Procurement · 2,000 to 5,000
Buying when stock looks low works until the orders pile up faster than the candles. Here is how to tell the moment has come, and how to build the first schedule.
3 signals
that say it is time to move from as-needed buying to a scheduled monthly order
Quick answers — read this first
When should I switch to scheduled procurement? When you place repeat orders for the same material several times a month, have had a stoppage or near miss, and your monthly volume has stayed in a steady band for about three months.

How much wax does 5,000 candles a month need? 1,000 kg of scented wax: 920 kg wax plus 80 kg oil at 8%. Planned in 10 kg loads with 5% wastage, that is 105 loads, or 966 kg wax and 84 kg oil.

Does buying in bigger packs lower the price? It depends on the wax. CSI 468 and Natural Soy Pearl Wax are cheaper per kg from 5 kg. CSI 464 and Soy Pillar Wax are the same per kg at every pack.

Do I stop using reorder points? No. Keep them as a safety net underneath the schedule. The schedule covers forecast demand; the reorder point catches the month that runs ahead of it.
The short answer
Switching signal: Repeat orders for one material several times a month, a recent stoppage, and three months of steady volume together mean it is time to schedule.
Monthly wax at 5,000: 966 kg wax and 84 kg oil when planned as 105 loads of 10 kg with 5% wastage.
Larger quantities: No 25 kg or 100 kg wax pack is listed; larger quantities are quoted on WhatsApp.

Straight answer
I'm Growing From 2,000 to 5,000 Candles a Month — When Should I Move From Ordering Raw Materials as Needed to Scheduled Monthly Procurement?
Move to scheduled monthly procurement once three things are true together: you are ordering the same material several times a month, you have had at least one stoppage or near miss, and your monthly volume has sat in a steady band for about three months. That usually happens somewhere between 2,000 and 5,000 candles a month. At 5,000 × 200 g you are using 1,000 kg of scented wax, which is 920 kg of wax and 80 kg of oil at 8%, or 966 kg and 84 kg once you plan 105 loads with 5% wastage. Volumes like that are quoted rather than bought pack by pack, and a monthly schedule also keeps more of your wax from fewer lots.
One line: schedule your monthly raw-material order when repeat orders, a stoppage and three steady months all show up together.
Premium Coconut Soy Wax CSI 468 is cheaper per kg from the 5 kg pack, so at scheduled volumes the pack you choose makes a measurable difference.

What changes between 2,000 and 5,000 candles

The ordering habit that built your first 2,000 candles is the one that will stall the next 3,000.

At 2,000 candles a month, reorder points per material keep production moving. You notice a shelf reaching its figure, place an order and carry on. At 5,000 the same approach starts to crack, not because it is wrong but because of how often it fires. More materials hit their point in the same week, each fragrance triggers its own order, and a surprising share of the working week goes into placing, chasing and checking small orders.

The volumes also stop being small. 5,000 candles of 200 g is 1,000 kg of scented wax: 920 kg of wax and 80 kg of fragrance oil at an 8% load on total candle weight. Planned in 10 kg melter loads with a 5% wastage allowance, 5,000 ÷ 48 is 104.2, so 105 loads, needing 966 kg of wax and 84 kg of oil. That is close to a tonne of wax passing through your unit each month.

None of the listed wax packs goes beyond 10 kg, or 50 kg for Natural Soy Pearl Wax. Larger quantities are quoted on WhatsApp. So at this volume you are already partly outside the pack-by-pack model whether you planned it or not.

The three signals that say it is time

Switching too early locks cash into stock you may not need. Switching too late means stoppages. Rather than pick a candle count, watch for three signals and act when they appear together.

Signals
Check these over your last three months
Signal What it looks like Suggested threshold to validate
1 · Repeat ordering The same wax or bestselling oil ordered several times in one month Three or more orders of one material a month
2 · Stoppage or near miss A day lost, or a batch delayed, waiting for a material Any in the last quarter
3 · Steady volume Monthly output within a predictable band Three months within about 20% of each other
Supporting sign Candles made from mixed wax lots behave slightly differently Noted on batch sheets

The thresholds in the right-hand column are starting points, not rules. A maker with a single fragrance might switch earlier; one with 30 scents and wildly seasonal sales might keep reorder points for oils and schedule only wax and jars.

Signal three is the one people skip. If your volume jumps from 2,000 to 4,500 and back to 2,500, a fixed monthly order will leave you short one month and buried the next. In that case, schedule the steady base and keep reorder points for the swing.

Building your first monthly schedule

A scheduled order is simply a forecast turned into materials, placed on a fixed date, with a check halfway through the month. The steps below build one from your production plan.

1
Forecast candles by scent. Use the last three months and any orders already confirmed. Write the total and the split by fragrance.
2
Convert to loads. Divide each scent's candles by 48 and round up. At 5,000 candles this lands around 105 loads, depending on how the rounding falls per scent.
3
Convert loads to materials. Each load is 9.2 kg of wax and 0.8 kg of oil. Add jars and wicks at one per candle plus your reject allowance.
4
Subtract what is on the shelf. Count stock on a fixed day. The order is the forecast need minus usable stock, plus your buffer.
5
Fix an order date. Place the order on the same date each month, far enough ahead of need to cover your own recorded supply gap.
6
Check at mid-month. Compare actual usage with forecast. If you are ahead, top up; if behind, trim next month's order.
Ask for one lot where possible
When you request a quote for a scheduled volume, ask whether the quantity can come from a single manufacturing lot. Fewer lot changes means fewer small shifts in frosting or throw to chase on your batch sheets.

Keep the first schedule simple. One order date a month, one sheet listing forecast, stock and order quantity per material, and one person responsible for placing it. Complexity can come later, once you have three or four months of forecast-versus-actual figures to show where the plan is loose.

Price and pack realities at this volume

It is tempting to assume that scheduled buying is mainly about price. On the listed packs, that is only partly true, and it is worth being clear about which waxes reward bigger packs.

Per-kg comparison
Listed CSI pack prices
Wax Small pack Largest listed pack Per-kg effect
Luxury Soy Wax CSI 464 1 kg ₹507.40 10 kg ₹5,074.00 Same per kg at every pack
Premium Coconut Soy Wax CSI 468 1 kg ₹650.00 10 kg ₹6,370.00 Cheaper per kg from 5 kg
Natural Soy Pearl Wax 1 kg ₹450.00 50 kg ₹21,240.00 Cheaper per kg from 5 kg
Soy Pillar Wax 1 kg ₹600.00 10 kg ₹6,000.00 Same per kg at every pack

For CSI 468, the 10 kg pack works out at 637 rupees per kg (₹6,370.00 ÷ 10) against ₹650.00 for a single kilogram. For CSI 464 there is no per-kg saving between packs. So if you use CSI 464, the case for scheduling rests on continuity, fewer lot changes and less time spent ordering, not on the listed price. For anything beyond the listed packs, ask for a quote.

Buyers ask about this openly. One Soy Pillar Wax customer wrote: "Hope to get some discount in future for bulk buys". Another, on CSI 468: "the delivery charges are very high which is restricting me". Both point to the same practical step: consolidate many small orders into fewer, planned ones and discuss the volume directly, rather than assuming a discount exists.

Worked example: one month's order at 5,000

Here is how the steps turn into an actual order. The forecast is 5,000 candles of 200 g, and rounding each scent up to whole loads gives 105 loads. Materials needed: 105 × 9.2 kg is 966 kg of wax, 105 × 0.8 kg is 84 kg of oil, and 5,000 jars and wicks plus your reject allowance.

Suppose the fixed-day count shows 140 kg of usable wax on the shelf, and your buffer for wax is 100 kg. Both figures are examples; use your own. The wax order is 966 − 140 + 100, which is 926 kg. Rounded to 10 kg packs that is 93 packs, or a single quoted quantity if you are buying beyond the listed sizes. Do the same subtraction for each fragrance on the schedule, then jars, then wicks.

Write the order on one sheet with the forecast beside it. Next month, the difference between forecast and actual usage is the most useful number you have for tightening the buffer.

What should stay flexible

Not everything belongs on the fixed monthly order. Wax, jars and wicks are shared across every candle and suit a schedule well. Wax also keeps: CSI 464 and CSI 468 both carry a stated shelf life of 60 months in cool, dry storage.

Fragrance oils are different. Your bestsellers can go on the schedule, but slow or seasonal scents are better bought against reorder points, so you are not holding kilograms of a scent that stopped selling. At 84 kg of oil a month across several scents, even a small mis-forecast on slow scents ties up real money.

Schedule too rigid. A fixed order ignores a slow month and stock builds up. Fix: the mid-month check exists to trim next month's quantity.
Schedule too loose. The order changes so often it is really ad hoc buying again. Fix: hold the base quantity steady and move only the top-up.

Keep your reorder points underneath the schedule. They are the safety net for the month that sells faster than the forecast.

One last practical point: when the scheduled consignment arrives, check it before it goes on the shelf. Weigh a sample of packs, note lot numbers on your raw-material record and make a small test candle from any new wax lot before it enters a 10 kg load. Close to a tonne of wax a month is too much to discover a problem with after the candles are poured.

Argue against interest
Scheduled buying is about continuity first and price second.
On some waxes the listed per-kg price does not change with pack size at all. Schedule because stoppages and lot changes cost you more than the order does.
When ordering takes up a day a week, it is no longer ordering. It is a job, and it needs a plan.

Why trust this guide

CANDLEMAKINGSUPPLIESINDIA supplies raw materials and production equipment, not finished candles. This guide separates what is general production practice from what CSI's own product pages state, and labels every suggested tolerance or timing as a starting point for your own validation.

Prices are live CSI prices from September 2026; product pages are authoritative. Where a spec is not published — such as the scale's capacity or the thermometer's range — this guide says so rather than filling the gap.

Frequently asked questions

When should a candle business start monthly raw-material procurement?
When repeat orders for one material, at least one stoppage or near miss, and about three months of steady volume show up together. For many makers that falls between 2,000 and 5,000 candles a month.
How much wax do I need to make 5,000 candles a month?
At 200 g and 8% fragrance load, 920 kg of wax and 80 kg of oil. Planned as 105 loads of 10 kg with 5% wastage, 966 kg of wax and 84 kg of oil.
Is soy wax cheaper when I buy 10 kg instead of 1 kg?
For CSI 468 and Natural Soy Pearl Wax, yes, from the 5 kg pack. For CSI 464 and Soy Pillar Wax, the price per kg is the same at every listed pack size.
Can I order more than 10 kg of wax at once from CSI?
No 25 kg or 100 kg wax pack is listed; most waxes top out at 10 kg and Natural Soy Pearl Wax goes up to 50 kg. Larger quantities are quoted on WhatsApp on +91 7397976926, so share your monthly volume when you ask.
Should fragrance oils go on a fixed monthly order too?
Bestsellers with steady demand can. Slow or seasonal scents are usually better bought against reorder points, so you do not end up holding kilograms of a scent whose demand has dropped before you could use it.
What should I check in the middle of the month on a scheduled order?
Compare actual usage with your forecast for each material. If you are running ahead, place a top-up; if you are behind, trim next month's order rather than letting stock build up.
