One thousand candles of 200 g at an 8% load hold 16 kg of fragrance oil. A run that size also needs development candles before it starts, approval samples for the client, and retained and burned QC candles while it runs. Counted as candles, those samples add 848 g. This page sizes each line and prices the order.

Dark Vanilla Oud for 1,000 × 200 g at 8% · 16,000 g net + 480 g pour loss + 848 g of development and QC samples · ₹98,727.04 · CSI live pricing, September 2026
Quick answers — read this first
How many kg of fragrance oil for 1,000 × 200 g candles at 8%? 16 kg net: 16 g of oil and 184 g of wax per candle. With a 3% pour allowance, 16,480 g.

How much for development and QC samples? 848 g on the programme here: an 18-candle development matrix (288 g), 5 client samples (80 g), 20 retained QC candles (320 g) and 10 QC burn tests (160 g). Plus a 15 g tester for each candidate oil.

What is the total to order? 17,328 g. For Dark Vanilla Oud, 17 × 1 kg + 3 × 100 g + 2 × 15 g costs ₹98,727.04. The strict cheapest mix is ₹98,710.04 but uses 39 bottles.

Should the samples be bought with production? No. Buy the testers, development and client-sample oil first, and the production oil only after approval. On this oil, staging costs ₹104.00 more and keeps ₹96,471.04 uncommitted until the client says yes. See buying in stages.
The short answer
Net and loss: 1,000 × 200 g × 0.08 = 16,000 g; +3% pour loss = 16,480 g.
Samples: Dev matrix 6 × (14 + 16 + 18) g = 288 g · client 5 × 16 g = 80 g · retained 20 × 16 g = 320 g · burns 10 × 16 g = 160 g · total 848 g (5.3% of net).
Order: 17,328 g → 17 × 1 kg + 3 × 100 g + 2 × 15 g = ₹98,727.04 (Dark Vanilla Oud). Stage 1: 4 × 100 g for development and client samples. Client samples in procurement covers the client side.

The top row is the sample programme in the order it happens: screen candidate oils in 15 g testers, develop the chosen oil's load and wick, get client approval, produce, and keep QC samples throughout. The bar below shows the chosen oil's total to scale. Samples are small next to production, 5.3% of the net, but they are the part most often forgotten in the order. Candle counts per stage are working assumptions.
Straight answer
I need 1,000 × 200 g candles at 8% fragrance — how many kilograms of fragrance oil should I order if I also need development and QC samples?
Order about 17.3 kg, built from counted lines. The thousand candles hold 16,000 g: at 8% of the finished weight, each 200 g candle is 16 g of oil and 184 g of wax. A 3% pour allowance adds 480 g. Then count the samples as candles, each with its own oil. A development matrix at 7%, 8% and 9% with three wick options and two candles each is 18 candles and 288 g. Five client approval samples are 80 g. Retaining one candle from each 50-candle pour batch is 20 candles and 320 g, and burning one in every hundred as a QC check is 10 candles and 160 g. The samples total 848 g, and the order 17,328 g. Before any of that, screen your candidate oils with one 15 g tester each. For Dark Vanilla Oud, 17 × 1 kg + 3 × 100 g + 2 × 15 g covers the order for ₹98,727.04. Buy the development and client-sample oil first (four 100 g bottles) and the production oil after approval; on this oil, splitting the order costs just ₹104.00 more.
One line: 16 kg for the candles, 480 g for the pot, 848 g for the samples that prove the candles are right.
The worked oil is Dark Vanilla Oud Fragrance Oil, a vanilla-oud gourmand at ₹5.69 a gram in both the 500 g and 1 kg. Start with a 15 g tester (₹105.02) in the screen, then four 100 g bottles (₹2,360.00) for the development matrix and client samples, and the kilos once the client has approved.

16 kg for the run

A thousand candles of 200 g at 8% is sixteen kilograms of oil in the jars. That part is simple.

CSI's convention is that load is a share of the finished candle weight. Each 200 g candle at 8% contains 16 g of oil and 184 g of wax, so a thousand contain 16,000 g of oil and 184,000 g of wax. Add a working allowance for pour loss. Makers commonly plan 3–5% for pour loss and test burns; this page uses 3% for pour loss and counts every test and sample separately, which is more accurate at this scale.

1,000 × 200 g at 8% · load as share of finished weight
Production, before samples
Line Per candle × 1,000 In kg
Finished weight 200 g 200,000 g 200 kg
Fragrance oil (× 0.08) 16 g 16,000 g 16.0 kg
Wax (× 0.92) 184 g 184,000 g 184 kg
Pour loss, 3% of net oil 0.48 g 480 g 0.48 kg
Production oil 16,480 g 16.48 kg

At 16 kg, a convention mistake is expensive. Taking 8% of the 184 kg of wax gives 14,720 g, a real load of 7.41% and 1,280 g short, which is more than all the samples on this page combined. Ordering from finished weight covers the conversion, and the wax side of 1,000 × 200 g at 8% covers the 184 kg.

The sample programme, counted in candles

"Add something for samples" is not a quantity. Name each sample, count it, and weigh its oil.

Samples at this scale do five different jobs, happen at different times, and some of them leave your bench. Treating them as one vague percentage is how makers either forget them or double-count them. Here is a programme for a thousand-candle order, with every line counted in candles. The counts are working assumptions; change them to suit your client and your process, and the grams follow.

Sample programme · 200 g candles unless stated · oil = candle weight × its own load
Five kinds of sample, five lines
Sample Purpose Count Oil From Fate
Oil screen (before choosing) Which oud profile to develop 3 oils × three 50 g pots at 8% 12 g per oil one 15 g tester per oil No
Development matrix Load and wick for the chosen oil 7%, 8%, 9% × 3 wicks × 2 candles = 18 288 g chosen oil No
Client approval samples Sign-off on scent and look 5 finished candles 80 g chosen oil Leaves the bench
Retained QC samples Reference for complaints and repeats 1 per 50-candle pour batch = 20 320 g chosen oil Kept
QC burn tests Check each production stretch burns right 1 per 100 candles = 10 160 g chosen oil Burned

The oil screen happens before you have chosen the oil, so it uses different oils. A 15 g tester of each candidate pours three 50 g test pots at 8% (4 g oil + 46 g wax each) with 3 g spare. The Heart Cutout Velvet Jar is listed with a 50 g wax capacity, so it takes a 50 g pot. For three oud profiles, the testers cost ₹401.02.

The development matrix fixes load and wick for the chosen oil. At 7%, 8% and 9%, a 200 g candle takes 14 g, 16 g and 18 g of oil and 186 g, 184 g and 182 g of wax. Three wick options at each load, two candles per cell, is 18 candles: 6 × (14 + 16 + 18) = 288 g of oil and 3,312 g of wax. All three loads are inside the stated ceilings of Luxury Soy Wax Chunks (13%) and CSI 464 (10%). Wick size per jar diameter is not published; this matrix is how you find it. How many wicks to buy for a wick test covers the wick count.

Client samples are finished candles that leave your bench. Count them as production units poured to the final recipe, not as tests. Retained QC samples are one candle kept from each pour batch, labelled with the date and oil bottle, so that if a customer complains about candle 734 you can burn its batch-mate. QC burn tests are candles taken from production and burned, to catch a drift before it reaches hundreds of units. Whether client samples belong in procurement and approval tests for custom orders go further on the client side.

Pour QC samples from the batch, not a separate melt
A retained sample only means something if it came out of the same melt as the candles it represents. Pour it last from each batch, label it before it sets, and store it away from light and heat. A sample poured separately with fresh oil is a new candle, not a record of the batch.

Adding samples to production

The stack runs in time order: the screen, the development oil, the production oil with its pour loss, and the samples that are drawn during production. Only the development matrix happens before you know the recipe; everything after it uses the approved recipe at 16 g per candle.

Dark Vanilla Oud · order of operations · working assumptions labelled

0 Oil screen (other oils) 3 × 15 g testers —
1 Development matrix 288 g 288 g
2 Client approval samples 80 g 368 g
3 Production net 16,000 g 16,368 g
4 Pour loss, 3% of production net 480 g 16,848 g
5 Retained QC samples 320 g 17,168 g
6 QC burn tests 160 g 17,328 g

The samples come to 848 g, 5.3% of the net. That is close to a flat 5%, which is why some makers simply add 5% and move on. The counted version is better for two reasons. It tells you when each gram is needed, which decides how to stage the purchase. And it survives a change in the order: if the client moves to 1,500 candles, the QC lines grow with the batches and the development line does not, whereas a flat 5% grows everything.

The run with no reference candle. A maker pours a thousand candles over two weeks from several oil bottles and keeps no retained samples. Three weeks later a corporate client reports that some candles smell weaker. Without a batch-mate from each pour, there is no way to tell whether it is a batch, a bottle, a storage issue or a single candle. Twenty retained candles at 16 g each cost 320 g of oil, and they are the only evidence you will have.
The CSI principle
Samples are candles. Count them before you buy.
A development candle, a client sample and a retained QC candle each need a jar, a wick, wax and 16 g of oil. Listing them as units makes the oil exact, makes the wax, wick and jar counts follow automatically, and makes it obvious which ones have to be bought before approval.

Buying in stages

Seventeen kilos of an oil the client has not yet approved is a large bet. Most of it does not need to be bought until they have.

The programme splits the purchase naturally. Stage 1 is the screen (a 15 g tester of each candidate), then the development matrix and the client samples for the chosen oil: 288 g + 80 g = 368 g, covered by four 100 g bottles (₹2,360.00) with 32 g left. Stage 2 is everything after approval: production, pour loss and QC, 16,960 g less the 32 g already on the shelf, which is 16,928 g: 16 × 1 kg + 1 × 500 g + 4 × 100 g + 2 × 15 g (₹96,471.04).

One order vs two stages
Route What you buy Cost Bottles Committed before the client approves
One order (practical) 17 × 1 kg + 3 × 100 g + 2 × 15 g ₹98,727.04 22 ₹98,727.04
One order (strict cheapest) 34 × 500 g + 3 × 100 g + 2 × 15 g ₹98,710.04 39 ₹98,710.04
Stage 1 (development + client samples) 4 × 100 g ₹2,360.00 4 ₹2,360.00
Stage 2 (after approval) 16 × 1 kg + 1 × 500 g + 4 × 100 g + 2 × 15 g ₹96,471.04 23 ₹0.00
Two stages, total ₹98,831.04 27 ₹2,360.00

Staging costs ₹104.00 more than the practical single order, because stage 2 has to round its own quantity to bottles. In return, only ₹2,360.00 is committed before approval instead of ₹98,727.04. The strict cheapest single order uses 500 g bottles, because this oil's 500 g is priced 50 paise below half a kilo; it saves ₹17.00 over the practical order and adds 17 bottles. Take the kilos.

Argued against our own interest, plainly. A single 17 kg order is a better sale for us. If the client rejects the scent after sampling, though, you would own 17 kg of Dark Vanilla Oud, ₹98,727.04 of stock with no order behind it. Staging keeps that at ₹2,360.00 for an extra ₹104.00. Allow for the timing: stage 2 has to arrive after approval and before production starts, so ask on WhatsApp about availability for the full quantity before you begin the development round.

That is ₹225.18 per saleable candle with the whole sample programme absorbed, before jars, labour, packaging, freight and GST. Two hundred kilos of wax and seventeen of oil is well past the listed pack sizes (oil up to 1 kg per listing, Chunks up to 10 kg bags), so ask for a quote on the full order; no discount figure is published. The 5 kg bag is listed at ₹599.00 a kilo and the 10 kg at ₹599.90, which is why the list uses 5 kg bags. If the development matrix uses a second wick type such as Thick C2, buy those six separately.

For a larger or repeating order. At 2,000 candles, the QC lines double and the development line stays the same. 2,000 × 150 g at 10% and the stock to keep after it covers the next step, and a 1,000-candle corporate order with expected rejects covers rejects as units.

The sample programme sits on top of two simpler calculations: weighing the oil for a single batch and setting a reorder level once a scent becomes a bestseller. Both use the same 16 g a candle.

Diwali is Sunday 8 November 2026. A thousand-candle corporate order needs its development round and client sign-off before production, which pushes the oil order into mid-October at the latest. Why trust this guide

CANDLEMAKINGSUPPLIESINDIA supplies raw materials, not finished candles. A single 17 kg order before client approval would be a larger, earlier sale for us. This page recommends buying the development oil first and the production oil after sign-off, because on Dark Vanilla Oud it costs only ₹104.00 more and keeps your commitment at ₹2,360.00 instead of nearly a lakh before the client approves.

Oil and wax prices are CSI live pricing pulled on 24 September 2026. Wick prices are those verified for Blog 760 on 10 September 2026 and the 25 September catalogue pull; the Heart Cutout Velvet Jar's 50 g wax capacity is as listed. Out-of-stock sizes are never offered as buyable. The 16 kg figure is arithmetic (1,000 × 200 g × 0.08); every sample figure is candle count × oil per candle.

The sample programme (18 development candles, 5 client samples, 1 retained per 50, 1 burned per 100) and the 3% pour loss are working assumptions. The 13% (Luxury Soy Wax Chunks) and 10% (CSI 464) ceilings are wax makers' stated formulation maximums, not regulatory. Lot-to-lot consistency is not published; ask on WhatsApp and keep retained samples. Message us at +91 7397976926 for quotes, GST invoicing, MSDS or IFRA documentation.

Frequently asked questions

how much fragrance oil for 1000 candles 200g 8%
16,000 g in the candles (16 g each). With 3% pour loss, 16,480 g. With a counted sample programme (848 g here), 17,328 g.
how many sample candles should I make for a 1000 candle order
A workable programme: an 18-candle development matrix (three loads × three wicks × two), 5 client samples, one retained candle per 50-candle pour batch (20) and one QC burn per 100 (10). That is 53 candles, 848 g of oil at 16 g each.
should QC samples be included in the raw material order
Yes. Retained and burned QC candles are poured from production batches, so they need oil, wax, wicks and jars like any other candle. Count them as units and add them to the order.
how long should I keep retained candle samples
There is no published rule. Keep them at least as long as the client might raise a complaint or reorder, labelled with the batch, date and oil bottle, and stored away from light and heat.
is 5 percent enough for candle samples
On this programme the samples come to 5.3% of the net. A counted list is more reliable than a flat 5%: development samples do not grow with the order, and QC samples grow with the number of batches.
can I buy 17 kg of fragrance oil from CSI
CSI lists oils up to 1 kg per listing, so 17 kg is seventeen 1 kg bottles of an in-stock oil, or a single quantity quoted on WhatsApp. No volume discount figure is published.

Ceilings: Luxury Soy Wax Chunks up to 13%, CSI 464 up to 10% (wax makers' stated formulation maximums, not regulatory). Wick size per jar is not published. CSI lists oils up to 1 kg per listing; larger quantities are quoted with no published discount. Material cost excludes jars, labour, packaging, freight and GST. Diwali 2026 falls on 8 November.
