, the 10 kg pack works out at 637 rupees per kg (₹6,370.00 ÷ 10) against ₹650.00 for a single kilogram. For CSI 464 there is no per-kg saving between packs. So if you use CSI 464, the case for scheduling rests on continuity, fewer lot changes and less time spent ordering, not on the listed price. For anything beyond the listed packs, ask for a quote.
Buyers ask about this openly. One Soy Pillar Wax customer wrote: "Hope to get some discount in future for bulk buys". Another, on CSI 468: "the delivery charges are very high which is restricting me". Both point to the same practical step: consolidate many small orders into fewer, planned ones and discuss the volume directly, rather than assuming a discount exists.
Worked example: one month's order at 5,000
Here is how the steps turn into an actual order. The forecast is 5,000 candles of 200 g, and rounding each scent up to whole loads gives 105 loads. Materials needed: 105 × 9.2 kg is 966 kg of wax, 105 × 0.8 kg is 84 kg of oil, and 5,000 jars and wicks plus your reject allowance.
Suppose the fixed-day count shows 140 kg of usable wax on the shelf, and your buffer for wax is 100 kg. Both figures are examples; use your own. The wax order is 966 − 140 + 100, which is 926 kg. Rounded to 10 kg packs that is 93 packs, or a single quoted quantity if you are buying beyond the listed sizes. Do the same subtraction for each fragrance on the schedule, then jars, then wicks.
Write the order on one sheet with the forecast beside it. Next month, the difference between forecast and actual usage is the most useful number you have for tightening the buffer.
What should stay flexible
Not everything belongs on the fixed monthly order. Wax, jars and wicks are shared across every candle and suit a schedule well. Wax also keeps: CSI 464 and CSI 468 both carry a stated shelf life of 60 months in cool, dry storage.
Fragrance oils are different. Your bestsellers can go on the schedule, but slow or seasonal scents are better bought against reorder points, so you are not holding kilograms of a scent that stopped selling. At 84 kg of oil a month across several scents, even a small mis-forecast on slow scents ties up real money.
Keep your reorder points underneath the schedule. They are the safety net for the month that sells faster than the forecast.
One last practical point: when the scheduled consignment arrives, check it before it goes on the shelf. Weigh a sample of packs, note lot numbers on your raw-material record and make a small test candle from any new wax lot before it enters a 10 kg load. Close to a tonne of wax a month is too much to discover a problem with after the candles are poured.
