Which fragrances are safest for corporate and wedding orders? Low-risk families that a large mixed group will accept, with 0% vanillin where the wax is white and the candles will sit in cartons for weeks. From CSI's list: British Rose (₹3.07/g, 0% vanillin, flash point 192°C), Jasmine (₹3.92/g, 0%, 185°C), Eucalyptus Spearmint (₹3.07/g, 0%, 199°C) and Citrus Lemon (₹2.83/g, 0%) for offices.

How many scents should a bulk order have? One for anything under about 300 units, two at most. Every extra scent multiplies your testing, splits your batch records, doubles the chance of a mixed carton reaching the client and halves the pack size you can buy each oil in. If the client wants variety, give it to them in packaging — ribbon, label, card — not in the melt.

How long does a 250-candle order take? Plan 45 days from enquiry to delivery: about a week to shortlist and pour samples, a week for the client to burn them and sign off, a week for oil and jars to arrive, one pour day, then 14–21 days of cure before labelling and dispatch. Materials for 250 favours are ₹24,563.50; buying in full packs costs ₹25,085.80.

What documentation do corporate buyers ask for? A GST invoice, a product and care sheet for the finished candle, and increasingly the safety paperwork behind your materials. The finished-candle labelling, care card and any claim you make about your own product remain yours.

Pick for the room, not for your taste: one scent, a low-risk family, and a load inside both the wax ceiling and the oil page's stated range — the lower stated figure governs.
Sample and get it in writing: three candidates poured in the client's final jar, burnt by the client in the actual room, then a sign-off naming scent, load, wax, jar and cure. A three-scent sample round is about ₹1,577.40.
Work backwards from the date: delivery day minus 4 for packing, minus 14–21 for cure, minus 1 for the pour, minus 7 for stock to arrive, minus 14 for sampling and approval. That is 45 days, and it is not compressible at the cure end.

The schedule a 250-candle client order actually needs, counted back from delivery day. Deliberately left out: courier transit, which varies by route and is yours to confirm, and any second cure for a re-pour — if the brief cannot carry a 14–21 day cure, re-scope the order rather than the cure.

How do I choose the fragrance for a corporate or wedding order I cannot afford to get wrong?
Choose for the room and the risk, then prove it before you buy in bulk. A retail customer picks your candle because they like the scent; a client order is received by three hundred people who did not choose it, in a hall, an office or a hamper, weeks after you poured it. So work down four filters. Family: stay in the middle — soft florals, fresh herbal and light woody families are accepted by mixed groups, while heavy gourmands and strong spice divide a closed, air-conditioned room. Colour stability: corporate candles sit in cartons under storeroom heat, so for white or pale wax choose oils whose pages state 0% vanillinBritish Rose at ₹3.07/g, Jasmine at ₹3.92/g, Eucalyptus Spearmint at ₹3.07/g, Sandalwood at ₹5.03/g — and save the vanilla-led oils for dark wax, tins or a range where warm toning is part of the look. Supply depth: pick an oil that exists in 500 g and 1 kg packs with stock behind it, because the reorder in six months must smell identical. Load: set it inside both ceilings, with the lower stated figure governing, and write it on the approval sheet. What a corporate or wedding buyer is actually buying

A bride picks a scent she loves. A procurement manager picks the one that generates no complaints.

The two briefs look similar on WhatsApp and are completely different in practice. A wedding order is emotional, decided by one or two people, tied to an immovable date, and usually wants something recognisably Indian and floral. A corporate order is defensive, decided by a committee that will not smell the candle until it arrives, tied to a financial-year or festival deadline, and wants something no employee will object to and no client will find strange. In both cases the single thing you are selling is certainty: the same candle, the promised number of units, on the promised day.

Which means the enquiry you have received is almost never a complete brief. Before you quote a rupee, get the eight answers below in writing. Half of them change the scent, and two of them change whether you should take the order at all.

Quoting on WhatsApp before the date is confirmed. The commonest way a candle maker loses money on a client order is agreeing to a delivery date that leaves eight days between pour and dispatch, then shipping candles that are four days old. They smell weaker than the sample the client approved, the complaint arrives after the event, and there is nothing to fix. Ask for the date first, count backwards, and if the answer is no, offer a smaller size or a later date rather than a shorter cure.

Building the shortlist: four filters and what the pages publish

You are not looking for the best scent. You are looking for the one with the fewest ways to go wrong.

Filter one is family. Soft floral, fresh herbal, light citrus and creamy woody families are the middle of the road, and the middle of the road is where client orders belong. Heavy gourmands — vanilla, coffee, cacao, caramel — are wonderful in a retail range and risky in a 300-person office, because in a closed, air-conditioned room a sweet base reads as strong very quickly. Strong spice has the same problem. This is editorial judgement and general trade practice, not measured data, and you should test it in the client's own room.

Filter two is colour stability, which matters far more for client orders than for retail because the candles are made weeks before they are seen. Oil pages that publish a vanillin figure make this easy: British Rose, Jasmine, Eucalyptus Spearmint, Sandalwood and Citrus Lemon all state 0% vanillin; Gardenia Tuberose states 0.2% and a minimal risk. Filter three is supply depth: an oil that exists in 500 g and 1 kg packs, in stock, is an oil you can reorder in identical form. Filter four is load headroom: check the oil page's stated range against your wax grade's stated ceiling and let the lower stated figure govern.

Two honest notes on Indian briefs. Mogra is the name most Indian wedding clients say first, and CSI's Mogra Fragrance Oil page is currently unavailable — so for a mogra brief the in-stock route is Jasmine at ₹3.92/g or Raat Ki Rani at ₹6.77/g, sampled side by side and named honestly on your own label. And a low flash point is not a quality problem: it is a transport, storage and handling property. But for the low figures on CSI's list — Neroli 85°C, Palo Santo 93°C, Gardenia Tuberose 98°C — add at the cooler end of the 80–90°C window and do not hold the melt hot while you fill 250 jars.

White wax, four weeks in a carton: the vanillin question

Retail candles are seen in days. Client candles are seen after a month in a storeroom.

Vanillin is the compound behind most warm, sweet, bakery and amber bases, and where it is present the pages say so plainly. In white or undyed soy it tones the wax towards cream, amber or pale brown over weeks, faster in warmth and light. It is a cosmetic change — the candle burns and smells as intended — but a corporate buyer who approved a white candle and receives 300 ivory ones will not accept a chemistry lesson, and a bride will not accept it at all.

Approving a sample on day 3 and delivering on day 35. Colour drift and throw development both happen on the client's timescale, not yours. Pour one extra sample candle from the approved recipe, keep it on your own shelf, and look at it on the day the order ships — that single candle tells you what the client is about to open. AGREE THE COLOUR IN WRITING
If the client wants a vanilla-led scent in a pale candle, do not argue and do not silently substitute. Put one line in the approval: “wax may tone to cream or light amber during storage; this is cosmetic and expected with this fragrance.” Signed, dated, and attached to the quote. Nine clients in ten accept it once; none accept it after delivery.

Sampling and the approval that protects you

A signed sample is not bureaucracy. It is the only evidence that the candle you delivered is the candle they chose.

3 · Let the client burn them in the actual roomPost or hand over all three, unlit, with a note asking them to burn each for three hours in the room where the candles will be used, on separate days, with the fan off for the first hour. A hall, an air-conditioned cabin and a home living room are three different acoustic spaces for scent, and the client's own room is the only test that counts. Ask for a preference in writing, not on a call.

4 · Convert the choice into a one-page approvalName the scent and the supplier's product name; the load as a percentage of wax weight; the wax grade; the jar and fill weight; the wick; the cure length before dispatch; the expected colour and any toning; the unit price and quantity; the delivery date. Both parties sign. Keep one of the approved sample candles yourself, labelled with the batch code — that is the candle you compare the production run against before it ships.

One more thing that belongs in the approval and almost never appears there: what happens if the client changes the scent after sign-off. A scent change after you have bought 1.5 kg of one oil is a real cost, not an inconvenience, and it is far easier to agree a rule in advance — a change fee, or the previous oil retained by the client at cost — than to negotiate it under deadline.

Oil is ordered in grams and bought in packs. The gap between the two is a line in your quote.

The arithmetic is simple and worth doing before you name a price. A 70 g favour at 8% of wax weight takes 5.6 g of oil; 250 of them take 1.4 kg, which you buy as a 1 kg pack plus a 500 gm pack. A 150 g corporate candle at the same load takes 12 g; 300 of them take 3.6 kg. Note what that does to your ordering: the favour order fits in two packs of one scent, and the corporate order needs four — which is exactly why one scent per order matters more than any other decision in this page.

Build two habits into the quote from these numbers. First, quote from full packs, not from consumed grams: the favour order consumes ₹24,563.50 of materials but costs ₹25,085.80 to buy, a ₹522.30 difference that is yours to carry or to price in. Carrying it is often right, because the leftovers are usable stock — half a kilo of wax, 100 g of a scent you now know the client likes. Second, build in breakage and rejects: pour about 3% more than the order, so 258 candles for a 250-unit order. The spares cover a chipped jar, a wick that drowns and the two candles you keep as evidence.

On jars, take the honest lesson from CSI's own reviews: one verified reviewer likes the material of our tin jars but notes that some arrive with small dents, and another mentions high delivery charges. For a client order, that means two things — open and inspect every carton the day it arrives, not the day you pour, and consolidate your order into one consignment rather than three, which is also the practical answer to freight cost. Lead time: counting backwards from the delivery date

Every part of this schedule can be squeezed except the one in the middle.

The diagram above is the schedule; this is what each gap is for and where it can flex. Sampling and approval (days −45 to −30) is the part clients compress, and it is the part you should protect hardest, because everything after it is committed spending. Stock arrival (−28 to −21) flexes if you already hold the oil — one good reason to standardise client orders on two or three oils you keep in stock. The pour (−21) is one day for 250 candles if the melt is batched properly. The cure (−21 to −7) does not flex: the Luxury Soy Wax Chunks page asks for at least 48 hours and ideally 1–2 weeks, some oil pages give 24–48 hours as the earliest a candle can fairly be test-burned, and standard practice for soy container candles is 14–21 days before the throw is what it will be. Labelling and packing (−4) flexes with the number of hands you have.

Two Indian scheduling realities to put in your calendar rather than your hopes. Diwali 2026 falls on 8 November 2026, so corporate gifting orders for it should be poured by about mid-October to allow a 14–21 day cure plus courier time — and the enquiries arrive in the last week of September, which is already too late for a 45-day schedule on a new scent. Wedding season concentrates the same problem into fortnights, with the added twist that the delivery address is often a venue rather than a home, so the candles must arrive a day or two early and be storable. Quote both realities as dates in the quotation, not as caveats in a chat.

What buyers ask for on paper — and what CSI can and cannot give you

The paperwork is where a hobby order and a business order stop looking alike.

Corporate buyers are used to vendors who can produce documents. Finally, the question nobody asks until it is too late: can you supply this again in six months? A corporate client who liked 300 candles will want 300 more, and a wedding planner who liked your favours will pass your number on. That reorder is only easy if the oil is still in stock in the same pack sizes. Before you commit a client to a scent, check its depth — and prefer an oil with 500 g and 1 kg packs and healthy stock over a single-size listing, however lovely it smells. What is the safest fragrance for a corporate gifting order?
A fresh, clean or soft floral scent with 0% vanillin if the wax is white. Eucalyptus Spearmint at ₹3.07/g (page: soy up to 10%, flash point 199°C, 0% vanillin) and Citrus Lemon at ₹2.83/g (page: soy 6–10%, 0% vanillin) are the two that cause fewest objections in offices; Sandalwood at ₹5.03/g is the unisex festive choice. Sample in the client's own room before committing: there is no data that ranks scents for offices, and anyone who tells you otherwise is guessing.
How much fragrance oil do I need for 250 wedding favour candles?
At 70 g of wax per favour and 8% of wax weight, each candle takes 5.6 g and the order takes 1.4 kg — ₹6,244.00 of Rajnigandha by weight, bought as a 1 kg pack plus a 500 gm pack for ₹6,760.00. Pour about 3% extra for breakages and retained samples, which takes the working figure to roughly 1.45 kg. Materials for the whole order come to ₹24,563.50, or ₹25,085.80 bought in full packs.
Can I use two or three different scents in one bulk order?
You can, and it costs more than it looks. Each scent needs its own sample, its own approval, its own batch and its own smaller oil pack, and mixed cartons are where delivery errors happen. For orders under about 300 units, run one scent and vary the label, ribbon or box. If the client insists on variety, quote a per-scent set-up charge that reflects the smaller packs and the extra pour day — and keep each scent in its own batch with its own batch code.

Forty-five days for a new scent, and about 25 if you already hold the oil and the client accepts a scent you have sampled before. The unshrinkable part is the 14–21 day cure: the Luxury Soy Wax Chunks page itself asks for at least 48 hours and ideally 1–2 weeks, and soy throw keeps developing past that. For Diwali 2026 on 8 November 2026, that means pouring by about mid-October and taking the order in September.
What should I do if a wedding client wants a scent that will yellow the wax?
Say so, in writing, and offer three routes: the same scent in a dark or coloured jar or tin; a 0% vanillin alternative from the shortlist, sampled side by side; or the scent as requested with a signed line accepting that the wax may tone to cream or light amber in storage. Vanillin-led toning is cosmetic, and the pages state it plainly — Cinnamon Vanilla 2.5% vanillin with a moderate discolouration note, British Rose 0% with none. Never substitute a scent quietly; keep the approved sample candle as your reference.
