From 500 candles to 3.7 kg a day

Nobody runs out of wax at the end of a month. They run out on a Tuesday, halfway through a pour.

Monthly figures are useful for ordering and useless for stock levels, because production does not stop in months. It stops on the day a bag runs empty. So the first move is to convert the sales number into a daily draw, and the second is to convert the daily draw into days of cover. Everything in this guide is built from one line: 185 g of wax per candle.

A 200 g-class candle poured in a 200 ml-class jar at a 185 g fill with fragrance dosed at 8% of wax weight takes 185 g of wax and 14.8 g of oil, for 199.8 g in the jar. Expressed the other way round, the same dose is 7.41% of the finished candle — both conventions are in use, and the only thing that matters is that you state which one you mean. Weigh one filled jar before you trust any of it: a jar page quoting 200 ml is telling you volume, and wax is bought by weight.

Working days are the reader's figure — a 22-day month lifts the daily draw to 4.2 kg and every cover figure falls with it.
The mistake: counting wax by bags instead of by kilograms. "I have four bags left" means nothing until you know which bags. A 10 kg bag is 2.7 working days of cover at this volume — about 54 candles. A 5 kg bag is 1.35 days. A 50 kg sack is 13.5 days. A shelf holding "four bags" could be 20 kg or 200 kg, and a business that counts in bags will discover the difference on the morning of a 120-candle pour. The fix: write a kilogram figure on every bag as it arrives, and keep one running total in kilograms. It takes ten seconds per delivery and it is the difference between a reorder point that works and one that is decorative.

The 44.4 kg reorder point, and why it is exactly two weeks

The reorder point answers a precise question: at what level of stock must I order so that the next delivery arrives before the shelf hits zero? The formula is average daily consumption × lead-time days + safety stock. Two of those three inputs are yours alone. Your daily consumption is 3.7 kg. Your lead time is whatever you have genuinely observed between placing an order and having material you can pour — this guide uses seven days because that is the figure in the question. Your safety stock is a decision about how much production you are willing to pay to protect; five days is used here, and it is a choice, not a benchmark.

Put them together: 3.7 × 7 = 25.9 kg to cover the lead time, plus 3.7 × 5 = 18.5 kg of buffer, giving 44.4 kg. Divide by the weekly draw of 22.2 kg and it is exactly 2.0 weeks of cover — a pleasing coincidence of a seven-day lead time and a six-day week, and a number you can hold in your head. In candles it is 240 units: if you can look at the shelf and say "that is two hundred and forty candles", you have the right instinct.

Weigh the wax on one fixed day each weekPick a day — Saturday morning works for most small producers — and record one number in kilograms. Not an estimate from the number of bags; an actual total. Consistency matters more than precision here, because the trend between two readings is what tells you whether your 3.7 kg daily figure is real.

A shorter lead time is cheaper than a bigger shelf
Look at the gap between the first and last rows: a 21-day lead time forces you to hold 59.2 kg more wax than a 5-day one, worth roughly ₹30,038 permanently. Anything that genuinely shortens or stabilises your own ordering cycle — placing orders on a fixed day, consolidating wax, wick and jar lines into one order, keeping your quantities and specifications ready so nothing waits on a conversation — reduces the kilograms you must carry forever. How often you order decides what you hold

Here is the part most stock advice skips. The reorder point is a floor; it tells you when to buy. What you actually carry on average is the floor plus half of whatever you buy, because stock arrives in a lump and is consumed steadily. The honest conclusion is that there is usually no pack discount large enough to pay for quarterly buying at this volume, and on several CSI lines there is no discount at all. CSI 464 lists at ₹507.40 a kilo at 1 kg, 5 kg and 10 kg — identical. Luxury Soy Wax Chunks list at ₹599 a kilo at 1 kg and 5 kg and ₹599.90 at 10 kg, so the biggest bag is marginally dearer. The step-downs that do exist are real but modest: Natural Soy Pearl Wax falls from ₹450 to ₹424.80 a kilo at 5 kg and stays there to 50 kg, and Premium Coconut Soy CSI 468 falls from ₹650 to ₹637 at 5 kg. Both are worth taking, and neither is a reason to buy three months at once.

Don't buy a quarter of wax to "lock in" a price step you have already reached. On Natural Soy Pearl Wax the per-kilo rate is the same at 5 kg, 10 kg and 50 kg — ₹424.80. A business consuming 92.5 kg a month reaches that rate with a single 10 kg bag, so buying 277.5 kg at once gains nothing on price and adds roughly ₹47,000 of permanently idle wax plus a storage problem. The fix: buy the smallest pack that reaches the best listed rate, as often as your ordering effort allows. At 92.5 kg a month this is the ladder that fits the volume best, because the 50 kg sack is listed — the only one in the CSI wax range — and one sack is 13.5 working days, about 270 candles, of cover in a single unit. The per-kilo rate steps down from ₹450 at 1 kg to ₹424.80 at 5 kg and holds there to 50 kg, so a month of wax costs ₹39,294 against ₹41,625 at the 1 kg rate — ₹2,331 a month, or ₹27,972 over a year of this volume. Be clear-eyed about the trade: its product page does not state a fragrance load or temperatures, describing it only for "a variety of container types and candle designs". At 500 candles a month that is a real cost, because you are carrying the testing yourself. Burn-test it in your own jar at 8% before you commit a sack.

The cheapest listed kilo in the range, and at this volume that matters: 95 kg bought as nineteen 5 kg packs is ₹37,924, a per-kilo rate of ₹399.20. Its page describes an all-natural container wax, specifies adding fragrance at 80–90°C (85°C) and stirring for two minutes, and recommends Eco Wicks. It does not state a maximum fragrance load, so hold at 8% and prove it in a cured burn before you push higher. The practical catch is the pack ceiling: 5 kg is the largest listed pack, so a 92.5 kg month is nineteen bags — roughly five a week to open, store and track. For some producers that is a fair price for the cheapest wax in the range; for others the handling alone argues for a bigger pack elsewhere.

Its page states a fragrance load of up to 13%, a melting point of 50–53°C and a pour at 58–60°C — markedly lower than the soy waxes above, which changes your timing and your thermometer discipline. It is one of the two CSI waxes whose listed rate genuinely steps down, from ₹650 to ₹637 a kilo at 5 kg and 10 kg, putting a 92.5 kg month at ₹58,922.50 against ₹60,125 at the 1 kg rate. Two observations worth acting on. First, the spread between the cheapest and dearest route to the same 95 kg is ₹22,591 a month — far more than any ordering-frequency decision on this page — so the wax you choose matters more than the rhythm you buy it on. How much soy wax do 500 candles need?
At a 185 g fill, 500 × 200 g-class candles need 92.5 kg of soy wax plus 7.4 kg of fragrance oil at 8% of wax weight. Add a planning allowance of about 3–5% of the wax for spills, top-ups and rejects and you are buying 95 to 97 kg. In listed packs that is nineteen 5 kg bags of Eco Soy CSI 400, or a 50 kg sack of Natural Soy Pearl Wax with four 10 kg bags and a 5 kg.
Should I keep a full month of wax in stock?
No — you need enough to cover your lead time plus a buffer, which at 3.7 kg a day and a seven-day lead time is 44.4 kg, two weeks of cover. Keeping a full 92.5 kg permanently would double the cash in the wax line without protecting a single extra candle. A month is a sensible order quantity; it is not a sensible minimum. Order monthly and your shelf will swing between 44.4 kg and 136.9 kg, averaging 90.7 kg.
Is it cheaper to buy 50 kg of soy wax at once?
Only on Natural Soy Pearl Wax, which is the one wax listed at 50 kg (₹21,240), and even there the per-kilo rate is ₹424.80 at 5 kg, 10 kg and 50 kg alike — so the sack saves handling, not money. On CSI 464 the rate is flat at ₹507.40 from 1 kg to 10 kg, and on Luxury Soy Wax Chunks the 10 kg bag is slightly dearer per kilo than the 1 kg. Always check the ladder rather than assuming.
How do I convert kilograms of wax into weeks of cover?
Divide the kilograms on hand by your weekly consumption. At 500 candles a month on a six-day week that is 22.2 kg a week, so 44.4 kg is 2.0 weeks, 66.6 kg is 3.0 weeks and 92.5 kg is 4.2 weeks. Weeks of cover is the right unit for a conversation and kilograms is the right unit for a count — keep both on the sheet. Remember to subtract wax committed to confirmed orders before you read the number.
What happens to my reorder point if sales grow to 600 candles a month?
It rises by the same proportion. At 600 candles the monthly draw is 111 kg, the daily draw is 4.44 kg, and a seven-day lead time with a five-day buffer puts the trigger at 53.3 kg instead of 44.4 kg. A reorder point left unchanged while volume climbs is a stock-out waiting for a date, so recompute it whenever volume moves by more than about a tenth, or on a fixed quarterly cadence.
Does soy wax go off if I hold 90 kg of it?
No CSI wax page publishes a shelf life, so this guide makes no claim about one. What is ordinary good practice: keep bags sealed, off the floor, out of direct sunlight and away from fragrance storage, and use oldest first. At 92.5 kg a month and 4.1 weeks of average cover, no bag should sit for more than about two months anyway — which is a far better protection than any storage rule, and another argument against buying a quarter at a time.
