Reed Diffuser Business × Inventory Planning
For each material: monthly need from the forecast, daily usage, a reorder point = usage × effective lead time + safety stock, and an order-up-to level for the monthly order. Effective lead time is the supplier's days plus your own check and 24–48 hour rest.
22,413 ml
reorder point for base in the example — order when the shelf falls to this, not when it is empty · 7-day lead time + 3 days check and rest + 7 days' safety (examples)
Quick answers — read this first
How do I work out monthly requirements? Per-bottle BOM × forecast for each SKU, plus a filling allowance on liquids. Sum by material: base, each oil, each bottle size, reeds.

When should I reorder? At the reorder point: daily usage × effective lead time + safety stock. For base in the example, 22,413 ml.

What lead time should I use? Your own measured order-to-bench time — CSI publishes none — plus incoming check and the 24–48 h rest. Example 7 + 3 = 10 days.

What does the first order cost? ₹3,51,849.60 for the example 600-bottle month from zero stock; about ₹2,25,156.54 a month after. See the order.
The short answer
Answer: For each material, compute monthly need from your forecast, then a reorder point (daily usage × effective lead time + safety stock) and an order-up-to level (daily usage × (review period + lead time) + safety stock); order the difference from stock on hand, rounded to listed packs.
Why: A stock-out stops the bench, and every batch needs a 24–48 h rest before bottling — so the time before a delivery is usable counts as lead time.
Method: Example: 600 bottles a month across two sizes and three oils, 7-day supplier lead time, 3 days check and rest, 7 days' safety stock, weekly stock cards, monthly review.
One material, one month: when to reorder base Example · 39,552 ml of base a month · lead time 7 days + 3 days check and rest · 7 days' safety stock order arrives order arrives reorder point 22,413 ml safety stock 9,229 ml 61,965 0 ml days → Reorder when stock falls to 22,413 ml — 45 bottles of 500 ml — not when it runs out. Your lead time is the supplier's plus your own check and rest: 7 + 3 = 10 days in this example.
Base stock over two example cycles: it falls with use, an order is placed at the reorder point, and the delivery becomes usable one effective lead time later — just before the safety stock is touched. Example figures.
Straight answer
How do I calculate monthly wholesale requirements for reed diffuser base, fragrance oil, bottles and reeds based on expected sales and supplier lead times?
Work out three numbers for every material: monthly need, reorder point and order-up-to level. Monthly need = per-bottle BOM × forecast, plus a filling allowance on liquids. Daily usage = monthly need ÷ 30. Reorder point = daily usage × effective lead time + safety stock. Order-up-to = daily usage × (review period + effective lead time) + safety stock. Each order = order-up-to − on hand − on order, rounded to listed CSI packs. Effective lead time is your own measured order-to-bench time — CSI publishes no lead times — plus your incoming check and the 24–48 hour rest every CSI base page asks for. In an example 600-bottle month (two Gold bottle sizes, three oils at 20% on Pure Performance Base, black fibre reeds) with a 7-day lead time, 3 days check and rest and 7 days' safety stock, base is reordered at 22,413 ml; the opening order is ₹3,51,849.60 and a steady month about ₹2,25,156.54. Watch stock flags: on 14 October Japanese Cherry Blossom is in stock only as 15 g and 100 g.
One line: order at the reorder point, up to the order-up-to level — and count your own check and rest days as lead time.
Turn a sales forecast into an order with three numbers per material: monthly need, reorder point and order-up-to level. For an example 600-bottle month — two sizes of Gold bottle, three fragrances on Pure Performance Base, black fibre reeds — the opening order is ₹3,51,849.60 and a steady month about ₹2,25,156.54 at listed prices.

The method: need, reorder point, order-up-to

A monthly order is not "one month of stock". It is one month of use, plus what you will use while the next order is on its way, plus a cushion.

Running out of base, a bottle size or one oil stops the whole bench, and a reed diffuser cannot be rushed: every batch needs its 24–48 hour rest before bottling. So the question in the title has a standard shape, borrowed from ordinary inventory planning. For each material you work out monthly need from expected sales; daily usage from that; a reorder point — the stock level at which you must order so the delivery lands before you run out; and an order-up-to level — how much stock a monthly order should bring you back to.

The formulas are simple. Reorder point = daily usage × effective lead time + safety stock. Order-up-to level = daily usage × (review period + effective lead time) + safety stock. Order quantity = order-up-to level − stock on hand − stock already on order, rounded up to real packs. The two inputs you must supply are the lead time and the safety stock, and neither can come from us: CSI publishes no lead times, so use your own measured time from placing an order to having it on your bench — this page uses an example 7 days — and choose a safety stock you can afford, here an example 7 days of usage.

One adjustment is specific to diffusers. Your effective lead time is the supplier's lead time plus the time it takes before a new delivery can go into a bottle: an incoming check against your retained sample and the batch's 24–48 hour rest. This page adds an example 3 days, so the effective lead time is 10 days. Ignore that and your reorder point is set 3 days too low, and the bench waits.

The CSI principle
Order when stock reaches the reorder point, not when it runs out — and count your own check and rest time as part of the lead time.
The supplier's delivery time is only part of the wait. A delivery you cannot use for three days is three days late.

From a sales forecast to monthly need

The forecast below is an example — replace it with your own. Two formats in the Gold Reed Diffuser Bottle: the 120 ml filled to an example 105 ml with 8 reeds, and the 50 ml filled to 45 ml with 6 reeds. Three fragrances at 20% on one universal base. Liquids carry an example 3% filling allowance, at an example density of 1.00 g per ml.

EXAMPLE forecast · 600 bottles a month · 20% · 3% filling allowance on liquids
Expected sales by SKU and size
Fragrance 120 ml bottles 50 ml bottles Oil per month
Japanese Cherry Blossom 150 100 4,172 g
Sandalwood 120 60 3,152 g
Eucalyptus Spearmint 80 90 2,565 g
Total 350 250 9,888 g
Monthly need and daily usage · lead time 7 days (example) + 3 days check and rest = 10 days · safety stock 7 days (example)
Need, reorder point and order-up-to level for each material
Material Monthly need Daily usage Safety stock Reorder point Order-up-to
Base (Pure Performance) 39,552 ml 1,318.4 ml 9,229 ml 22,413 ml 61,965 ml
Japanese Cherry Blossom oil 4,172 g 139.1 g 973 g 2,364 g 6,535 g
Sandalwood oil 3,152 g 105.1 g 735 g 1,786 g 4,938 g
Eucalyptus Spearmint oil 2,565 g 85.5 g 598 g 1,453 g 4,018 g
120 ml bottles 350 11.7 82 198 548
50 ml bottles 250 8.3 58 142 392
Black fibre reeds 4,300 143 1003 2437 6737

Read the reorder-point column as the trigger. When the base on your shelf falls to 22,413 ml — 45 bottles of 500 ml, rounding up — place the next order. When 120 ml bottles fall to about 198, order bottles. Check stock once a week against these lines and you will rarely be surprised. How much base to buy for 100 bottles at 20% covers the single-batch version of the base calculation, and accounting for density when filling 100 ml bottles from 1 kg explains the ml-to-g step.

Use your own lead time, measured
For your next three orders, write down the time and date you ordered and the time and date the parcel was on your bench. Use the longest of the three as your lead time until you have more data. If you order on WhatsApp for quantities above the listed packs, ask for an expected dispatch date at the time of ordering and record the actual — CSI publishes no lead times, and we would rather you plan on your own evidence than on a promise.

Rounding to real packs — and the stock quirks that matter

Every quantity above has to become a real purchase. Base comes in 500 ml bottles (Pure Performance also as 100 g); larger quantities are quoted on WhatsApp with no published discount. Bottles come in packs of ten. Reeds in packs of 25, 50, 100 and 500, at ₹8.00 each from the 50-pack up for black. Oils in the cheapest combination of listed in-stock sizes — and that last phrase matters for this example, because stock is not the same for every oil.

Look at the cherry blossom line. On the 14 October stock check, Japanese Cherry Blossom is in stock only in 15 g and 100 g — the 50 g, 500 g and 1 kg are out of stock — so a production quantity has to be built from 100 g packs. That is fine for price (the 100 g is ₹5.00 per gram) but it is a planning signal: a bestseller that can only be bought in small packs this week deserves a larger safety stock than the others, or a check on WhatsApp before you build a festive plan around it. Sandalwood is back in stock in every size after an earlier stock-out — another reason to keep a cushion on oils you depend on. Stock flags change; check them when you order.

The common mistake: ordering exactly one month, when stock runs out. A maker orders a month's materials on the day the last base bottle is opened. With a 10-day effective lead time, the bench then waits 10 days — at 20 bottles a day, about 200 bottles of production lost every cycle. Fix: order at the reorder point, up to the order-up-to level, and count stock weekly.

The steady monthly order, and the peak month

After the first order, each month you are only replacing what you used. Peaks are planned, not hoped for.

Once the opening stock is in place, a monthly order roughly replaces one month of use, adjusted by the stock you find on the shelf on review day. On the example forecast that is about 80 bottles of base, the oils, 35 packs of 120 ml bottles, 25 of 50 ml and 8 × pack of 500 + 3 × pack of 100 of reeds — ₹2,25,156.54 at listed prices. The formula for each order is always the same: order-up-to level − on hand − on order.

Weekly stock check · fill in on the same day each week · order when any line is at or below its reorder point
The stock card for one material
Week On hand On order Reorder point Order now? Quantity (order-up-to − on hand − on order)
Week 1 ___ ___ 22,413 ml yes / no ___
Week 2 ___ ___ 22,413 ml yes / no ___
Week 3 ___ ___ 22,413 ml yes / no ___
Week 4 ___ ___ 22,413 ml yes / no ___

Peak months need the plan to move before demand does. If you expect a festive uplift — the example uses 30% — raise the forecast for that month and the order-up-to level with it, one lead time early. For base, the 30% uplift moves the month's need from 80 to 103 bottles of 500 ml. For any oil with limited pack sizes in stock, ask CSI on WhatsApp before you commit to the festive forecast. 500 diffusers for Diwali corporate gifting covers a one-off peak order in detail, and 1,000 diffusers a month on a bench covers production capacity.

Argued against our own interest, plainly. A larger safety stock means larger orders from us, and it ties up your cash. Do not set it by feel or by fear. Start with the example 7 days, watch how often you dip into it, and cut it if you never do. Base and bottles are bulky and slow-moving per rupee; reeds and oils are compact. The right cushion is different for each material, and a large one on everything is not prudence — it is cash sitting on a shelf.

Setting it up in an afternoon

1
Write the per-bottle BOM for each SKUFill weight, load, grams of oil and base, bottle size, reed count. At 20%: a 105 ml bottle is 21 g oil + 84 g base; a 45 ml bottle is 9 g + 36 g.
2
Multiply by the forecastMonthly need per material, with your filling allowance on liquids only — not on bottles or reeds, which you count.
3
Measure your lead timeOrder-to-bench time from your last three orders, plus incoming check and rest. Use the longest.
4
Choose safety stock per materialIn days of usage. More for single-source items and anything with limited sizes in stock; less for compact, easily reordered items.
5
Compute reorder points and order-up-to levels; check weeklyPut the numbers on a stock card per material. Order when any line reaches its reorder point, rounded to listed packs.
Lead time is the supplier's days plus your own. Safety stock is a choice you review. Reorder points turn both into a line on a shelf.

For the per-bottle formula, the pillars are how much fragrance oil to add and how to make a 100 ml diffuser; quantities for 100 bottles of 120 ml with density and filling losses covers one large batch. For buying size, 1 kg, 5 kg or 25 kg of base and one base or several for five fragrances affect how many lines your stock card has. The ₹10,000 starting budget is this section's hub, and the complete guide to starting a reed diffuser business ties every pillar together.

Different forecast, sizes or range? Replace the BOM and the forecast; the reorder-point arithmetic does not change. Bases are in Reed & Car Diffuser Base, oils in Fragrance Oils.
Why trust this guide

CANDLEMAKINGSUPPLIESINDIA supplies raw materials, not finished diffusers. Inventory advice from a supplier can drift towards "keep more stock". This page sets safety stock as a choice you review and cut, tells you to measure lead time yourself because we publish none, and flags where our own stock of an oil is limited this week. No volume discount or bulk base price is published; larger base quantities are quoted on WhatsApp.

Diffuser base, reed, bottle and tool prices are CSI live pricing, pulled 14 October 2026. Fragrance-oil prices are CSI live pricing, pulled 24 September 2026, stock re-checked 14 October 2026. Every gram split, per-bottle cost, pack total and margin on this page is computed and shown to two decimals so you can check it; ml ↔ g conversions use a labelled example density because none is published.

Bottle counts per arm, rest and hold checkpoints, scoring scales, fill volumes, reed counts and every non-CSI cost are labelled working practices or examples, not industry standards. The forecast, fills (105 ml and 45 ml), reed counts, 20% load, 1.00 g/ml density, 3% filling allowance, 7-day lead time, 3-day check and rest, 7-day safety stock and 30% festive uplift are labelled examples. Reorder-point and order-up-to formulas are standard inventory arithmetic. Frequently asked questions

How do I calculate a reorder point?
Reorder point = daily usage × lead time + safety stock. For reed diffusers, use an effective lead time: supplier delivery plus your incoming check and the 24–48 hour rest before bottling.
How much safety stock should a small reed diffuser business keep?
There is no standard figure. Start with a few days of usage per material — this page uses an example 7 — then raise it for single-source or limited-stock items and cut it where you never use it.
What is CSI's delivery time for reed diffuser materials?
CSI does not publish lead times. Record your own order-to-delivery times, and for quantities above the listed packs ask for an expected dispatch date on WhatsApp when you order.
How much reed diffuser base do I need per month?
Sum, over every SKU, bottles sold × fill × (1 − load), plus a filling allowance. In the example, 39,552 ml — 80 bottles of 500 ml.
Should I buy reed diffuser materials in bulk to save money?
On CSI's listed catalogue, larger oil packs are often priced close to the 100 g per gram, reeds stop getting cheaper after the 50-pack, and no bulk base price is published. Buy for stock security and convenience, sized by your reorder plan.
How do I plan reed diffuser stock for Diwali?
Raise that month's forecast one effective lead time early, recompute the order-up-to levels, and check stock on the oils you depend on before committing. Diwali 2026 is Sunday 8 November.
Plan the shelf, not the panic
Three numbers per material. A weekly stock card. Orders placed before they are urgent.
Pure Performance Base ₹1,099.00 for 500 ml; Gold Reed Diffuser Bottles 50 ml ₹826.00 and 120 ml ₹1,062.00 for ten; black fibre reeds ₹4,000.00 for 500. Send us your forecast and we will help you check stock on the oils you depend on and quote larger base quantities.

What CSI's product pages state (quoted as claims to test, not CSI test results): Pure Performance — neutral, "no added fixatives, no complex enhancements", for all fragrance families, start at 10%, up to a maximum of 30%, 20% recommended, typical working blend 75% base + 25% fragrance, rest 24–48 hours before bottling, flip reeds after the first hour; Longevity — oriental/amber, woody, resinous, spicy and gourmand families, avoid light florals, fresh citrus and aquatics, slower "cold diffusion", reduce the percentage if clouding occurs; Lift — floral, citrus, green and fruity families; Depth — chypre, leather, smoky and rich gourmand; Softness — soft florals, powdery/musky and light gourmand; all four 10–30% with a 24–48 hour rest. Reed pages: 20.3 cm long; "for a standard 50–100 ml diffuser bottle, 6–8 reeds gives a good balance" (the page's guidance, not a test result). CSI does not publish the composition, viscosity, density, evaporation rate, flash point or shelf life of any diffuser base; no throw, longevity or evaporation data for any base, oil or reed; no reed diameter; no bottle neck size or fill line; no IFRA percentage for any oil; no lead times and no bulk base price. No CSI base is ranked above another on this page: the pages differ in what they say each base is FOR, and those statements are claims to test. CSI sells fibre reeds, not rattan, and does not sell DPG, Augeo, perfumer's alcohol or IPM. Material costs exclude labour, packaging, freight and GST. Diwali 2026 falls on Sunday 8 November.
