How to Avoid Running Out of Best-Selling Candle Fragrances

Why best-sellers run out first

Stockouts do not happen evenly across a range. A slow scent bought by the kilo can sit for months; a best-seller bought by the kilo can vanish in a fortnight. The best-seller also has the most to lose. When it runs out, customers who came for it either wait, switch, or leave, and in the weeks before Diwali on 8 November a gap of a few days can mean a whole festive batch that never gets poured. Yet most makers apply one rule to every scent — one order a month, one kilo each — which gives the slow lines far more protection than they need and the best-sellers far less.

Put a number on it. In the worked range below, British Rose is poured at 2,400 g a month, about 560 g a week. One week without it is about 35 candles of 200 g at an 8% load that are not poured. The same week without Jasmine Coconut Spa Ceylon, at 100 g a month, is about 1.5 candles. Protection should follow that ratio. Rank your scents A, B and C

ABC analysis is a simple ranking. List every scent with its monthly usage in grams, from your pour records rather than your memory. Sort from highest to lowest. Add a running total as a percentage of all oil poured. The scents that take the running total to roughly 70% are A; the next ones to roughly 90% are B; the rest are C. The cut-offs are conventions, not laws; adjust them so the A list is short enough to watch closely. Here is a worked ten-scent range. The monthly figures are illustrative, not CSI sales data:

Three scents — British Rose, Dark Vanilla and Eucalyptus Spearmint — make up 70.1% of all the oil poured. Three more make up the next 21.0%. The last four together are 8.9%. It is a shape you are likely to find in your own records too: a short list of heavy scents and a long tail of light ones.

The last column ranks the same scents by value: monthly grams × each oil's 1 kg price per gram. It usually agrees with the usage ranking at the top, but not always further down. Dark Vanilla, at ₹7.65 a gram, is first by value even though it is second by grams. Further down, Citrus Lemon, at ₹2.83 a gram, drops from 5th by grams to 7th by value, while Coffee Vanilla Tobacco, at ₹8.60 a gram, climbs from 7th to 6th. Rank by grams to decide stockout protection, because grams are what run out. Check the value ranking to decide where cash is tied up, and to spot an expensive scent that deserves more watching than its volume suggests.

Different rules for each class

Once the range is ranked, each class gets its own rule. The rules deliberately spend protection unevenly. An A scent gets a reserve and a supplier check; a C scent gets neither, because running out of a C scent for a week costs a handful of candles and is easily fixed with a 100 g order. Most of the benefit comes from a short list. In the worked range, the reserve for three A scents and three B scents costs ₹18,335.96 once; spreading the same two-week reserve across all ten scents would tie up cash in stock that rarely matters.

Dual-size buffering

Dual-size buffering has two halves. On your shelf: the production pack in use, plus a sealed reserve in a smaller size. The reserve is only opened once the replacement order has been confirmed, and it is replaced as soon as that order arrives. Using a smaller size for the reserve keeps it flexible (How to Buy Candle Fragrance Oils in Bulk Every Month shows which sizes carry no per-gram penalty): two 500 g packs can be opened one at a time, and a sealed pack stays in better condition than a half-used kilo. At your supplier: the scent should be in stock in at least two sizes, so that if the production size is missing on the day you order, you can buy the same grams in the other size and keep pouring. Every scent in the range passes, but look at Chocolate Fudge: its 100 g was out of stock on the pull date. Its 50 g, 500 g and 1 kg were in stock, all at ₹3.96 a gram, so its B-class one-week reserve is built from 50 g packs instead. Some scents in the wider catalogue are not so lucky: Vetiver's 1 kg and Freshwater (BBW Inspired)'s 500 g and 1 kg were out of stock on the same day. Across the whole collection, 60 oils were in stock at both 500 g and 1 kg, 72 at both 100 g and 1 kg, and 47 at every size. An A scent should come from that group.

When a best-seller is running out anyway

Even with a reserve, a festive rush or a long delay can push an A scent toward zero. Decide the drill in advance, so nobody improvises under pressure:

Building the reserve

Here is the one-off order that builds the reserve for the worked range: sealed packs for the three A scents and three B scents, nothing for the C scents. After this order, the reserve is only topped up when it is used.

That is 4.10 kg of sealed oil, about 256 candles of 200 g at 8%, protecting the six scents that carry 91.1% of the range's pouring. It excludes the monthly production order itself, and wax, wicks, jars, labour, packaging, freight and GST. Store the reserve sealed, cool and away from light, rotate it into production when you replace it so it never sits for long, and log every opening.
