Most makers at this volume do not have a sourcing problem. They have an arithmetic problem that they solve by panic-ordering twice a month.

Start from one candle and multiply. A 200g candle at an 8% fragrance load is 16g of oil and 184g of wax, plus one wick and one vessel — the whole bill of materials. Read the last two rows again, because they are the point of this page. Quintupling output from 100 to 500 candles a month takes your material cost per candle from ₹212.23 to ₹209.19 — ₹3.04, or 1.4%. Across 500 units that is ₹1,520 a month, so not nothing, but it is nowhere near the discount curve makers at this stage expect, and it is no reason to buy stock you cannot pour.

Why the curve is flat: CSI per-kilo pricing barely tiers. CSI 464 is ₹507.40/kg at 1 kg and at 10 kg. Luxury Soy Wax Chunks are ₹599/kg at 1 kg and ₹599.90 at 10 kg; Eco Soy CSI 400 ₹399 at 1 kg and ₹399.20 at 5 kg; Eco Wicks Thin (C1) ₹5.90 each at 10 and at 1,000. The overshoot in the table is deliberate: at 100 candles you buy 19 kg to consume 18.4 and carry ₹304.44 forward, at 200 you carry ₹101.48, at 500 the packs land exactly. Change one number and rebuild the table in ninety seconds
Pour 150g candles and wax per unit is 138g, fragrance 12g. Pour at 10% and a 200g candle is 180g wax, 20g oil. Multiply by unit count, divide by pack size, round up. Do this once a quarter. The ceilings are wax-manufacturer formulation limits: up to 13% for Luxury Soy Wax Chunks, up to 10% for CSI 464.

Which pack size to standardise on, and when the order should land

Standardisation is worth more than optimisation here. A maker who always buys 10 kg of wax, 1 kg of each oil, 100 wicks and 100 jars reorders in ninety seconds from last month's invoice. The honest counter-argument, from a real review. Other wise the quality is top noch". That is fair, and it is the strongest practical case for fewer, larger orders: freight on one consolidated 37 kg shipment beats freight on four scattered ones. If shipping is what squeezes you at 100 candles a month, the fix is consolidation and a six-weekly rhythm — and ask for the freight number on WhatsApp before you order, not at checkout.
The CSI principle
Order to the calendar, not to the shelf. By the time you notice the wax is low, you are already three weeks late.
Pour date plus 14 to 21 days of cure plus packing plus transit is the real lead time on a candle. Working backwards from the customer's date is the only planning method that survives a festive season.

The wide range costs ₹4,960.40 more in oil and ₹2,950 more in glass — ₹7,910.40 of extra working capital, just under 19% of the whole ₹41,939.56 monthly order. And that understates it, because demand never splits evenly across ten scents. Two sell out in week two while three sit untouched for a quarter, so you reorder the two, hold the three, and the held capital ratchets up every month instead of clearing.

The stock-out a wide range actually causes. Four scents at 1 kg each gives you 62 candles of cover per scent per kilo. Ten scents at 500 g each gives you 31 candles of cover, against a 200-candle month. A workable range at 100–500 candles a month
Four fragrances and two vessels. One woody or oriental (Sandalwood or Woody Oud), one spice or gourmand for festive (Apple Cinnamon), one floral (Lavender), one citrus (Citrus Lemon, ₹2.83/g and the cheapest in the catalogue). A maker who runs out of cash holding slow stock stops ordering; a maker four scents deep at 500 units reorders every month for years. Earn the wider range with volume instead. The clean rule is one scent per 62 candles of monthly output — 1 kg of oil at 16g a candle makes 62 candles. Storage becomes a physical constraint, cure includedNine wax cartons, five jar cartons and eight kilos of oil arriving at once is the easy half. The cure is the hard half: at 21 days and even production you hold roughly 350 finished candles at all times, which at ₹209.19 of material each is ₹73,216 that cannot be invoiced yet. At 100 a month it is 70 candles and ₹14,643. Nobody budgets for this, and it is why a growing candle business feels broke while its order book looks healthy.

Wick consistency becomes a batch-level riskAt 100 units a wick that runs slightly hot is an annoyance you catch. At 500 it is 500 identical mistakes. Because Eco Candle Wicks cost ₹5.90 each at every pack size, the 500-pack at ₹2,950 costs the same per wick as five 100-packs and gives you one lot instead of five. Take the free consistency, burn-test three jars from every new lot before committing it, and record the lot on the batch sheet.

Diwali 2026, worked backwards — and what to send on WhatsApp

Diwali 2026 falls on 8 November. Every maker knows that. Very few work the calendar backwards through the cure window, which is why the messages arrive in the third week of October asking whether wax can reach them by Friday. It can be shipped; it cannot be poured, cured and delivered by Diwali. The cure is what makes candle production a five-week pipeline, not a two-week one.

Read the bottom two rows honestly. If your Diwali range is woody, spice or gourmand — which, for an Indian festive collection, it almost certainly is — the last comfortable date for material to land is the middle of September, and at 500 units it has already passed. That is subtraction, not a sales line. The workable responses are to shift to a 14-day-cure family, to cut the run to what your remaining pour window supports, or to accept a shorter cure knowing the candle will not be at its best. Festive stock is additional, not instead
A 500-unit Diwali run does not replace your 500-unit October, it sits on top of it: 184 kg of wax, 16 kg of fragrance, 1,000 wicks and 1,000 jars, roughly ₹2,09,190 of material in one month. Decide in August whether that is a cash position you can hold.

Now the ordering itself. Quotes take three days because the first message says "hi, do you do bulk?", which cannot be answered. One message with the full specification comes back as one quote. Include:

One last note on consolidation, the whole argument for one supplier over four. How much wax do I need for 200 candles a month?
At a 200g candle and an 8% load, each candle is 184g of wax, so 200 candles a month is 36.8 kg. In Luxury Soy Wax CSI 464 that is 3 × 10 kg + 1 × 5 kg + 2 × 1 kg — 37 kg for ₹18,773.80. At 100 candles it is 18.4 kg; at 500, 92 kg.
Is it cheaper per candle to make 500 a month instead of 100?
Only slightly. Materials cost ₹212.23 per candle at 100 a month and ₹209.19 at 500 — a 1.4% difference, almost all of it from packs dividing more neatly rather than from a bulk discount. CSI per-kilo wax pricing is essentially flat across pack sizes and Eco Candle Wicks are ₹5.90 each at every quantity. The one real break is glass: 200ml Salsa jars drop from ₹40.12 in fives to ₹29.50 from 50 up.
Should I order monthly or every six weeks?
Below about 150 candles a month, order every six weeks — a 150-candle order of roughly ₹31,581.52 lands cleanly on 3 × 50 jars and 2 × 1 kg oils, and you pay freight eight or nine times a year instead of twelve. At 200 and above, order monthly on a fixed date, because both 200 and 500 divide exactly into 100-piece jar and wick packs. Set the date in a calendar and order whether or not the shelf looks empty.
How many fragrances should I stock at this volume?
Roughly one scent per 62 candles of monthly output, because 1 kg of oil at 16g a candle makes 62 candles. That means two or three scents at 100 a month, four at 200, and up to eight at 500. Ten scents at 200 candles a month ties up ₹22,783.80 in oil against ₹17,823.40 for four, and leaves you only 31 candles of cover per scent — one corporate order empties a bottle mid-batch.
When should I order materials for Diwali 2026?
Work backwards from 8 November 2026. To have stock with a buyer by 24 October you dispatch by 17 October, which means cure ends 15 October. A 21-day cure for woody, gourmand and spice puts pouring complete on 24 September; a 14-day cure for fresh and citrus puts it on 1 October. Subtract your pour window and material needs to be in hand by roughly 13 September for a 500-unit run on a 21-day cure, or 19 September at 100–200 units.
Do I need a big wax melter at 100–500 candles a month?
Not at the bottom of the band. At 100 candles you melt 18.4 kg a month, about twenty fills of the Mini Electric Wax Melter at ₹2,360 — do not spend ₹21,240 at that volume. At 500 you melt 92 kg, over a hundred fills of a one-litre pot, and the Imported Wax Melter at ₹21,240 for 10 kg starts paying for itself in hours rather than rupees.
