I Want to Manufacture 500 Reed Diffusers for Diwali Corporate Gifting — How Do I Calculate the Base, Fragrance, Reeds and Bottle Quantities Required?
Share
How much fragrance oil? 10.63 kg of Sandalwood at 20% — 10 × 1 kg + 1 × 500 g + 1 × 100 g + 2 × 15 g, ₹53,470.52.
Bottles and reeds? 521 bottles (500 + 10 spares + 11 retained) = 53 packs of 120 ml (₹56,286.00); 4,168 black reeds (₹33,436.00).
Is there time? For 48 h rest and a 7-day clarity hold per batch, yes, if materials arrive this week. For any 30-day test, no. See the calendar.
The numbers for 500, in one table
Start with the product. A corporate Diwali diffuser here is 100 ml of liquid in CSI's 120 ml Gold Reed Diffuser Bottle — clear glass, gold-tone cap, which suits a festive gift — with 8 black fibre reeds and Sandalwood at 20% in Longevity Base. Sandalwood is a woody note, and woody is one of the families the Longevity page names; it is also a fragrance most Indian recipients recognise. The 100 ml fill is our labelled example — the listing's "120 ml" is its size, not a fill line — and every gram figure uses an example density of 1.00 g/ml until you weigh your own blend.
If this is your first commercial order, read the business pillar how to start a profitable reed diffuser business in India alongside this page; the single-bottle method is the pillar how to make a 100 ml reed diffuser with fragrance oil and base, and the 20% choice is the load pillar how much fragrance oil to add.
Then add what a real run needs beyond the 500 you deliver: 10 spare bottles for breakage and top-ups, one retained sample from each of 11 batches (11 bottles), and a 2% allowance for liquid left in vessels and funnels. Those are working assumptions — change them to your own process — but leaving them out is how a 500-gift order ends at 493.
| Material | Calculation | Need | Buy | Price |
|---|---|---|---|---|
| Longevity Base | 521 × 100 g × 80% × 1.02 ÷ 1.00 g/ml | 42,514 ml | 86 × 500 ml | ₹1,11,456.00 |
| Sandalwood | 521 × 100 g × 20% × 1.02 | 10,628 g | 10 × 1 kg + 1 × 500 g + 1 × 100 g + 2 × 15 g | ₹53,470.52 |
| Gold bottle 120 ml | 500 + 10 spare + 11 retained | 521 bottles | 53 × pack of 10 | ₹56,286.00 |
| black fibre reeds | 521 × 8 | 4,168 reeds | 8 × pack of 500 + 1 × pack of 100 + 1 × pack of 50 + 1 × pack of 25 | ₹33,436.00 |
| CSI materials | ₹2,54,648.52 | |||
| Per delivered gift | ₹2,54,648.52 ÷ 500 | ₹509.30 |
The liquid in each bottle costs ₹307.90 at these rates; bottle and reeds add ₹170.20. Boxes, sleeves, ribbons, gift cards, labour and courier are not CSI products and are not in this table — price them now, because corporate gift packaging often costs more than the diffuser inside it. Sandalwood is priced almost exactly linearly from 100 g to 1 kg, so the 1 kg bottles are a convenience, not a discount. No volume discount is published for any of these products; ask on WhatsApp for a quote on quantities beyond the listed packs.
How sure is the base figure?
The base line is the one that moves with density, because Longevity Base is sold by the 500 ml and your formula is by weight. CSI publishes no density for any base or oil. Across example densities of 0.95, 1.00 and 1.05 g/ml, the same order needs 81, 86 or 90 units of 500 ml — a spread of ₹11,664.00. On an order this size, weighing 100 ml of base and 100 ml of your 20% blend on a Weighing Scale before you place the main order is worth more than any other ten minutes you spend.
| Base density (example) | Base needed | 500 ml units | Cost |
|---|---|---|---|
| 0.95 g/ml | 44,751 ml | 90 | ₹1,16,640.00 |
| 1.00 g/ml | 42,514 ml | 86 | ₹1,11,456.00 |
| 1.05 g/ml | 40,489 ml | 81 | ₹1,04,976.00 |
Two further honest caveats. First, if your pilot moves you to 25%, the base falls and the oil rises — see the load section below. Second, 86 units of one base and 53 packs of bottles is a large order for any listing; ask on WhatsApp for availability before you promise a client a date. We do not publish stock counts or dispatch times, and we would rather tell you now than on 30 October. Base for 100 bottles at 20% walks through the density grid in more detail, and density and bottles per kilogram covers the conversion.
The calendar: 25 days, counted backwards
Every date below is an example built on a 31 October dispatch, which you replace with your client's real deadline and your courier's real transit time. Two things in it come from CSI's base pages and one is our labelled working practice: every base page says to rest the blend 24–48 hours before bottling; Longevity's page says to allow 2–3 hours before the first reed flip; and the 7-day clarity hold on each batch is a working practice, not a page instruction.
| Date | What happens |
|---|---|
| Wed 14 Oct | Order pilot kit; ask CSI on WhatsApp to confirm 500-bottle availability of base, bottles and reeds |
| Sat 17 Oct | Pilot materials in hand (example — ask for current dispatch time); mix P1–P4, start 48 h rest |
| Mon 19 Oct | Pilot 48 h check passes → bottle pilot; start production batches |
| 19–24 Oct | Mix 11 batches of 5 kg; each rests 48 h, then bottled |
| 24 Oct | Pilot 7-day clarity hold ends; blind scores read; load confirmed |
| 26–31 Oct | Each batch released after its own 7-day hold; pack, label, box |
| Sat 31 Oct | Dispatch to client (example deadline) |
| Sun 8 Nov | Diwali |
The schedule works because the pilot and production overlap: the pilot's 48-hour check is enough to start mixing production, and every production batch then gets its own 7-day hold before it is packed. If a batch fails its hold, you lose one batch of about 50 bottles — which is why the retained samples and spares exist — not the order. If the pilot fails its 48-hour check, stop: step the load down or change base before you mix a single production batch. Longevity's own page says "if clouding occurs, reduce fragrance percentage and retest".
The pilot: 20% or 25%, decided in seven days
With 25 days, the pilot can answer one question well. The most valuable one for a 500-bottle order is the load, because it changes the oil bill by ₹5,609.92 across the order and is the most likely thing a recipient notices. Two bottles at 20% are the control; two at 25% are the test. Same base, same oil bottle, same reeds, same room.
| Bottle | Load | Oil g | Base g | Role |
|---|---|---|---|---|
| P1 | 20% | 20 g | 80 g | Control |
| P2 | 20% | 20 g | 80 g | Control repeat |
| P3 | 25% | 25 g | 75 g | Load step |
| P4 | 25% | 25 g | 75 g | Load step repeat |
| Checkpoint | How | Pass |
|---|---|---|
| 0 h — straight after mixing | A clear glass from the batch against a white card, then a black card | Clear, single phase, no streaks |
| 24 h and 48 h — the pages' rest period | Same cards, same light; tilt once and watch the walls | No haze, layering, droplets or sediment |
| 7 days — labelled working hold | Same cards; photograph beside the 0 h photo | Unchanged from 0 h |
| After a cool night | one night in the coolest room you have (labelled example) | Clear again at room temperature, nothing settled |
| Item | Need | Buy | Price |
|---|---|---|---|
| Longevity Base | 325.5 ml | 1 × 500 ml | ₹1,296.00 |
| Sandalwood | 94.5 g | 1 × 100 g | ₹502.68 |
| Gold bottle 120 ml | 4 | 1 × pack of 10 | ₹1,062.00 |
| black fibre reeds | 32 | 1 × pack of 50 | ₹400.00 |
| Weighing Scale + 250 ml beaker + CSI Pro Mixer | Weighing, mixing, densities | 1 + 1 + 1 | ₹1,303.00 |
| Total | ₹4,563.68 |
The pilot's base unit, the six unused bottles, the spare reeds and the tools all carry into production; the true test cost is four bottles of liquid. CSI publishes no IFRA percentage for any oil — before you deliver 500 gifts, ask on WhatsApp for Sandalwood's IFRA certificate and confirm its Category 10A limit is at or above your load. Finding the maximum fragrance percentage from supplier data and IFRA Category 10A explains how to read it.
What 25% would cost across the order
| Load | Sandalwood | Longevity Base | Bottles + reeds | CSI materials | Per gift |
|---|---|---|---|---|---|
| 20% | 10.63 kg · ₹53,470.52 | 86 × 500 ml · ₹1,11,456.00 | ₹89,722.00 | ₹2,54,648.52 | ₹509.30 |
| 25% | 13.29 kg · ₹66,856.44 | 80 × 500 ml · ₹1,03,680.00 | ₹89,722.00 | ₹2,60,258.44 | ₹520.52 |
Moving the whole order to 25% adds ₹5,609.92 — ₹11.22 a gift. If the pilot says 25%, you will already hold the base for 20% (which is more base, not less) and need a Sandalwood top-up of about 2.66 kg: 2 × 1 kg + 1 × 500 g + 1 × 100 g + 1 × 50 g + 1 × 15 g, ₹13,434.30. That is why the schedule orders base and oil for 20% first. Saving per 1,000 bottles from 25% to 20% runs the same arithmetic at a larger scale.
The decision rule: go, adjust or decline
| If this is true | It means | Do this |
|---|---|---|
| CSI cannot confirm 500-bottle availability in time | Materials risk | Don't buy yet. Agree a smaller count or later date with the client |
| Pilot clear at 48 h | Formula is physically sound at 20% | Order production quantities and start mixing |
| Pilot cloudy at 48 h | Load or pairing problem | Stop. Retest at 15% or in Pure Performance before any production |
| P3–P4 clearly stronger and clear at 7 days | 25% earns its cost | Top up 2.66 kg Sandalwood; switch remaining batches |
| P3–P4 not clearly stronger | 20% is enough | Keep 20% — production already correct |
| A production batch fails its 7-day hold | Batch problem | Hold that batch; use spares; investigate with its retained sample |
| Client deadline is before your earliest 7-day release | No validation time | Decline or renegotiate the date — do not skip the hold |
The section hub starting a reed diffuser business with ₹10,000 covers a first launch; the pillar how to start a profitable reed diffuser business in India covers the whole business. 50 reed diffusers for corporate gifting with a consistent formula is the smaller version of this order, and a quality-control checklist gives batch-release checks. If the gift is a premium one, a luxury hotel-style reed diffuser covers the formula side, and the load pillar how much fragrance oil to add the percentage.

CANDLEMAKINGSUPPLIESINDIA supplies raw materials, not finished diffusers. For a 500-bottle order a supplier would rather quote 25% and a bigger base order. This page ships 20% unless the blind score says otherwise, shows the ₹5,609.92 that 25% would add, and says plainly which tests cannot be completed before Diwali.

Non-price figures and assumptions: Load convention: fragrance load is a share of the total blend by weight (oil g = batch g × L; base g = batch g × (1 − L)). Reader's figure: 500 diffusers. Labelled examples: 100 ml fill in the 120 ml bottle; 1.00 g/ml density with 0.95/1.05 sensitivity; 20% load (25% compared); 8 reeds; 10 spares, 11 retained samples, 2% transfer loss; 5 kg batches in a non-CSI vessel; example dates (17 October arrival, 31 October dispatch). CSI publishes no dispatch times or stock counts — confirm on WhatsApp. What CSI's base pages state (quoted as claims to test, not CSI test results): every base gives a 10% starting load, 20% recommended, 30% maximum, of total blend, and a 24–48 hour rest before bottling; Pure Performance adds a typical working blend of 75% base + 25% fragrance and the example "for a 100 ml finished diffuser at 25%: 75 ml base + 25 ml fragrance oil" (by volume); Longevity says to avoid light florals, fresh citrus and aquatics, and "if clouding occurs, reduce fragrance percentage and retest". The reed pages give a 20.3 cm length and "for a standard 50–100 ml diffuser bottle, 6–8 reeds"; reed diameter is not published. The bottle listing's text says "50 and 100ml" while its variants are 50 ml and 120 ml; neck size, fill line and any reducer are not published. CSI publishes no composition, density, viscosity, evaporation rate, flash point or shelf life for any base, no IFRA percentage for any oil, and no diffusion, throw or longevity measurement for any base, oil or reed. Every ml-to-gram conversion here uses a labelled example density with ±5% sensitivity; every grams-per-day figure is a labelled example for the arithmetic, never a measurement. Material costs exclude labour, labels, boxes, freight and GST. Diwali 2026 falls on Sunday 8 November.
