What depends on the scent — and what doesn't

The scent is one line on a list of eight. Don't let it hold the other seven hostage.

The scenario: a hospitality client wants 1,200 votives for a season of events. They've approved the jar — Votive Glass Jars (Black) — and the size, a small votive we'll treat as 70 g of finished candle (an illustrative figure; weigh one of yours). They want "something warm" but haven't chosen between five scents. The event date is fixed. You want to start, and you don't want to own 7 kg of the wrong oil.

The wax and jars are most of the money on a votive order, and neither depends on the scent. That's the good news: you can have the heavy, bulky part of the order in your workshop before the client decides, and start pouring the day they do. The bad news is that the one line that does depend on the scent is also the one with the widest price range — and the one most likely to change after a sniff test.

Get the jar approved separately
Ask the client to approve the jar, size and fill line on their own, before the scent conversation. Once the jar is signed off, the biggest pre-approval purchase is safe. If they won't separate the decisions, the jars move to the 'wait' column too.

Buying wax without knowing the load

Different oils often end up at different loads after testing — one reads well at 6%, another needs 9%. Load is a share of the finished weight, so as load goes up, wax per candle goes down. That gives you a simple rule: buy wax for the lowest load you might use. Whatever the client picks, you'll have enough.

Wicks: small now, bulk later

Wicks sit in the middle. Every scent needs one per votive, so the count is known. But the wick size that burns best can shift with the oil and the load — in general practice, a heavier load or a denser oil can change the melt pool and the flame. Wick sizing for a particular jar isn't in our data; only a burn test tells you.
