What is safe to buy early? Wax, wicks and centering devices (₹1,04,123.20) and, if the White Matte jar is already your standard jar, jars too (₹1,77,047.20 together). The fragrance oil is the risky line: ₹51,707.60 of a scent the client chose, which may never sell in your own range.
How big should the advance be? Big enough to cover what you must buy for this customer. At an example ₹799 a candle, a 30% advance (₹2,39,700.00) covers the ₹2,28,754.80 of CSI materials; a 50% advance (₹3,99,500.00) also covers example packaging. Your terms are yours to agree — in writing.
How much oil and wax does 1,000 candles need? At 200 g and 8%: 16.77 kg of oil and 192.89 kg of wax, including 8 test units and a 4% allowance. The oil comes as 16 × 1 kg (₹3,068.00) + 1 × 500 g (₹1,593.00) + 3 × 100 g (₹342.20).
What 1,000 candles cost in materials
The scenario: a company wants 1,000 gift candles for staff and clients. They have seen your work and asked for a 200 g candle in a White Matte Glass Jar, a clean floral scent and their logo on a label and box. You suggest British Rose at 8% in Luxury Soy Wax CSI 464 (rated up to 10% fragrance load — the wax maker's stated formulation maximum). They ask for a price. Before you give one, you need the materials bill.

Wax is the biggest single line at 43% of the bill, jars next at 32%, and the fragrance oil 23% — low for a candle this size because British Rose is one of the cheapest oils per gram in the catalogue (₹3.07 a gram at 1 kg) and one of the 24 oils with a real 1 kg price break (10.3% against the 100 g). With a median-priced oil, the oil line would be roughly double. The 2,000-candle one-fragrance post goes into ordering bulk oil by the kilo.
Notice the oil line: 16 × 1 kg (₹3,068.00) + 1 × 500 g (₹1,593.00) + 3 × 100 g (₹342.20). CSI lists fragrance oils up to 1 kg per bottle. Sixteen or seventeen 1 kg bottles of one oil is a stock question, not just a price question, so ask on WhatsApp before you promise a date — and for quantities beyond the listed packs, pricing is quoted there. No volume discount figure is published.
The reusability test
Every line on the list answers the same question differently: if this order vanished tomorrow, what would this be worth to me? The answer depends on your own range, which is why the test has to be yours. The table uses an example maker who normally sells about 150 candles a month in the same jar and wax — replace that with your own rate.

Wax and wicks are the textbook safe buy: they don't carry the client's name. But safe is not free. At 150 candles a month, 193 kg of CSI 464 is about 7 months of your normal pouring. If you bought it on an inquiry that fell through, you haven't lost ₹97,928; you have tied it up for more than half a year. Whether that is acceptable depends on what else that money could be doing — the cash-locked-in-inventory post puts a number on it.
The fragrance is where the test bites. If British Rose already sells in your range, 16.8 kg of it is about seven months of stock at the example pace — usable, but slow — and oils are best used within the period stated on their product page — ask CSI for storage guidance on WhatsApp. If it isn't in your range, it is an oil you bought for one customer. That is why the oil waits for the advance even when everything else goes early.

Policy A is the default: the client approves a sample, signs off, pays the advance, and only then do you buy. It costs you days, not money. Policy B or C is for when the delivery date is tight and your cash can carry it — you have the heavy, slow-to-ship materials in the building so production can start the day the advance clears, and you are holding nothing you wouldn't eventually use. Policy D is almost never justified on an inquiry. It is how small businesses end up owning 17 kg of a stranger's favourite scent.
Sizing the advance against the materials
How much advance to ask for is your commercial decision, and practice varies. What the materials maths can tell you is the floor: the advance should at least cover what you must buy specifically for this customer, so that a cancellation never leaves you out of pocket on their materials. The table uses an example selling price of ₹799 per candle (1,000 candles = ₹7,99,000.00) and the example label and box figures above — replace all of them with your own.

On these example numbers, a 30% advance covers the CSI materials with a little to spare but not the packaging; 50% covers both with ₹1,27,745.20 of headroom for labour and freight. With a dearer oil, a smaller advance covers less. The useful habit is to compute this table before you name the advance — then the number you ask for has a reason you can explain to the client.
Two things to agree in writing alongside the advance, because they change the materials maths: what happens if the quantity changes (a drop from 1,000 to 600 after you have bought oil for 1,000) and when the price is fixed until (a long gap between quote and production exposes you to raw-material price changes). Protecting a price quoted months ahead covers the second in detail. How you word these terms is between you and your client; if you need legal advice, take it from a professional.
Timing: Diwali, dispatch and the gap
Corporate candle orders cluster around Diwali, which falls on Sunday 8 November 2026 — 43 days from today. A client who asks in late September usually wants delivery in the week before. That leaves a narrow window: sample, approval, advance, materials, production, cure, labelling, dispatch. Every day the advance takes to arrive comes out of production time.
This is the case for Policy B or C. If the heavy, slow materials — about 193 kg of wax and a thousand jars — are already in your workshop when the advance clears, you can pour the next morning. The oil, which you buy after the advance, is the lighter shipment. CSI doesn't publish delivery times, so ask on WhatsApp for dispatch timing on the day you order, and don't promise the client a date that depends on an assumption. Here is the arithmetic on this order: the wax alone is 193 kg; poured in 10 kg melts, that's about twenty melts before a single jar is labelled. Whether your equipment can keep up is its own calculation, and it's better done before you accept a Diwali delivery date than after.

Once the order is confirmed and the materials are in, the remaining questions are about production, not purchasing: testing a bulk fragrance batch against your sample, buying all the wax from one batch, and what to fully test before spending on bulk materials. Each one protects the advance you just received.
