A client quantity is not a purchase list. Between "5,000 candles" and a purchase order sit six conversions: finished weight, the wax/oil split, allowances, pack rounding, price, and cost per quoted candle. Skip one and your quote is built on a number you cannot actually buy at.
₹238.80
of material per quoted candle for 5,000 × 200 g at 8% — including 30 tests, 4% loss and pack rounding — against ₹229.87 for one theoretical candle · CSI live pricing, pulled 24 September 2026
Quick answers — read this first
How do I convert 5,000 candles into raw-material quantities? 5,000 × 200 g = 1,000 kg finished. At 8%: 920 kg wax + 80 kg oil, 5,000 jars, 5,000 wicks. Add 30 tests and 4% loss: 962.5 kg wax, 83.7 kg oil, 5,081 jars, 5,131 wicks.

What material cost should I put in the quote? The procurement cost divided by the quoted quantity: ₹238.80 per candle with CSI 464, Roasted Coffee, a White Matte Glass Jar and an Eco Thin C1 wick. Not the theoretical ₹229.87: the ₹8.93 difference is allowances and rounding.

Which wax is cheapest at this volume? On listed prices for 963 kg: Natural Soy Pearl ₹4,09,158.00, CSI 464 ₹4,89,641.00, Luxury Soy Wax Chunks ₹5,78,899.00. Soy Pearl has no published fragrance ceiling, so test it first. See choosing the wax.

How long will my quote hold? Only as long as your supplier's prices do. The figures here are CSI live pricing pulled 24 September 2026. Before sending a quote, confirm a materials quote on WhatsApp and set your own quote's validity to match.
The short answer
Net: 5,000 × 200 g at 8% = 920 kg wax + 80 kg oil (184 g + 16 g per candle), 5,000 jars, 5,000 wicks.
Procure: 965 kg CSI 464 · 84 kg Roasted Coffee · 5,085 White Matte jars · 5,140 Eco Thin C1 wicks = ₹11,93,977.00 at listed prices.
Per quoted candle: ₹238.80 material, excluding labour, packaging, freight and GST. Volume pricing beyond listed packs is quoted on WhatsApp; no discount figure is published.

Each box converts the previous one into something closer to a purchase order. Only step 5 uses the catalogue, and only step 6 gives the number that belongs in a quotation. The figures are for 5,000 × 200 g at 8% with CSI 464 wax and Roasted Coffee.
Straight answer
I need to quote a 5,000-candle order before buying anything. How do I convert the client quantity into wax, fragrance, wick and jar procurement quantities?
Work through six conversions in order. One: client quantity × candle weight = finished weight (5,000 × 200 g = 1,000 kg). Two: split at the load, as a share of finished weight: 8% oil, 92% wax, so 80 kg of oil and 920 kg of wax. Jars and wicks are one per candle. Three: add allowances in order: 30 test candles, then a 4% pour-loss allowance (a working assumption), giving 962.5 kg of wax and 83.7 kg of oil; jars +1% and wicks +2%. Four: round each line to real packs: 96 × 10 kg of CSI 464, 84 × 1 kg of Roasted Coffee, 1,017 packs of 5 jars, 5 × 1000 + 1 × 100 + 2 × 20 wicks. Five: price it: ₹11,93,977.00 at listed prices. Six: divide by the quoted quantity: ₹238.80 of material per candle. That last figure, not the theoretical ₹229.87, is the material cost your quote must carry. Confirm prices on WhatsApp before the quote goes out, because a quantity this size is quoted rather than bought off the listing.
One line: 5,000 × 200 g → 920 kg wax + 80 kg oil → +tests, +4% → packs → ₹238.80 per quoted candle.
At 963 kg of wax, the wax choice moves the quote by tens of thousands of rupees. Luxury Soy Wax CSI 464 is ₹507.40 a kilo from 1 kg to 10 kg and rated to a 10% load by the wax maker. The gross need rounds to 96 × 10 kg + 1 × 5 kg: ₹4,89,641.00 at listed prices, before any quote.

Six conversions, in order

Your client counts candles. Your supplier counts kilos and packs. The quote lives in between, and it is only as good as the conversion.

Each conversion takes the previous result and changes its unit. The order matters, because allowances must be applied to the right base and rounding must happen last. Here is the full chain for this page's example: 5,000 container candles of 200 g finished weight at an 8% fragrance load, poured in CSI 464 with Roasted Coffee, in White Matte Glass Jars with Eco Thin C1 wicks.

Load = share of finished weight · allowances are labelled working assumptions

Read the table down each column and the logic of every line is visible. The wax column never contains 200 g per candle, because 16 g of every candle is oil. The oil column is 8% of finished weight, not 8% of wax: 8% of 184 g would be 14.72 g, which would leave you 6.70 kg short across the order. The jar and wick columns carry smaller allowances than the wax, because they fail in different ways; I Have a 10,000-Piece Festive Candle Order — How Much Additional Raw Material Should I Purchase Above the Theoretical Requirement to Protect Against Production Loss? explains why each component gets its own allowance.

Quoting from the net line. The tempting shortcut is to price step 3 (the net material) and quote from that. It ignores 30 test candles you will pour, the 4% of material that will not reach a jar, and the rounding up to whole packs. On this order that gap is ₹44,629.00, about ₹8.93 a candle, which comes straight out of your margin if the quote was built on step 3.
Use 4%, 3% or your own number, but write it down
This page uses 4% loss rather than the 3% used elsewhere in the cluster, because a first 5,000-unit run usually loses more to set-up than a repeat run. The number is a working assumption. The point is to show it on the sheet so that the quote and the purchase are built on the same figure.

Choosing the wax at 900 kg

At this volume the wax line is the biggest by weight and one of the biggest by cost, so the choice of wax changes the quote. Three CSI container-suitable waxes list large enough packs to be realistic here. Prices below are for the gross need of 962.5 kg, rounded to each wax's own packs:

Natural Soy Pearl is the cheapest on paper, and it is the only wax in the catalogue with a real bulk break: ₹450.00 a kilo at 1 kg, ₹424.80 at 5, 10 and 50 kg (5.6%). But no fragrance-load ceiling is published for it in our data, so an 8% load in Soy Pearl is a test, not a spec; check the product page or ask on WhatsApp for the wax maker's stated maximum, and burn-test it before quoting. CSI 464 is rated to 10% and Luxury Soy Wax Chunks to 13%, both by their wax makers; 8% sits inside either. Whichever you quote on, pour the test candles in that wax: switching waxes after the samples is switching products.

Oil, jars and wicks

The oil line is 83.7 kg of one fragrance. At the listed 1 kg bottle, that is 84 × 1 kg of Roasted Coffee, ₹3,13,992.00. Roasted Coffee is one of the oils with a small real break at the top: ₹3.74 a gram at 1 kg against ₹3.90 at 100 g. Mango Coconut has a bigger one (₹3.96 at 500 g and 1 kg against ₹5.00 at 100 g), and the same quantity lists at ₹3,32,976.00. For most oils the per-gram price barely moves above 100 g, so the 1 kg buys fewer bottles rather than a lower rate. Beyond the listed 1 kg bottles, volume pricing is quoted on WhatsApp; no discount figure is published, and you should not build one into your quote.

Jars are the other large line. The White Matte Glass Jar is listed as a pack of 5 at ₹354.00 (₹70.80 each), so 5,081 jars is 1,017 packs, ₹3,60,018.00: the single most expensive line on this order. Its fill weight is not published, so weigh a test pour to your fill line before quoting 200 g. Do not assume a 200 ml jar holds 200 g: 200 ml is brim volume, and solid soy wax is lighter than water, so a 200 ml jar filled to a sensible line holds noticeably less. I Ordered 100 × 200 ml Candle Jars — How Do I Calculate How Much Wax They Actually Need When 200 ml Does Not Mean 200 g of Candle Wax? and My Jar Holds 180 g of Water — How Do I Estimate the Wax Fill Weight Before Buying Wax for 500 Jars? cover that conversion. Wicks are 5,131 Eco Thin C1 at ₹5.90 each as an example; wick size per jar is not published, so your test candles decide.

Argued against our own interest, plainly. On a 5,000-jar order, retail packs of 5 are an awkward way to buy, and ₹70.80 a jar is the biggest cost line here. Before you quote on it, ask whether the client needs that jar at all. A cheaper listed container with a known fill (the Golden Aluminium Tin holds a published 85 g) changes the product, but for a smaller candle it can halve the container line. We would rather you quote the right container than the one that makes this order biggest for us. For quantities like this, ask on WhatsApp whether the jars can be quoted as one consignment.

Procurement cost vs theoretical cost

The number that belongs in your quote is the procurement cost per quoted candle: everything you will buy, divided by the candles you will invoice. Here that is ₹11,93,977.00 ÷ 5,000 = ₹238.80. The theoretical cost of one perfect candle (184 g of CSI 464, 16 g of Roasted Coffee, one jar, one wick) is ₹229.87. The difference is small per candle and large per order.

5
Add your own costs on topLabels, boxes, outer cartons, labour, freight, GST: none are CSI prices, and each needs your own supplier's quote. I'm Accepting Larger Corporate Orders — How Do I Calculate Raw-Material Requirements Before Quoting so Unexpected Wastage Doesn't Destroy My Margin? builds these into a margin-safe price.
6
Set the quote's validity to match your inputsIf your materials quote holds for a fixed period, your quote to the client should not hold longer.
The CSI principle
Quote from what you will buy, not from what the candle contains.
A candle contains 184 g of wax and 16 g of oil. An order consumes tests, losses and whole packs. The client pays for the order, so the quote must carry the order's cost. The gap is rarely large per candle; it is always on the same side.

Before the quote leaves your desk

A quote is a promise about the future made with prices from the past. Know which prices, and how old they are.

Every price on this page is CSI live pricing pulled on 24 September 2026, with wick and jar prices verified on 10 September 2026. Prices change, and a 5,000-candle order may not be bought for weeks after you quote it. As a sense check, a 5% move in the wax and oil lines alone would shift this order by about ₹40,181.65, or ₹8.04 a candle. That is why the last step before quoting is a materials quote for the whole order, not a glance at the listing.

Three more checks belong here. Stock: 84 kg of one oil is a quantity to confirm, not assume. Timing: CSI does not publish delivery times, so if the client's date is tight, ask about dispatch for this quantity before you commit. If the date is Diwali (Sunday 8 November 2026), I Need 5,000 × 80 g Diwali Candles at 8% Fragrance — How Many Kilograms of Wax and Fragrance Oil Should I Book with My Supplier? shows how to work the calendar backwards. Scope: if the client may add 20% later, decide now whether the quote covers it; My Client May Increase a 1,000-Candle Order by 20% at the Last Minute — Should I Buy Additional Raw Materials Now or Wait for Confirmation? prices both options. For a mixed order with several sizes or scents, build the conversion sheet as a matrix, as My Corporate Order Uses Three Candle Sizes and Four Fragrances — How Do I Create a Raw-Material Requirement Sheet Without Double-Counting Wax or Fragrance? does, and the rest of this method applies unchanged.

Finally, write the assumptions into the quote itself. A line such as "price based on 5,000 candles of 200 g finished weight at an 8% fragrance load, in a white matte glass jar, one scent" does two jobs. It tells the client exactly what they are buying, and it tells you what has changed if they come back asking for 220 g, a second scent or a coloured wax. Each of those changes one or more of the six conversions, and each can be re-run in minutes from the same sheet. A quote without its assumptions cannot be re-run; it can only be renegotiated.

The November–February wedding season and year-end gifting are when 5,000-candle enquiries arrive with a short fuse. Send the rounded quantities (96 × 10 kg CSI 464, 84 kg of oil, 5,085 jars, 5,140 wicks) on WhatsApp and we will quote the materials before you quote the client.

Why trust this guide

CANDLEMAKINGSUPPLIESINDIA supplies raw materials, not finished candles. A page about quoting large orders could easily steer every line towards our dearest option. This one prices three waxes side by side, notes that the cheapest has no published fragrance ceiling, and questions whether a 5,000-jar order needs the jar that costs most.

Oil and wax prices are CSI live pricing, pulled on 24 September 2026. White Matte Glass Jar and Eco Candle Wicks prices are those verified for Blog 760 on 10 September 2026. Every quantity, total and per-candle figure is arithmetic on those prices, shown to two decimals so you can check it.

The 30 test candles, 4% pour loss, 1% jar and 2% wick allowances, the 200 g fill and the 5% price-move illustration are working assumptions, not CSI specifications. The White Matte Glass Jar's fill weight is not published. Frequently asked questions

How much wax do I need for 5,000 candles of 200 g?
At an 8% load, 920 kg net (184 g each). With 30 test candles and 4% loss, 962.5 kg, which rounds to 965 kg in 10 kg bags of CSI 464. Not 1,000 kg: 80 kg of the finished weight is oil.
How much fragrance oil for 5,000 candles at 8%?
80 kg net (16 g each), 83.7 kg with tests and loss. In 1 kg bottles, 84 × 1 kg. Volume pricing beyond listed packs is quoted on WhatsApp.
How do I calculate material cost per candle for a quotation?
Price everything you will actually buy (including tests, loss and pack rounding) and divide by the candles you will invoice. Here: ₹11,93,977.00 ÷ 5,000 = ₹238.80, against ₹229.87 for one theoretical candle.
What is the cheapest soy wax for a large candle order?
On CSI's listed prices for this order, Natural Soy Pearl Wax at ₹424.80 a kilo in 5–50 kg packs (₹4,09,158.00). It has no published fragrance ceiling in our data, so test your load first. CSI 464 (₹4,89,641.00) is rated to 10%.
Can I quote a client using supplier website prices?
As a starting point, yes; as a final basis, no. For a quantity this size, ask the supplier for a materials quote first and match your own quote's validity to it. CSI's listed prices were pulled on 24 September 2026 for this page.
Does a 200 ml jar hold 200 g of candle wax?
No. 200 ml is the jar's brim volume. Solid soy wax is lighter than water (roughly 0.86–0.90 g per ml is a common approximation, varying by wax and fill line), and you never fill to the brim. Weigh a test pour before quoting a fill weight.
