How Do I Turn a One-Time 1,000-Candle Customer into Predictable Recurring Raw-Material Demand If They Begin Ordering Every Month?
Aktie
How much do I buy each month? The month's requirement from your standard: worked, 154.10 kg of wax, 8,040 g Blue Ocean, 5,360 g Fresh Strawberries, 1,037 wicks and jars, 1,010 boxes. Month 1 adds a quarter-month safety stock; after that you replace what you used.
Should I stock three months to be safe? No. At CSI, Pearl wax is the same per kilo from 5 kg to 50 kg and these oils are no cheaper by the kilo than by the 500 g, so stockpiling buys nothing but tied-up cash. Keep the safety stock, send one purchase list a month, and confirm stock and dispatch on WhatsApp.
When do I review the price? Quarterly, together with your loss standard. Worked rule: if material cost per candle moves more than 5% (about ₹9.48 a candle here), the price moves with 30 days' notice. Put that in the standing order now, not when prices change.

From one order to a monthly line
The title gives two figures: 1,000 candles, every month. Those are your numbers. The rest is a labelled worked example: the same candle as the first order, 160 g of finished mix at 8% on the total-weight basis (12.8 g oil + 147.2 g wax) in the clear 200ml Salsa jar (fill set by a weighed test pour; the page states "The 200ml capacity" and no fill weight), split 600 Blue Ocean and 400 Fresh Strawberries, in Natural Soy Pearl Wax with one Eco C2 wick and a Corrugated Box each. From the first order's review, the loss standard is 4% of mix and 3% of pieces; the method for setting those from history is the post on folding a 5% variance into future BOMs.
| Line | Required | + Retains | Need (÷ 1 − loss) | CSI packs | ₹ | Carried over |
|---|---|---|---|---|---|---|
| Natural Soy Pearl Wax | 147.20 kg | 0.74 kg | 154.10 kg | 3 × 50 kg + 5 kg = 155 kg | ₹65,844.00 | 0.90 kg |
| Blue Ocean | 7,680 g | 38.4 g | 8,040 g | 8 × 1 kg + 100 g | ₹40,143.00 | 60 g |
| Fresh Strawberries | 5,120 g | 25.6 g | 5,360 g | 5 × 1 kg + 4 × 100 g | ₹19,210.40 | 40 g |
| Eco C2 wicks | 1,000 | 5 | 1,037 | 1,000 + 2 × 20 | ₹9,817.60 | 3 |
| Clear 200ml Salsa jars | 1,000 | 5 | 1,037 | 10 × 100 + 50 | ₹30,975.00 | 13 |
| Corrugated Box 11 x 11 x 8 cm | 1,000 | — | 1,010 (+1%) | 10 × 100 + 50 | ₹23,541.00 | 40 |
| Steady month | ₹1,89,531.00 | ₹189.53 a candle |
The carried-over column matters in a monthly line in a way it never did in a one-off order: leftovers are next month's opening stock, so the second month buys a little less. Over a few months the rounding evens out; the purchase list always buys "need + safety target − on hand", rounded up to packs. The totals exclude labour, freight, GST and labels, and the box fit is worth one sample check, because the box page gives 11 x 11 x 8 cm without saying inside or outside.
The standing order and the rolling forecast
Most monthly clients start with a sentence: "we'll want the same again every month". That is enough to plan with, and not enough to buy with. Turn it into a short written standing order the client signs or confirms by email. The figures below are practical judgement for a worked example, not legal advice and not a contract template.
| Term | Worked figure | What it protects |
|---|---|---|
| Quantity band | 900–1,100 a month at the agreed price | outside the band is re-quoted; your materials plan holds inside it |
| Firm-up date | 1st of the month before delivery | you buy only against a firm number |
| Rolling forecast | next month firm, then ±10%, then ±25% | materials planned two months ahead without buying them |
| Scent split | locked at firm-up (worked 600 / 400) | oil quantities per scent |
| Delivery day | the 25th, one address | a production calendar that repeats |
| Formula lock | signed spec sheet; any change re-tested and re-quoted | consistency and your testing time |
| Price review | quarterly; moves if material cost per candle moves more than 5% | margin when supplier prices change |
| Notice to stop | 60 days | time to run down safety stock |
| Payment | your terms per delivery | cash for next month’s list |
The rolling forecast is the heart of it. On the 1st of each month the client gives three numbers: next month (firm), the month after (±10%) and the third month (±25%). You buy for the firm month only, plan materials and labour on the ±10% month, and treat the ±25% month as information. Each month the window rolls forward. Clients who will not give a forecast are telling you the demand is not as predictable as "every month" sounds; keep the safety stock smaller and do not let them hold you to dates you cannot plan for.
The materials in this worked order are all standard: catalogue wax, two catalogue oils, a plain clear jar, an in-catalogue wick and a plain box, all reusable if the client stops. That keeps your exposure low. The firm month is committed by the standing order, so the real exposure if the client stops is what you hold beyond it: the safety stock and pack rounding, ₹44,346.60 after month 1, of which the two oils (₹13,971.80) are the part least likely to fit your other products. If a client wants a custom colour, a printed box or an oil you do not otherwise use, those items need an advance or a minimum commitment before you buy them; the advance logic is in the post on advances covering non-reusable custom materials.
Lock the formula before month 1
A one-off order can survive a small change halfway through. A monthly client compares this month's candle with last month's on their own desk. Write one spec sheet and have the client approve it against a physical sample: wax (Natural Soy Pearl Wax), oils and load (Blue Ocean and Fresh Strawberries at 8% on total weight), fill (160 g, by weighed test pour), jar, wick (Eco C2, from your own burn test), colour (none), lid, box, label, and the pour temperature you approved (Pearl's page states none in the text we captured, so it is your own tested figure). The page wording that governs the load: Blue Ocean "candles (up to 10%)" and Fresh Strawberries "6-9%"; Pearl states no ceiling, so the lower oil maximum is the limit for that scent.
Then decide what is allowed to change without asking. Nothing in the formula is. Lots are a separate question: oil and wax lots can differ between deliveries, and CSI does not promise identical lots, so each new lot gets a quick side-by-side check against a retained sample of the last one (neat oil on a strip, cold wax, a short burn) before it goes into the client's candles. That check is the oil-lot post; for wax lots it is the wax-lot post. Keep 5 retained candles a month (3 Blue Ocean, 2 Fresh Strawberries), labelled with lots and date; when a client says "this month smells weaker", the retains are your evidence.
The decision of when a substitution is acceptable belongs in a formal change-control process; for a monthly client, the post on which raw-material changes need quick confirmation and which need full testing is the right starting point.
The monthly material plan and safety stock
Safety stock protects one thing: production week starting while a delivery is late or a lot fails its check. For a monthly line where you buy once a month and your own lead time is about 7 days (worked; CSI publishes no dispatch or transit days), a quarter of a month of each material, roughly one production week, is a reasonable starting point (practical judgement). It is built once, in month 1, and then only replaced if you dip into it. The full reorder-point arithmetic (daily use × lead time + safety stock) is the post on reorder timing in a multi-week contract; here the cycle is simply monthly.
| Line | Month need | + Safety | − On hand | To buy | CSI packs | ₹ |
|---|---|---|---|---|---|---|
| Pearl wax | 154.10 kg | 38.52 kg | 2.40 kg | 190.22 kg | 3 × 50 kg + 4 × 10 kg + 1 kg = 191 kg | ₹81,162.00 |
| Blue Ocean | 8,040 g | 2,010 g | 120 g | 9,930 g | 10 × 1 kg | ₹49,560.00 |
| Fresh Strawberries | 5,360 g | 1,340 g | 60 g | 6,640 g | 6 × 1 kg + 500 g + 2 × 100 g | ₹23,765.20 |
| Eco C2 wicks | 1,037 | 260 | 40 | 1,257 | 1,000 + 2 × 100 + 50 + 10 | ₹11,894.40 |
| Clear Salsa jars | 1,037 | 260 | 25 | 1,272 | 13 × 100 | ₹38,350.00 |
| Corrugated Box | 1,010 | 253 | 0 | 1,263 | 13 × 100 | ₹29,146.00 |
| Month 1 | ₹2,33,877.60 |
Month 1 costs ₹2,33,877.60; a steady month costs ₹1,89,531.00. The difference, ₹44,346.60, is the one-off price of predictability: the safety stock plus pack rounding. After month 1, each list is "this month's need + safety target − what is on the shelf", so leftovers and an untouched safety stock reduce the next order automatically.
Argued against our own interest: do not hold three months of wax or oil "to secure supply". Pearl is ₹424.80 a kilo from 5 kg to 50 kg, Fresh Strawberries is ₹3.54 a gram at both 500 g and 1 kg, and Blue Ocean is no cheaper by the kilo at all. Three months of stock would tie up roughly three times ₹1,89,531.00 for no price benefit, and oil kept for months is oil you have to store well and lot-check again. What actually secures supply is telling your supplier early, which costs nothing.
A recurring purchase schedule with suppliers
A monthly client turns your purchasing into a calendar. The worked cycle, for a delivery on the 25th:
| Day | You | Supplier |
|---|---|---|
| 1st | client firms up next month (quantity, scent split); update the plan | — |
| 1st–2nd | compute need + safety − on hand; send one list per supplier | CSI: list on WhatsApp; confirm stock, lots and dispatch |
| about the 9th | delivery in; count, inspect jars, lot-check new oil and wax | report any short or broken items the day they arrive |
| 10th–18th | production | — |
| 18th–24th | cure, QC, retains, packing | — |
| 25th | delivery to client | — |
| quarterly | price and loss-standard review | re-check current prices before the review |
With CSI, the recurring part is simple: one WhatsApp message a month with the same list, sent the day the client firms up. Ask us to confirm stock, lots and dispatch for that month's quantities before production week is fixed. What we will not do on this page is promise a reserved stock, a dispatch day, a lot that matches last month, or a standing discount; any of those is a conversation on WhatsApp, answered for that month's quantities. Do not build a discount you have not been given into your price.
If you also use other suppliers (labels, printed sleeves), give each the same calendar. The supplier with the longest lead time sets how early the client must firm up; if a printed item takes three weeks, the 1st is too late and the firm-up date moves earlier for everyone.
The price-review cadence
Agree in the standing order when and how the price is reviewed, before any review is needed. A practical cadence: every quarter, recompute the material cost per candle at current supplier prices and with your latest loss standard (from the variance post's pooled method), and compare with the cost basis the price was set on. Worked trigger: if material cost per candle has moved more than 5%, which is about ₹9.48 a candle on the worked ₹189.53, the price moves, with 30 days' notice. Below that, it holds.
| Item | Where it comes from | Decision |
|---|---|---|
| Material cost per candle now | current price list × your standard | compare with the quote basis |
| Loss standard | pooled from the last three months | update if it moved more than half a point |
| Labour minutes per candle | timed batches | update the cost basis |
| Forecast accuracy | firm vs ±10% vs actual | tighten or widen the bands |
| Complaints and retains | retained candles by lot | any formula or lot issue to raise |
| Safety stock | did you use it? | shrink it if never used; grow it if you ran short |
CSI's prices did not change between 1 and 7 October 2026; we cannot promise they will not. That is exactly why the review clause belongs in the standing order now: the conversation is easy when it is a scheduled quarterly check against an agreed rule, and hard when it is a surprise in month seven. If the review shows your costs are lower, say so too: a client who sees the rule work both ways is a client who stays.
When the standing order is one of several, the whole system (enquiry, sampling, approval, quotation, advance, BOM, purchase, allocation, QC, variance, repeat) is the complete bulk order system post. This post is one loop of it, run every month.

The honest summary: every line in this monthly list is flat per unit at the pack sizes used, or close to it, so a monthly cycle costs no more than a quarterly bulk buy. What you pay for predictability is the safety stock, once.
CandleMakingSuppliesIndia sells the wax, oils, jars, wicks and boxes in the worked plan, and does not sell finished candles. This page still tells you not to stockpile three months of our wax or oil, that Blue Ocean is fractionally cheaper in small bottles, and that we will not promise reserved stock, dispatch days or a standing discount here.
Every CSI price was checked on the live store on 7 October 2026, pack by pack; every pack named here was in stock on that date. Page wording is quoted as written: Pearl's "Excellent Fragrance Throw" (no load ceiling in the text we captured), Blue Ocean's notes, "candles (up to 10%)" and cure line, Fresh Strawberries' notes and "6-9%", the jar's "The 200ml capacity".
