Yes, and the reason is not that your team is careless

Every time someone calculates 8% from scratch, you are running a fresh experiment on the formula.

When one person makes candles, the calculation lives in their head and is checked by habit. Once two or three people make batches, each one brings a different way of doing the sum. One multiplies the wax by 0.08. Another divides the total by 12.5. A third copies last week's numbers without noticing the batch size changed. None of them is being careless; they are each solving the problem slightly differently, and the formula quietly becomes three formulas.

A fixed production sheet removes the calculation from the production floor. The maths is done once, checked once, and printed. The person at the melter reads a number and weighs it. That is the whole point: fewer decisions at the moment when people are handling hot wax, heavy cartons and a clock.

How to build fixed sheets that match your real equipment

A good sheet is built around the batch sizes you actually run, not round numbers you wish you ran. This matters because equipment rarely holds its label capacity. Weigh one real fill of your own melter before you print anything.

List your real batch sizes.Write down every scented-wax quantity you genuinely make, based on weighed fills rather than labels. For a 10 kg melter that may be 8 kg rather than 10 kg.

Lock one sheet per product.Each fragrance and wax combination gets its own sheet with its own version number and date. Different oils may use different loads; never let a sheet carry a blank percentage.

The 5% wastage is a planning allowance, not a measured loss. Replace it with your own figure once you have weighed your real residues over several batches.

Prove the sheet before you trust it

A new sheet is a process change, and process changes need proof. The simplest trial is to run the sheet alongside the old habit for a short period and compare.

For the next three batches, as a suggested starting point, ask the weigher to record what the sheet says and, separately, what they would have calculated themselves. Do not let them use their own figure; the sheet is the instruction. Afterwards, compare the two columns. Every mismatch is an error the sheet just prevented, and it tells you which person or which step needed the sheet most.

Then burn-test a candle from each sheet-made batch beside a retained candle from your approved batch. Same jar, same wick, same cure period of at least the product page's stated minimum. If they match by smell, the sheet is doing its job. If they do not, the problem lies elsewhere, and you have eliminated the calculation as a cause.

Past batches you now suspect. Go back through the old notes and recompute the actual load for each batch from the weights recorded. Any batch outside your accepted band should be traced to its candles. If they are still in stock, hold and test them against a 1 kg control at 920 g wax and 80 g oil. If they have shipped, note the lot so any complaint can be matched quickly.
Batches with no recorded weights. You cannot reconstruct those. Keep any unsold candles from them as a separate lot, test a sample against the control, and decide on release after the burn. From now on, no batch leaves the melter without both weights written down.

What a sheet cannot fix, and what goes on it anyway

A sheet prevents calculation errors. It does not prevent someone weighing 1.6 kg of oil on a scale that reads 50 g high, adding the oil above its flashpoint, or pouring half the batch before it is fully mixed. Treat the sheet as the backbone of a batch record, not a guarantee.

The oil lot matters more than people expect. With Bergamot Amber, for example, the product page describes how the character changes: at 6% bergamot leads, at 8% it is balanced, and at 10% the amber comes forward and the vanilla and musk base become more prominent.
