The short answer: when four gates open, not when you feel ready
Start buying a raw material in bulk when four things are true of that material: you will use the pack inside about eight weeks, you can pay for it without squeezing the rest of the order, you can store it properly through an Indian summer, and — only sometimes — the bigger pack is published at a lower rate. The four gates are passed material by material, never for the whole basket. It is completely normal for a brand to be buying wax in 10 kg packs, fragrance oil in 500 g bottles and wicks in twenties, all in the same month.
The fourth gate is where most advice on the subject goes wrong, so it is worth saying plainly and against our own sales interest: on many CSI products the bigger pack is not cheaper per kilo or per unit. What bulk does buy on those lines is operational, and it is worth real money: one consignment instead of four, one inward freight bill instead of four, one lot of wax behaving the same way across a whole season, and no half-day lost to a stockout in the middle of a festive run. That is the honest case for buying bigger — and it is a good case. It is simply not a discount.

Two practical conclusions. First, if you pour into glass, the vessel is where bulk buying pays — ₹531.00 on a single 50-jar step is more than most makers save on wax in a year. Second, the wax decision is almost never about price, so it should be decided on handling: how much you can melt, lift and store at once. On the fragrance side the ladder sits in between — British Rose Fragrance Oil runs ₹3.42/g at 100 g and ₹3.07/g at 1 kg, while Apple Cinnamon Fragrance Oil is ₹4.74/g at every size from 50 g upwards. Check the specific oil rather than assuming.
How to check a step in ten seconds
Take the pack price and divide it by what is in the pack. For wax that is kilos: ₹5,074.00 ÷ 10 = ₹507.40 a kilo. For wicks and vessels it is pieces: ₹1,475.00 ÷ 50 = ₹29.50 a jar, against ₹200.60 ÷ 5 = ₹40.12. For oil it is grams: ₹3,068.00 ÷ 1,000 = ₹3.07 a gram. Do it for the pack you are on and the pack you are considering, write both numbers down, and the decision either has a saving in it or it does not. This takes less time than reading a paragraph about it, and it is the only step in bulk buying that cannot be got wrong.
Where a pack name states the saving — Performance Wooden Wicks lists a Pack of 50 marked Save 25% and a Pack of 100 marked Save 30% — the arithmetic simply confirms what the page says. Where a pack name says nothing, do the division anyway rather than assuming. And do it again each time you reorder, because prices on any store change; the linked product page is always the authority, not a figure you noted down last season.
Gate 1 — will the pack turn in eight weeks?
Work out what you use in a month, in the unit the store sells: kilos of wax, grams of oil per scent, wicks, vessels. Then divide the pack by the month. If the answer is under two months, buy it. If it is four months, you have quietly decided to finance four months of production, and the material had better be one that keeps well and sells reliably.
The conversions are simple at the series default of a 200 g candle with fragrance at 8% of wax weight — 200 g of wax and 16 g of oil each. Twenty candles a month is 4 kg of wax; sixty is 12 kg; two hundred is 40 kg; five hundred is 100 kg. Read that against the pack ladder and the switch points appear on their own.

One nuance that the table cannot show. Wax is the material where the eight-week rule can safely stretch, because the Luxury Soy Wax CSI 464 and Premium Coconut Soy CSI 468 pages both state a 60-month shelf life in cool, dry storage. Fragrance oil is the material where it should not stretch at all, because no CSI oil page publishes a shelf life — so an oil bought twelve weeks ahead is a scent bet, not a stock decision. Vessels sit in the middle: glass keeps indefinitely but breaks, and a hundred jars of a shape you stop using is a hundred jars you now own.
The safest way to start buying in bulk is to move one line per order cycle. Move the vessel first, because that is where the published break is biggest. Next cycle, move the wax if the melter and the shelf can handle it. Then the wicks. Leave fragrance oil until last, because it is the line where a wrong guess ages worst. Moving everything in one month turns a sensible plan into a cash event, and you learn nothing about which change actually helped.
Gate 2 — what a bulk order takes out of the business
Put a number on it before you decide. A brand pouring sixty 200 g candles a month, in Luxury Soy Wax CSI 464 at the 5 kg rate, one scent at Roasted Coffee Fragrance Oil 500 g rates, Eco Candle Wicks Thin (C1) and 200 ml Salsa Glass Jar bought at the 50-piece rate, spends about ₹11,841.60 a month on materials from CSI. Buying a quarter ahead means ₹35,524.80 leaving the account in one week instead of three payments spread across three months.

Now the honest comparison. Buying that quarter in advance saves nothing on the wax, the wicks or the jars, because all three lines are already at their best published rate at those quantities. It saves two inward freight bills, which is your figure and may well be the largest number on the page. And it costs you the use of roughly ₹23,683.20 for up to three months. Whether that trade is worth it depends entirely on what else that money would have done — a second scent, a photographer, a Diwali ad — and that is a judgement only you can make.
A reasonable discipline for a small brand: never let raw material stock exceed what you expect to pour in two months, and never fund a bulk order with money already promised to an order you have taken. If a customer has paid an advance for a wedding order, that cash belongs to that order. Bulk buying with it is borrowing from a customer without telling them.
Gate 3 — can you store it through an Indian summer?
The product pages are specific about conditions, and they are the conditions a bulk buyer has to provide. Luxury Soy Wax CSI 464 states a 60-month shelf life in cool, dry storage and asks that it be kept away from sunlight and moisture. Premium Coconut Soy CSI 468 states the same 60 months and asks that packs be kept sealed. Those are storeroom instructions, and in a Delhi, Ahmedabad or Nagpur May — where 40°C-plus is routine — or a Mumbai, Kochi or Kolkata monsoon, they are the difference between a usable bulk pack and a compacted, damp one.
Practical version, from general candle-making practice rather than from any published CSI figure: keep wax off the floor on a pallet, plank or shelf so that monsoon damp cannot wick into the bag from below; keep it out of direct sun and away from an external west wall, which is the hottest surface in most Indian rooms by late afternoon; reseal an opened bag with tape or move the remainder into a lidded crate; and never store wax in the same corner as the melter or the hot air gun. Fragrance oil goes in a separate, closed cupboard — glass and scent in the same crate means jars that smell of last month.
Glass adds a different problem: breakage. Vessels arrive in packs and travel by road across a country where a delivery van is not a gentle environment. If you are stepping up to a 50 or 100-piece jar pack, plan the shelf before it arrives — a low, stable, closed shelf, not a stack on the floor of a room people walk through. Assume some allowance for breakage and handling loss when you plan quantities; this guide uses 2–3% as a working assumption for glass, which is an assumption and not measured data. What storage failure actually costs
Three specific losses, in the order they usually happen. Damp wax that has to be melted very carefully and still pours with surface faults, which shows up as a batch of candles you can only sell as seconds. Oil bottles whose caps have stopped sealing, which is scent loss you cannot see until a candle under-performs on throw. And broken glass, which is the cleanest loss to count and the most annoying, because the jar was the most expensive line in the candle in most of these worksheets. None of these appear on an invoice. All three are the real price of bulk buying without the room for it.
Gate 4 and the calendar — when in the year to size up
An Indian candle year has a shape, and it decides the timing of a bulk order more than any price ladder does. Diwali 2026 falls on 8 November 2026.
