Quick answers — read this first
Should I delay production? Delay the substitute, not the business. Keep pouring other SKUs and any original oil you hold; release the substitute only after a minimum validation.

What is the minimum validation? Blind scent check, cold throw at 7 days, hot throw, safety lines to halfway, one full-life candle and a 14-day storage check — all against the original.

Does it fit before Diwali? On example figures, yes: gate 18 Oct, stock ready 29 Oct — 10 days of slack, and only if you start today. No time for a second attempt.

What does it cost? ₹3,741.80 for two candidates × 4 candles plus 4 controls in wax, wicks and jars.
The short answer
Answer: Delay only the substitute's production until a minimum validation passes; split production using any original oil left.
Timeline: 29 Sep order → 3 Oct pour → 10 Oct 7-day checkpoint → 18 Oct full-life done → gate 18 Oct → stock ready 29 Oct → Diwali 8 Nov (example figures).
CSI stock: On the 24 September 2026 pull, seven oils had no size in stock (e.g. Spiced Rum, Mogra, Rajnigandha); others had single sizes out. A stock-out is not a discontinuation.

The minimum-validation plan drawn to scale from Tuesday 29 September to Diwali on Sunday 8 November 2026. Test candles are poured on 3 Oct, cold throw is scored at the 7-day checkpoint, burn cycles run one a day to the full-life finish, and the 14-day storage check runs alongside. The release gate falls on 18 Oct; production and its cure leave 10 days of slack. Delivery time, burn rate and production days are examples — replace them with yours.
Straight answer
I need to replace a bestseller fragrance immediately because my supplier is out of stock — should I delay production until the substitute passes testing?
Partly: delay the substitute's production, not the business. Pouring an untested oil into your bestseller under its old name is the one option to rule out. Instead, run a minimum validation starting today: blind-smell candidates on strips, then pour two of them in parallel — four 200 g candles each at your approved 8% — beside four controls from any original oil you still hold. Before release you need the scent-identity check, cold throw at 7 days, hot throw, flame, soot and jar heat to halfway, one full-life candle per candidate and a 14-day storage check; longer storage and load optimisation can follow on retained candles. With example figures (4-day delivery, 7 g an hour, four production days, a 7-day cure), the gate falls on Sun 18 Oct and stock is ready on 29 Oct — 10 days before Diwali on 8 November, with no room for a second attempt. Meanwhile, split production: pour the original oil you hold now for your most loyal customers. If the substitute passes but smells noticeably different, sell it under a new name. The test kit costs ₹3,741.80.
One line: start the clock today, test two candidates at once, and let a dated gate — not the deadline — decide.
Do not delay the business — delay only the substitute's production until it passes a minimum validation, and start that validation today. Two candidate oils screened in parallel against your old candle is a 12-candle test costing ₹3,741.80; on the dates on this page it reaches a release gate on 18 Oct, with Diwali on 8 November. Candidates in the example: Spicy Cinnamon and Cinnamon Vanilla.

Delay, substitute or split: the three real options

"Wait" and "swap it in" are not the only choices. The best one is usually a mix.

When a bestseller's oil goes out of stock at your supplier, the pressure is to pick one of two extremes: stop making the candle until the oil returns, or pour the nearest-smelling alternative into the same jar under the same name and hope. The first protects your formula and costs sales. The second protects sales and bets your best product's reputation on an untested oil. There is a third option that most small businesses under-use: split production — use whatever original oil you still have for part of the order, validate a substitute on a fixed timetable for the rest, and decide at a dated gate.

A bestseller's oil is out of stock · three responses compared
What each option risks and protects
Option What you do Protects Risks Use when
Delay Pause the SKU until the original returns The formula and its reviews Lost sales; no date for restock Restock is expected before your deadline, or the SKU is not seasonal
Substitute blind Pour a new oil at the old load now Short-term sales Throw, burn, sweating, complaints Never for a bestseller
Substitute after minimum validation Test candidates now; pour after a dated gate Sales and safety A candidate fails; tight calendar The deadline allows one validation cycle
Split production Remaining original oil for part of the order; validated substitute for the rest Your best customers get the original Two versions in the market — label them honestly You hold some original stock
New name Sell the substitute as a different, limited scent The bestseller's identity Some buyers wanted the original The substitute is good but noticeably different

The honest version of any substitute is the one where the customer is not misled. If the substitute is indistinguishable from the original in a blind comparison and passes every test, it can carry the product name as a revised formula. If it is noticeably different — even if it is lovely — sell it under its own name. That protects the bestseller, and it turns a stock-out into a festive limited edition rather than a quiet change your regulars notice.

The CSI principle
Delay the substitute's production, not the business.
Start the minimum validation on day one, run two candidates in parallel, keep pouring your other SKUs, use any original oil you hold for your most loyal customers, and decide at a dated gate.

What "out of stock" means on CSI's list

On CSI's 24 September 2026 pull, seven fragrance oils had no size in stock at all: Spiced Rum, Rajnigandha (Tuberose), Mogra, Baccarat Rouge 540 Inspired, Regal Royal Oud, Frankincense and Tonka, Acqua Di Gio Inspired. Several others had individual sizes out of stock — for example Chocolate Fudge's 100 g, Vetiver's 1 kg and Freshwater's 500 g and 1 kg — while their other sizes remained available. That is a stock-out on the pull date, not a discontinuation, and CSI publishes no restock dates. If your bestseller is one of these, message us before you plan anything: a size-level stock-out can sometimes be worked around with another listed size of the same oil, which is not a substitution at all.

This page uses Spiced Rum — out of stock in every size on the pull — as the example bestseller, with the maker still holding some original oil and some retained candles. The two candidates, Spicy Cinnamon and Cinnamon Vanilla, are chosen only because they sit in the same warm-spice family by name and are in stock in test sizes. We are not claiming either smells like Spiced Rum or performs like it; CSI publishes no throw or composition data for any oil. Smell your candidates on strips first and bring the two closest into candles.

The substitution that turns a stock-out into a complaint. Pouring 300 festive candles with a new oil at the old 8%, under the old name, because "it smells close enough on the strip". A strip is not a candle; the lavender page shows how an oil can be strong in the bottle and weak in wax. And a bestseller has the most customers who know exactly what it should smell like. If it is going to be different, they should hear it from your label, not discover it on their table.

The minimum validation: what cannot be skipped

Under deadline, some tests can be compressed and some cannot. The rule of thumb this page uses: anything that protects the customer's safety or the candle's identity must be done before release; anything that only refines it can continue after a conditional release, on retained candles, with a stop rule. KEEP, CONFIRM, REPEAT and NEW carry their usual meanings.

Substitute oil for a bestseller · wax, wick, jar and load unchanged
Minimum validation — before release vs after
Line Verdict Before release? Why
Wax, jar, fill weight KEEP — Unchanged
Scent identity (blind strips, then cured candle) NEW Yes Decides same-name vs new-name
Cold throw at 7 days REPEAT Yes The earliest checkpoint you can defend
Hot throw, first cycles REPEAT Yes Scored against the original control
Wick, flame, soot, jar heat to halfway REPEAT Yes Safety lines no worse than control
Full-life on one candle per candidate REPEAT Yes See the halfway-down page — cannot be skipped
Sweating to the 14-day checkpoint REPEAT Yes Festive stock sits on shelves
Longer storage and colour CONFIRM After, on retained candles Stop rule: withdraw if it fails
Load optimisation NEW After, if needed Release at the old load only if it passes; optimise later
Documents (MSDS / IFRA) NEW Yes Request on WhatsApp before release

Notice that load optimisation is deferred. Under a deadline you release at the old load if and only if the old load passes every before-release line; you do not ladder the load and wait for the best rung. If the old load fails, that candidate is out for this season. The fragrance-change checklist is the version without a deadline.

The calendar: 40 days, one validation cycle

Today is Tuesday 29 September. Diwali is Sunday 8 November. Everything below is counted from today.

The timeline uses three figures that are examples, because CSI publishes none of them and yours will differ: candidates arriving 4 days after ordering, a consumption rate of 7 g an hour for a 200 g candle (measure your control's), and four production pouring days followed by a 7-day cure before dispatch. Replace them with your own and the dates move; the structure does not.

Counted from Tue 29 Sep 2026 · delivery, burn rate and production days are EXAMPLES
Minimum-validation timeline to Diwali
Day Date Step What must be true to continue
0 Tue 29 Sep Smell candidates on strips; order the two closest in test sizes (15 g to 100 g) Two candidates chosen; controls planned
4 Sat 3 Oct Pour 4 candles per candidate + 4 controls Same wax, wick, jar, fill, load
6 Mon 5 Oct 48-hour cold-throw scout No candidate obviously wrong
11 Sat 10 Oct 7-day cold throw; first burn cycle Candidate within your accepted gap of control
15 Wed 14 Oct Halfway reached (about 4 cycles at the example rate) No safety line worse than control
18 Sat 17 Oct 14-day storage check No sweating, colour acceptable
19 Sun 18 Oct Full-life candle finished (about 8 cycles) End-of-life no worse than control
19 Sun 18 Oct Release gate All before-release lines passed and documents filed
20–23 19 Oct–22 Oct Production pour (example: 4 days) Batch records written
30 Thu 29 Oct Stock cured and ready (example 7-day cure) 10 days before Diwali for dispatch
40 Sun 8 Nov Diwali

The calendar works — just. With these examples, stock is ready on Thu 29 Oct, 10 days before Diwali. That slack is your courier window, and it is not enough for a second attempt: if both candidates fail at the gate on 18 Oct, there is no time to start again and still cure production stock. That is the whole case for running two candidates in parallel from day one rather than one at a time, and for starting today rather than after the weekend. Every day of delay at the start is a day of slack lost at the end.

Keep pouring everything else
The validation needs a few candles and a burn table, not your whole workspace. Your other SKUs carry on as normal, so the stock-out costs one product's production window rather than the season. If your batch schedule is tight, pour the test candles in the same session as a production batch of another SKU, from a separate jug.

The test itself: two candidates, one control set

Each candidate gets 4 candles at your approved 8% in a 200 g White Matte Glass Jar of Luxury Soy Wax Chunks (16 g oil + 184 g wax): three to burn — one of which goes to the end — and one to store. The control set is 4 candles poured the same day from your remaining original oil; if you have none left, use unburned retained candles from your last batch for appearance and throw reference, and note that they are older.

1
Day 0 — strips and orderBlind-smell three or four candidates on strips against the original (from your remaining oil or a retained sample). Order the two closest in the smallest in-stock sizes that cover four candles each.
2
Pour day — everything at onceCandidates and controls in one session: same wax bag, same wick pack, same jars and fill weight. Label every base with candidate, number and role (burn / full-life / storage).
3
48 hours and 7 days — cold throwScore 1–5 against the control in the same room, lids off for the same time. Drop any candidate that is clearly off at 7 days; do not waste burn hours on it.
4
From day 7 — one burn cycle a dayAbout 4 hours (a commonly used cycle — label it), full cool-down between. Weigh before each cycle. Record melt pool, flame, mushrooming, soot, jar-side reading and hot throw at a fixed time.
5
Keep one candle going to the endThe full-life candle is the last result in, which is why it must start with the others. Do not stop it to save time.
6
Storage candle to 14 daysOn the shelf where festive stock will sit. Check surface and colour at 48 hours, 7 days and 14 days.
7
Gate day — decide in writingRelease, release under a new name, split, or delay. Record the reason. Request MSDS and IFRA documents for the released oil on WhatsApp if you have not already.

Flame, soot, mushrooming to halfway ref. No worse

CSI publishes no numeric flame-height or jar-temperature limit. The safety lines pass when they are no worse than the control and within your jar supplier's guidance and the fire-safety standard you work to (ASTM F2417 is commonly cited). A deadline never changes that line.

The priced test kit, and the split-production arithmetic

Oil & wax CSI live pricing, pulled 24 September 2026 · wicks & jars verified 10 September 2026
Two-candidate minimum validation — 12 candles
Item Need Buy Price
Spicy Cinnamon Fragrance Oil 67.2 g 1 × 50 g + 2 × 15 g ₹581.00
Cinnamon Vanilla Fragrance Oil 67.2 g 1 × 100 g ₹483.80
Luxury Soy Wax Chunks 2,318.4 g 2 × 1 kg + 1 × 500 g ₹1,497.00
Eco Candle Wicks Thin C1 14 (incl. 2 spare) 1 × pack of 20 ₹118.00
White Matte Glass Jar 12 jars 3 × pack of 5 ₹1,062.00
Kit total ₹3,741.80

Now the split. Suppose — as an example — your festive plan for the bestseller is 300 candles and you still hold 1,200 g of the original oil. At 16 g a candle, that oil makes 75 original candles. The other 225 need a substitute: 3,600 g of oil, or 3,780.0 g with a 5% allowance. On CSI's listed sizes that is 4 × 1 kg of Spicy Cinnamon (₹25,996.00) or 4 × 1 kg of Cinnamon Vanilla (₹18,219.20). Oils are listed up to 1 kg per bottle; for larger quantities, ask on WhatsApp — no volume discount figure is published.

Example festive plan · 300 × 200 g at 8% · 1,200 g of original oil left
Split production in numbers
Part of the order Candles Oil When it can be poured
Original oil, remaining stock 75 1,200 g Now — it is already approved
Validated substitute 225 3,600 g After the gate on 18 Oct
Total 300 4,800 g

Pour the original-oil candles now: they are approved, and pouring them early spreads your production load. Allocate them to the customers who will notice a change most — repeat buyers, corporate clients, anyone who ordered the bestseller by name. The substitute batch goes to new customers and general stock, labelled honestly.

Argued against our own interest, plainly. The quickest sale for us would be to tell you to order the substitute's full 3,780 g today, before testing, "to be safe on stock". We would rather you bought ₹1,064.80 of test oil, ran the gate, and then ordered production quantities of the candidate that passed. If you are worried the passing candidate might itself run short, ask us about stock on WhatsApp before the gate — that is a question we can answer; whether an untested oil will work in your candle is not.
Diwali, Sunday 8 November 2026, is 40 days away. On the dates above, the only version of this plan that works starts today. Send us your bestseller, your remaining stock and your festive quantity on WhatsApp and we will check stock on candidate oils and sizes. Larger quantities are quoted; no volume discount figure is published.

The gate decision

Written today, before any candle is poured: at the gate, release a candidate under the original name only if it was not reliably picked out in the blind strip test and passed every before-release line; release it under a new name if it passed every safety and throw line but is noticeably different; otherwise delay the substitute part of the order and sell what the original oil made.

Gate on 18 Oct
Outcomes and actions
Result at the gate Decision Action
A candidate passes everything; indistinguishable Release as revised formula Pour the substitute batch; record as a revision
Passes everything; noticeably different Release under a new name Festive limited scent; bestseller untouched
Passes safety; throw weak at old load Delay the substitute No time to ladder the load; sell the original-oil batch
Any safety line worse than control Reject No deadline overrides this
Both candidates fail Delay Sell remaining original candles; pre-qualify for next time

Whatever the gate decides, write it down with the date and the reason, and file the scores. If a substitute is released, keep a retained sample of it and one unburned candle from the first production batch; it is now part of your formula history. Then read the backup-supplier page: the cheapest time to answer this question is before the next stock-out.

A stock-out is a supply problem. Pouring an untested oil turns it into a product problem.

If your production constraint is a stock of empty jars rather than a date, the 500-jar page covers what to validate before switching supplier to fill them. If you changed supplier on purpose rather than under pressure, the fragrance-supplier page sets out the ordinary substitute check. For the reasons the full-life candle cannot be dropped even under a deadline, the halfway-down page is the one. The reformulation page covers keeping a retained sample so a substitute can be checked lot by lot. And for the same decision at a larger scale, the 5,000-candle page compares substitution, partial production and waiting.

Is only one size of your oil out of stock? On CSI's list, a size-level stock-out often leaves other sizes of the same oil available — that is a pack-size change, not a fragrance change, and needs no candle testing at all. Ask on WhatsApp before you plan a substitution.
Why trust this guide

CANDLEMAKINGSUPPLIESINDIA supplies raw materials, not finished candles. A stock-out is a moment when a supplier could sell you production quantities of an untested substitute. This page tells you to buy test sizes first, to sell a noticeably different substitute under a new name, and to reject any candidate that fails a safety line whatever the deadline.

Stock status is exactly as on CSI's 24 September 2026 pull; a stock-out on that date is not a discontinuation, and CSI publishes no restock dates. Oil and wax prices are CSI live pricing from the same pull; wick and jar prices were verified for Blog 760 on 10 September 2026 and rechecked on 25 September 2026. Dates are counted from Tuesday 29 September 2026 to Diwali on Sunday 8 November 2026 (40 days).

Delivery in 4 days, a consumption rate of 7 g an hour, four production days, a 7-day production cure, the 300-candle order and 1,200 g of remaining oil are examples you replace. Candidates are chosen by family name only; CSI publishes no throw, composition, flame or jar-temperature data. For stock checks, MSDS and IFRA documents, message +91 7397976926 on WhatsApp.

Frequently asked questions

What should I do if my best-selling candle fragrance is out of stock?
Check whether only one size is out — another size of the same oil needs no testing. If the oil is unavailable, keep pouring other SKUs, pour your remaining original oil for loyal customers, and start a minimum validation of two substitute candidates in parallel today.
Can I substitute a similar fragrance oil without testing?
Not for a candle you sell, and especially not a bestseller. A strip is not a candle: a similar-smelling oil can throw, burn or sweat differently. At minimum, test throw, safety to halfway, one full-life candle and storage against your original.
How long does it take to validate a replacement fragrance?
On the example figures on this page, about 19 days from ordering to a release gate: delivery, a 7-day cure checkpoint, one burn cycle a day to the end of a full-life candle, and a 14-day storage check running alongside.
Is it too late to change a fragrance before Diwali 2026?
Not if you start now. Counting from 29 September, the plan here reaches a gate on 18 Oct and has stock ready on 29 Oct, 10 days before 8 November — but there is no time for a second attempt, so test two candidates in parallel.
Should I sell a substitute fragrance under the same product name?
Only if a blind comparison cannot reliably tell it from the original and it passes every test. If it is noticeably different, sell it under its own name — a festive limited scent — and keep the bestseller's identity intact.
Is an out-of-stock fragrance on CSI discontinued?
No such conclusion can be drawn. The 24 September 2026 pull shows stock status on that date only; CSI publishes no restock dates or discontinuation notices. Ask on WhatsApp.
