My Customer Received a Candle Manufactured Four Months Earlier — How Do I Verify That It Still Meets My Approved Fragrance Standard?

Which candle should I compare against? A retained candle from the same batch, plus a freshly poured reference of the same formula, assessed side by side.
Can I judge hot throw from cold throw? No. They are separate measures. Burn-test both the retained and the fresh candle, supervised, in the same room.
What if I never wrote a standard? You cannot verify this candle against one. Pour a fresh reference now, write the standard from it, and apply it to future complaints.
You are checking a standard, not a memory
A customer receives a candle poured four months ago and asks, politely or otherwise, whether it is still right. The question you actually have to answer is narrower than it sounds: does a candle from that batch, at that age, still meet the fragrance standard you approved when you released the formula? Not whether it smells exactly as it did on day one. Not whether you personally like it. Whether it sits inside the limits you set in writing.
That means the first thing to check is whether you have a written approved standard at all. A usable one names the fragrance character in a few plain words, gives a cold-throw rating on a simple scale assessed in a defined way, gives a hot-throw rating from a supervised burn in a defined room, and records wax colour, surface finish and burn behaviour. If none of that exists yet, you cannot verify this candle today. You can only start the standard now, from a fresh reference, and use it for the next complaint.
Three pieces of evidence, and what each can tell you
The customer's candle
You usually cannot smell it, so ask for the base label with its batch code, a photo of the surface and colour, and a description of where it was kept since delivery. Ask whether they have burned it and what they noticed when lit. A candle that sat on a sunny windowsill for a fortnight after arrival has a history your records cannot see, and it is fair to say so kindly.
Your retained candle from the same batch
This candle is the same age and the same materials, aged in your storage conditions. If it still meets the standard, your formula and your storage held for four months, and the difference lies in transit or the customer's conditions. If it has drifted in the same way the customer describes, the problem is real and belongs to the formula or your storage.
A fresh reference candle
Pour a new candle of the same formula today and assess it after the stated cure. It anchors your nose. Without it, you compare a four-month candle against a memory of how it smelled in June, and memory is generous. Make it from your retained oil sample of the original lot if you have one; that oil sample is also four months old, so note that it has been ageing too, sealed, cool and dark.
Worked example: a Woody Oud candle from June
The formula is a 200 g candle at 8% Woody Oud in CSI 464, in a matte 200 ml jar with an Eco C1 wick. The approved standard, set in June, recorded woods and amber leading with a soft citrus-spice opening, cold throw 4 and hot throw 4 on the maker's own five-point scale. Woody Oud's product page lists a citrus and spice top over oud and patchouli, with woods, amber and musk in the base, so the opening is the part most likely to recede first.
The fresh reference costs 184 g × ₹0.5074 = ₹93.36 in wax and 16 g × ₹4.5312 = ₹72.50 in oil at the 1 kg prices, plus ₹70.80 for the jar and ₹5.90 for the wick: ₹93.36 + ₹72.50 + ₹70.80 + ₹5.90 = ₹242.56, excluding packaging, labour and GST. That is the price of turning an argument into a measurement.

In this example the retained candle passes on every line the maker agreed in advance, with a quieter opening noted rather than ignored. The honest reply to the customer is that the same batch, kept in the maker's storage, still meets the approved standard; that the brightest opening notes of most fragrances do soften with time; and that you would like to understand where their candle was kept. If the customer's candle was clearly mistreated in transit, offer a sensible goodwill remedy without promising the next one will never change.
Notice what the scorecard does not claim. It does not say the candle is identical to June, and it does not say the next four months will look the same. It says that, at this age and in this storage, the batch sits inside limits you set before anyone complained. That is a defensible position. Saying the fragrance has not changed at all is not, and customers who later notice a softer opening will remember which version you told them.
If you sell through retailers, ask how long their stock sits on the shelf and where. A candle that spends two months in a shop window before it reaches a customer has aged in conditions neither you nor your retained candle experienced, and your standard needs a pull point that covers that full journey.
The verification procedure, step by step
What to do with each outcome
Retained candle passes. Your formula held in your storage. Look at transit and the customer's conditions, and consider whether your post-dispatch allowance is realistic for Indian summer couriers.
Retained candle drifts but still passes. Note the trend. Plan an extra pull point before the next batch reaches the same age, and check whether you are holding this formula longer than you have tested.
Retained candle fails. Stop dispatching older stock of that formula, assess the other batches by age, and shorten the window you work to. Test an alternative before reformulating: a 100 g sample of another oil is a small cost next to a failed batch. And keep your bulk oil orders small until the formula passes at the age your stock actually reaches.
