Quick answers — read this first
How do I calculate wax for a 1,000-candle, four-scent order? Once, for all of them. Wax per candle is the same whatever the scent: at 50 g and 8%, 46 g. Add up the candles you will pour in every scent (1,032 here), multiply by 46 g and add pour loss: 49,370.88 g.

And each fragrance? Separately. Each scent's candles, plus its own backups and tests, times 4 g, plus loss. Here: Raat Ki Rani 1,709.76 g, Sandalwood 1,073.28 g, Japanese Cherry Blossom 861.12 g, Ylang Ylang 648.96 g.

How do I know the sheet is right? Add a check row. The four oil lines must add up to 1,032 × 4 g + 4% = 4,293.12 g, and the candle counts to 1,032. If either total disagrees, a line is wrong. See the sheet.

What does the whole order cost? ₹1,03,281.48: oils ₹25,228.88, CSI 464 wax ₹25,122.60, wicks ₹6,490.00, 1,032 heart jars ₹46,440.00. The jars are the largest line. Labels, packaging, freight and GST are extra.

I have a 1,000-candle wedding order split across four fragrances. How do I calculate wax and individual fragrance requirements for each scent?
Split the order into what the scents share and what they do not. Wax, wicks and jars are shared: every candle takes the same amount whatever its scent, so you calculate them once for the whole order. Fragrance is not shared: each scent gets its own line, with its own backups, tests, pour loss and pack rounding. For 1,000 favours in the 50 g Heart Cutout Velvet Jar at 8%, each holds 4 g of oil and 46 g of wax. With the split 400 Raat Ki Rani, 250 Sandalwood, 200 Japanese Cherry Blossom and 150 Ylang Ylang, 2% backups rounded up per scent and three tests each, you pour 1,032 jars. The wax is 1,032 × 46 g + 4% loss = 49,370.88 g, or 4 × 10 kg + 1 × 5 kg + 4 × 1 kg + 1 × 500 g of CSI 464 for ₹25,122.60. The oils are 1,709.76 g, 1,073.28 g, 861.12 g and 648.96 g, each rounded to its own bottles: ₹25,228.88 in all. Then check the sheet: the four oil lines must add up to 4,293.12 g, the same figure you get from 1,032 × 4 g × 1.04 in one step. If they do not, one line is wrong.

The method in one table

Build the sheet empty first. If the columns are right, the numbers take care of themselves.

A requirement sheet for a split order has two parts. The top part has one row per scent and carries everything that is different between scents. The bottom part has one row per shared material and carries everything that is the same. The last row is a check that ties the two parts together. Notice what is not on the sheet: a percentage added to the whole order at the end. Every allowance has already been added once, in its own column. Here is the sheet filled in for the example: 1,000 favours in the 50 g heart jar at 8%, so W = 50 g, L = 8% and 4 g of oil per candle. The backup allowance is 2% per scent, rounded up. There are 3 test candles per scent and a 4% pour loss. We use 4% rather than 3% here because a 50 g pour loses proportionally more at the jug lip than a large one. All three allowances are working assumptions to replace with your own records.

The check row is the important one. The four scent lines add up to 1,032 poured jars and 4,293.12 g of oil. Run the whole order as a single calculation, 1,032 × 4 g × 1.04, and you get the same 4,293.12 g. When those two numbers agree, no scent has been missed or counted twice. When they disagree, go line by line. The usual culprits are a scent whose backups were added to the total instead of the line, or a line that used the wrong candle weight.

The rounding is done per scent, in the last two columns. Across the four lines you buy 4,330 g against a need of 4,293.12 g, only 36.88 g over, because each line is topped up with the smaller bottles. Put the sheet in a spreadsheet, not on paper
Four scents is four chances to multiply by the wrong number. Put W, L, the backup %, tests per scent and loss % in cells at the top, and make every column a formula that points at them. When the couple changes the split, or you change the fill, the whole sheet updates and the check row tells you at once whether it still balances.

The pooled lines

The bottom half of the sheet is where the money is. On this order the jars cost more than all four oils together.

Wax. 1,032 jars × 46 g = 47,472 g, plus 4% = 49,370.88 g. Luxury Soy Wax CSI 464 is rated up to 10% by the wax maker, so 8% sits inside it. It is priced flat at ₹507.40 a kilo from 1 kg to 10 kg; 4 × 10 kg + 1 × 5 kg + 4 × 1 kg + 1 × 500 g costs ₹25,122.60. If you prefer the higher 13% ceiling of Luxury Soy Wax Chunks, the same 49.50 kg would cost ₹29,686.00.

Wicks. One per poured jar, plus about 5% for wicks spoiled while setting: 1,084. Eco Candle Wicks Thin C1 in 1 × 1000-pack + 1 × 100-pack give 1,100 for ₹6,490.00. A heart-shaped cavity is not round, so confirm with a burn test that the pool reaches the lobes. CSI does not publish wick sizes per container. Jars. 1,032 heart jars at ₹45.00 each, bought in tens with a couple of singles: 103 × 10-pack + 2 × single = ₹46,440.00. The listing's price is the same per jar at every pack size. Argued against our own interest, plainly. The jar line is ₹46,440.00, more than the oils and the wax put together. If the couple's budget is tight, the jar, not the fragrance, is the first thing to look at. A plainer container with a known fill can halve the order, and you can still put a premium scent in it. We would rather you win the order with a cheaper jar than lose it with ours.

Costing each scent

Four scents at four prices means four material costs per favour. If you quote one price for every favour, you need the weighted figure; if the couple is choosing the mix, show them each scent's cost. Both are below, using each oil's 1 kg price, wax at ₹507.40 a kilo, a ₹5.90 wick and a ₹45.00 jar.

Weighted across the 400 / 250 / 200 / 150 split, the oil comes to ₹22.92 per favour and the full material cost to ₹97.17. Raat Ki Rani is the dearest line at ₹6.77 a gram and Sandalwood and Ylang Ylang sit around ₹5 a gram. The wax, wicks and jars do not change at all: still 1,032 poured jars, because the backups (2% rounded up per scent) happen to come out the same. Only two oil lines move. The oil bill changes by ₹386.58, because Raat Ki Rani costs more per gram than Sandalwood. This is the value of keeping wax and oil in separate parts of the sheet: a change in scent mix touches only the scent lines. The re-split that goes wrong. A maker recalculates the whole order from scratch after the change, reuses the old backup total, and adds the new backups on top. Now the sheet has two sets of backups and the check row does not balance. Change only the lines that moved, let their backup cells recalculate, and check that the poured total still matches.

The CSI principle
Shared materials once, scent materials per scent, and a check row that ties them.
The same sheet works for two scents or twelve. The top half grows by a row per scent; the bottom half never changes; the check row always has to balance. If it does not, you have not finished calculating.

How do I calculate fragrance oil for multiple scents?
One line per scent: candles in that scent plus its backups and tests, times oil per candle, plus pour loss. Round each scent to its own packs. Then check that the lines add up to the whole order calculated in one step.
Do I calculate wax separately for each fragrance?
No. If every candle is the same size and load, the wax per candle is the same whatever the scent. Calculate it once for all the candles you will pour. You only split the wax if scents are poured at different loads or sizes.

At 8% fragrance, 46 g each, so 46 kg for 1,000. With 2% backups per scent, three tests per scent and 4% loss on this example, 49,370.88 g.
