A Wedding Client Increased Their Order from 500 to 750 Candles After I Purchased Raw Materials — How Do I Calculate the Additional Wax, Fragrance, Wick and Jar Requirement?
Share
What is the top-up for 500 → 750 tins? Oil 1,831.18 g → 1 × 1 kg + 1 × 500 g + 3 × 100 g + 1 × 50 g Neroli. Wax 20,953.52 g → 4 × 5 kg + 1 × 1 kg. Tins 254 → 22 packs of 12. Wicks 274 → 280. Total ₹34,472.56.
Do I need new test candles? Not for the same wax, oil, tin and wick: the formula is already approved. If the top-up oil comes from a new bottle, pour one tin from it and compare it with a retained sample before you pour the extra 250. We have kept the original six tests and added none.
What if I have already poured some candles? The answer is the same. Count what is on the shelf now, work out what is still to be poured for 750, and buy the difference. With 300 already poured the top-up comes out identical. See the stock-count method.
What you planned and bought for 500
Here is the example. The couple ordered 500 favours in the Golden Aluminium Tin, filled to its published 85 g, scented with Neroli at 8%. Each tin holds 6.80 g of oil and 78.20 g of wax. You planned 5% backups (25 tins) and 6 test tins, so 531 poured, and added 3% for pour loss. Then you rounded to packs and bought.
| Material | Needed for 500 (with allowances) | Packs bought | Quantity bought | Rounding left over | Cost |
|---|---|---|---|---|---|
| Neroli Fragrance Oil | 3,719.12 g | 3 × 1 kg + 1 × 500 g + 2 × 100 g + 2 × 15 g | 3,730 g | 10.88 g | ₹24,860.24 |
| Luxury Soy Wax Chunks | 42,769.93 g | 8 × 5 kg + 3 × 1 kg | 43.00 kg | 230.07 g | ₹25,757.00 |
| Golden Aluminium Tin | 531 tins | 45 × 12 | 540 tins | 9 tins | ₹16,200.00 |
| Eco Candle Wicks Thin C1 | 558 wicks | 1 × 500-pack + 1 × 50-pack + 1 × 10-pack | 560 wicks | 2 wicks | ₹3,304.00 |
| Total | ₹70,121.24 |
The column that matters for a top-up is the fifth one. Every line was rounded up to packs, so you already hold a little more than 500 needed: a few grams of oil, a couple of hundred grams of wax, nine spare tins, two spare wicks. That spare is not waste. It is the first part of your top-up, already paid for.
The whole order at 750
Now recalculate the entire job at the new quantity, as if it were a fresh order, with two changes that matter. Backups are recalculated on 750: 5% of 750 rounded up is 38, not the old 25 plus 5% of 250. And the 6 test tins stay at 6, because the formula has already been tested and approved. Nothing about the wax, the oil, the tin or the wick has changed.
| Line | Order of 500 | Order of 750 | Difference |
|---|---|---|---|
| Ordered | 500 | 750 | +250 |
| Backups (5%, rounded up) | 25 | 38 | +13 |
| Test tins | 6 | 6 | 0 (already done) |
| Tins poured | 531 | 794 | +263 |
| Neroli with 3% loss | 3,719.12 g | 5,561.18 g | +1,842.05 g |
| Wax with 3% loss | 42,769.93 g | 63,953.52 g | +21,183.60 g |
| Wicks with 5% spare | 558 | 834 | +276 |
The last column is the need difference. It is not what you buy, because it ignores what you already hold from rounding. It is useful as a sanity check: the top-up should come out a little below it on every line.
The top-up, line by line
| Material | Need at 750 | Already bought | Top-up need | Packs to buy | Cost |
|---|---|---|---|---|---|
| Neroli Fragrance Oil | 5,561.18 g | 3,730 g | 1,831.18 g | 1 × 1 kg + 1 × 500 g + 3 × 100 g + 1 × 50 g | ₹12,321.56 |
| Luxury Soy Wax Chunks | 63,953.52 g | 43,000 g | 20,953.52 g | 4 × 5 kg + 1 × 1 kg | ₹12,579.00 |
| Golden Aluminium Tin | 794 tins | 540 tins | 254 tins | 22 × 12 (264 tins) | ₹7,920.00 |
| Eco Candle Wicks Thin C1 | 834 wicks | 560 wicks | 274 wicks | 2 × 100-pack + 1 × 50-pack + 1 × 20-pack + 1 × 10-pack | ₹1,652.00 |
| Top-up total | ₹34,472.56 |
Across the whole job you will have spent ₹1,04,593.80 on materials for 750 favours, about ₹139.46 per delivered tin. One finished tin costs ₹45.26 of Neroli at the 1 kg rate, ₹46.84 of wax, ₹30.00 for the tin and ₹5.90 for the wick: ₹128.00 before labour, lids, labels, packaging, freight and GST. When you re-quote the couple for 750, the per-unit figure is the one to use; the increase is not cheaper to make per favour just because the tests are already paid for.
On wax, the 5 kg Chunks bag (₹2,995.00, ₹599.00 a kilo) is fractionally cheaper per kilo than the 10 kg (₹5,999.00, ₹599.90), so the top-up uses 5 kg bags. On oil, Neroli is priced flat at ₹6.66 a gram from 100 g to 1 kg, so the top-up combines sizes to land just above the need. Its 15 g is ₹7.87 a gram and its 50 g ₹6.84.
| Pack | Price | Per gram | 85 g tins at 6.8 g |
|---|---|---|---|
| 15 g | ₹118.00 | ₹7.87 | 2.21 |
| 50 g | ₹342.20 | ₹6.84 | 7.35 |
| 100 g | ₹665.52 | ₹6.66 | 14.71 |
| 500 g | ₹3,327.60 | ₹6.66 | 73.53 |
| 1 kg | ₹6,655.20 | ₹6.66 | 147.06 |
| Pack | Price | Per tin | Top-up packs |
|---|---|---|---|
| 12 tins | ₹360.00 | ₹30.00 | 22 (264 tins, ₹7,920.00) |
Three wrong ways to top up
| Method | Neroli | Wax | Against the right answer | What went wrong |
|---|---|---|---|---|
| Right: need at 750 − bought | 1,831.18 g | 20,953.52 g | — | Uses the whole-job need and credits rounding leftovers |
| Buy half as much again | 1,865 g | 21,500 g | +33.82 g oil · +546.48 g wax | Repeats the first order's tests, backups and rounding |
| Price the extra 250 as a new order | 1,884.08 g | 21,666.87 g | +52.90 g oil · +713.35 g wax | Adds 6 new tests and ignores leftovers |
| Need at 750 − need at 500 | 1,842.05 g | 21,183.60 g | +10.88 g oil · +230.07 g wax | Right idea, but forgets what the rounding already bought |
None of the wrong methods is dramatic on its own. Each adds some grams of oil and some hundreds of grams of wax. After rounding to packs, the difference can be a whole extra bottle or bag. On a wedding order with a tight margin, that extra bottle is often most of the profit on the increase.
If you have already started pouring
Suppose the increase arrives after you have poured the 6 test tins and the first 300 favours. The purchase record no longer tells you what you hold, because some of it is now in tins. Instead, count or weigh what is left and compare it with what is still to be poured. Here the remaining pour is 794 − 306 = 488 tins. We assume the first 306 used exactly the planned 3% loss; in practice, weigh what is left.
| Material | On hand now | Still needed for 488 tins | Top-up need |
|---|---|---|---|
| Neroli | 1,586.78 g | 3,417.95 g | 1,831.18 g |
| Wax | 18,352.92 g | 39,306.45 g | 20,953.52 g |
| Tins | 234 tins | 488 tins | 254 tins |
| Wicks | 238 wicks | 512 wicks | 274 wicks |
The top-up comes out the same as before, and it should. Material poured into tins has moved from the "on hand" column to finished stock, and the "still needed" column has shrunk by exactly the same amount. The stock-count method has one advantage over the purchase record: it catches losses you did not plan. If the jug and bench took 5% instead of 3%, your weighed on-hand figure will be lower and your top-up correctly larger.
Keeping 750 favours identical
The arithmetic is only half of a top-up. The guests at table 70 get favours poured from the second purchase, and they should smell and look the same as table 1. Three habits help.
Same product, confirmed. Order the same Neroli listing and the same wax, and say on WhatsApp that it is a top-up for a running order. CSI does not publish lot-to-lot data, so if matching matters, ask. Blend the old and the new. A common practice is to combine what is left of the first oil with the new bottle in one closed container before pouring the rest, so the final 450 tins all come from one mix. Compare against a retained sample. Pour one tin from the new stock, cure it alongside a retained tin from the first batch, and compare them before committing the remaining pour.
If the client has only said the order might grow, the decision is different: whether to buy ahead or wait. My Client May Increase a 1,000-Candle Order by 20% at the Last Minute — Should I Buy Additional Raw Materials Now or Wait for Confirmation? works through that for a possible 20% increase on 1,000 candles. For the original four-material calculation, see the hub, 300 × 80 g wedding order. If the increase also adds a scent, give it its own line as in I Have a 500-Candle Wedding Order Split Between 200 Lavender, 200 Rose and 100 Oud — How Much of Each Fragrance Should I Buy at 8% Load?.
CANDLEMAKINGSUPPLIESINDIA supplies raw materials, not finished candles. When a customer's order grows, the easy sale for us is another half of everything. This page shows why that overbuys and gives you the method that credits what you already hold.
Oil and wax prices are CSI live pricing, pulled on 24 September 2026. Wick and tin prices are CSI listings verified on 10 September 2026 and re-checked in the 24–25 September pull. All figures are arithmetic on those prices, shown to two decimals so you can check them.
The 5% backups, six test tins, 3% pour loss and 5% extra wicks are working assumptions. The mid-production table assumes the planned 3% loss; weigh your actual stock. Non-price figures and assumptions: Load is a share of finished candle weight: oil = W × L, wax = W × (1 − L). The 85 g fill is the tin's published figure. 5% backups (rounded up), six test tins, 3% pour loss and 5% extra wicks are labelled working assumptions; the mid-production example assumes the first 306 tins used exactly the planned loss. Per-tin material cost (₹128.00) uses Neroli at its 1 kg rate, wax at ₹599.00 / kg, one tin and one Thin C1 wick, and excludes labour, lids, labels, packaging, freight and GST. Fragrance-load ceilings of up to 13% (Luxury Soy Wax Chunks) and up to 10% (CSI 464) are the wax makers' stated formulation maximums, not regulatory limits.
