Why the calm month is the cheap month

The test is the same whether you run it in July or in a Diwali stock-out. Only the price of failing changes.

Qualifying a replacement fragrance takes the same candles, the same cure checkpoints and the same burn hours whenever you do it. What differs is what is riding on it. In a quiet month, a candidate that fails costs a few candles and you try another. In a stock-out, a candidate that fails costs the season — the bestseller stock-out page shows that a single validation cycle only just fits between today and Diwali, with no room for a second attempt. Pre-qualification moves that risk from a week you cannot control to a week you can.

There is a second benefit that is easy to miss. A backup qualified in calm conditions is tested properly: full cure, full-life burn, proper storage time, no deadline pushing you to accept "close enough". A backup qualified in a panic is tested with whatever time the deadline allows. So pre-qualification does not just save time; it produces a better answer.

Not every SKU deserves the same backup

Pre-qualifying a full backup for every fragrance you sell is thorough and, for most small businesses, wasteful. The sensible split is by how much a stock-out would hurt. Rank your SKUs by what they earn and how loyal their buyers are, then give each tier the level of readiness it deserves. The four levels are on the diagram above: listed, screened, qualified and ready.

C-list SKUs are allowed to pause. That is a policy, not a chemistry result, and you should write it down alongside your approved-supplier list.

Choosing backup candidates — and checking stock depth

A backup candidate has to pass two filters before it is worth a single candle. The first is the nose: it should be a plausible stand-in on strips against your primary. The second is stock depth: it has to be buyable in the sizes production needs. A backup that is only in stock in 50 g is a sample, not a backup.

To make that concrete, here are six pairings from CSI's own list where two oils share a scent name or family. They are examples of how to shortlist, not claims that either oil in a pair matches the other; CSI publishes no throw or composition data, and the only way to know is the test below. Look at the stock-depth column: on the 24 September 2026 pull, the second Spicy Raspberry listing was out of stock at 100 g and 1 kg, and Wild Berry at 1 kg. Both would fail the stock-depth filter as production backups today, however good they smell.

Two more notes on the shortlist. The backup that fails on the day. A maker qualifies a backup in March, files the scores, and in October discovers the backup is out of stock in the size they need — or has been bought from a new lot that smells different. A qualified backup that nobody has checked for six months is a hope, not a plan. Stock depth and a refresh check are part of the qualification, not extras.

What pre-qualification proves, and what stays open

A backup qualified in advance is tested against your primary in your current formula. If you ever switch to it, most results are already in hand — but not all, because time will have passed. For each A-list SKU, the backup gets 4 candles at your approved 8% in your production jar, wax and wick — three to burn, one of which runs to the end, and one to store — against 4 controls of the primary poured the same day. Test the backup at your current 8% so that, if it passes, the switch is a pure oil swap. If it only matches at a different load, it can still be a backup — but the switch then changes load too, and the wick and storage results must be at that load. Record which it is.

Set that against an example stock-out without a backup. A backup list is a living document. Give each bestseller a row: primary oil and supplier, backup oil and supplier, readiness level, date qualified, same-name or new-name, retained-sample location, last refresh date, and stock depth at last check. When either oil's lot changes, or at the refresh interval you set, run the lot check against the retained sample and update the row.
