I Have Three Bulk Orders Happening in the Same Month — How Do I Combine Their Wax Requirements While Keeping Fragrance Oils and Packaging Quantities Separate?

The three orders

This page's example month has three bulk orders due within a few weeks of each other. They are deliberately different: a wedding order in a matte glass jar, a corporate order in small tins, and a boutique retail order in a 200 ml jar. All three are poured at an 8% fragrance load in the same container wax, with the load taken as a share of finished weight as throughout this series.

Each order is calculated on its own first, exactly as if it were the only job this month. The wedding order is 600 × 200 g: 184 g of wax and 16 g of oil per candle. The corporate order is 1,200 × 80 g: 73.6 g and 6.4 g. The boutique order is 300 × 150 g: 138 g and 12 g. Each gets its own test candles and a 3% pour-loss allowance (a working assumption). Only after that are the wax figures added together. If you pool before you apply allowances, it is easy to give one order's tests to another.

Pooling the wax — and when you cannot

Wax is the natural line to pool. It is bought in bags, it does not care which client's candle it ends up in, and each order's rounding leaves a partial bag of spare. Round three orders separately and you carry three lots of spare. Round the total once and you carry one.

Pooling buys 255 kg instead of 260 kg, saving 5 kg of wax and ₹2,995.00 at listed prices. The spare left after the month falls from 9.2 kg to 4.2 kg. That is the whole financial benefit of pooling on listed prices, because CSI's wax is priced flat per kilo from 1 kg to 10 kg: pooling saves rounding, not rate. Its bigger benefits are practical: one delivery, one wax lot across all three jobs, and fewer part-bags in the store room. What stays separate, and why

Fragrance oil is the obvious one. Each order has its own scent, so each has its own oil line and its own rounding. Adding the three oil needs together and ordering "about 21.8 kg of oil" is meaningless, because British Rose cannot fill a Citrus Lemon candle. The same applies to containers: a White Matte jar, a Golden Aluminium Tin and a Salsa jar are three products with three pack structures. Wicks are the in-between case: if your burn tests settle on the same wick for all three, you can buy them together, but keep each order's count, because each container may need a different wick once tested.

Two further reasons keep fragrance separate even when scents coincide. Paperwork: a corporate client may ask for the IFRA certificate or MSDS for the oil in their candles; tying each order to its own bottles makes that easy. Traceability: if one client reports a problem, you want to know which bottle their candles came from. If two orders happen to use the same oil, it is fine to buy it together, as long as you record which bottles went to which order. The wax ledger

Pooling saves wax but blurs costs: once 255 kg of wax is in one pile, which order paid for which kilo? A ledger answers that. Allocate the pooled wax cost to each order by its share of the gross wax need, and record what each order actually drew as it was poured.
