"I have been using this melter for about 9 months now and it is simply the best. In terms of melting time, 10 kgs of wax melts in mere 20-30 minutes, the funnel is soo good, the wax is never stuck. I do not have to worry about temperatures at all, since the temperature knob does everything for me. Most of all, this is very very cost effective. Same thing is sold via ToAuto for ₹45,000 and in that too we need to get a step down converter worth ₹12,000 which is the worst thing., as the total investment then would be ₹57,000."

From the advance to the delivery note in eight gates: each with an owner, a document and an exit test, and no bulk money before the golden sample is signed.
40 days
order to delivery for the worked 500-candle wedding order, ₹1,10,396.60 of CSI materials · CSI live pricing, October 2026
Quick answers — read this first
How do I move a wedding order from sample to delivery? Through eight gates, each with an owner, a document and an exit test: G0 written order and advance → G1 golden sample approved → G2 formula frozen → G3 exact BOM signed → G4 materials in and checked → G5 production complete → G6 QC passed → G7 packed and delivered. Nothing passes a gate without its document.

How long does it take? In the worked 500-candle order, 40 days from the advance: sample approved day 17, bulk ordered days 18–19, materials checked day 25, production done day 34, QC day 38, delivery day 40 (Monday 16 November 2026).

When do I spend money with suppliers? ₹2,075.60 on the sample kit at G0; wax and wicks at G2 (cumulative ₹41,251.60); oil, jars, boxes and packing at G3, for ₹1,10,396.60 in all at CSI prices (₹220.79 a candle, before labour, freight, GST and your printing).

What must never be skipped? The signed golden sample (G1), the incoming lot check against it (G4, half a day), and cure plus a burn test of every batch (G6, three days of calendar time in the plan).
The short answer
The flow: order and advance → sample approval → formula frozen → exact BOM → bulk purchase and incoming check → production → QC → packing and delivery.
Your order: 500 × 160 g at 8% in clear 200ml Salsa; 535 pours; 85.60 kg of mix; 9 production days at 60 a day.
The settling numbers: 40 days order to delivery; CSI purchases ₹1,10,396.60 (₹220.79 a candle); bulk released only after G1.
The decision rule: no gate is passed without its document; if a gate slips, every later date moves by the same days, and cure and QC are never shortened to recover them.

The worked order in three lanes. The client’s time sits at G1 (deciding on the golden sample) and G7 (acceptance); your work runs through sampling, production, cure, QC and packing; CSI’s part is dispatching samples and bulk, which you confirm on WhatsApp. The spend line underneath stays almost flat until the golden sample is signed, then steps up at G2 and G3.
Straight answer
How do I move a wedding candle order from sample approval → final formula → exact BOM → bulk raw-material purchase → production → QC → delivery?
Run it as a sequence of gates, each with one owner, one document and one exit test, and do not start a step until the gate before it is closed. G0: a written order and the advance. G1: the client signs a coded golden sample (what they approve is 6359). G2: you freeze the formula on one sheet (wax, oil, load, wick, jar, fill, temperatures, cure). G3: you turn it into an exact BOM with packs and leftovers and place the bulk order after confirming stock, lots and dispatch on WhatsApp. G4: materials arrive and are counted, their lots recorded and a test pour compared with the golden sample. G5: production, with a batch sheet per melt and a first-off check each day. G6: QC after cure, with a burn test per batch and a full visual and weight check. G7: packing to a written spec and a signed delivery note. In the worked 500-candle order that is 40 days from the advance and ₹1,10,396.60 of CSI materials, nearly all of it spent after G1. If a gate slips, move every later date; never shorten cure or QC to win the days back.
One line: eight gates, eight documents, 40 days in the worked plan, and no bulk money before the golden sample is signed.

The worked order as numbers

A flow is easier to trust when every number in it is visible.

The title gives no figures, so this is a worked example to replace with yours: 500 wedding candles in the clear 200ml Salsa jar, filled to a worked 160 g (a 200 ml jar does not hold 200 g of wax; the fill is confirmed by a weighed test pour), 8% Bergamot Amber (12.8 g of oil and 147.2 g of wax each, load as a share of total weight), undyed Natural Soy Pearl Wax, Eco C2 wicks if the bracket confirms them. Extras: three client samples, five retains and five QC burn candles; loss buffer 4%: 535 pours, 85.60 kg of finished mix. You pour 60 a day. The order is worth ₹2,60,000.00 at your ₹520.00 a candle, with a 50% advance of ₹1,30,000.00; the wedding is 45 days away.

The gates, owners and documents

A gate is a question with a yes or no answer and a piece of paper behind it.
The eight gates · owner, document, exit test, day
Day 0 = written order and advance · days are labelled worked examples · practical judgement, not legal advice
Gate Owner Document Exit test Day
G0 · Written order and advance client + you order with quantities, approvals list, dates, advance receipt advance received; sample kit ordered 0 (Wed 7 Oct)
G1 · Sample approved client written yes naming the coded golden sample; twins kept golden sample signed 17 (Sat 24 Oct)
G2 · Formula frozen you formula sheet: wax, oil, load, wick, jar, fill, temperatures, cure nothing left to choose; wax and wicks ordered 18 (Sun 25 Oct)
G3 · Exact BOM signed you BOM and purchase sheet with packs and leftovers every line priced and confirmed on WhatsApp; ordered 19 (Mon 26 Oct)
G4 · Materials in and checked you + CSI invoices, lot numbers, incoming check sheet counts right, lots recorded, test pour matches the golden sample 25 (Sun 1 Nov)
G5 · Production complete you batch sheet per melt; first-off checks 535 pours, every batch matched to the golden sample 34 (Tue 10 Nov)
G6 · QC passed you QC log: cure dates, burn tests, weights, visual, labels cured, burn-tested per batch, 100% visual, rejects removed 38 (Sat 14 Nov)
G7 · Packed and delivered you + client packing list, delivery note, signed acceptance client signs for the count and condition 40 (Mon 16 Nov)

Three things make the gates work. One owner each: the client owns G1, you own the rest, and CSI owns nothing except what we confirm in writing on WhatsApp (stock, lots, dispatch). One document each, kept in one folder with the order. And a hard rule about slips: when a gate closes late, every later date moves by the same number of days. The delivery date in the order is a function of the gates, not a promise that survives them.

When a gate fails · what happens next
Worked consequences · the delivery date moves by the days lost; cure and QC are never shortened
Gate fails because What you do Days lost (worked) Money at risk
G1 · the client rejects both samples a second sample round with a new oil, same kit 13 (pour, cure, burn, courier, decision) one 100 g bottle, ₹560.00 or similar
G2 · the bracket burn is inconclusive add a wick rung and burn again before freezing 4–5 a 10-pack, ₹94.40 or ₹120.00
G3 · a line is not in stock in the quantity confirm an alternative on WhatsApp; a new jar or oil goes back to G1 0 if the item is wax; 13+ if it is the oil or jar nothing yet: nothing bought
G4 · a lot does not match the golden sample side-by-side test; ask the client to see it if the difference is visible 1–3 the lot, until resolved
G5 · rejects run above the 4% buffer stop, find the cause on the batch sheets, then top up 1–2 wax and oil for the extra pours
G6 · a batch fails its burn test hold the batch; diagnose; remake if needed 3+ (remake and cure) the batch’s materials

The table makes one thing plain: the expensive failures are the ones that happen after money is spent. A rejected sample at G1 costs a 100 g bottle and two weeks; a batch that fails at G6 costs the materials and a cure cycle, in the last week before the wedding. That is why the 5 days between delivery and the wedding in the worked plan are not slack to spend early: they are the only cover for a G6 remake. If your plan has no such gap, say so to the client before G0, not after G6.

Mistake: ordering the bulk oil "to save time" while the client is still choosing between two samples. Why it fails: if they choose the other one, you own kilos of the wrong oil, and the purchase was made against no document. Fix: G1 before G3, always. If time is short, shorten the client’s decision (book it in advance), not the gate.

G1 to G3: from signed sample to exact BOM

The formula sheet is the bridge between a sample the client liked and 535 candles that match it.

G1: the golden sample (day 17)

The sample kit arrives on day 4 (a worked figure; we do not publish dispatch times, so confirm on WhatsApp). You pour the approval candles and a wick bracket (C2 and Cotton Braided) in the Salsa jar, cure four days (the Bergamot Amber page says 48–72 hours for soy; many makers wait longer), burn-test for three, courier, and the client decides by day 17. The testing sequence for a fragrance you have never used is 6341; if the order also has a custom colour and packaging, the extra development days are in 6358.

G2: freeze the formula (day 18)

Write one sheet that leaves nothing to choose: Natural Soy Pearl Wax; Bergamot Amber at 8% of total weight; Eco C2 (the bracket’s result); clear 200ml Salsa filled to 160 g (with the weighed test-pour figure); add and pour temperatures as you used them in the golden sample, measured with a thermometer; stir time; cure before QC; and the golden sample’s code. Pearl wax’s page states no load ceiling, so the only stated limit is the oil page’s 10%, and the sheet records the load you tested, not the maximum. Whether the fragrance must be final before buying wax and wicks is 6345; here it is, because G1 is closed. Wax and wicks are ordered the same day: both are standard, reusable stock, and the wick size is now known.

G3: the exact BOM (day 19)

Exact BOM and purchase sheet · G3
CSI prices on 7 October 2026 · 500 × 160 g at 8% in clear Salsa · 535 pours incl. 13 extras and a 4% loss buffer · 1% heel · 2% piece buffers
Line Required Pack rounding Cost Leftover Gate

Eco C2 wicks 546 500 + 50 ₹5,192.00 4 G2
Bergamot Amber 6,916.48 g 13 × 500 g + 4 × 100 g + 50 g ₹37,854.00 34 g G3

Corrugated Box 11 x 11 x 8 cm 514 5 × 100 + 50 ₹12,331.00 36 G3
Candle Care Stickers Roll (1.5 inch) 503 1 × 1,000 ₹699.00 497 G3
Air Bubble Roll + Craft Paper Tape packing for delivery 2 rolls + 50 m ₹2,036.00 some G3
Bulk total (G2 + G3) ₹1,08,321.00

Every line follows the same steps: required (candles × grams, plus the extras), loss buffer, 1% heel allowance for wax left in pitchers, 2% for pieces, then round up to in-stock packs and state the leftover. Two rounding choices are worth seeing. The oil is bought as 500 g bottles because Bergamot Amber’s kilo costs ₹1.00 more than two 500 g packs. The wicks are 500 + 50 rather than one 1,000-pack, because C2 is flat per wick and the 1,000 would add ₹4,248.00 for wicks you do not need.

Argued against our own interest: we list a 1,000-wick pack and a 50 kg wax bag, and it would be easy to round everything up to our biggest packs. Don’t. C2 costs ₹9.44 a wick in any pack, and Pearl wax costs the same per kilo in 10 kg bags as in 50 kg; buy what the BOM says, with its leftovers stated, and keep the cash.

G4: bulk purchase and the incoming check

The bulk order is not finished when you pay. It is finished when you have checked what came.

Before you place the G3 order, send us the purchase sheet on WhatsApp and ask three things: is every line in stock in the quantity you need, can the oil come from one lot, and when can it be dispatched. We will tell you what we can confirm and what we cannot; we do not promise stock depth, lot continuity or transit times in advance. The worked plan assumes five days to arrival.

1
Count against the BOM13 × 500 g and the 100 g and 50 g bottles of oil; 80 kg of wax; 550 wicks, jars and boxes. Shortfalls are raised the day they arrive.
2
Record every lotWrite the lot or batch marks from the oil bottles and wax bags on the incoming sheet and the batch sheets.
3
Inspect the jarsOpen a sample of cartons: chips, cracks, odd shapes. Breakage beyond the 2% buffer is reported with photos.
4
Test-pour from the bulkOne or two candles from the bulk wax and oil, compared with the golden sample: colour of the set wax, cold scent, surface.
5
Compare lots side by sideIf the oil arrives in two lots, a cold sniff and a short burn of each against the retained sample before either goes into production.
6
Close G4 in writingThe incoming sheet is signed and dated; production starts the next day.

If a lot differs from the golden sample, it is a change, not a detail; what to retest when only the fragrance lot changes is in the change-control post on fragrance changes. If the client insists on a date you cannot make after a material problem, the honest options are a later date, a split delivery, or a smaller first delivery: the logic is in 6355.

G5 and G6: production and QC

Production repeats the golden sample 535 times. QC proves it did.

G5, days 25–34. 9 production days at 60 pours a day. Each melt gets a batch sheet: wax and oil lots, weights, add and pour temperatures, stir time, room temperature, candle count, the batch’s QC candle and retains. Each day’s first candle is compared with the golden sample before the rest are poured. If you run a large melter, melt to your wax’s working temperature checked with a thermometer, not to the top of the dial: the Electric Wax Melter page says it melts "10 kg of soy wax in approximately 30 minutes at 100°C", which is the maker’s claim and hotter than many wax pages’ working ranges. Mixing a 10 kg batch evenly has its own post (3150).

G6, days 34–38. The last candles cure three days (calendar time, not labour), then QC: a burn test of each batch’s QC candle (started on earlier batches while later ones were poured), a weight check on a sample from every batch against the 160 g fill, a 100% visual check (surface, wick centring, glass, lid, label), and the rejects counted against the 4% buffer. Cure that must be standardised across pour days is 3158.

What G6 checks, and what fails a candle
Practical judgement · the golden sample is the standard
Check How Fails if
Burn, per batch the batch’s QC candle, several sessions pool, flame or soot differ clearly from the golden sample
Weight a sample from each batch on a scale outside the tolerance you set on the formula sheet
Visual, 100% every candle under the same light cracks, wick off-centre, glass chips, sinkholes beyond your standard
Scent, per batch cold sniff against the retained twin clearly weaker or different
Labels and lids every candle wrong text, crooked label, loose lid
Watch the retains, not just the shelf
Bergamot Amber’s base lists vanilla, and its page gives no vanillin figure. Keep two retains on a windowsill and two in a dark box; if the windowsill pair yellows before the wedding, you will know before the client does, and you can tell them how to store the candles.

G7: packing and delivery

The last gate is where candles that passed QC get broken.

Pack to a written spec: each candle in a Corrugated Box (fit-checked at G2), wrapped or padded with Air Bubble Roll, boxes packed tight in outer cartons from your own supplier, cartons taped with Craft Paper Tape, marked "fragile, this way up" and numbered with a packing list inside each. Candle care stickers (CSI’s roll of 1,000 at ₹699.00) go on every jar. If you ship by courier, they commonly bill on actual or volumetric weight, whichever is higher; check your courier’s terms before quoting delivery.

The delivery documents
Practical judgement, not legal advice
Document What it says Who signs
Packing list per carton carton number, candle count, scent, batch codes you
Delivery note 500 candles, carton count, date client on receipt
Acceptance count and condition checked against the golden sample client, within an agreed window
Care note burn within sight, trim the wick, keep out of sun printed in each carton
Commercial protection (practical judgement, not legal advice): the order you sign at G0 should name the gates the client owns (G1 approval by a date, G7 acceptance within a window), say that bulk materials are bought only after G1, that the delivery date moves with late approvals, and that the balance is due on delivery or acceptance. The worked advance of ₹1,30,000.00 covers the ₹1,10,396.60 of CSI materials (85% of it) with room for your printing and labour, which is why the bulk can be bought without your own cash at risk.
This page is for you if you have a wedding order and want the whole route, with the documents, in one place. Read elsewhere if you want the detail of one step: testing a new fragrance (6341), what the client approves (6359), development time (6358), separate oil quantities on shared wax (6349), or moulded pieces (6357).

The CSI materials at each gate

The oil, wax, jar, wick and box in the worked BOM, with the gate at which each is bought. Nothing is ranked on performance; CSI publishes no burn data, which is why the golden sample, not a product page, is the standard.

1
fragrance oil · the worked approved scent
Bergamot Amber Fragrance Oil
The page describes "sparkling bergamot and citrus top notes, warm amber and soft floral heart, woody musk and smooth vanilla base" and states "6-10% for soy wax candles, cure 48-72 hours". The text we captured gives no vanillin figure, and the base lists vanilla, so the QC retains are worth watching for any yellowing over the weeks before the wedding (vanillin is one common cause; test, don’t assume). One kilo costs ₹1.00 more than two 500 g packs, so the bulk is bought in 500 g bottles.

Natural Soy Pearl Wax
Sold up to a 50 kg bag (₹21,240.00), the largest wax pack CSI lists. From 5 kg up it is ₹424.80 a kilo, 5.6% less than the 1 kg price, and 50 kg costs no less per kilo than 10 kg (₹424.80); so 50 kg + 3 × 10 kg is simply the fewest bags for 80 kg. The page describes a "pearlescent shimmer" and states no fragrance-load ceiling in the text we captured, so the oil page’s 10% is the only stated limit; the formula sheet records the load you tested, not the maximum.

Bought at G2, not G0: until the bracket burn has chosen C2 over Cotton Braided, the size is not known. The Thin (C1) 10-pack is out of stock on 7 October 2026.

The CSI principle
Eight gates, one owner and one document each, and no bulk money before the golden sample is signed.
When a gate slips, every later date moves with it; cure and QC are calendar time and never the days you win back.
"Every wedding order goes wrong somewhere. With gates, you find out at a desk, not at the venue."

Why trust this guide

CandleMakingSuppliesIndia sells the wax, oil, wicks, jars, boxes and packing materials in this plan and does not sell finished candles. This page still tells you to buy the 500 + 50 wicks rather than our 1,000-pack, to buy oil in 500 g bottles where the kilo costs more, and to hold every client-specific purchase until the golden sample is signed.

Every CSI price was checked on the live store on 7 October 2026; every pack offered is in stock on that date, and the Eco C1 10-pack, which is out, is not offered. CSI does not publish dispatch or transit times, stock depth or lot continuity: the five-day bulk arrival is a worked figure to confirm on WhatsApp.

The order, fill, extras, buffers, pouring rate, price, advance, gate days and calendar are labelled worked examples; prices and page wording are data. This is practical judgement, not legal or financial advice. For bulk pricing, stock and lot confirmation, GST invoicing, and MSDS and IFRA documentation on request, message us on WhatsApp at +91 7397976926.

Frequently asked questions

What are the steps in a wedding candle order from sample to delivery?
Written order and advance; golden sample approved; formula frozen; exact BOM and bulk purchase; materials in and checked; production; QC after cure; packing and delivery. Each step closes with a document before the next begins.
How long does a 500-candle wedding order take?
In the worked plan, 40 days from the advance: about 17 days to an approved sample, 6 days to get materials in and checked, 9 days of production at 60 a day, 3 days of cure, then QC, packing and delivery.
When should I buy bulk materials for a wedding candle order?
After the client signs the golden sample. Reusable items such as wax and the confirmed wick can be ordered the day the formula is frozen; the oil, jars and packaging follow once the exact BOM is signed and stock is confirmed.
What should a candle formula sheet include?
Wax product, oil and load as a share of total weight, wick, jar and fill weight, add and pour temperatures, stir time, cure before QC, and the golden sample’s code. Anything not on the sheet will vary between batches.
What quality checks should I do before delivering wedding candles?
After cure: a burn test of each batch’s QC candle, a weight check from every batch, a 100% visual check of surface, wick, glass and labels, and a cold sniff against the retained sample.
How should wedding candles be packed for delivery?
Each candle in an inner box, padded, packed tight in numbered outer cartons marked fragile with a packing list, and handed over against a signed delivery note. Check your courier’s volumetric-weight terms before quoting.

About this guide: part of CSI's cluster "Wedding orders and customisation" (6341–6360) in the series on bulk corporate and wedding candle orders × raw materials. It is the end-to-end playbook for a wedding order: eight gates with owners, documents and exit tests, a worked 500-candle timeline with CSI purchases at each gate, the exact BOM, the incoming check, production and QC, and delivery packing.

Customer reviews: The six reviews at the top of this page are genuine, published Judge.me reviews left by CSI customers on the product pages named on each card — Clear Glass Jar with Golden Lid (150 gram), Eco Candle Wicks, Luxury Soy Wax CSI 464 (Flakes Form) For Container Candles, Luxury Soy Wax Chunks for Jar / Container Candles, Premium Coconut Soy Wax, WAX MELTER FOR CANDLE MAKING. They are general product reviews, not assessments of the bulk-order advice on this page. Names, star ratings, dates and products are as recorded by Judge.me and wording is unedited. "Verified buyer" appears only on reviews Judge.me recorded as verified — Kaushiki Satarkar, Jaya Sawlani, Subhankar Roy, Soumili Gope, Manasa GN. The reviews from Sonal Sahani are published but not recorded as verified, and carry no badge. Reviews below five stars are included as published, not filtered out.

Non-price figures: the title gives no figures. The 500-candle order, 160 g fill (total-weight basis, 12.8 g oil + 147.2 g wax), 13 extras, 4% loss, 1% heel, 2% piece buffers, 60 pours a day, ₹520.00 price, 50% advance, every gate day, the 5-day transit, 3-day cure and the 45-day wedding are labelled worked examples. Bergamot Amber’s page states 6–10% for soy and a 48–72 hour cure; Natural Soy Pearl Wax’s captured text states no load ceiling. The melter page’s melt-time claim is attributed, not tested. This is practical judgement, not legal advice.
