I Need the Same Candle Fragrance for Several Years — What Should I Ask a Supplier About Batch Consistency, Availability and Reformulation Before Building a Bestseller Around It?
Share
Does CSI publish batch, reformulation or availability commitments? No. CSI's published data does not include lot tolerances, reformulation notice or availability guarantees. Ask on WhatsApp for the oil you plan to build on, and keep a retained sample of every lot.
How do I protect a bestseller if the supplier cannot guarantee supply? Three things you control: buffer stock (two months of a 120-candle Sandalwood line is 3,840 g, ₹20,107.20 at the 1 kg rate), retained samples of every lot, and a backup scent qualified in your wax before you need it.
Which CSI oils look safest to build on? No oil comes with a guarantee. On the pull date, 47 oils had all five sizes in stock, including Sandalwood and Jasmine. That is a signal about today, not a promise about next year. See the stock picture.
The eleven questions
Most makers choose a bestseller the same way customers do: it smells good and it sells. Nobody asks the supplier anything until the day a reorder smells different or a size is out of stock in October. By then you have labels printed, repeat customers and a festive order book, and every option is expensive. The questions below take ten minutes to send. Send them in writing so the answers are on record, and send the same list to any supplier you use, including us.
| Question | Why it matters | A useful answer includes | What CSI publishes |
|---|---|---|---|
| Is this oil a regular catalogue item or a limited or seasonal one? | A bestseller built on a limited release has a built-in end date. | A clear yes or no, and whether a discontinuation would be announced. | Not published — ask |
| How is a lot identified, and can the lot reference be on my invoice or label? | Without a lot reference you cannot trace a complaint to a delivery. | A reference you can record on your batch sheet. | Not published — ask |
| Will you tell me before this oil is reformulated or re-sourced? | A reformulation can change throw, colour and wick needs. | A commitment to notify, and how far ahead. | Not published — ask |
| Can a larger order come from a single lot? | Fewer lots means fewer acceptance tests and one reference per run. | Yes up to a stated quantity, or a clear no. | Not published — ask |
| Which documents apply to this oil, and do they change with a new lot? | Retail and corporate buyers may ask for them; a changed IFRA certificate signals a changed formula. | Current MSDS and IFRA certificate, reissued when the formula changes. | MSDS & IFRA documentation on request |
| How should I store it, and for how long is it good? | Buffer stock is only a buffer if it is still usable when you open it. | Storage conditions and a shelf-life figure for this oil. | Not published in our data — ask |
| What happens when a size goes out of stock? | Your plan needs a realistic restock expectation. | A typical restock pattern, or an offer to notify you. | Not published — ask; see the stock picture below |
| Can you quote beyond the listed packs, and hold the price for a period? | Multi-year costing needs a price you can plan with. | A written quote with quantity and validity. | Quoted on WhatsApp; no discount figure is published |
| Can you reserve stock or schedule deliveries for me? | Replaces some of the buffer you would otherwise carry. | A yes with terms, or a no you can plan around. | Not published — ask |
| Is a GST invoice issued on every order? | Needed for your own accounts and for B2B buyers. | Yes, automatically. | GST invoicing — yes |
| Who do I contact when a lot seems different? | A named route saves days when a run is on hold. | One channel, and what information to send. | WhatsApp +91 7397976926 |
Read that last column honestly. For most of the questions that matter over several years — lot identification, single-lot orders, reformulation notice, shelf life, restock patterns, reserved stock — CSI's published data gives no answer. That does not mean the answer is no. It means you need to ask, for the specific oil, and keep the reply. What is published is modest but real: GST invoicing, MSDS and IFRA documentation on request, and quotes beyond the listed packs on WhatsApp with no published discount figure.
The stock picture on the pull date
Availability is the one part of this page where we can show you evidence rather than questions. On 24 September 2026 the Fragrance Oils collection listed 93 products. The table summarises how their sizes stood that day. It is a snapshot, not a trend, and it cannot tell you how often any oil has gone out of stock in the past — but it is a fair picture of the risk a multi-year plan has to absorb.
| Status | Oils | Examples |
|---|---|---|
| All five sizes (15 g to 1 kg) in stock | 47 | Lavender, British Rose, Sandalwood, Jasmine, Santal Noir, Woody Oud |
| 1 kg in stock (any other sizes) | 73 | Includes oils with no 15 g, such as Coffee Vanilla Tobacco and Khamrah Qahwa |
| At least one size in stock, at least one size out | 14 | Vetiver (1 kg out), Chocolate Fudge (100 g out), Freshwater (500 g and 1 kg out), Into The Night (1 kg out) |
| No size in stock | 7 | Rajnigandha, Spiced Rum, Mogra, Baccarat Rouge 540 inspired, Regal Royal Oud, Frankincense and Tonka, Acqua Di Gio inspired |
| 15 g in stock (the sample size) | 51 | Eucalyptus Spearmint at ₹68.44 to Tangerine and Freshwater at ₹199.00 |
Two readings follow. First, stock-outs are real and they are not confined to obscure oils: Sacred Sandal Ember — an obvious candidate for a sandalwood-led line — had only its 500 g in stock on the pull date, with the 100 g and 1 kg both out. A plan that depends on a 1 kg every month from that listing would already be in trouble. Second, the majority of the catalogue was fully or mostly available. Building on an oil with all its sizes in stock today does not guarantee next year, but it is a better starting point than one whose production size is already out.
What you hold yourself
Take a Sandalwood line selling 120 candles a month — your own figure; replace it with yours. Each 200 g candle at 8% uses 16 g of oil, so the line uses 1,920 g a month and 23,040 g a year. At the 1 kg rate that is ₹1,15,817.47 of oil a year. Material cost per candle is ₹267.34 with Luxury Soy Wax Chunks, an Eco Thin C1 wick and a White Matte Glass Jar, before labour, packaging, freight and GST.
| Protection | Rule used here | Quantity | Cost at the 1 kg rate | What it buys |
|---|---|---|---|---|
| Buffer stock | Two months of use (lead times are not published, so this is your choice) | 3,840 g → buy 4 × 1 kg | ₹20,107.20 | Time to react to a stock-out or a failed lot |
| Retained samples | 50 g per lot, one lot per monthly reorder | 600 g a year | ₹3,016.08 | A reference for every lot · 2.60% of the year's oil |
| Backup scent, first look | 15 g each of two candidates | 30 g | ₹259.22 | A strip and cold-throw first read |
| Backup scent, qualification | 50 g each, two 200 g candles per candidate | 100 g | ₹770.40 | A hot-throw burn in your wax and wick |
| Documents on file | MSDS and IFRA certificate each reorder | — | ₹0.00 | A dated record of any change |
The buffer is the big number, and it is working capital rather than cost: you use the oil, you just use it later. Its size should follow your restock risk. Because CSI does not publish lead times, the two-month buffer here is a planning choice, not a recommendation from data. If the supplier confirms reserved stock or scheduled deliveries in writing, you can carry less. If the oil is one of the 14 with a size already out, carry more or build on something else. I'm Making 500 Candles Across Five Fragrances — How Do I Divide My Fragrance Oil Purchase When Some Scents Are Expected to Sell More than Others? covers how to split stock across several scents by expected sales.
The retained samples are smaller than they look. At one lot a month, keeping 50 g of each costs ₹3,016.08 a year, or 2.60% of the oil the line uses. If several 1 kg packs arrive in one delivery, ask whether they share a lot; if they do, one sample covers the delivery and the figure falls. How to use the samples is set out in the new-batch comparison. The short version: every new lot is poured beside the previous one, in the same wax, before it goes into production.
Qualifying a backup before you need one
A backup is only a backup if it has already passed your tests. Makers who wait until the bestseller is out of stock end up choosing a replacement in a week, testing it for two days and hoping. Qualify it while there is no pressure. For a Sandalwood line, two sensible candidates from the same catalogue are Woody Oud and Santal Noir. We are naming them because their names place them in a woody family and both had every size in stock on the pull date — not because we have data showing they smell like Sandalwood. Only your test, and your customers, can say whether either is an acceptable substitute.
Choosing the oil to build on
If the bestseller has not been chosen yet, availability deserves a place in the decision alongside how the candle performs. Three oils show the kind of profile worth building on: all five sizes in stock on the pull date, prices that make a monthly 1 kg reorder practical, and — for Jasmine — a real saving at the kilo. Jasmine's 1 kg is 8.8% cheaper per gram than its 100 g, one of only 24 oils in the catalogue with a 1 kg saving of 5% or more. For most oils the kilo buys stock security rather than a lower rate, which is still the right reason to buy it for a bestseller.

Whichever oil you choose, the questions come first. Send them for the specific oil, keep the replies, and review them every six months along with the MSDS and IFRA certificate. If an answer changes — a size becomes a limited run, a document is reissued — you will hear it early, with a buffer on the shelf and a backup already tested. I Need One Fragrance Oil Supplier for Dozens of Candle Scents — How Do I Compare Performance, Consistency, Documentation, Bulk Pricing and Availability Before Consolidating Purchasing? extends the same thinking to a supplier you want to use for dozens of scents, and I'm Building a Commercial Scented-Candle Range in India — How Do I Select Fragrance Oils That Balance Hot Throw, Cold Throw, Wax Compatibility, Wick Performance, Cost per Candle and Reliable Bulk Availability? puts availability into a full range-selection matrix.
CANDLEMAKINGSUPPLIESINDIA supplies raw materials, not finished candles. This page is written for makers who will rely on an oil for years, and the honest position is that CSI's published data contains no lot tolerances, reformulation notice, availability guarantees, lead times or shelf-life figures for individual oils. The page says so in every place it matters, and tells you to ask for the specific oil and keep the answer.
Prices and stock status are CSI live data pulled on 24 September 2026 across all 93 products in the Fragrance Oils collection; wick and jar prices were verified for Blog 760 on 10 September 2026. Counts (47 oils with all five sizes in stock, 73 with 1 kg in stock, 14 with some sizes out, 7 with none) and the buffer, retained-sample and backup costs are plain arithmetic on that pull.
The 120-candle monthly volume, the two-month buffer, the 50 g retained sample and the backup steps are working assumptions for illustration. Replace them with your own sales and your supplier's written answers. For questions about a specific oil, documents or a multi-month quote, message us on WhatsApp at +91 7397976926.
