This is where the basket earns its keep: the wax and the oil together are about three-quarters of the exposure and the jars most of the rest, so those are the lines worth protecting first. Wicks and tools hardly register. On an order in a premium oil, the oil line alone may dominate.

Tool 1 — a validity period

The simplest protection is a date. A quote that says the price holds only if the client confirms by a stated date stops a September price being accepted in December. It protects you from the gap between quoting and confirming — not from the gap between confirming and pouring, which is the longer one on a wedding order. Many makers use a short validity (a few weeks) for this reason; the length is yours to choose.

The quote that never expires. A WhatsApp message saying "₹1,199 per candle" with no date is, in practice, a price the client will expect you to honour whenever they come back. Put a date on every quote you send for a future event, and restate the date when you resend.

Tool 2 — a price-review clause

Not a price that floats. A price that is reviewed only if something specific happens.

A price-review clause says, in plain words, what happens if the cost of the materials basket changes by more than an agreed amount between confirmation and production. For example: "The price is based on the materials list dated 26 September 2026. If the total cost of that list at the supplier's listed prices on the production date is more than 5% higher, the price per candle will be adjusted by the same amount." The trigger (5% here) and the wording are examples; the substance is that both sides can check the numbers. How you word it, and whether the client accepts it, is a business negotiation — agree it in writing and take professional advice if you need to.

The most direct protection is to own the materials. Once the order is confirmed and a deposit has arrived, buying the basket at today's prices removes the exposure entirely — for the lines you buy. On these example numbers, buying ahead pays only if prices rise by more than about 5% — and nobody knows whether they will. So the practical middle is to buy ahead the durable, bulky lines — wax, jars, wicks (₹59,694.00, holding cost about ₹2,984.70) — and leave the oil until nearer production unless the oil is the line you're most worried about. Argued against our own interest, plainly. The supplier's answer is "buy it all now and you're protected". It's true, but it isn't free, and on a 300-candle order the holding cost is real money for a small business. Buy ahead only after the couple has confirmed and paid a deposit — never on a quote — and only the lines where the protection is worth the cash. Comparing a saving against cash locked in inventory works through the trade-off in full.

Tool 4 — a contingency in the price

The quietest protection is to price the risk in. A contingency of 10% on the CSI materials adds ₹29.58 to each candle — ₹8,874.00 across the order.
