How do I check the sheet is right? Wax total + oil total must equal Σ(count × size) = 242.0 kg. Row counts and column counts must both equal 1,900. If either check fails, stop before you order.

Candle counts sit in the twelve cells. Reading along a row gives the wax, containers and wicks for one size; reading down a column gives the oil for one fragrance. The grey column and the dark row are net totals at 8% before tests and loss. The two directions must add to the same 242.0 kg.
Straight answer
My corporate order uses three candle sizes and four fragrances. How do I create a raw-material requirement sheet without double-counting wax or fragrance?
Use a matrix and let each material read it in one direction only. Put the three sizes down the side and the four fragrances across the top, and write the candle count in each of the twelve cells. Multiply each cell by its candle weight to get finished weight. At an 8% load, oil is 8% of each cell and wax is 92%. Then sum along the rows for wax (and for jars and wicks, which also depend on size) and sum down the columns for oil, because each fragrance is its own bottle. For this 1,900-candle order that gives 222.64 kg of wax and 19.36 kg of oil. The check that proves nothing is counted twice: wax plus oil must equal Σ(count × size), here 242.0 kg. Add test candles once, inside the cells (3 per cell here), and apply pour loss once, to each material total. Then round each line to real packs: one wax line, four oil lines, a container line per size. Double counting happens when wax is summed in both directions, when tests are added to cells and totals, or when finished weight is treated as wax.
One line: rows → wax 222.64 kg; columns → oil 19.36 kg; together they must equal 242.0 kg.

Step 1: the count matrix

Twelve cells, one number in each. Everything else on the sheet is arithmetic on those twelve numbers.

A mixed corporate order usually arrives as a list: so many small tins in this scent, so many large jars in that one. Lists hide structure. Turn it into a grid with sizes as rows and fragrances as columns, and write only candle counts in the cells. Do not put grams in yet, and do not add tests yet. The grid below is this page's example: a three-tier corporate gift in four fragrances.

Two totals already exist, and both must say 1,900. The row totals (1,000 + 600 + 300) tell you how many containers of each size to buy. The column totals (580 + 370 + 500 + 450) tell you how many candles each fragrance goes into, which is useful but is not the oil figure, because a Bergamot Amber tin and a Bergamot Amber large jar hold very different amounts of oil. That is why the next step converts counts to grams before anything is summed.

Put the container and wick beside each row, not in the cells
Container and wick are properties of the size, not of the fragrance. A small tin takes the same wick whether it holds oud or pear. Writing them once per row, beside the grid, means you cannot accidentally order twelve lines of wicks when there are really only three (or two, if two sizes share a wick after testing).

Step 2: finished weight, then oil and wax

Multiply each cell by the finished weight of its size. Then apply the CSI convention used across this series: load is a share of the finished weight. At 8%, a small 80 g candle holds 6.4 g of oil and 73.6 g of wax; a medium 160 g holds 12.8 g and 147.2 g; a large 220 g holds 17.6 g and 202.4 g. Now each cell has an oil figure and a wax figure, and the direction you sum them in depends on how you buy them.

The bottom row is what matters: one oil figure per fragrance, because each fragrance is a separate bottle. The right-hand column shows oil by size, which is interesting (large jars carry 5.28 kg of oil across all scents) but you never buy oil by size, so it is greyed out of the buying plan. White Royal Oud has the smallest candle count of the four (370), but it holds more large jars (120) than any other fragrance, so its oil figure (4.67 kg) is almost the same as Cucumber Green Tea's (4.72 kg) across 500 candles. Candle counts do not predict oil; grams do.

Wax can be read along the rows because all twelve cells use the same wax, so the row totals simply add to one wax line. Reading it by row still helps, because it tells you how much wax each size consumes and therefore how much melter time each size needs. The cross-check: 222.64 kg of wax plus 19.36 kg of oil is 242.00 kg, which equals Σ(count × size) = 242.00 kg. The sheet balances. Treating finished weight as pure wax explains why that check catches the most common mistake in the series.

Three ways to count twice

A requirement sheet rarely goes wrong because the arithmetic is hard. It goes wrong because the same gram gets two homes.
Trap 1: summing wax in both directions. A sheet with wax totals at the end of each row and at the foot of each column has two wax totals of 222.64 kg. Add them both into the order and you buy 445.3 kg. It happens most when a sheet is built fragrance by fragrance ("Bergamot Amber needs X wax, White Royal Oud needs Y wax") and then someone also totals by size for the jar order. Fix: wax gets exactly one total cell on the sheet, and it sits in the rows.
Trap 2: tests added in two places. Add 3 test candles to each cell (36 in all) and then add "36 test candles" again to the grand total, and the tests are bought twice. It also happens with loss: 3% applied to each cell and then 3% again to each total compounds to about 6.1%. Fix: tests go inside the cells, loss goes on the totals, and neither appears anywhere else.
Trap 3: finished weight booked as wax. Summing count × size and calling it wax gives 242.0 kg of wax plus 19.36 kg of oil on top. That over-buys 19.4 kg of wax and, if you pour to it, lowers the true load. Fix: split every cell at 8%/92% before summing. The CSI principle
Every gram has one address.
On a well-built sheet, each gram of oil appears in exactly one fragrance total and each gram of wax in exactly one wax total. Tests live in the cells; loss lives on the totals; containers and wicks live on the rows. If a number could be written in two places, decide which one it belongs to before you fill either.

Tests and loss — added once, in the right place

A mixed order needs more testing than a single-scent one, because each size-and-fragrance combination can burn differently: a large jar needs a wider melt pool, and some fragrances affect how a wick behaves. This page allows 3 test candles per cell, 36 in all, as a labelled working assumption. Put them inside the cells so they carry the right size and the right oil, and they flow into every total automatically. Then apply a 3% pour-loss allowance once, to each material total.

If one cell is tiny (say 20 candles of a large oud), 3 test candles is a large share of it, and you may decide to test that combination on a smaller jar instead. That is fine, as long as the decision is written into the cell and not added later as a loose extra. Three notes on the containers. The Golden Aluminium Tin has a published fill of 85 g, so an 80 g small candle fits it. The 200 ml Salsa jar and the White Matte Glass Jar have no published fill weight; the 160 g and 220 g fills are this page's examples, and you should weigh a test pour to your fill line before committing hundreds of jars. Argued against our own interest, plainly. A mixed order tempts you to round every oil up to a whole kilo for tidiness. Here the four columns need 20.40 kg of oil in total. Rounding each to whole kilos would buy 22 kg; the sheet above buys 21.0 kg by using a 500 g bottle where the remainder fits. Put sizes in rows and scents in columns, write candle counts in the cells, multiply by candle weight, then split each cell at your load. Sum rows for wax, containers and wicks; sum columns for oil. Wax + oil must equal Σ(count × size).
How much fragrance oil does each scent need in a mixed-size order?
Sum that scent's column after converting counts to oil grams. In this order: Bergamot Amber 5.89 kg, White Royal Oud 4.67 kg, Cucumber Green Tea 4.72 kg, Orchard Pear 4.08 kg net at 8%. Candle counts alone are not enough, because sizes differ.
Why is my wax total double what it should be?
Usually because wax was totalled by fragrance and again by size, and both totals went into the order. Give wax a single total. For this order that is 222.64 kg net, not 445.3 kg.
Where should test candles go in a requirement sheet?
Inside the cells, so each test candle carries the right size and oil. Then apply pour loss once, to each material total. Adding tests again to the grand total buys them twice. Here: 3 per cell, 36 in all.
Can I use one wick for all sizes?
Only if your burn tests say so. Wick size per jar diameter is not published in CSI's data. List wicks per size row, test each size-and-scent combination, and merge rows only when two sizes turn out to share a wick.
