Which stage is most often skipped? Real-time ageing. It takes time, but it is the only evidence that supports holding stock or setting a shelf life.
Can a heat test replace real-time ageing? No. A controlled warm-cabinet test compares options under stress; it cannot be converted into a shelf life.

One system, seven gates, one rule
A commercial fragrance approval system exists so that no oil reaches a bulk order on enthusiasm alone. It moves each candidate through seven stages — sample purchase, candle formulation, initial burn testing, real-time ageing, heat exposure, supplier QC and bulk ordering — and it has one rule: an oil does not pass a gate until the record for that gate is complete. Skipping a gate is allowed only if you write down why.
The worked example follows Eucalyptus Spearmint from a CSI 100 g sample to a 10 kg order. The page gives a flashpoint of 199°C, 0% vanillin, up to 10% in soy and up to 6% in paraffin, and rates it “moderate to strong” — the page's own rating, not a measurement. The target product is a 200 g candle in CSI 464 in the 200 ml matte jar, at 8%, so 184 g wax and 16 g oil.

Gates 1 and 2: sample purchase and formulation
The sample stage buys enough to make a meaningful test set — not one candle. A suggested starter kit from CSI, at listed prices:

That kit makes six scented candles (6 × 16 g = 96 g of oil) and one unscented control, using 7 × 184 g = 1,288 g of wax, with jars and wicks to spare for a wick comparison if needed. It excludes packaging, labels, labour, shipping and GST. A scale is assumed; if you do not have one, CSI's is ₹354.00.
Formulation fixes the variables. Write a one-page sheet before pouring: oil and lot, load as % of total candle weight, wax and lot, jar, wick, add temperature (below the 199°C published flashpoint, at your normal process temperature), pour temperature, and cure. Every candle in the set is poured to that sheet, coded on the base.
At the sample gate itself, check two things on strips before pouring anything: that the oil's character fits the product brief, and that it is clearly distinct from oils already in your range. Rejecting a near-duplicate here costs nothing; discovering it after ageing tests costs months.
Gate 3: initial burn testing
Assess after the page's stated soy cure of 48–72 h, then again at a later point you choose, such as day 7. Cold throw is judged blind with lids lifted in coded order. Hot throw and burn are judged in matched, supervised sessions against your current benchmark oil in the same jar. Record melt pool progress, flame, any smoke or soot, and whether the character changes as the candle burns down. Never leave a test burn unattended.
Choose the benchmark before you light anything
Gate 3 needs something to beat. For a fresh, minty candle, the benchmark is usually the oil currently in that slot of your range, or, for a new slot, the best candle you already sell in the same jar. Pour the benchmark fresh on the same day as the candidate so both start their cure together; a benchmark candle that has sat for months is not a fair comparison. Use at least two assessors who did not pour the candles, in the same room at the same time of day.
The gate closes when the candle meets your written standard — not when it “smells nice”. If the wick is wrong, go back to gate 2 with one change, not forward with a note to fix it later.
Gates 4 and 5: real-time ageing and heat exposure
These are the gates most often skipped, and the ones a bulk order most depends on. Real-time ageing keeps three of the six candles lidded, in your real packaging, at your real storage position, alongside the unscented control. Check them at points you choose — day 30, 60 and 90 are suggested starting points — against a freshly poured candle from the same oil, blind. The control tells you whether any change is coming from the wax.
Heat exposure compares options under stress. Hold one candle of the candidate and one of your benchmark oil together in a controlled warm room or cabinet, with a thermometer, supervised — for example 35°C for 14 days, or cycles of 12 hours warm and 12 hours cool, as starting points you choose. Never use a kitchen oven, stove, car boot or open flame. Then compare both with unheated twins.

Gates 6 and 7: supplier QC and bulk ordering
Supplier QC has two parts. Documents: ask on WhatsApp (+91 7397976926) for the IFRA certificate and MSDS for Eucalyptus Spearmint, and for any storage and shelf-life guidance for the lot you will receive — CSI's oil pages publish none, so get it in writing. Lot control: when the first production quantity arrives, record the lot, compare it blind with your retained sample, and make confirmation candles if anything differs.
Bulk ordering is a calculation, not a feeling. Maximum sensible order = monthly use × months your ageing record supports − stock held. Suppose the reader's plan is 300 candles a month: 300 × 16 g = 4,800 g, or 4.8 kg a month. If the ageing record supports 3 months so far, the ceiling is about 14.4 kg; a 10 kg order at 10 × ₹3,068.00 = ₹30,680.00 sits inside it. CSI lists no oil pack above 1 kg, so 10 kg is ten 1 kg packs at the listed price or a WhatsApp quote; there is no published bulk discount.
Close the loop. The bulk order is not the end of the system; it is the start of lot control. Every later delivery re-enters at gate 6, and any change of wax, jar or wick sends the formulation back to gate 2. Review the whole record at least once a year, and never let the existence of an approval file turn into a promise to customers that the fragrance will stay unchanged — approval means it met your standard over the period you tested, nothing more.
