How long should the routine take? About 15 to 30 minutes as a suggested starting point. If it regularly takes longer, simplify the record; if it takes five, you are probably skipping the comparisons.

Why a fixed routine beats occasional testing
At 25 kg a time, wax arrives often enough that a thorough investigation of every delivery would take over your workshop, and seldom enough that you may forget exactly how the last lot looked, smelled and melted. A short routine solves both problems. Because the same steps are carried out in the same order against the same kind of reference, a difference stands out. Because it takes half an hour rather than a week, it actually happens.
The routine is a screen, not a qualification. It does not tell you how the wax burns in your jar with your wick. What it does is sort deliveries into two groups: those that match your last approved lot on every quick check, which can be released with a single confirmation candle, and those that differ on something, which are held back for a proper paired test. Most deliveries should fall into the first group. The routine's job is to catch the ones that do not.
A fixed routine also protects you from your own mood. On a calm day you might inspect a delivery carefully; on the day before a festival order ships you might glance at the bags and start pouring. Writing the steps down, and doing them whatever the calendar says, removes that swing. The maths of a 25 kg delivery
CSI lists no 25 kg pack for any wax, so a 25 kg purchase is two 10 kg packs and one 5 kg pack, and larger quantities are quoted on WhatsApp. At 200 g per candle with 8% fragrance on total candle weight, each candle uses 184 g of wax, so 25 kg makes 25,000 ÷ 184 = 135 candles, rounded down.

Whichever wax you use, the routine consumes very little of it. A 100 g screening sample of CSI 464 is 100 × ₹0.5074 = ₹50.74 of wax, and a retained reference of a few hundred grams is a small fraction of a 135-candle delivery. Against that sits the full value of the wax plus every gram of oil, every jar and every wick you would pour into it.
The routine, minute by minute
Timings are a suggested starting point. Keep your retained reference from the last approved lot, a sheet of white paper, two identical small containers, a verified thermometer and your record sheet on one tray, so the routine starts the moment the delivery is signed for.
Making the routine stick
A routine survives when it is easy and owned. Give it to one person, and give that person the authority to leave a delivery in quarantine without being overruled by a production deadline. In a one-person business that person is you, which makes the discipline harder rather than easier, because nobody else will notice if the check is skipped on a busy Friday.
Place the quarantine shelf between the door and the production area, so new bags physically cannot reach the melter without passing it. Keep the tray of tools and the blank record sheets on that shelf. Take two photos per delivery, one of the labels and one of the colour comparison on white paper, and file them with the sheet. Over a year, those photos become a visual history of your wax that no memory can match.
Review the routine itself every few months. If a check has never once flagged anything, ask whether it is still earning its minutes. If a problem reached production that the routine should have caught, add the check that would have caught it. The steps above are a starting point to adapt, not a fixed standard.

One sheet per delivery is enough. Keep it short so it gets filled in every time; a form that takes longer than the checks will soon be skipped.

When the routine is not enough
The screen flags differences; it does not diagnose them. If any check differs from the reference, the lot stays in quarantine and goes to a paired candle test: matched candles from retained old wax and the new lot, the same day, with everything else held constant, cured together and burned side by side.
It is also sensible to run a paired burn periodically even when screens match, because some changes show only in a burning candle. How often is your call; one approach, offered as a suggested starting point, is a paired burn on every fourth delivery and on any delivery after a change of packaging, grade code or supplier contact.
