Quick answers — read this first
The client approved lavender, I bought it, now they want oud. Who pays? Start by classifying what you bought. Lavender is a common, reusable oil, so the fair charge is the cost of the change (carrying the oil until your own range uses it, a test round for the oud, reprinted labels, your hours), not the whole bottle bill. For an unusual oil you would never use again, charge the oil itself, or hand it over.

What does that come to? In the worked example (500 × 200 g, 8.65 kg of Lavender bought for ₹45,198.00), the change costs are ₹7,179.24. Woody Oud is ₹5,958.28 cheaper than the Lavender for the same grams, so the net is only ₹1,220.96. A switch to White Royal Oud instead would net ₹32,476.24.

Does the oud still fit before the wedding? In the worked plan the change arrives 38 days out: an oud test round (8 days), approval (2) and the production tail (23) need 33, leaving 5 days. If your numbers do not fit, the answer is a new date or a split order, not a skipped test.

How do I stop this happening again? Write change terms into the order: approved materials are committed once bought; a change after purchase carries the change costs and any price difference between the oils, and may move the date.
The short answer
The options: (A) charge the oil and hand it over; (B) absorb the change; (C) charge a change fee, netted against any oil saving; (D) a restocking-style charge; (E) split the order so the lavender is used in it.
The worked exposure: Lavender ₹45,198.00 bought; change costs ₹7,179.24; Woody Oud saving ₹5,958.28; net ₹1,220.96 on a ₹2,37,500.00 order.
The rule: reusable oil → charge the change costs (C); client-specific oil → charge the oil (A); dearer replacement → add the price difference; not enough days → move the date or split.
The settling numbers: change costs ₹7,179.24 (₹14.36 a candle, 3.0% of the order); net ₹1,220.96 for Woody Oud, ₹32,476.24 for White Royal Oud; 5 days of slack.
Lavender bought, oud requested: who pays what Worked example, 500 candles. Rupees. Black = you carry it, hatched = the client pays. 0k 10k 20k 30k 40k 50k A · Charge the Lavender client pays the oil; it is theirs ₹45,198.00 B · Absorb the change your costs less the oud saving ₹1,220.96 C · Change fee, netted costs less the oud saving ₹1,220.96 C (alt) · Change fee, quote kept you keep the oud saving ₹7,179.24 If oud = White Royal Oud price difference + costs ₹32,476.24 gross ₹7,179.24 Change costs = carrying the Lavender ₹1,954.81 + oud test round ₹2,544.43 + reprinting labels ₹2,080.00 + re-planning ₹600.00 = ₹7,179.24. Woody Oud costs ₹5,958.28 less than the Lavender for the same 8.65 kg. Order, prices you charge, jar, label, hours, usage rate and cost of money are labelled worked examples.
Who pays under each option in the worked example. Charging the client for the whole Lavender purchase (A) is the largest figure and suits oils you could not reuse. Absorbing the change (B) costs you ₹7,179.24 gross but only ₹1,220.96 net, because Woody Oud is cheaper than the Lavender it replaces. A change fee (C) puts those costs on the client, netted or not. A switch to a dearer oud changes the picture entirely.
Straight answer
A client approved lavender but later wants to change to oud after I bought the fragrance — how should custom raw-material purchases be handled commercially?
Treat it as a priced change, and price it by what the purchase really is. First classify the oil you bought: reusable (an oil you sell anyway, like lavender) or client-specific (an unusual oil, custom colour or printed item you could not use elsewhere). For reusable stock, charge the client the cost of the change: carrying the oil until your range uses it, a test round for the new oil, anything reprinted, and your re-planning time; adjust for the price difference between the two oils, in either direction. For client-specific stock, charge the purchase itself, or hand the material over. In the worked example (500 × 200 g, 8,650 g of Lavender bought for ₹45,198.00 after a signed approval), the change costs ₹7,179.24; Woody Oud costs ₹5,958.28 less than the Lavender, so the netted change fee is ₹1,220.96, whereas a switch to White Royal Oud would be ₹32,476.24. Run the oud through its own test round before buying it in bulk, check the days still fit (5 to spare here), and write change terms into every future order. This is practical commercial judgement, not legal advice.
One line: reusable oil → charge the change; client-specific → charge the material; dearer oil → add the difference; and test the new oil before buying it.
For the oud test round now: Woody Oud 100 g ₹453.12, Eco C2 10 for ₹94.40, Cotton Braided 10 for ₹120.00. The bulk (₹39,239.72) after the oud sample is signed. All in stock on 7 October 2026; lots and dispatch confirmed on WhatsApp.

The order, the purchase and the change, as numbers

Before deciding who pays, write down exactly what was bought, when, and on whose say-so.

The title gives no figures, so this is a worked example you replace with your own: 500 candles of 200 g at 8% (16 g oil + 184 g wax each), quoted at ₹475.00 a candle (₹2,37,500.00, your price, not a CSI figure), 50% advance (₹1,18,750.00) paid. The client signed a physical lavender sample; you then bought the oil for 532 pours (8,627.12 g with extras, 4% rejects, 1% heel and a 30 g reference) as 8 × 1 kg + 500 g + 100 g + 50 g of Lavender, and printed 520 labels naming the scent. Five days later, before any pouring, the client asks for oud. The wedding is 38 days away.

Your own range’s lavender use 1.5 kg a month Decides how long the oil is carried

Had the client changed before you bought, this would be a sampling question with cheaper answers (when to stop buying during sampling). It is a commercial question now because money has left your account against their approval.

Reusable or client-specific: the first question

The same rupee figure means different things depending on whether you can use the material tomorrow.

Every purchase for a custom order falls into one of two groups. Reusable stock is what you would use in your own range anyway: standard wax, common wicks, plain jars, and popular oils such as lavender. Client-specific stock is what only this client wanted: an unusual oil you do not otherwise sell, a custom colour mixed in bulk, a jar you will not reuse, anything printed with their names, date or scent. The fair commercial answer differs between the two.

Classifying the worked purchase
Practical judgement · your own range decides what counts as reusable for you
Item Group What a change costs you
Lavender, 8,650 g Reusable (for most makers) carrying cost until used: ₹1,954.81 in the worked example
Luxury Soy Wax Chunks Reusable nothing: the oud uses the same wax
Eco C2 wicks Reusable nothing, unless the oud test picks another wick
Printed labels naming Lavender Client-specific all of it: ₹2,080.00
A rare oil you would never sell Client-specific the whole purchase (not this case)
Mistake: charging the client the full ₹45,198.00 for the Lavender and then using it in your own candles. Why it fails: you recover the oil twice, once from the client and once from your customers; if the client ever finds out, the relationship is over, and they would be right. Fix: either charge the oil and hand the bottles over, or keep the oil and charge only what the change really costs you.

How much buffer to buy of things that are client-specific, so that a change or a cancellation hurts less, is the custom-materials buffer post; a custom jar you cannot reuse is 6352.

The exposure, line by line

"We bought lavender" is not a number. These are.
The worked exposure · what the change costs, line by line
CSI prices from the live store on 7 October 2026 · your labels, jars, hours, usage rate and cost of money are labelled worked examples
Line How it is worked out ₹
Lavender already bought 8 × 1 kg + 500 g + 100 g + 50 g = 8,650 g ₹45,198.00
Carrying the Lavender in your own range half its value × 1.5% a month × (8.65 ÷ 1.5) months, about 5.77 ₹1,954.81
Oud test round 100 g Woody Oud ₹453.12 + 920 g Chunks ₹551.91 + C2 10 ₹94.40 + Cotton Braided 10 ₹120.00 + 5 jars at ₹55.00 + courier ₹250.00 + 4 hours at ₹200.00 ₹2,544.43
Reprinting labels that name Lavender 520 at your ₹4.00 ₹2,080.00
Re-planning and admin 3 hours at your worked rate ₹600.00
Change costs carrying + test + labels + admin ₹7,179.24
Oil price difference (Woody Oud) ₹39,239.72 instead of ₹45,198.00 ₹5,958.28 less
Net, if the switch is to Woody Oud change costs − oil saving ₹1,220.96
Net, if the switch were to White Royal Oud change costs + ₹25,297.00 dearer oil ₹32,476.24

Three things stand out. First, the Lavender itself (₹45,198.00) is not the loss; at 1.5 kg a month your range uses it in about 5.77 months, and the real cost is the money tied up meanwhile (₹1,954.81 at a 1.5% monthly cost of money, both your figures). Second, the printed labels are the only line that is gone completely. Third, the oil price difference can dwarf everything else: Woody Oud is ₹689.80 a kilo cheaper than Lavender, so this change actually lowers your oil bill by ₹5,958.28; a switch to White Royal Oud would raise it by ₹25,297.00.

Check before you count on a return
Do not assume any supplier will take back opened or sealed oil, and do not tell the client you can return it. If a return or exchange matters to your numbers, ask us on WhatsApp before you quote the change; plan on using it yourself unless you have an answer in writing.

Five ways to handle it

There is no single right answer. There is a fair one for each kind of purchase.
The options, priced on the worked example
You = what you carry · Client = what the client pays · practical judgement, not legal advice
Option You Client When it is fair
A · Charge the oil and hand it over nothing ₹45,198.00 (+ labels ₹2,080.00) Client-specific oil; or the client wants the bottles
B · Absorb the change ₹7,179.24 gross, ₹1,220.96 net of the oud saving nothing A valued repeat client; the oud saving covers most of it
C · Change fee, netted nothing ₹1,220.96 Reusable oil, cheaper replacement: the fairest default here
C (alt) · Change fee, quote unchanged keeps the ₹5,958.28 oil saving ₹7,179.24 When the quote was fixed per candle and stays so
D · Restocking-style charge carries the oil, keeps it ₹4,519.80 (10% of the oil, worked) + test, labels, admin When you prefer a simple percentage to a carrying-cost sum
E · Split the order fewer kg to carry (6,130 g left) test round, labels, admin The client takes 150 lavender candles for another function

Which one, in this case?

Lavender is reusable and Woody Oud is cheaper, so option C is the fair default: send the client the line-by-line costs (₹7,179.24), show the oil saving (₹5,958.28), and ask for the difference, ₹1,220.96. It is small enough that some makers will absorb it as goodwill (option B); that is a choice, and it is easier to make once you have seen the figure. Option A belongs to client-specific purchases. Option E is worth offering whenever the wedding has more than one function: 150 lavender candles for a mehendi or welcome hamper would use about 2,520 g of the oil within the order.

Argued against our own interest: the change does not mean you should buy more from us than the oud test needs. Buy one 100 g Woody Oud for the test round, not the 8.65 kg, until the client has signed an oud sample; and do not buy new wax or a fresh 1,000 wicks, because the Chunks and C2 you hold work with any oil. If the test picks Cotton Braided, buy that then.

The direction of the price difference matters as much as the change itself. If the client had asked for White Royal Oud, the same change would put ₹32,476.24 on the table, ₹64.95 a candle. Change terms that only speak of "change costs" leave that unaddressed; terms that say "plus any difference in material cost" cover both directions, including a credit when the new oil is cheaper.

Does the oud still fit before the wedding?

A new oil is a new formula. It gets a test round, not a swap.

Woody Oud is a different oil from Lavender in weight and character, and heavier resinous oils commonly behave differently on the same wick. So the oud goes through its own round before you buy 8.65 kg of it: the approved load, a C2 and a Cotton Braided candle, cured 72 hours (the Woody Oud page says to cure soy candles 48–72 hours before burn testing), burned, and a physical sample sent for signature.

The revised calendar · worked example
Calendar days from the change request · cure and burn tests are calendar time, not labour
Step Days Running total
Oud test round (pour, cure, burn, courier) 8 8
Client approves the oud sample 2 10
CSI dispatch and transit (confirm on WhatsApp), lot check, pour, cure, QC and pack, delivery, slack 23 33
Wedding day 38: 5 days to spare

The decision rule. If the days fit, run the test round and quote the change at the same time, so the client approves both together. If they do not fit, offer a choice in writing: a new delivery date, or a split (part lavender, part oud, or the oud only for the main function). Never skip the oud burn test to make the date; and if CSI cannot confirm the oud in one lot for 8.65 kg, plan a lot check on the second lot rather than mixing lots unseen (what to retest when only the fragrance changes).

What you never skip after a fragrance change
Calendar time · durations are planning judgements
Step Why Calendar time
A burn test of the new oil in the final jar with a wick bracket The approved wick was approved with a different oil Inside the 8-day round
A signed, dated physical sample of the new scent The lavender approval does not carry over 2 days in the worked plan
Written acceptance of the change fee and any new date Avoids a second dispute at invoice time With the sample
Lot check on the bulk oud The bulk lot may differ from the test bottle About 3 days after arrival

Change terms to write into the next order

Most change disputes are really disputes about what was never written down.

The wording below is practical business judgement, not legal advice; for anything unusual, or large, take proper advice. The point is that the client should know before they sign what a change after purchase costs.

1
List the approved materialsFragrance (with the sample code), load, colour, jar, wick, label and packaging proofs, each with an approval date.
2
Say when materials are committedMaterials are ordered after written approval and the advance; from then, they are committed to the order.
3
Name what a change after purchase costsRe-sampling of the new material at cost; carrying or restocking of reusable materials already bought; the full cost of client-specific materials already bought or printed; your re-planning time.
4
Cover the price differenceAny difference in material cost between the original and the new choice is added, or credited.
5
State the date consequenceA change after the last-change date may move the delivery date or reduce the scope.
6
Agree changes in writingEvery change is confirmed in writing with its cost and any new date before work starts.
Commercial protection (practical judgement, not legal advice): the worked change is affordable because the purchase was made after a signed approval, against an advance, with mostly reusable materials. Keep those three habits and most changes become a small, explainable fee. The approvals checklist is 6359; the end-to-end order flow with its gates is 6360.
Send the numbers, not a feeling
Send the client the exposure table above with your own figures in it. A line-by-line ₹7,179.24 that becomes ₹1,220.96 after the oil saving reads as fair; "there will be a charge" reads as a threat.
This page is for you if you bought an approved material and the client has now changed it. Read elsewhere if the client is still sampling (6350), you are deciding how much custom material to buy in the first place (6353), or you are finalising a custom fragrance before buying wax and wicks (6345).

The products in this change

Five CSI products: the oil you bought, the oil requested, a dearer oud for contrast, and the wax and wicks you already hold. Nothing is ranked on performance (CSI publishes no burn data).

1
fragrance oil · the approved and purchased oil
Lavender Fragrance Oil
The oil the client approved and you bought: 8,650 g for ₹45,198.00. The page describes "fresh lavender top notes, herbal green mid notes, and soft musk base" and states "Recommended fragrance load 6-10% for candles". Commercially, the key fact is that lavender is an oil many makers sell all year, which is why it counts as reusable stock rather than client-specific: your own range can absorb it at your own pace. CSI publishes no shelf life for its oils, so store sealed bottles cool and dark and check them before use.
Size Price Per gram In the worked purchase

Bought: ₹45,198.00. See Lavender — 1 kg ₹5,221.00
2
fragrance oil · the requested oil · cheaper per gram than the Lavender
Woody Oud Fragrance Oil
The new request. The page describes "citrus and spice top notes opening into rich oud and patchouli heart, settling into warm woody notes, amber, and musk", states "candles (6-10%)" and says to "Cure soy wax candles for 48-72 hours before burn testing". Flat at ₹4.53 a gram from 100 g to 1 kg, and ₹689.80 a kilo cheaper than the Lavender, so the same 8.65 kg costs ₹39,239.72, ₹5,958.28 less. A heavier, resinous oil can need a different wick from a lavender. Argued against our own interest: buy this 100 g for the test round now and the 8.65 kg only after the oud sample is signed.
Size Price Per gram In the plan
15 g ₹93.22 ₹6.21
50 g ₹271.40 ₹5.43 1 after approval
100 g ₹453.12 ₹4.53 1 now for the test round

fragrance oil · the dearer oud, for contrast
White Royal Oud
Not the worked request, but the reason change terms must work in both directions. The page lists "bergamot and saffron top notes, white royal oud, rose petals, and labdanum middle notes, and creamy sandalwood, ambergris, and soft musk base" and states "Recommended fragrance load 6-10% for candles". At ₹8.10 a gram the order’s oil would be ₹70,495.00, ₹25,297.00 more than the Lavender. Ten 100 g bottles cost ₹3.00 less than one 1 kg, so pack size barely matters. The 50 g is out of stock on 7 October 2026.

wax · already bought · unaffected by the change
Luxury Soy Wax Chunks
The worked order’s wax. The page states "up to 13% fragrance load capacity", above both oils’ stated 10%, so the oils’ ceiling governs. Wax does not care which oil it carries, so the change costs nothing here beyond the 920 g (₹551.91) the oud test candles use. Flat per kilo at every size from 1 kg.

wicks · bracket the oud before you commit
Eco C2 and Cotton Braided Wicks
The C2 wicks bought for the lavender stay valid stock. For the oud test round, buy a 10-pack of C2 (₹94.40) and a 10-pack of Cotton Braided (₹120.00) so the wick is chosen by the oud’s own burn, not carried over from the lavender. Cotton Braided’s page describes it for large-diameter candles; it is one bracket rung, not a rule.
Pack Price Per wick Use
Eco C2 / 10 ₹94.40 ₹9.44 oud test bracket
Eco C2 / 1,000 ₹9,440.00 ₹9.44 the order (already bought, reusable)

The CSI principle
Charge for the change, not for the bottle you will use anyway.
Classify what you bought, price the real cost of the change, net the oil price difference in either direction, test the new oil, and write it all into the next order before anyone signs.
"A change fee nobody can explain is a penalty. One with five lines and a credit is just a fair invoice."

Why trust this guide

CandleMakingSuppliesIndia sells the lavender, oud, wax and wicks in this example and does not sell finished candles or printed labels. This page still tells you to buy only a 100 g of the new oil until it is approved, to keep using the wax and wicks you already hold, and not to count on returning oil unless you have it in writing.

Every CSI price was checked on the live store on 7 October 2026; every pack offered here is in stock on that date, and White Royal Oud 50 g and the Eco C1 10-pack, which are out, are not offered. CSI publishes no shelf life for fragrance oils. Stock depth, dispatch dates and lot continuity are confirmed on WhatsApp.

The 500-candle order, ₹475.00 price, advance, labels, jars, hours, usage rate, cost of money, 10% restocking figure, split and calendar are labelled worked examples; prices are data. Frequently asked questions

Can I charge a client for fragrance oil I bought before they changed their mind?
If the purchase followed their written approval, yes, a charge is reasonable. For a common oil you will reuse, charge the cost of the change (carrying, re-testing, reprints, time) rather than the whole oil; for an oil only they wanted, charge the oil or hand it over.
How do I calculate a change fee for a candle order?
Add the carrying cost of reusable materials already bought, a test round for the new material, anything reprinted, and your re-planning time; then add or credit the price difference between the materials. In the worked example: ₹7,179.24, less a ₹5,958.28 oil saving, ₹1,220.96.
What do I do with fragrance oil left after a client cancels or changes?
If it is an oil your range uses, carry it into your own production and count the cost of the money tied up meanwhile. 8.65 kg at 1.5 kg a month is about 5.77 months in the worked example. Store sealed bottles cool and dark and check them before use.
Is oud fragrance oil more expensive than lavender for candles?
It depends on the oil. At CSI on 7 October 2026, Woody Oud is ₹4,531.20 a kilo against Lavender’s ₹5,221.00, while White Royal Oud is ₹8,103.00. Compare the actual oils, not the names.
Do I need to retest if the client switches from lavender to oud?
Yes. A new oil is a new formula: run a burn test at the approved load in the final jar with a wick bracket, cure before judging, and get a signed sample of the new scent before buying it in bulk.
What change terms should a candle order include?
The approved materials with dates; that materials are committed once bought after approval; what a change after purchase costs (re-sampling, carrying or restocking, client-specific items, time); any material price difference added or credited; and the date consequence.
Lavender bought, oud requested
Classify the purchase, price the change, net the difference, and test the oud first.

About this guide: part of CSI's cluster "Wedding orders and customisation" (6341–6360) in the series on bulk corporate and wedding candle orders × raw materials. It covers how to handle a fragrance change after an approved material has been bought: classifying reusable and client-specific stock, a line-by-line exposure, five handling options with worked figures, the oil price difference in both directions, the revised calendar, and change terms for future orders.
