How Much Fragrance Oil Is Needed for 500 Diwali Candles?
Can I just add 8kg to the cart? No — CSI's published ladder stops at 1kg. An 8kg requirement is quoted by the bulk desk on WhatsApp at +91 7397976926, where single-lot supply, GST invoicing and MSDS documentation are handled together.
What does the whole run cost? Roughly ₹1,62,376 in consumables for 500 × 200g in a mid-priced Diwali scent, or ₹324.75 per candle all-in including packaging and buffers. Add about ₹27,079 of one-off equipment on a first run.
When must the fragrance be ordered? By roughly the first week of September 2026. Last pour 2 October, 21-day cure, dispatch 28 October, Diwali Sunday 8 November.
The 500-unit matrix: every candle size against every load
There is one formula and it never changes: units × finished candle weight × fragrance load = oil required. The wax is the remainder. Fixing 500 units and varying only the size and the load produces the table below, which is the whole planning grid for a Diwali run. Read down your candle size, across to your load, and that is the kilogram figure you take to the bulk desk.
| Candle size | 6% load | 8% load | 10% load | 12% load |
|---|---|---|---|---|
| 100g × 500 | 3.0 kg | 4.0 kg | 5.0 kg | 6.0 kg |
| 150g × 500 | 4.5 kg | 6.0 kg | 7.5 kg | 9.0 kg |
| 200g × 500 | 6.0 kg | 8.0 kg | 10.0 kg | 12.0 kg |
| 250g × 500 | 7.5 kg | 10.0 kg | 12.5 kg | 15.0 kg |
| 300g × 500 | 9.0 kg | 12.0 kg | 15.0 kg | 18.0 kg |
The second half of the sum is the wax, and it is the number people forget to order in time because it feels like a commodity. At an 8% load the wax requirement for 500 units is simply 92% of the total fill weight.
| Candle size | Total fill | Oil | Wax | Bags of 10kg |
|---|---|---|---|---|
| 100g × 500 | 50 kg | 4 kg | 46 kg | 5 bags |
| 150g × 500 | 75 kg | 6 kg | 69 kg | 7 bags |
| 200g × 500 | 100 kg | 8 kg | 92 kg | 10 bags |
| 250g × 500 | 125 kg | 10 kg | 115 kg | 12 bags |
| 300g × 500 | 150 kg | 12 kg | 138 kg | 14 bags |
Why 8kg leaves the price list — and what to do about it
Every CSI fragrance oil is published in a five-rung ladder: 15g, 50g, 100g, 500g and 1kg. That ladder is designed for a maker moving from testing to a small production batch. A 500-candle Diwali run at 200g sits eight rungs above the top of it. You can technically put eight 1kg units in a cart, but that is a retail transaction wearing a wholesale hat, and it gets you none of the three things that matter at this volume.
For reference, here is the published ladder on a mid-priced Diwali scent — Sacred Sandal Ember — which is the oil used for every costing in this article. It is warm, resinous, sandalwood-led and reads correctly on a Diwali shelf without the price of a designer-inspired oil.
| Size | Price | Per gram | 200g candles @ 8% |
|---|---|---|---|
| 100g | ₹799 | ₹7.99 | ≈6 |
| 500g | ₹3,999 | ₹8.00 | ≈31 |
| 1kg | ₹6,999 | ₹7.00 | ≈62 |
| 8kg (bulk desk) | quoted | quoted | 500 |
If you want a different festive character, the arithmetic transfers unchanged — only the per-kilogram rate moves. Below is what the same 8kg requirement costs at published 1kg pricing across the Diwali-appropriate range, which is the single fastest way to see how much of your capital the scent decision alone controls.
| Fragrance | 1kg price | 8kg at that rate | Per 200g candle |
|---|---|---|---|
| Sandalwood | ₹5,027 | ₹40,216 | ₹80.43 |
| Dark Vanilla Oud | ₹5,691 | ₹45,528 | ₹91.06 |
| Regal Royal Oud | ₹6,500 | ₹52,000 | ₹104.00 |
| Saffron Cedarwood | ₹6,868 | ₹54,944 | ₹109.89 |
| Sacred Sandal Ember | ₹6,999 | ₹55,992 | ₹111.98 |
| Midnight Bakhoor Royale | ₹7,999 | ₹63,992 | ₹127.98 |
| Gilli Mitti (Patchouli) | ₹8,960 | ₹71,680 | ₹143.36 |
The spread between the cheapest and dearest row is ₹31,464 on a single run — more than the entire equipment budget further down this page. That does not mean buy the cheapest; sandalwood and oud both earn their price on a Diwali shelf. It means the scent decision is a capital decision at this scale, and it deserves a burn-test before it gets a purchase order. If you are still choosing, the Diwali collection guide works through the shortlist, and the festive bulk guide covers which oils hold up under volume.
The full materials bill for 500 × 200g Diwali candles
This is the complete consumables order for a 500-unit run in Sacred Sandal Ember at an 8% load, with buffers already built in — 5% extra on jars for breakage, 10% extra on wicks, and a full extra bag of wax. Every line is a real CSI pack size at live August 2026 pricing.
| Item | Pack & qty | Covers | Line total |
|---|---|---|---|
| Sacred Sandal Ember | 8 × 1kg @ ₹6,999 | 8kg oil (500 candles) | ₹55,992 |
| Luxury Soy Wax Chunks | 10 × 10kg @ ₹5,999 | 92kg needed, 8kg spare | ₹59,990 |
| Eco Candle Wicks Thin (C1) | 500 pack ₹2,950 + 50 pack ₹295 | 550 wicks | ₹3,245 |
| Amber Shiny Glass Jar with Black Lid | 105 × pack of 5 @ ₹236 | 525 jars | ₹24,780 |
| Candle Wick Stickers | 6 sheets × 100 @ ₹236 | 600 stickers | ₹1,416 |
| Candle Care Stickers Roll | 1 × pack of 500 (1 inch) | 500 safety labels | ₹413 |
| Corrugated Box 11 × 11 × 8 cm | 5 × pack of 100 @ ₹2,242 | 500 boxes | ₹11,210 |
| Candle Packaging Paper | 5 × pack of 100 @ ₹826 | 500 wraps | ₹4,130 |
| Crinkle Paper Filler, Red | 4 × 500g @ ₹300 | 2kg of filler | ₹1,200 |
| Consumables subtotal | 500 finished, boxed candles | ₹1,62,376 |
That is ₹324.75 per finished, boxed candle — the honest number, including buffers and packaging. The narrower four-component figure, using the standing CSI maths, is lower: 16g of oil at ₹111.98, 184g of wax at ₹110.20, one Eco Wick at ₹5.90 and one jar at ₹47.20 gives ₹275.28 per candle. The gap between ₹275 and ₹325 is exactly the part that new makers leave out of a quote and then absorb out of margin.
Then there is equipment, which is a one-off on the first run and free on every run after it. At 500 units you cannot avoid the melter, and you should not try.
| Item | Spec | Qty | Line total |
|---|---|---|---|
| Electric Wax Melter (Imported) | 10 kgs capacity | 1 | ₹21,240 |
| Mini Electric Wax Melter | 1 litre, for colour and top-ups | 1 | ₹2,360 |
| Steel Pouring Pitcher | Large, 600 ML | 2 | ₹1,416 |
| Wick Centering Device | Pack of 5 | 4 | ₹472 |
| Pen Thermometer | For the 80–90°C dose window | 1 | ₹354 |
| Candle Making Weighing Scale | Digital | 1 | ₹354 |
| Hot Air Gun | Surface correction | 1 | ₹531 |
| Silicone Spatula | For scraping the melter | 2 | ₹352 |
| Equipment subtotal | ₹27,079 |
Melter capacity, floor space and 46 working hours
Here is the sentence that separates a 100-candle run from a 500-candle run: the fragrance is never the bottleneck — the melter is. 92kg of wax has to be brought to temperature in batches, and the size of that batch sets your whole production calendar.
| Melter | Price | Wax per fill | Candles per fill | Fills for 500 |
|---|---|---|---|---|
| Electric Wax Melter, 20 kgs | ₹25,960 | 20 kg | ≈108 | 5 fills |
| Electric Wax Melter, 10 kgs | ₹21,240 | 10 kg | ≈54 | 10 fills |
| Mini Electric Wax Melter, 1 litre | ₹2,360 | ≈0.9 kg | ≈5 | 100+ fills |
Each 10kg fill carries 10,000g of wax, and each 200g candle at an 8% load uses 184g of it, which is 54 candles per fill. Ten fills covers the run. Allow roughly 90 minutes per cycle once the unit is up to temperature — bring the charge to the 80–90°C dose window, weigh and stir in the fragrance for a full two minutes, decant through a pouring pitcher and fill 54 jars — and a 500-candle run is two to three pouring days, not an afternoon.
Then there is everything the melter does not solve. 500 wicks means 500 wick stickers pressed onto 500 jar bases and 500 centring devices set and later removed. 525 jars arrive as 105 packs of five that all have to be unpacked, wiped and staged. And 500 curing candles need somewhere to sit undisturbed for three weeks: at roughly 80 cm² of shelf per 200g jar including handling space, that is about four square metres of flat surface. A standard 6ft × 2ft table holds around 135 candles, so the run needs four tables or a four-to-five tier rack. This is why you pour in blocks of a hundred rather than in one heroic weekend — the first block is packed and off the rack before the last block is poured.
| Task | Per unit | 500 units |
|---|---|---|
| Unpack, wipe, wick-sticker and centre jars | 45 sec | 6.3 hrs |
| Melt, dose fragrance, stir, pour (10 cycles) | — | 15.0 hrs |
| Top-up pours and surface correction | — | 2.0 hrs |
| Trim wicks, clean glass, fit lids | 30 sec | 4.2 hrs |
| Apply brand label and care sticker | 40 sec | 5.6 hrs |
| Wrap, box, fill and seal | 90 sec | 12.5 hrs |
| Total | ≈45.6 hrs |
Forty-six hours is six full working days for one person, or three days with two. Cost it even if you are paying yourself: at a notional ₹150 an hour that is ₹6,900, or ₹13.80 per candle, which takes the true landed cost from ₹324.75 to about ₹338.55. Leaving labour out of a festive quote is how a maker ends up working six days for the same money they would have made selling a hundred candles.
Revenue and gross margin: what the run actually returns
A well-made 200g soy candle in a lidded amber jar, in a sandalwood-led festive scent, sells in India at roughly ₹799 to ₹999 direct to consumer and at ₹599 to ₹699 on a corporate or retail bulk rate. Against a consumables cost of ₹1,62,376, here is what 500 units returns at each.
| Channel | Retail price | Revenue | Materials share | Gross profit |
|---|---|---|---|---|
| Direct to consumer | ₹899 | ₹4,49,500 | 36.1% | ₹2,87,124 (63.9%) |
| Corporate / retail bulk | ₹649 | ₹3,24,500 | 50.0% | ₹1,62,124 (50.0%) |
Both rows sit inside the working rule that materials should be roughly 30–35% of retail, with the corporate row deliberately outside it — that is what a bulk rate costs you, and it is still worth taking because it converts 500 units into one invoice with one delivery address instead of 500 shipments. Gross profit is not net: marketplace commission, payment gateway fees, courier charges, the ₹6,900 of labour and any returns come out of that column. A realistic net on the D2C row after fees and shipping is closer to 45–50%.
The countdown to Sunday 8 November 2026
Diwali 2026 falls on Sunday 8 November, with Lakshmi Puja that evening and the five-day festival running across the days either side — Dhanteras roughly two days before, Bhai Dooj roughly two days after. Consumer gifting purchases peak in the ten to fourteen days before the main day, which means your candles need to be in customers' hands by the end of October, not on 7 November.
Working backwards from that gives a hard, unforgiving chain. Today is mid-August. The chain below is not aggressive; it is the minimum.
| Week | Dates | What has to happen |
|---|---|---|
| Now | Week of 17 Aug | Order 100g each of two or three festive candidates (₹799 each on a mid-priced oil). Pour six test candles per scent. Confirm jar, wick size and label artwork. |
| W2 | Week of 24 Aug | Test candles curing. Open the bulk conversation on WhatsApp: quantity, single lot, dispatch date. Price the wax and jar lines. |
| W3 | Week of 31 Aug | Cure completes at 14 days. Burn-test each candidate in a closed room, judge hot throw at 30 and 120 minutes. Lock the scent. |
| W4 | Week of 7 Sep | Place the order. 8kg in one lot, ten bags of wax, 550 wicks, 525 jars, packaging. Allow 7–10 days for a consignment this size. |
| W5 | Week of 14 Sep | Stock lands by around 18 Sep. Weigh it in, smell the lot against your retained test sample, stage jars, set up curing racks. |
| W6–W7 | 21 Sep – 2 Oct | Production. Ten melter cycles, blocks of about 100. Last pour by 2 October — this is the immovable date. |
| W8–W9 | 5 Oct – 16 Oct | Cure, lids on, out of sunlight. In parallel: labelling, box assembly, photography, listings, hamper builds. |
| W10 | 19 Oct – 23 Oct | 21-day cure completes on the first blocks. Pack and QC. First dispatches to retail and wholesale partners. |
| W11 | 26 Oct – 31 Oct | Pan-India dispatch by 28 October. Courier networks congest through the festive fortnight; build in the slack now. |
| W12 | 2 Nov – 8 Nov | Local and same-city deliveries, last-minute pickups, market stalls. Diwali, Sunday 8 November. |
Read that calendar against today's date and the conclusion is uncomfortable but simple: the fragrance has to be decided within the next two to three weeks. Everything after W4 is fixed by physics and courier timetables. The only variable you still control is how quickly you get a sample burning.
What breaks, and how to stop it
Single-lot ordering is the first rule. Fragrance oils are produced in batches, and two batches of the same scent can differ enough to be noticed when twenty candles are opened together at a corporate gifting table or a wedding hamper station. Buying 8kg as one quoted lot removes the problem entirely. Buying 4kg now and 4kg in October does not — it introduces a variable you cannot correct once 250 candles are already poured.
Buffer stock is the second. Order 8.5kg, not 8kg. The extra 500g costs ₹3,999 at published pricing and covers what the calculation cannot: oil clinging to the drum walls, residue in the pouring pitcher, the two or three doses you get wrong, and the 3–5% of candles you will reject for sunken tops, wet spots or a wick that drifted off centre. The same logic applies across the bill — 550 wicks not 500, 525 jars not 500 (glass breakage on a 500-jar consignment runs 2–5%), and ten bags of wax when nine and a bit would do.
Concentration risk is the third. Five hundred units of one scent is a single bet. Against a confirmed corporate or retail purchase order it is exactly right — one scent, one lot, one invoice. Without one in hand, split the run: 300 units of your proven festive lead, 150 of a second scent, 50 of a premium variant. You will pay slightly more per gram across three smaller lots, and you will still be able to sell the run if the market moves.
Finally, retain a reference candle from your test pour and keep it sealed. When the 8kg lands, pour one candle from it, cure it alongside the run and compare. It costs one candle and it is the only objective check you have that the lot you paid for matches the lot you tested. For a fuller treatment of the same buying discipline at a smaller scale, see the 100-favour calculation, and for the per-kilogram yield maths in isolation, how many candles 1kg makes.
Wax compatibility, and the ₹25,000 wax decision
At 500 units the wax SKU stops being a preference and becomes a line of capital. Below is what 100kg — enough to cover the 92kg requirement with a bag of buffer — costs across CSI's container-suitable range, together with the fragrance load each wax is rated to carry.
| Wax | Best for | Load | Bulk buy | ≈100kg cost |
|---|---|---|---|---|
| Eco Soy CSI 400 | One-pour, no additives, forgiving on a long run | Standard | 19 × 5kg @ ₹1,996 | ₹37,924 (95kg) |
| Natural Soy Pearl Wax | High-volume container pouring; the cheapest per gram at scale | Standard | 2 × 50kg @ ₹21,240 | ₹42,480 |
| Luxury Soy Wax CSI 464 (flakes) | Single-pour containers, low frosting, strong glass adhesion | Up to 10% | 10 × 10kg @ ₹5,074 | ₹50,740 |
| Luxury Soy Wax Chunks | Jar and container candles; headroom for a heavy festive load | Up to 13% | 10 × 10kg @ ₹5,999 | ₹59,990 |
| Premium Coconut Soy CSI 468 | Premium tier; smoother finish, softer and fuller throw | Standard | 10 × 10kg @ ₹6,370 | ₹63,700 |
The spread from the top row to the bottom is ₹25,776 on one run. That is not a reason to default to the cheapest — a premium Diwali candle at ₹899 earns back a coconut-soy surface finish several times over — but it is a reason to make the choice deliberately, and to make it before the pour rather than when the ninth bag runs out. If your festive scent is heavy and you want to push the load to 12%, only Luxury Soy Wax Chunks at a 13% ceiling gives you the headroom; CSI 464 tops out at 10%.
Wick sizing is set by jar diameter, not by scent or by batch size — but at 500 units the consequence of getting it wrong is multiplied by 500. The costing here uses Eco Candle Wicks Thin (C1) at ₹2,950 per 500. If your jar is wide enough to need Thick (C2), that line becomes ₹4,720 per 500 — an extra ₹1,770 across the run, and a great deal cheaper than 500 candles that tunnel. Test the wick on your actual jar during the August sample pour, not in September.
CANDLEMAKINGSUPPLIESINDIA supplies raw materials, not finished candles. We are not competing with your Diwali collection, and we have no reason to steer you toward a more expensive oil or a heavier load — we stock fragrance oils from about ₹2,832 to ₹24,056 per kilogram and waxes from ₹0.22 to ₹1.10 per gram. What we do have is the order pattern across hundreds of Indian makers going into a festive season, which is where the melter-and-calendar numbers in this article come from.
Every price, pack size and product link here is live CSI stock in August 2026 and links to the product page, where current pricing always takes precedence. The materials bill, melter throughput, labour hours and margin figures are calculated from those inputs and the standing CSI cost maths — 200g candle at an 8% load is 16g of oil and 184g of wax — so you can check the arithmetic against your own jar, wick and scent.
Quantities above the published 1kg ladder, single-lot supply, GST invoicing, MSDS and IFRA documentation, and freight on ten-bag or fifty-kilo wax consignments are all handled directly on WhatsApp at +91 7397976926.

Figures verified August 2026: Fragrance requirement uses the standing CSI maths — a 200g finished candle at an 8% fragrance load is 16g of oil and 184g of wax — scaled to 500 units. Wax at ₹0.60/g from Luxury Soy Wax Chunks at ₹5,999/10kg; Eco Candle Wicks Thin (C1) at ₹2,950 per 500; Amber Shiny Glass Jar with Black Lid at ₹236 per pack of 5. Luxury Soy Wax Chunks are rated to a 13% fragrance load and Luxury Soy Wax CSI 464 to 10%; always work to the ceiling stated on the wax you buy. Eco Soy CSI 400 specifies fragrance addition at 80–90°C with two minutes of stirring. Melter throughput is calculated from stated capacities against a 184g wax fill per candle. Labour hours are per-task estimates for one operator and will vary with setup. Cure times of 14–21 days reflect standard practice for soy container candles. Diwali 2026 falls on Sunday 8 November 2026 (Lakshmi Puja, Pradosh Kaal muhurat 5:31–7:55 pm), with the five-day festival running across the days either side.
