Before I Place a 500 Kg Soy Wax Order, What Should I Have Already Validated at Sample, Pilot-Batch and Normal-Production Scale?
Aktie
How much wax does validation use? In the example, a small bench, one 10 kg pilot bag and 50 kg of production — 12% of the order, mostly saleable.
Can CSI supply 500 kg? Listed bags stop at 10 kg (Soy Pearl 50 kg, limited stock). 500 kg is quoted on WhatsApp; no discount figure is published.
Can I validate before Diwali? Not all three gates: Gate 3 falls on Sun 15 Nov in the example. Buy festive wax in 10 kg bags after the pilot; place the big order after Gate 3. See the calendar.
Three questions, three scales — and the order comes last
A 500 kg soy wax order — your figure — is about 2,638 candles of 200 g at 8%, and it commits you to far more than wax: roughly 42 kg of fragrance oil, 2,638 jars and wicks, weeks of labour and the storage to hold it all. Before that commitment, three different questions need answers, and each can only be answered at its own scale.
Sample scale answers: does this wax suit my recipe? — safety, wick, throw, appearance and storage, for each oil you will make with it. Pilot-batch scale answers: does it survive my process at batch size? — melt time, temperature holding, stirring, the first, middle and last jar of a batch, fill-weight spread and rejects. Normal-production scale answers: does it keep working over weeks, across my team and across deliveries? — throughput, labour, reject rate and, crucially, whether a second delivery matches the first. Only when all three have passed should the order be placed.
On CSI's listings, 500 kg is beyond the listed packs for most waxes. Container wax bags stop at 10 kg, so 500 kg of CSI 464 is fifty 10 kg bags. Natural Soy Pearl Wax is the only CSI soy wax listed at 50 kg (₹21,240.00, in limited stock — confirm on WhatsApp before planning around it), so 500 kg is ten such bags. A single order of that size should be quoted on WhatsApp; no volume discount figure is published. CSI lists no 25 kg carton and no 100 kg pack.
What must be validated at each scale
| Scale | Must be validated | Evidence that passes | Candles / wax in the example |
|---|---|---|---|
| Sample | Safety lines, wick fit, full-life burn, throw (blind), appearance and storage, for every oil you will use | No line worse than your control or approved reference; tolerances written in advance | 4 per oil per wax · 16 candles |
| Pilot batch | Melting and holding at batch size; stir and pour; first / middle / last pour; fill-weight spread; cooling of the last jars; rejects | Pulled candles match bench candles through full life; fill spread inside your tolerance; rejects counted | One 10 kg bag · about 52 candles · one oil |
| Normal production | Your real melter, team and schedule; labour per candle; reject rate over several batches; a second delivery against the first | Reject rate and labour within your costing; second-lot candles indistinguishable from first-lot | 50 kg across two deliveries · about 263 candles · both oils |
| Commercial readiness | Storage for 500 kg; cash; delivery plan; retained sample per lot; documents | Space, conditions and cash confirmed; quote received in writing | No candles — paperwork and space |
Scale 1: the sample bench
The example compares Natural Soy Pearl Wax and Luxury Soy Wax CSI 464 for a business making 200 g candles in White Matte Glass Jars with two oils: Lemongrass and Lime and Japanese Cherry Blossom. At 8% each candle takes 16 g of oil and 184 g of wax on CSI's finished-weight convention. Each wax gets 4 candles per oil — three burned, one stored — so 8 per wax and 16 in all. If you are validating a wax you have already chosen, drop the other column; if you already have an approved wax, add a control column. The standard test candle can serve as a first screen.
| Item | Need | Buy | Price |
|---|---|---|---|
| Natural Soy Pearl Wax | 1,545.6 g | 2 × 1 kg | ₹900.00 |
| Luxury Soy Wax CSI 464 | 1,545.6 g | 2 × 1 kg | ₹1,014.80 |
| Lemongrass and Lime Fragrance Oil | 134.4 g | 1 × 100 g + 1 × 50 g | ₹920.00 |
| Japanese Cherry Blossom Fragrance Oil | 134.4 g | 1 × 100 g + 1 × 50 g | ₹770.00 |
| Eco Candle Wicks Thin C1 | 16 + 2 spare | 1 × 20-pack | ₹118.00 |
| White Matte Glass Jar | 16 jars | 4 packs of 5 | ₹1,416.00 |
| Sample kit total | ₹5,138.80 |
Scale 2: the pilot batch
One 10 kg bag of the chosen wax makes about 52 candles of 200 g at 8% after a 3% production allowance, using 832 g of oil. Make them exactly as you will in production: the same melter, the same batch size, the same person pouring. Then measure what only batch scale can show.
| Measurement | How | Pass rule (write yours in advance) |
|---|---|---|
| Melt time and holding time hot | Clock from switch-on to pour-ready; total time wax is held hot | Within what your production schedule allows |
| Temperature at add and pour | Pen thermometer at fixed points | Inside the wax maker's stated range, or your recorded practice for waxes with none |
| Fill-weight spread | Weigh every 10th candle | Within your fill tolerance (e.g. ±2 g, your figure) |
| First / middle / last pour | Pull candle 1, the middle candle and the last; burn beside bench candles | No pulled candle worse than bench on any safety line |
| Cooling of the last jars | Note surface, sinkholes, wet spots by pour order | No pattern of defects in late pours |
| Rejects | Count and reason for every reject | Inside the reject rate your costing assumes |
The pilot's wax costs ₹4,248.00 for a 10 kg bag of Soy Pearl or ₹5,074.00 for CSI 464 — and if it passes, the 49 unpulled candles are stock you can sell. How many candles from a new lot before release explains the pulled-candle logic.
Scale 3: normal production, across two deliveries
The third scale is the one most makers skip, and it is the one that protects a 500 kg order most. Run 50 kg — about 263 candles — through your normal production: your real schedule, your whole team, both oils. Buy it as two separate deliveries, so that the second can be checked against the first. That is the only way to learn anything about lot-to-lot consistency before you commit to 500 kg, because CSI, like many suppliers, publishes no lot numbers or batch-consistency data.
| Scale | Natural Soy Pearl | Luxury Soy Wax CSI 464 | Notes |
|---|---|---|---|
| Sample bench wax | ₹900.00 | ₹1,014.80 | Smallest bags that cover the bench |
| Pilot: 10 kg | ₹4,248.00 | ₹5,074.00 | ≈52 saleable candles if it passes |
| Production: 50 kg in two deliveries | ₹21,240.00 as 5 × 10 kg (or ₹21,240.00 as 1 × 50 kg, one lot only) | ₹25,370.00 as 5 × 10 kg | ≈263 saleable candles |
| Validation wax total | ₹26,388.00 | ₹31,458.80 | 12% of the order's kilograms |
| The 500 kg order itself | ₹2,12,400.00 | ₹2,53,700.00 | At listed rates; ask for a quote — no discount figure is published |
Commercial readiness: what the order itself needs
Passing Gate 3 means the wax works. It does not mean the business is ready to own 500 kg of it. Check these before ordering.
| Item | What to confirm | In the example |
|---|---|---|
| Storage space | Room for 50 bags of 10 kg (or 10 of 50 kg), off the floor | Your floor plan |
| Storage conditions | Cool, dry, away from sun; your summer room temperature logged | CSI 464's page states 60 months shelf life in cool, dry storage; Soy Pearl publishes none |
| Months of cover | 500 kg ÷ your monthly use | At an example 50 kg a month: 10 months |
| Cash | The order value plus the oil, jars and wicks it commits you to | Wax ₹2,53,700.00 (CSI 464) or ₹2,12,400.00 (Soy Pearl) before oil and jars |
| Delivery plan | One delivery or staged; who receives and checks it | Staged deliveries let each lot be checked |
| Lot record and retained samples | One retained sample per delivery, labelled | The delivery record |
| Documents | GST invoice; MSDS on request | CSI supplies MSDS on WhatsApp request; no CoA promised |
| Quote in writing | Price, pack format, delivery, payment | Ask on WhatsApp; no discount figure is published |
The materials committed alongside the wax are often larger than the wax itself. At 2,638 candles, the example order implies about ₹2,11,945.97 of oil at the two oils' average 1 kg rate, ₹1,86,787.67 of White Matte jars and ₹15,565.64 of Eco Thin C1 wicks — so the total materials riding on the wax decision are about ₹6,67,999.28 on CSI 464 or ₹6,26,699.28 on Soy Pearl, excluding labour, packaging, freight and GST. That is the number the three gates protect. Scaling to 500 kg a month deals with the financing side.
The calendar from 1 October — and why the 500 kg should wait until after Diwali
Validation takes calendar time because cure and full-life burns cannot be rushed. The dated plan below starts today, 1 October 2026; delivery days and checkpoint spacing are examples to replace with your own.
| Date | Step |
|---|---|
| Sat 3 Oct | Sample bench poured |
| Tue 13 Oct | Gate 1: sample decision (7-day throw, early burns) |
| Thu 15 Oct | Pilot batch: one 10 kg bag |
| Sun 25 Oct | Gate 2: pilot decision (pulled candles' early burns; full life continues) |
| Tue 27 Oct | Normal-production run starts (first 50 kg) |
| Sun 8 Nov | Diwali |
| Tue 10 Nov | Second delivery checked against the first |
| Sun 15 Nov | Gate 3: production decision — place the 500 kg order |
Gate 3 lands on Sun 15 Nov in this example — after Diwali on Sunday 8 November. That is the honest timetable for a 500 kg commitment started today, and it points to a staged answer for the festive season: buy what Diwali production needs in 10 kg bags after Gate 2 (the pilot), make festive stock from validated batches, use that production as your normal-production scale, and place the 500 kg order after Gate 3. You lose nothing on price by doing so — CSI's container wax is the same per kilo in 10 kg bags, and Soy Pearl's ₹424.80 rate starts at 5 kg.

The decision rule
| Gate | Pass | Fail |
|---|---|---|
| 1 · Sample | Recipe fits for every oil; wick settled | Change wax or reformulate; nothing larger bought yet |
| 2 · Pilot | Pulled candles match bench; fill spread and rejects inside tolerance | Fix the process or the wax; the loss is one 10 kg bag |
| 3 · Production | Rejects and labour inside costing; delivery B matches delivery A | Do not place the 500 kg order; investigate the lot difference — investigate whether the product changed |
| 500 kg order | Storage, cash, quote and lot plan confirmed | Stage the order in smaller deliveries instead |
If all three gates pass on CSI 464, the order is 50 × 10 kg at ₹2,53,700.00 at listed rates; on Soy Pearl, 10 × 50 kg or 50 × 10 kg at ₹2,12,400.00, subject to 50 kg availability. Ask for the quote on WhatsApp either way, and ask whether the order can arrive as staged deliveries so each one can be checked. The procurement system turns the result into reorder points, and the full approval system records the approval.

Each gate has a sibling that goes deeper: the standard test candle and staged optimisation for the sample; release counts for the pilot; incoming QC and retained samples for the production scale. Long-term supplier economics and the supplier scorecard decide whether this supplier should get the order at all, and the stock-out post is what happens when validation is forced to compress.
CANDLEMAKINGSUPPLIESINDIA supplies raw materials, not finished candles. A 500 kg enquiry is a large order for us, and this page still tells you to buy a 10 kg pilot and 50 kg in two deliveries first. We publish no lot numbers, batch-consistency data or delivery times, so your own second-delivery check is the consistency evidence.
Soy-wax prices and stock are CSI live listings re-checked on 1 October 2026; oil prices were pulled on 24 September 2026; wick and jar prices are those verified on 10 September 2026. Candle counts, wax totals, materials at risk and dates are arithmetic you can check.
