bench approval for a backup wax (4 backup + 4 control in your main wax), Gardenia at 8% · CSI live pricing, re-checked 1 October 2026
Quick answers — read this first
Should I approve a backup before a stock-out? Yes. Approval takes weeks of cure, burns and a pilot — about 33 days in the example. A stock-out gives you days.

Which wax makes a good backup? One whose stated ceiling covers your formulas, does the same job (container vs pillar), has published handling guidance and stock independent of your main wax. Criteria.

How much testing? A new-wax approval for the SKUs it covers: 4 backup + 4 control, one each to full life, then a 5 kg pilot. Keep it warm with 3 + 3 every six months.

What does it cost? ₹2,073.02 for the bench kit; the pilot is saleable stock. That is about 4 candles of contribution on an example ₹799.00 candle. Cost vs stock-out.
The short answer
Answer: Yes. Approve a backup soy wax while your main wax is in stock, for named SKUs, with a written switch trigger.
Why: A proper approval takes about 33 days in the example; a stock-out leaves only the choice to wait or to pour an untested wax.
Keep it valid: Keep-warm 3 + 3 every six months; extend per SKU family; confirm stock before festive seasons. Running two suppliers.
Approve the backup when you have time — not when you need it Example timeline: 14-day cure checkpoint, ~12 days of full-life burns, ~7 days for a pilot — labelled working figures days 0 7 14 21 28 35 42 Approved early cure full-life burns pilot ready in advance Approved late primary out of stock · order due the same 33 days of testing you no longer have A stock-out gives you days. Approving a wax properly takes weeks of cure and burn. Done in advance, the backup costs one bench test and a pilot. Done during a stock-out, it costs either the order (you wait) or the risk (you pour an untested wax into customers' candles).
The same approval work — cure, full-life burns, pilot — done in advance or after a stock-out. In advance it finishes before you need it; afterwards it lands on top of an order you cannot ship. The 14/12/7-day split is a labelled example, not a specification.
Straight answer
Should my candle business approve a backup soy wax supplier before my main supplier ever goes out of stock?
Yes — approve it now, while your main wax is in stock, for named SKUs, with a written switch trigger. Every wax runs out sometimes; on CSI's own latest pull, Soy Wax 464 Pellets were out of stock in every size. A proper approval needs a cure, matched burns, a full-life candle and a pilot — about 33 days in the example — and a stock-out gives you days. Choose a backup whose stated fragrance ceiling covers your formulas and whose stock is independent of your main wax; for a maker on Luxury Soy Wax Chunks (page: up to 13%), CSI 468 (page: up to 13%) is a candidate to test, not a proven match. Run four backup candles beside four in your main wax, Gardenia at 8% — ₹2,073.02 in CSI materials — then a 5 kg pilot. Pass rule: no worse on every safety line, acceptable on quality. Keep it warm with 3 + 3 every six months. The backup pays for itself if it saves about 11 candles of sales a year on an example ₹799.00 candle.
One line: the backup you approved in September is the order you still ship in November.
Yes — approve it now, while your main wax is in stock. For a maker on Luxury Soy Wax Chunks the example backup is Premium Coconut Soy Wax CSI 468, whose page states the same 13% ceiling. The bench approval — four backup-wax candles beside four control candles in your main wax, Gardenia at 8% — costs ₹2,073.02 in CSI materials, and a 5 kg pilot bag is ₹3,185.00.

Yes — because a stock-out gives you days and approval takes weeks

The worst time to test a new wax is the week you cannot get your old one.

Every wax goes out of stock sometimes, with any supplier. It is not a hypothetical even on CSI's own list: on the latest pull, Soy Wax 464 Pellets were out of stock in every size, and the Natural Soy Pearl 50 kg bag is listed in limited stock. When your main wax runs out with an order due, you have two bad choices if no backup is approved. You can wait, and lose or delay the order. Or you can buy whatever is available and pour it straight into customers' candles without the cure, burns and pilot that would normally prove it.

A backup approved in advance removes both choices. You test it while there is no pressure — a bench comparison against your main wax, one candle of each to the end of life, a shelf check, and a pilot from a bought bag. You write down exactly which SKUs it is approved for, at which load, with which wick. Then, when the trigger comes, switching is a decision you already made, not a gamble. In the example timeline, a proper approval takes about 33 days of cure, burn and pilot. A stock-out rarely gives you that.

This page sets out how to choose a backup, how much to test it, what it costs against what a stock-out costs, how to keep the approval valid over time, and how to write the switch trigger so everyone in your workshop knows when to use it. It stays out of two neighbouring questions: qualifying a second supplier without changing your best-sellers (running two waxes in parallel) and the emergency case (no backup, order due now).

The CSI principle
A backup supplier is approved on a calm Tuesday, not on the day the main wax runs out.
The approval is the same work either way. Doing it in advance is what turns it from a risk into a plan.

Choosing a backup worth approving

A good backup is not simply the cheapest alternative. It is the wax most likely to carry your existing formulas with the fewest changes, from a supplier whose stock is independent of your main one. The lead table scores candidates on the points that matter for a backup specifically.

Backup selection criteria · score each candidate before testing
What makes a wax a good backup
Criterion Why it matters for a backup Example: main = Chunks, backup = CSI 468
Stated fragrance ceiling covers your highest formula A backup that cannot carry your load forces reformulation at the worst moment Both pages state up to 13%
Same format and job (container vs pillar) A pillar wax is not a container backup Both are container waxes; Chunks vs flakes
Published handling guidance Your team needs temperatures they can follow on day one 468 page: melting point 50–53°C, pour 58–60°C; Chunks page: addition 80–90°C
Independent stock A backup from the same product line can run out at the same time Different products; ask CSI on WhatsApp about stock depth
Pack sizes you can store You may need to buy a month's worth quickly Both 5 kg and 10 kg bags listed
Cost per candle difference The backup may cost more while in use ₹6.99 more per 200 g candle at 8%
Supplier documentation Same records as the main wax MSDS on WhatsApp; no CoA or lot numbers published

Notice the fourth row. A backup from a different supplier protects you against that supplier running out; a backup from the same supplier protects you against one product running out but not against a supplier-wide problem. Many small businesses choose one of each over time. If your main wax is a CSI wax, a non-CSI backup is a perfectly sensible choice, and the approval method below is identical.

Choosing a backup with a lower ceiling than your formulas. If your best-sellers run at 12% in a wax rated to 13%, a backup whose page states 10% cannot replace it without reformulating every one of them. Fix: list your highest load per SKU first, and shortlist only backups whose stated ceiling covers it — or approve the backup for the lower-load SKUs only and write that limit on the approval.

How much testing a backup needs

A backup is a new wax. It gets a new-wax approval, done once, in advance.

Approving a backup is a full new-wax qualification for the SKUs it will cover — it is not a lot release. The gates are the ones in the supplier-selection hub, scaled to the backup's role: you do not need it to beat your main wax, only to be no worse on every safety line and acceptable on every quality line in the candles it will replace.

1
Record the backup wax and its pagePhotograph it, save its product page as a PDF, write its ceiling and temperatures on your batch sheet template, seal a 600 g retained sample under its own lot code (format).
2
Bench: 4 backup + 4 controlYour best-selling recipe in both waxes, same Gardenia lot at 8% (16 g oil + 184 g wax), same Eco Thin C1 pack, same White Matte jars, same day. Follow each wax maker's temperatures. Three of each burn in matched cycles of about 3–4 hours; one of each sits on the shelf.
3
One of each to the end of lifeThe lower third of the jar is where a wax change most often shows itself. The full-life candle is the longest part of the approval and the part you cannot rush during a stock-out.
4
Bracket the wick only if neededIf the backup deviates on a burn line, bracket the wick with three more candles per alternative. Record the backup's approved wick separately — the backup recipe card may differ from the main one.
5
Pilot from a 5 kg bagOne normal batch from a purchased 5 kg bag (₹3,185.00 for CSI 468, about 26 candles at a 3% loss). Burn three — first, middle, last — beside a control. The pilot candles are saleable if they pass.
6
Write the approval and the limitsSKUs covered, load, wick, temperatures, retained sample location, approval date, and any SKU explicitly not covered.
Copy per burn · backup vs main (control) · tolerances set in advance
Backup approval scoring sheet
Line Main (control) Backup Pass rule for a backup
Flame / soot / mushrooming ___ ___ Safety: no worse than main
Jar-side reading, same point and minute ___ ___ Safety: no hotter than main
Full pool, tunnelling, consumption ___ ___ Within your tolerance; full pool by your usual burn
Hot throw, blind ___ ___ Acceptable to sell — need not beat main
Tops, glass contact, shelf candle ___ ___ Within your cosmetic standard
Full-life candle ___ ___ No late overheating, drowning or tunnelling
Pilot: 3 pulled candles — ___ Same rules as bench

The throw line is the one that differs from a primary approval. A backup does not have to win; it has to be good enough that a customer buying during a stock-out receives a candle you are happy to sell. Safety lines never relax: CSI publishes no numeric flame-height or jar-temperature limit, and the rule remains no worse than your approved main wax, within your jar supplier's guidance and the candle fire-safety standard you work to (ASTM F2417 is a commonly cited US standard).

What a backup costs against what a stock-out costs

Each 200 g candle takes 16 g of oil and 184 g of wax. Four backup candles need 772.8 g with a 5% allowance; the eight bench candles share 134.4 g of Gardenia with allowance. Your main wax comes from stock.

Bench approval · wax CSI live pricing, re-checked 1 October 2026 · oil pulled 24 September 2026 · wicks & jars verified 10 September 2026
Backup approval kit: main Chunks vs backup CSI 468, Gardenia at 8%
Item Need Buy Price
Premium Coconut Soy Wax CSI 468 772.8 g 1 × 1 kg ₹650.00
Gardenia Fragrance Oil 134.4 g 1 × 100 g + 1 × 50 g ₹656.02
Eco Candle Wicks Thin C1 8 + 2 spare 1 × pack of 10 ₹59.00
White Matte Glass Jar 8 jars 2 packs of 5 ₹708.00
Bench approval (main wax from stock) ₹2,073.02
Pilot: CSI 468 5 kg + Gardenia for 26 candles 1 × 5 kg + 4 × 100 g + 2 × 15 g ₹5,127.04
Approval including pilot stock ₹7,200.06

The pilot is mostly inventory: if it passes, its 26 candles are saleable, so the true cost of approval is close to the ₹2,073.02 bench kit plus your time. Now set that against a stock-out. Take an example 200 g candle selling at ₹799.00 — an example price you replace with your own. Its materials in the main wax cost ₹256.23, so the contribution after materials is ₹542.77 per candle: a gross margin of 67.9% on the selling price and a markup of 211.8% on material cost, before packaging, labour, freight, fees and GST, which this example leaves out.

Example figures you replace · contribution after materials only · not a full margin
Backup cost against stock-out exposure
What you compare Amount In candles of contribution
Bench approval kit ₹2,073.02 3.8
Bench kit + a year of keep-warm checks ₹5,983.06 11.0
A 300-candle order lost or delayed ₹1,62,831.60 300
Extra material cost per candle while on the backup ₹6.99 per candle, only while switched

The backup pays for itself if it saves fewer than 11 candles' worth of sales in a year, before you count the reputational cost of a missed order or the risk of pouring an untested wax. The extra ₹6.99 per candle while you run on CSI 468 is the price of continuity, paid only during a stock-out. Reorder points from consumption and lead time reduces how often you need the backup at all; the backup covers the times the reorder point cannot.

Keeping the approval valid

An approval you have not checked for a year is a memory, not an approval.

A backup sits unused for months. In that time your recipes change, the backup supplier's product may change (CSI publishes no change notices, and most small-pack suppliers do not either), and your retained sample ages. A light keep-warm check twice a year keeps the approval honest: three candles of the backup beside three of your main wax, your current best-seller, scored on the same sheet. It costs ₹1,955.02 a time in CSI materials if you buy fresh backup wax — ₹3,910.04 a year.

Buy one backup bag a quarter
Some makers run one batch a quarter on the backup wax — real production, real customers — so the team stays familiar with it and the backup's own deliveries build a record. The delivery record works the same for backup deliveries as for main ones.

Writing the switch trigger

The backup is only useful if everyone knows when to use it. Write the trigger in advance, on the wall beside the reorder point. A trigger that depends on someone "deciding at the time" usually fires too late.

Example triggers · replace the figures with your own
When to switch to the approved backup
Trigger Condition Action
Stock-out Main wax out of stock and approved stock below your reorder point Order the backup; switch covered SKUs when main stock runs out
Failed delivery Main delivery fails incoming QC (5485) and approved stock will not last Hold the delivery; switch covered SKUs
Product change Swap test implicates the main wax (5486) Switch covered SKUs while the main supplier investigates
Lead time Main supplier's quoted lead time exceeds your safety stock Bridge with the backup
Not a trigger A cheaper quote from the backup That is a supplier switch — 5482
Switching uncovered SKUs "because the backup worked for the others". The approval covered specific recipes. A different oil, load or jar in the backup wax is untested. Fix: the approval card lists covered SKUs; anything not on it either waits or gets the 3 + 3 extension first.

If you prefer a backup from a different supplier, the same kit and sheet apply with their wax in the backup column.

Argued against our own interest, plainly. If your main wax is ours, the most useful backup may well be someone else's — a different supplier protects you against a CSI-wide stock-out in a way a second CSI wax cannot. We would rather you approved that than found yourself stuck. If your main wax is someone else's and you approve one of ours as the backup, test it exactly as hard.
Diwali falls on Sunday 8 November 2026. A backup approved this week has time for cure, full-life burns and a pilot before the festive peak. If that is too tight, at least confirm your main wax stock for the festive run now. Message us on WhatsApp with your monthly volume and we will check stock for your main and backup waxes; bags go up to 10 kg (Natural Soy Pearl to 50 kg), larger quantities by quote, no published volume discount.

Why trust this guide

CANDLEMAKINGSUPPLIESINDIA supplies raw materials, not finished candles. Our own list has stock-outs — Soy Wax 464 Pellets were out of stock in every size on the latest pull — and we publish no change notices or batch-consistency data. If your main wax is ours, a backup from another supplier may protect you better than a second CSI wax, and we say so.

Wax prices and stock status are CSI live data, re-checked on 1 October 2026; oil prices were pulled on 24 September 2026; wick and jar prices are Blog 760's, verified 10 September 2026 with wick packs rechecked 25 September 2026. Kit totals, contribution, gross margin, markup and break-even candles are plain arithmetic.

The ₹799.00 selling price, 300-candle order, timeline days, keep-warm frequency, candle counts, cycles and allowances are labelled examples or working practices; contribution excludes packaging, labour, freight, fees and GST. Frequently asked questions

Should a small candle business have a backup wax supplier?
Yes, if you have orders you must not miss. Approve the backup while your main wax is in stock, for named SKUs, so a stock-out becomes a planned switch rather than an untested one.
How do I approve a backup soy wax?
Treat it as a new wax for the SKUs it will cover: four backup candles beside four in your main wax, one each to full life, a shelf check and a pilot from a bought 5 kg bag. It must be no worse on safety and acceptable on quality.
Which CSI wax could back up Luxury Soy Wax Chunks?
CSI 468's page states the same 13% ceiling, so it is a candidate for formulas up to 13% — but it is coconut soy, and only a side-by-side test decides. CSI 464 (page: up to 10%) suits only formulas at or under 10%.
How often should I re-check a backup wax?
A light 3 + 3 keep-warm check every six months with your current best-seller, plus an extension test for each new SKU family or recipe change.
When should I switch to my backup wax?
On a trigger written in advance: main wax out of stock with approved stock below your reorder point, a failed delivery, a swap test implicating the main wax, or a lead time longer than your safety stock. A cheaper quote is not a trigger.
Is any CSI soy wax currently out of stock?
On the 1 October 2026 re-check, Soy Wax 464 Pellets were out of stock in all sizes; the other soy waxes' listed sizes were in stock, with the Natural Soy Pearl 50 kg bag in limited stock. Confirm on WhatsApp before planning around it.
