Start at the jar, not at the candle

Every wrong favour quantity in this trade starts the same way: someone multiplied the jar size by 500.

A wedding return gift is a fixed object. The family has agreed a look, a size and a count, and the count almost never moves. That makes the arithmetic easier than it is for a retail range, because you are not forecasting anything — you are converting one object into grams, multiplying by a number you already know, and then converting grams into the packs a supplier actually sells. The mistakes happen in the two conversions, not in the multiplication.

Take the Clear Glass Votive Jar 70 gram. The product page states a 70 g fill capacity. That is the space in the glass, and the finished candle has to fit inside it — wax and fragrance oil together. CSI states fragrance loads as a percentage of wax weight, which is the convention on the wax pages: the Luxury Soy Wax CSI 464 page gives up to 10% of total wax weight, and the British Rose Fragrance Oil page gives soy up to 10% of total wax weight. Where a wax ceiling and an oil page range differ, the lower one governs. At a working load of 8%, a 70 g jar is 65 g of wax and 5.2 g of oil, which puts 70.2 g in the glass. It is not 70 g of wax plus 5.6 g of oil, which puts 75.6 g in a 70 g jar.

The rule is a division, not a multiplication: wax = stated capacity ÷ 1.08 at an 8% load, ÷ 1.10 at 10%, ÷ 1.06 at 6%. Over one candle the difference is invisible. Over 500 it is ₹1,268.50 of wax you did not plan to buy, and a favour that sits too close to the rim to take a lid or a pouch cleanly.

The capacities in that table are the figures the product pages publish: the heart jar states 50 g of wax and 5.3 cm by 4.3 cm, the votive states a 70 g fill, the golden tin states an 85 g fill weight and the tin containers are sold as 85 gram and 135 gram variants. The gram figures in the other columns are mine, from the division above, rounded to something you can weigh on a bench scale. Nothing in that table is measured data from a laboratory; it is arithmetic you can repeat.

You costed the wax at the jar’s stated capacity. Multiplying 70 g by 500 gives 35 kg and feels tidy, but it silently assumes the fragrance oil occupies no space. At 8% the true wax figure is 32.5 kg, and the extra 2.5 kg is ₹1,268.50 — small enough to ignore on a first order and large enough to overfill every one of the 500 jars. Divide first, multiply second.
You trusted a volume when you needed a weight. Some vessels publish millilitres rather than grams — the Mini Glass Jars page gives a 40 ml capacity, not a fill weight. Millilitres are not grams, and the conversion depends on the wax. Before ordering 500 of anything published in millilitres, pour one, weigh it, and build the calculation on the number your own scale gives.

The five lines, and the order to calculate them

A favour candle has exactly five material lines: wax, fragrance oil, wick, the fittings that hold the wick and carry the safety text, and the vessel. Everything else on a favour — the printed name tag, the pouch, the ribbon, the box, the courier — is not a candle-making material and is not sold or priced by CSI. Keep those in a separate block from the start, because mixing them in is what makes a favour quotation impossible to check later.

Round wax up to the next whole kilogram, oil up to the next 500 g, and every counted item up to the next pack. 34.13 kg becomes 35 kg, 2.73 kg becomes 3 kg, 520 jars become 52 packs of 10, 520 wicks become a 500-pack plus a 20-pack, and 520 wick stickers become 13 sheets of 40. This is the step most people skip, and it is where the per-favour cost moves.

TIP · WEIGH ONE BEFORE YOU ORDER 500
Buy one pack of the vessel first, pour a single candle to the fill line you actually want — usually a few millimetres below the rim so a lid closes — and weigh it. That one number replaces every assumption in step two, and it costs ₹31.86 plus a few grams of wax to find out. On a 500-piece run, being 3 g out per favour is 1.5 kg of wax.

Four things are worth noticing in that column of money. The wax is the largest single line at 36.5% and the glass is barely behind it at 34.1%, so two lines carry more than seventy per cent of the order and everything else is detail. The oil is 18.9%, which is why a favour can carry a proper fragrance without the cost running away. The wicks and stickers together are 10.4%, ₹5,067.00 across the whole run, and they decide whether the candle burns properly. And the single roll of care stickers covers the run twice over, because CSI does not sell a roll of 520.

The real order costs ₹97.19. The ₹7.30 difference is not a hidden charge; it is the two allowances plus the part of each pack you did not need. That ₹1,607.86 is not waste — it is the opening stock of your next order, and the care stickers alone will outlast two more runs. The interesting row is the third one. The last row is the one people forget. Pour the spares with the run, from the same melt and the same oil pack, not three weeks later from a different batch. Two practical lessons come out of that table. Six ways a 500-favour calculation goes wrong

Four of these are arithmetic and two are calendar. All six are common, and all six are cheap to avoid at the list stage and expensive to fix once 500 jars are on a table.

1. Counting the candle instead of the wax

Covered above, and it is the most common single error: the jar capacity includes the fragrance. Divide by 1.08 at 8%, by 1.10 at 10%. On this run the difference is ₹1,268.50 and 500 overfilled jars.

2. Rounding down to a friendlier pack

Take the capacity the product page states, divide by 1 plus your fragrance load, and that is the wax. At 8% the divisor is 1.08, at 10% it is 1.10. A 70 g jar gives 65 g of wax and 5.2 g of oil; an 85 g tin gives 79 g and 6.3 g. Multiply the wax figure by your count, add a wastage allowance, then round up to a pack the supplier sells.
