How much fragrance oil should I order for a large run? Forecast candles per scent × oil per candle, plus a 3–5% allowance for loss, plus safety stock on the scents most likely to outsell the forecast. For our 3,000-candle run: 48 kg + 2.4 kg + 3.12 kg = 53.52 kg.

How much safety stock should I hold? As a working rule: 10% on proven leaders, 5% on established scents, none on new ones. On 3,000 candles at 16 g, 10% across the whole run would be 4.8 kg, enough for 300 extra candles. See the safety grid.

Why no safety stock on new scents? Because you do not know which way a new scent will miss. Extra oil on a scent that underperforms is a write-off; extra oil on a leader is a sale. Reorder a new scent when it proves itself.

How much fragrance oil should I order for a large candle production run?
Build the order from three layers. The forecast: candles per scent × oil per candle — 16 g for a 200 g candle at 8%, with load as a percentage of the finished candle. The allowance: 3–5% for oil lost in jugs, top-ups and confirmation pours; it will be used. Safety stock: extra oil held against the forecast being too low, placed on the scents you have sales evidence for. As a working rule we use 10% on proven leaders, 5% on established scents and nothing on new ones. For our featured run of 3,000 × 200 g candles across six scents, that is 48 kg poured, 2.4 kg of allowance and 3.12 kg of safety stock: 53.52 kg to order. At listed prices the oil costs ₹2,93,706.60, of which ₹16,570.40 is the safety layer. The logic is asymmetric on purpose: running out of a leader loses sales you could have made, while extra oil on an unproven scent is a write-off. Safety stock is inventory, not waste — if the run sells to forecast, it opens the next run.

The run by size and load

Before safety stock, there has to be a forecast. Before a forecast, there has to be a candle.

The table sizes a 3,000-candle run at the four common candle sizes and three loads. The first figure in each cell is the oil poured into the candles. The second is what to order once the 5% allowance and this run's blended safety stock (6.5% of the pour, from the tiering below) are added. Load is a percentage of the finished candle weight.

At 200 g and 8% the run pours 48 kg and orders 53.52 kg. The ordered figure scales exactly like the poured one, so if your candle or load changes, recompute the pour first and apply the same percentages. Confirm the load before you add safety to it
Luxury Soy Wax Chunks are rated up to 13% fragrance load and Luxury Soy Wax CSI 464 up to 10%, the wax maker's stated maximums, not regulatory limits. Each oil's IFRA limit is on its product page or its IFRA certificate on WhatsApp. Safety stock multiplies whatever load you plan, so a load that is too high is over-bought twice.

How much safety stock

Safety stock is oil you expect not to need, held because the forecast might be low. The right amount depends on how good your forecast is, how fast you can reorder and what a stock-out costs you. For a small manufacturer without a statistical forecast, a tiered percentage is honest and workable. These are working assumptions, not rules; adjust them to your own history.

Read the extra-candle figure as a question: if the leaders sell that many more candles than forecast, would you want to pour them this run, or wait for a reorder? If your reorder takes a few days and the run is spread over weeks, a smaller safety margin is fine, because you can buy more before you run out. A flat 10% across every scent buys insurance on scents that are more likely to under-sell than over-sell. Tier it: leaders carry the margin, new scents carry none, and the saving pays for the leaders' cover.

Without safety stock the same six scents would cost ₹2,77,136.20; the safety layer adds ₹16,570.40, or 6.0%. It is concentrated where it should be: Dark Vanilla Oud and Verbena carry 2,400 g of the 3,120 g. The two new scents are ordered to forecast plus allowance only; if either takes off, reorder it mid-run.

Argued against our own interest, plainly. The easy advice is "order 20% extra of everything". On this run that would buy about 9.6 kg more oil than the pour, spread evenly across scents that will not sell evenly. The tiered plan buys 5.52 kg beyond the pour and puts most of it on the leaders. Less oil, better cover. If you want more insurance, raise the leaders' margin, not everyone's.

When the forecast is wrong

Forecasts are always wrong. The question is whether the order still works when they are.

The table shows, for each scent, how much oil the order leaves after the forecast pour (allowance, safety and bottle rounding together), and how many extra 200 g candles that could pour if nothing were lost. This is the room each scent has to beat its forecast before you need to reorder.

In practice some of the allowance is lost, so the real room is a little smaller. The leaders can absorb a meaningful upside; the new scents can absorb only what bottle rounding gives them. That is deliberate. If a new scent is selling faster than forecast halfway through the run, that is the evidence you needed, and a mid-run reorder costs far less than a shelf of unsold oil if it had gone the other way.

Pack traps at run scale

At run quantities the price ladder matters again, and one oil in this run shows why. Saffron Cedarwood is listed at ₹2,584.20 for 500 g (₹5.17 a gram) and ₹6,867.60 for 1 kg (₹6.87 a gram). Two 500 g bottles cost ₹5,168.40, ₹1,699.20 less than one kilo. Its run order is therefore built entirely from 500 g bottles. Sage and Cedarwood has the same shape. Anyone rounding to kilos by habit would overpay by about a third on this scent.

Assuming the kilo is always the bulk size. On most oils the 1 kg and 500 g cost the same per gram. On 24 oils the kilo saves 5% or more per gram, Citronella as much as 62.3%. On Saffron Cedarwood and Sage and Cedarwood the kilo costs more per gram than the 500 g. The other ladders in this run behave normally. Verbena's 1 kg is 20.0% cheaper per gram than its 100 g, one of the larger kilo savings in the catalogue. Ylang Ylang Flower saves 10.0% at 1 kg. Dark Vanilla Oud, Spicy Cinnamon and Spicy Raspberry are close to flat from 500 g up. None of that changes how much oil to order; it changes which bottles to put it in.
