A dealer gifting list is not a bigger hobby batch. It is a bill of materials in kilograms, a date you cannot move, and nineteen bottles because there is no twentieth size.

Candle Business Guides · Ludhiana
The bulk enquiry that arrives from Ludhiana most often is a corporate one: a mill, an export house or a dealer network wants two or three thousand identical gift candles in time for Diwali, boxed and branded. This guide turns that brief into a bill of materials in kilograms, prices every line, and says exactly where the catalogue stops.
₹137.73
of materials in one 85 g corporate gift candle at 2,500 units — fragrance ₹58.63, wax ₹40.59, tin ₹30.10, wick ₹5.90, sticker ₹2.52 · the run needs 17 kg of oil and 195.5 kg of wax · CSI live pricing, September 2026
Quick answers — read this first
How much fragrance oil does a 2,500-unit gifting run need? At 85 g a candle and an 8% load, 6.8 g each — so 17 kg. Because 1 kg is the largest fragrance pack listed, that is bought as nineteen containers: seventeen kilo bottles plus a 500 g and a 100 g to land the split exactly.

And the wax? 78.2 g a candle, so 195.5 kg — twenty 10 kg packs of Luxury Soy Wax CSI 464 at ₹5,074 each, ₹1,01,480. There is no 25 kg or 100 kg soy pack in the catalogue; the largest common pack is 10 kg and one wax is listed at 50 kg.

What does the whole run cost in materials? ₹3,44,337 — ₹1,46,567 of fragrance, ₹1,01,480 of wax, ₹75,240 of tins, ₹14,750 of wicks, ₹6,300 of stickers. That is ₹137.73 a unit before boxes, labels, printing and your time.

Can I get 5 kg of one scent? Not as a listed pack. Multiply the listed kilo to get your ceiling — 5 kg of Tobacco Vanilla is ₹37,495 — then ask on WhatsApp for a quote at that volume. Nobody can tell you the figure in advance.
The short answer
Quote the glass before you quote the candle: at 85 g the tin is ₹30.10 of a ₹137.73 unit — more than a fifth. A gifting quote that prices the fragrance carefully and the container casually has already lost its margin.
Convert units to kilograms first, then choose bottles: 2,500 × 6.8 g is 17 kg, and 1 kg is the ceiling, so the question is never "which bottle" but "how many, and what do I do with the remainder".
Build your own lead time, because none is published: count the 14–21 day cure back from the handover date, add pouring and boxing days, and set the order date ahead of that with a buffer you decide. For Diwali on 8 November 2026 that puts the oil on the bench in early October at the latest.
What ₹137.73 of materials is made of — one 85 g gift candle at 2,500 units Fragrance 6.8 g ₹58.63 · four scents, 17 kg, 19 bottles Wax 78.2 g ₹40.59 · 195.5 kg · CSI 464 at ₹507.40/kg Tin, 85 g fill ₹30.10 · 209 packs of 12 Wick ₹5.90 · flat at every pack size Wick sticker ₹2.52 · 63 sheets of 40 Excludes box, label, printing, ribbon and labour. Total materials for the run: ₹3,44,337.
Fragrance is the largest line and the container is the third — and the container is the one most gifting quotes get wrong, because ₹30 a tin feels trivial until it is ₹75,240. Bar length is the per-unit rupee figure.
Straight answer
What does a Ludhiana business actually need to buy for a 2,500-unit corporate gifting run?
Four numbers, and they all come from one line of arithmetic. An 85 g candle at an 8% load is 78.2 g of wax and 6.8 g of fragrance oil, so 2,500 units need 195.5 kg of wax, 17 kg of oil, 2,500 wicks and 2,500 containers. Priced from listed packs: twenty 10 kg packs of Luxury Soy Wax CSI 464 at ₹1,01,480; 209 packs of the golden aluminium tin whose page states an 85 g fill weight, at ₹75,240; ₹14,750 of Eco Candle Wicks Thin (C1) at a flat ₹5.90 each; and ₹6,300 of wick stickers. The fragrance is the largest line and the most constrained, because 1 kg is the largest fragrance pack CSI lists — no 5 kg, no 10 kg, no drum. Split across four scents the 17 kg becomes nineteen containers costing ₹1,46,567. Total materials: ₹3,44,337, or ₹137.73 a unit, before box, label, printing, ribbon and labour. The two things that decide whether the job is profitable are therefore not the fragrance rate: they are the container, at ₹30.10 a unit, and whether the scent you committed to has already been burn-tested. For anything above the listed packs, or a recurring run, send the kilograms and the dates on WhatsApp and ask for a quote — and treat the listed total as your ceiling until you have a reply.
One line: 2,500 gift candles is 17 kg of oil, 195.5 kg of wax, nineteen bottles and ₹3,44,337 of materials — and the tin is the line that sinks the quote.
At production scale: Tobacco Vanilla 1 kg ₹7,499 (₹7.499 a gram, its cheapest rung), Ban Magnet 1 kg ₹8,400, Luxury Soy Wax CSI 464 10 kg ₹5,074 and Eco Candle Wicks 1,000 for ₹5,900. Above the listed kilo, the quote is a WhatsApp conversation with numbers in it.

From a gifting brief to kilograms

A gifting brief arrives as a client count and a festival. Neither of those is a thing you can buy.

A Ludhiana gifting brief usually arrives fully formed and slightly impossible: a client count, a delivery window tied to a festival, a request for the box to carry a logo, and no mention of scent, size or wax. Your first job is not to quote. It is to convert that brief into grams, because grams are what you buy and grams are what constrains you — and the conversion takes one line.

Load is a share of the finished candle, so at 8% an 85 g candle is 78.2 g of wax plus 6.8 g of oil. Multiply by units and you have your purchase. Change the candle size and everything moves; change the load and the fragrance line moves most of all. The table shows four run sizes a Ludhiana business realistically gets asked for, with the packs each one converts into.

Four run sizes · 85 g candle at an 8% load
What each run consumes, and which listed packs supply it
Units Fragrance Wax Listed fragrance packs Listed wax packs Tins (packs of 12)
500 3.4 kg 39.1 kg 3 × 1 kg + 4 × 100 g 4 × 10 kg 42 packs · ₹15,120
1,000 6.8 kg 78.2 kg 6 × 1 kg + 8 × 100 g 8 × 10 kg 84 packs · ₹30,240
2,500 17 kg 195.5 kg 17 × 1 kg + 1 × 500 g + 1 × 100 g 20 × 10 kg 209 packs · ₹75,240
5,000 34 kg 391 kg 34 × 1 kg — quote territory 40 × 10 kg — quote territory 417 packs · ₹1,50,120
Worked out above: 85 g at 8% = 78.2 g wax + 6.8 g oil. Fragrance packs are the whole-bottle combinations that cover the requirement from listed rungs; wax packs round up to whole 10 kg packs (20 × 10 kg = 200 kg against 195.5 kg needed, a stated 4.5 kg planning allowance for spills and top-ups). Tin cost is 209 × ₹360 for the pack of 12 golden aluminium tins with a stated 85 g fill weight — 2,508 tins for 2,500 candles. 1 kg is the largest listed fragrance pack and 10 kg the largest common wax pack, so at 5,000 units both lines are multiplications you ask about rather than click.
One percentage point is worth more than any quote you will be offered
Hold the run at 2,500 units and change only the load. At 8% you need 17 kg; at 9% it is 19.13 kg; at 10% it is 21.25 kg. On Tobacco Vanilla's listed kilo that is ₹1,27,483 against ₹1,59,354 — a ₹31,871 swing from one percentage point, which is larger than any quote improvement you are likely to be offered. So fix the load with a burn test before you buy, and quote the load you actually pour rather than the one you hope to get away with.

The 2,500-unit bill of materials

Here is the run as a purchase order. The scent split is four ways — 1,000 units of one, 700, 500 and 300 — because a dealer gifting list is rarely one recipient type, and because four scents give you something to substitute if a rung goes out of stock mid-order.

Read the per-unit column as a quoting tool, not a curiosity. Fragrance ranges from ₹50.99 to ₹79.15 across the four scents, which means the cheapest and dearest units in the same run differ by ₹28.16 before anything else is counted. If the client's brief is "same box, four scents", your costing has to be per scent, and the Amber Oud Royal units should either be priced higher or restricted to the shortest part of the list. Equally: wax and tin together are ₹70.69 — more than the fragrance on three of the four scents. A gifting quote built on fragrance cost alone is a quote built on half the candle.

The mistake: quoting the client before you have priced the container. At 85 g the tin is ₹30.10, and there is nothing cheap about ₹75,240. It is also the one line with no substitute halfway through a run: if the tins are short you cannot fill 2,500 units with 2,300 tins and a promise. Price the container first, order it in the same consignment as the wax and oil, and count it in on arrival before you schedule the pour. One CSI customer's note on the 85 and 135 g tins is worth reading on this point — Jinal Monil, a verified buyer in March 2026, writes "I like the material of tin jar no doubt" and then describes both dents in transit and a lid that closes very firmly. Check and count, then quote.

The 1 kg ceiling, and nineteen bottles

This is the structural fact a bulk buyer has to design around: the largest fragrance pack in the CSI range is 1 kg. There is no 5 kg bottle, no 10 kg pail and no drum, on any of the 106 listings. So 17 kg of fragrance is not one line on an order — it is seventeen kilo bottles, plus whatever smaller rungs you use to land the split exactly, which in this run is a 500 g and a 100 g. Nineteen containers, nineteen labels, nineteen chances to lose track.

That constraint has a second-order effect worth knowing before you buy. On some oils the rung below the kilo is cheaper per gram, and at production quantities that gap compounds. Midnight Bakhoor Royale is the example in this very run: its 100 g bottle is ₹7.99 a gram and its kilo is ₹7.999. Buying 4.8 kg as forty-eight 100 g bottles costs ₹38,352 against ₹39,995 for five kilos — a real ₹1,643. And it is still the wrong buy, because forty-eight bottles in a production room is forty-eight opportunities for a mis-weighed batch. Take the five kilos, write down that you paid ₹1,643 for fewer bottles, and stop rethinking it.

Where the ladder still matters at 17 kg

Ban Magnet ₹899 · ₹8.99/g ₹4,300 · ₹8.60/g ₹8,400 · ₹8.40/g 1 kg Kilo saves ₹590 a kilogram

Midnight Bakhoor Royale ₹799 · ₹7.99/g ₹3,999 · ₹7.998/g ₹7,999 · ₹7.999/g 100 g Kilo costs ₹9 more a kilogram — buy it anyway, for the bottle count
The wax is a pallet decision, not a top-up. It happens because fragrance feels like the expensive, deliberate purchase and wax feels like a consumable you can top up. At this scale the wax is 195.5 kg — twenty 10 kg packs — and the largest soy pack in the catalogue is 10 kg, with one wax listed at 50 kg and no 25 kg or 100 kg pack anywhere. Twenty packs is a pallet-sized decision, not a top-up, and it belongs in the same consignment as the oil so that one delivery unblocks the whole run. Buy both against the run, not against the month.

Four oils for a gifting run

Corporate and dealer gifting in a city like Ludhiana skews warm, dark and unisex — the candle has to read as a considered object on a desk or a mantelpiece, not as a seasonal novelty. All four of these sit in that register, all four state a candle percentage, and three of the four carry an explicit discolouration warning, which matters because dark gourmands in a pale wax will brown over time.

1
Tobacco-vanilla · the volume scent
Tobacco Vanilla Fragrance Oil
The scent to put the largest share of a gifting run behind, because it is the cheapest of the four at the kilo and the most broadly acceptable. Its page states a recommended candle load of 7–10%, starting at 7%, a maximum usage rate of 10% for candles in soy, paraffin and blends, a perfume load of 20–25%, and projection described as strong and enveloping. It also states that it will cause browning in white or light-coloured wax and soap bases over time — in an aluminium tin that is invisible, which is one more reason the tin suits this run. Its flash point line is the shared threshold "> 93°C", which is a threshold and not a measured value, so work to the wax page's stated add temperature.

2
Bakhoor · the festive gifting register
Midnight Bakhoor Royale
A smoky-resinous bakhoor direction that reads as occasion-appropriate across almost every gifting list, and the scent in this run with the thinnest published page. It states no candle percentage, no flash point and no IFRA wording, which for a 700-unit commitment means one thing: burn-test before the purchase order, not after. Pour at 8% and let the wax's stated ceiling be the limit — CSI 464 states up to 10%. Its ladder is flat to a hundredth of a rupee across all three rungs, at ₹7.99 to ₹7.999 a gram, so the rung choice here is purely about how many bottles you want standing on the shelf.

Dark and sweet · the ladder that falls properly
Ban Magnet Fragrance Oil
The one of the four whose ladder behaves the way bulk buyers expect: ₹8.99 a gram at 100 g, ₹8.60 at 500 g, ₹8.40 at the kilo, a genuine 6.6% fall. Its page states a recommended candle load of 7–10%, starting at 7–8%, a 10% maximum for candles, a perfume load of 15–25%, and projection as high, commanding and long-lasting. Like Tobacco Vanilla it states that it will cause browning in white or light-coloured wax over time, so it belongs in the tin or in dark glass rather than in a pale jar. Start at 7–8% on a test batch and only go up if the burn test asks you to.

4
Amber-oud · the top of the gifting list
Amber Oud Royal
The scent for the short, senior part of a gifting list — the twenty or three hundred units that go to the people the client actually worries about. It is the dearest of the four by a distance at ₹11.64 a gram at the kilo, which is ₹79.15 of oil in one 85 g tin, and it publishes the fullest note structure of the four: top of saffron, bergamot and cinnamon; heart of oud, rose and patchouli; base of amber, sandalwood, tonka bean and musk. Its page states a maximum usage rate of 10% for candles in soy, paraffin and blends and to start at 7% and adjust based on wax blend and wick size. Its ladder falls properly: ₹12.99 a gram at 100 g down to ₹11.64 at the kilo.

What to send for a quote

Above the listed packs there is no price to read, so the quality of your message decides the quality of the reply. Five lines, in this order, and the first one is the arithmetic you have already done.

1
State your ceiling, calculated from listed prices"Seventeen kilograms of fragrance at listed prices is ₹1,46,567 and 195.5 kg of CSI 464 is ₹1,01,480. That is my ceiling." You have now made the conversation about a specific volume rather than about whether you qualify for something. Do not guess what a quote might be, and do not price the client's job on the assumption it will improve.
2
Name every oil exactly, with kilograms per oil"Tobacco Vanilla 7 kg, Midnight Bakhoor Royale 5 kg, Ban Magnet 3.5 kg, Amber Oud Royal 2.1 kg." Exact listing names, because several listings have similar titles and at least one duplicate name exists in the range. Kilograms, not bottles, so the other side can see the requirement rather than your assumption about how to pack it.
3
Put the wax, wicks, tins and stickers in the same messageOne consignment unblocks the whole run; three consignments block it three times. Twenty 10 kg wax packs, 2,500 Eco C1 wicks, 209 packs of the 85 g golden tin, 63 sheets of stickers. If a line is unavailable at that quantity you want to know now, while you can still change the candle, not in the week you planned to pour.
4
Give the date it must be on your bench, not the festival dateWork backwards. Handover date, minus boxing and labelling days, minus pouring days, minus a 14 to 21 day cure — that is your bench date. For Diwali on 8 November 2026, a run of this size wants the materials in hand in the first days of October, and earlier is better because no lead time is published and yours is the only buffer in the chain.
5
Say whether it repeats, and name the paperworkA one-off gifting run and a twice-yearly one are different conversations. And name what you need in writing: a GST invoice in the firm's name, an SDS for each named oil, IFRA documentation for each named oil. Ask per product, not for "your oils" — 36 of the 107 fragrance pages never mention IFRA, and only two refer to an SDS at all, so a blanket request cannot be answered precisely.
The CSI principle
At 2,500 units the cheapest thing left to change is the scent. Everything else has already become a purchase order.
Nineteen bottles of a proven oil and twenty packs of wax is a production run. Nineteen bottles of an untested oil is ₹1,46,567 of inventory in a scent nobody has burned for three hours in your own room. The best ladder here is worth ₹1,350 a kilogram; a ₹799 test bottle is worth the whole job.
Before the purchase order: buy 100 g of each shortlisted scent — ₹799 to ₹1,299 — pour twelve 85 g tins each, cure the full 14 to 21 days and burn three. That is under ₹5,000 to de-risk a ₹3,44,337 run.

The single-SKU risk

Corporate gifting is the only part of a candle business where you deliberately make thousands of identical things. That is a gift in production terms — one recipe, one wick, one pour temperature — and a risk in commercial terms, because every unit shares the same fault. Four scents rather than one is partly a design choice and partly insurance.

One scent or four, at 2,500 units
What the split costs you, and what it protects
Approach What it costs What it protects When to choose it
One scent, 2,500 units Simplest pour; one wick test; the cheapest per-unit fragrance if you pick the ₹7.499/g oil — ₹50.99 a unit Nothing. A discolouration surprise, a sold-out rung or a client who dislikes the scent hits all 2,500 When the scent has been sold before, at this size, in this vessel, and the client has approved a sample
Two scents, 1,250 each Two pours, two labels; fragrance ₹50.99 and ₹54.39 Halves the exposure and gives the client a choice to sign off on The sensible default for a first corporate run with a new client
Four scents, tiered Four pours, four labels, four batch logs; fragrance ₹50.99 to ₹79.15, a ₹28.16 spread Lets you tier the list, substitute if a rung goes out of stock, and price the senior units properly Dealer or client lists with clear tiers — which is most Ludhiana gifting briefs
A gifting run is priced in the week you quote it and won or lost in the week you tested the scent. The tin only decides how much of it you keep.

What the catalogue does not do

A bulk buyer needs the gaps named before the purchase order, not after. Five of them matter at this scale, and all five are simply facts about what is listed.

First, 1 kg is the largest fragrance pack — no 5 kg, no 10 kg, no drum. Second, the largest soy wax pack is 10 kg, with one wax listed at 50 kg and no 25 kg or 100 kg pack on any wax. Third, there is no candle-making machine in the catalogue — no moulding, filling or wicking machine; the equipment listed is electric wax melters, a handheld mixer, a hot air gun and hand tools, which means a 2,500-unit run is poured by hand and your labour plan has to say so. Fourth, dye is capped at 100 ml or 100 gm, so a coloured run of this size needs its dye quantity checked before it is designed. Fifth, no listing is described as pre-tabbed; the closest are ready-made cotton braided wicks, Eco Candle Wicks sold by count, and a braided wick roll supplied with 100 separate wick tabs. Boxes, printing and branding are your own supply chain — the packaging materials collection is worth checking, but assume the client's logo is yours to arrange.

Split 2,500 into two pours and nothing gets dearer
Splitting 2,500 units into two pours a few weeks apart costs you nothing in materials — the wax ladder is flat and the fragrance is bought in whole bottles either way — and buys you two things worth more than a rate improvement. You get to correct the first pour before the second, and you halve the quantity of finished candles sitting in a Ludhiana workshop through whatever the weather is doing. A customer reviewing the imported electric melter makes the practical point about throughput: Sonal Sahani, in November 2024, writes "In terms of melting time, 10 kgs of wax melts in mere 20-30 minutes".
Why trust this guide

CANDLEMAKINGSUPPLIESINDIA supplies raw materials and does not sell finished candles, and it does not offer contract manufacturing, private label, boxing, printing or fulfilment — so nothing on this page is an offer to make your client's candles. What it is instead is the arithmetic you need to price the job yourself, including the parts that make the job look harder: 2,500 units poured by hand, nineteen fragrance bottles because there is no larger pack, and ₹75,240 of tins that have to be counted in before anything is poured.

Every price and pack size comes from live CSI stock in September 2026 and links to the product page, where current pricing always takes precedence. Stated loads and discolouration lines are quoted only from the pages that state them — Tobacco Vanilla and Ban Magnet state 7–10% candle loads with a 10% maximum and explicit browning in pale wax, Amber Oud Royal states a 10% candle maximum and to start at 7%, and Midnight Bakhoor Royale states no percentage, no flash point and no IFRA wording, which this guide says rather than filling in. The golden aluminium tin page states an 85 g fill weight. No delivery day, courier, shipping rate, lead time, MOQ, local stockist, production capacity or Ludhiana customer count appears here, because none is published.

Frequently asked questions

How much fragrance oil does a 2,500-candle gifting run need?
At 85 g a candle and an 8% load, 6.8 g each — so 17 kg, alongside 195.5 kg of wax. Because 1 kg is the largest listed fragrance pack, that is nineteen containers if you split it four ways: seventeen kilo bottles plus a 500 g and a 100 g. At 200 g candles the same 2,500 units would need 40 kg of oil and 460 kg of wax, so the candle size decides the purchase far more than the scent does.
There is no 5 kg bottle — so how do I buy seventeen kilos?
As seventeen kilo bottles, plus smaller rungs to land the split exactly. 1 kg is the largest fragrance pack in the range and there is no price on the page for anything larger. Do the multiplication instead and treat it as your ceiling: 5 kg of Tobacco Vanilla at the listed ₹7,499 is ₹37,495, 10 kg is ₹74,990. Then send the kilograms, the bench date and whether it repeats to WhatsApp and ask for a quote at that volume. No quoted figure is published, so nobody can tell you it in advance.
How do I buy nearly two hundred kilos of soy wax?
The largest common soy pack is 10 kg, and one wax — Natural Soy Pearl — is also listed at 50 kg. There is no 25 kg or 100 kg pack on any wax. So 195.5 kg of Luxury Soy Wax CSI 464 is twenty 10 kg packs at ₹5,074, or ₹1,01,480, which is 200 kg with a 4.5 kg planning allowance. The listed per-kilo price is flat at ₹507.40 from 1 kg to 10 kg, so the big pack is a handling choice rather than a saving.
What does a corporate gift candle cost to make at this scale?
₹137.73 of materials for an 85 g candle at 2,500 units: fragrance ₹58.63 on a four-scent average, wax ₹40.59, tin ₹30.10, wick ₹5.90 and sticker ₹2.52. By scent the fragrance ranges from ₹50.99 to ₹79.15, so per-unit cost runs from roughly ₹130 to ₹158. That figure excludes box, label, printing, ribbon, breakage and labour — all of which are yours, and none of which is small on a gifting order.
When should a Ludhiana business place a bulk order for Diwali?
Count backwards from the handover, not from the festival. Diwali 2026 is 8 November; soy containers want a 14 to 21 day cure, and a 2,500-unit run poured by hand takes days on top of that, plus boxing. That puts the pour well before the last week of October and the materials on your bench in the first days of October. Since no lead time is published, the buffer between ordering and the bench date is yours to set — make it generous, and place the order for the whole festive-and-wedding stretch at once.
Is there a machine that will pour 2,500 candles for me?
No. There is no moulding, filling or wicking machine in the catalogue. The equipment listed is electric wax melters — a 1 litre mini melter and an imported melter in 10 kg and 20 kg capacities — plus a handheld mixer, a hot air gun, thermometers, scales and hand tools. A 2,500-unit run is therefore a hand-poured run, and your labour and time plan has to be built on that. It is also the strongest argument for splitting a large order into two pours.
