Should I Pre-Qualify Backup Wax, Fragrance, Wick and Jar Suppliers Before I Actually Need Them for Emergency Production?

The one test that decides whether to pre-qualify

A backup that has already passed its tests can be switched in within days. A backup that has not is a candidate, and switching to a candidate means a full retest — in this series' working practice, a pour, a cure to a 14-day checkpoint and several burn cycles before a decision. That is roughly 18 days, against about 4 for a pre-qualified backup that only needs a gate candle and a short confirmation. So the question is not whether backups are a good idea in general. It is whether, for this material on this SKU, the stock you hold covers the time a cold qualification would take. Where it does not, pre-qualify.

The day counts in the first column are examples; the second column comes from the working checkpoints used across this series (pour, 14-day cure checkpoint, three burn days). Replace both with your own. The pattern that usually emerges is the one in the table: bulky materials you reorder often — wax especially — have the shortest cover and the longest retest, so they are the first to pre-qualify. Why the oil backup is usually stock, not a second oil

Wax, wicks and jars can often be substituted without the customer noticing, if the burn tests pass. A fragrance oil cannot: a different listing is a different scent, whatever the name. CSI lists White Royal Oud alongside other oud-named oils — Woody Oud, Dark Vanilla Oud, Regal Royal Oud (every size out of stock on the 24 September 2026 pull) — but CSI publishes no composition or performance data for any of them, and none is described as a replacement for another. Pre-qualifying one of them as a backup means pre-qualifying a scent change, which is a product decision before it is a test.

For most bestseller oils the better backup is safety stock. The arithmetic is simple. At 400 candles a month, the SKU uses 6,400 g of oil — ₹51,859.20 at the 1 kg price of ₹8,103.00. Holding one extra month of it ties up that much cash; at an example cost of money of 12% a year (replace with your own), carrying it costs about ₹518.59 a month. Against that, a stock-out on a bestseller costs the margin on every candle you cannot make. Where you do want a scent backup — for a corporate order, say, where the customer has agreed an alternative — pre-qualify it exactly like a wax, and record the customer's agreement with the test file.

What each status lets you do on the day of a stock-out

Give every backup a status on the approved-supplier list. The status decides what may happen when the primary runs out, and therefore how many days the business loses. The retest matrix below shows what each status leaves to be done at switch time, in the series vocabulary.

The second row is the trap. A backup qualified two years ago is not the same as one qualified last season: the backup material may have changed without notice (CSI publishes no change notices, and neither do most suppliers), and your primary may have drifted too. That is why a pre-qualified backup needs a light re-confirmation on a schedule — here every six months, as a working practice: one candle of the backup beside one of the primary, burned once and compared. The pre-qualification run: two backups, one variable each

The efficient way to pre-qualify is one run with a shared control and one arm per backup, each arm differing from the control in exactly one material. Testing the backup wax and backup wick together in the same candle would save three candles and cost you the ability to tell which one caused a problem — the one-variable post explains why that is a bad trade, and the wax-and-fragrance-together post covers the rare case where you have no choice.

The wick arm needs particular care, because CSI publishes no burn data, size chart or construction details for either wick and does not describe Cotton Braided as equivalent to Eco Thin C1 — they are simply two listings. The test is the only evidence. As always, safety acceptance is comparative: CSI publishes no numeric flame-height or jar-temperature limit, so a backup passes only if it is no worse than the control on every safety line, within your jar supplier's guidance and the recognised candle fire-safety standard you work to (ASTM F2417 is a commonly cited one). The priced pre-qualification kit

Nine candles at 200 g and 8% need 144 g of oil (151.2 g with a 5% pour-loss allowance, a labelled working assumption), 1,159.2 g of Chunks for the control and wick arms, and 579.6 g of CSI 464 for the wax arm.

Set that against the cost of not having it. In the example, a cold qualification takes about 14 days longer than a pre-qualified switch. At 400 candles a month, that is about 187 candles of the bestseller not made — ₹59,091.95 of materials at listed prices, and the margin on every one of them, which only you can put a number on. The kit costs less than the materials in 12 of those candles.

The decision rule, and keeping backups alive

When a stock-out does arrive, the pre-qualified backup turns the substitution vs partial production vs waiting decision into an easy one.
