Buying against a confirmed order is a different job from keeping stock. This page stages the spend, checks depth on the exact variant, and holds back a reserve that is already cured.
₹1,95,745.52
materials for a confirmed 800-piece gifting order · 150 g fill, one scent, 5% wax and oil allowance, 3% spare vessels and wicks · CSI live pricing, September 2026
Quick answers — read this first
How much raw material does a large gifting order actually tie up? For 800 pieces at a 150 g fill in Clear Glass Jar with Golden Lid (150 gram), one scent, the CSI lines come to ₹1,95,745.52 — ₹63,932.40 of wax, ₹45,765.12 of oil, ₹78,352.00 of vessels and ₹4,897.00 of wicks. That is ₹244.68 a candle before any of your own costs.

When should I buy the bulk materials for a gifting order? Only after the buyer has approved a real candle and paid an advance. Before that, spend ₹2,058.32 on samples and ₹5,793.80 on a pilot of 20. The bulk consignment is the stage that commits ₹1,95,745.52, and it should be the last one you place.

Should I buy the whole order in one consignment or in stages? One consignment for anything that must match across the order — the vessel, the scent and the wax grade. Stage only the things that cannot vary: stickers, spare wicks, finishing items. Splitting a 830-jar order across two dates buys you nothing and risks two production lots in one gift box.

How many spare candles should I hold for replacements? Budget 3% of the order — 24 candles on an 800-piece job, about ₹5,615.60 of materials — and hold them as finished, cured candles, not as raw material. A replacement needed on dispatch day cannot wait 14 to 21 days for a fresh pour to cure.
The short answer
Stage the spend: samples ₹2,058.32 at enquiry, a pilot of 20 at ₹5,793.80 on approval, and the ₹1,95,745.52 bulk consignment only once an advance has landed.
Check the variant, not the product: a product page can look healthy while the exact pack, colour or wick thickness you need is thin. Confirm depth on the variant for all four lines before you quote a quantity.
Buy the spares with the order: 5% extra wax and oil, 3% extra vessels and wicks, all in the same consignment — then hold 24 cured candles back as the replacement reserve.

Straight answer
How do I plan wax, fragrance, wick and jar inventory for a large gifting order?
Work backwards from the dispatch date and forwards from the signature. Convert the order into four numbers — wax in kilos, oil in grams, vessels in units, wicks in units — then add a stated allowance to each: 5% on wax and oil for pot and transfer losses, 3% on vessels and wicks for breakage and spares. For 800 pieces at a 150 g fill in Clear Glass Jar with Golden Lid (150 gram) with one scent at 8% of wax weight, that is 126 kg of Luxury Soy Wax CSI 464, 10.08 kg of Woody Oud Fragrance Oil, 824 jars and 824 wicks, bought as ₹63,932.40, ₹45,765.12, ₹78,352.00 and ₹4,897.00 — ₹1,95,745.52 in total, or ₹244.68 a candle. Then stage it: samples at enquiry (₹2,058.32), a pilot of 20 on approval (₹5,793.80), and the bulk consignment only after an advance. Before you quote any quantity, check stock depth on the exact variant — the 10-piece pack of that jar colour, the C1 or C2 wick, the 1 kg pack of that scent — not on the product as a whole. Buy everything that must match in one consignment. Finally, hold 3% of the order back as finished, cured candles: ₹5,615.60 of materials that are already 14 to 21 days old on the day the buyer calls about a dented lid.
One line: Convert the order into four numbers, add 5% on wax and oil and 3% on vessels and wicks, stage the spend behind the buyer’s signature, check depth on the exact variant, and keep 3% back as cured candles.
The worked job on this page is 800 candles at a 150 g fill, one scent, in Clear Glass Jar with Golden Lid (150 gram) — ₹1,95,745.52 of CSI materials, or ₹244.68 a candle with spares included. Every line is a live variant you can put in a basket today.

Buy against the order, not against the hope

A gifting order is not a forecast. It is a dated promise with somebody else’s logo on it.

Ordinary inventory is bought against an average. You sell roughly 150 candles a month, so you keep roughly six weeks of wax and a sensible pack of each scent, and if one week is slow the stock simply sits. A gifting order works nothing like that. The whole quantity is consumed inside one pour window, the scent and the vessel are fixed by somebody who is not you, and there is no averaging: if you are 40 jars short on pour day, you are 40 candles short on dispatch day.

That single difference changes every buying decision. Quantities stop being estimates and become exact multiples of a promise. Pack sizes stop being about cost per gram and start being about arriving in one consignment. And timing stops being about reorder points and starts being about the buyer’s signature — because the two mistakes that hurt on gifting jobs are buying 126 kg of wax for an order that never confirms, and buying it three days too late to cure.

So work the job as five stages, each with its own spend. The enquiry stage buys samples. The approval stage buys a pilot. The purchase-order stage buys the bulk. The pour stage buys nothing at all, because everything including the spares came with the consignment. The dispatch stage buys nothing either, but it holds something back. The table below prices all five on the 800-piece job.

Commitment ladder · live CSI prices, September 2026
What each stage of an 800-piece gifting order commits
Stage What you buy CSI materials What you are risking
1 · Enquiry Two 100 g oils, 500 g wax, one 10-jar pack, 10 wicks ₹2,058.32 Nothing you cannot use on your own range
2 · Approved Pilot of 20: 3 kg wax, one 500 g oil pack, 20 jars, 20 wicks ₹5,793.80 One scent in a 500 g pack you now own
3 · PO and advance 126 kg wax, 10.1 kg oil, 830 jars, 830 wicks, stickers ₹1,95,745.52 The entire job — place it last
4 · Pour and cure Nothing. Spares were bought at stage 3 — 14 to 21 days of calendar you cannot get back
5 · Dispatch Nothing. 24 cured candles held back ₹5,615.60 held Replacements you cannot pour in a day
Total commitment Samples plus pilot plus bulk ₹2,03,597.64
Priced above: Luxury Soy Wax CSI 464 at ₹507.40/kg (500 g ₹260.00, 1 kg ₹507.40, 10 kg ₹5,074.00); Woody Oud Fragrance Oil at ₹4.53/g (100 g ₹453.12, 500 g ₹2,265.60, 1 kg ₹4,531.20); British Rose 100 g ₹342.20 as the second sample scent; Clear Glass Jar with Golden Lid (150 gram) pack of 10 ₹944.00 (₹94.40 each); Eco Candle Wicks Thin (C1) at ₹5.90 each; Candle Wick Stickers 40 for ₹100.00; Candle Care Stickers Roll 1,000 for ₹699.00. Fragrance load is 8% of wax weight throughout.
You bought the bulk consignment on a verbal yes. The buyer said the order was confirmed, the finance team said the purchase order would follow, and you placed ₹1,95,745.52 of materials so the timeline would work. Then the brief changed to a different vessel. The wax and the wicks are fine — Luxury Soy Wax CSI 464 states a 60-month shelf life in cool, dry storage — but 830 branded-lid jars and 10 kg of a single scent are now a range decision you did not want to make. The fix is procedural, not clever: samples are free to send, a pilot is ₹5,793.80, and the bulk goes out the day an advance lands and not before.

One honest note about the middle of that ladder. The pilot is the stage most makers skip, because 20 candles feel like a waste of good wax when the buyer has already seen a photograph. They are not a waste. They are the only point at which the fill weight, the wick, the cure and the lid all get tested together on the exact vessel — and they double as the buyer’s approval sample, the photography set and the first two rows of your reserve.

Turn the order into four numbers before you open the shop

Wax in kilos, oil in grams, vessels in units, wicks in units. Everything else on the page is multiplication.

Fill weight drives all four. Pick the vessel first, take its published fill capacity, and treat that as the fill weight rather than guessing from the volume. Clear Glass Jar with Golden Lid (150 gram) publishes a 150 g fill capacity and an 8 cm height on its product page; Black Glass Jar with Black Lid (150 gram) publishes the same 150 g. That number, multiplied by the order quantity, is your wax before allowances.

1
Multiply the fill weight by the quantity. 800 candles at 150 g is 120 kg of wax. Fragrance at 8% of wax weight is 12 g a candle, so 9.6 kg of oil. Vessels and wicks are one each: 800 and 800. Write those four numbers down before you look at a single price.
2
Add a stated allowance to each line. We use 5% on wax and oil for what stays in the pitcher, the melter and the scale, and 3% on vessels and wicks for breakage, mis-set wicks and the two candles that come out wrong. That gives 126 kg, 10.08 kg, 824 jars and 824 wicks. These are assumptions, not measured figures — replace them with your own once you have poured a job and counted what was left.
3
Round up to real packs, never down. 126 kg is twelve 10 kg packs and six 1 kg packs. 10.08 kg of Woody Oud Fragrance Oil is ten 1 kg packs and one 100 g pack. 824 jars is 83 packs of 10, which gives you 830. 824 wicks is one 500-pack, three 100-packs, a 20 and a 10. Rounding up on a gifting job costs ₹3,009.00 across the jar and wick lines and removes an entire category of risk.
4
Price the four lines and divide. ₹63,932.40 of wax, ₹45,765.12 of oil, ₹78,352.00 of vessels, ₹4,897.00 of wicks, plus ₹2,100.00 of wick stickers and ₹699.00 of care stickers — ₹1,95,745.52, or ₹244.68 a candle with the spares carried, against ₹233.98 for the bare bill of materials. Quote from the loaded figure.

Two things in that table are worth arguing with. The first is the vessel: at ₹94.40 it is the largest single line, bigger than 126 kg of wax. On gifting jobs the vessel is usually chosen by the buyer from a photograph, so it is also the line you have least control over — which is exactly why it should be the first thing you check for stock depth. The second is the oil. Switching the same job to Roasted Coffee at ₹3.74/g would cost ₹37,770.00 instead of ₹45,765.12, a difference of ₹7,995.12 across 800 candles. Scent choice on a large order is a four-figure decision, and it is made at sampling.

BUY THE SPARES WITH THE ORDER
The three extra jar packs and the extra wicks cost ₹3,009.00 on this job — about 0.2% of the bill. Ordering them a fortnight later, after two jars chip and one wick pulls loose, costs you a second consignment, a second wait and, on a vessel bought in a different pack, a risk of a visible difference in a gift box where all 800 candles sit side by side. Spares belong in the same consignment as the order they protect.

Check depth on the exact variant, not the product

A product page can look perfectly healthy while the one variant you need is thin.

This is the check that separates people who have delivered a large gifting order from people who are about to try. Every CSI product page shows the stock position for each variant, and on a catalogue this wide the depth is not evenly spread. A jar sold in a pack of 10 and a pack of 20 can be deep on one and thin on the other. A scent sold from 15 g to 1 kg can have plenty of 100 g packs and only a handful of kilos. Eco Candle Wicks is sold as Thin (C1) and Thick (C2) across six pack sizes, and those twelve variants do not move at the same rate.

So before you put a quantity in an email, open the four product pages and read the variant you actually intend to buy — the pack size, the colour, the wick thickness, the kilo. If the depth on that variant does not cover your order plus spares in one go, you have three honest options: change the pack combination, change the variant, or send the quantity to WhatsApp on +91 7397976926 and ask what can be put together for a dated job. What you must not do is quote the quantity first and find out afterwards.

Pre-quotation checks · run all four before you commit a quantity
What to check on each line, and what to do if it is thin
Line The variant that matters For 800 pieces If the depth is thin
Vessel The pack size and the colour or lid finish 83 packs of 10 Switch to a vessel with depth before you show the buyer a photograph, not after
Fragrance oil The 1 kg pack of that one scent 10 × 1 kg + 100 g Take the 500 g packs, or change the scent at sampling while it is still free to change
Wax The 10 kg pack of the grade you tested 12 × 10 kg + 6 × 1 kg Make it up in 5 kg and 1 kg packs — the per-kilo rate on Luxury Soy Wax CSI 464 is ₹507.40 at every pack size
Wick C1 or C2, and the pack size 500 + 3 × 100 + 20 + 10 C2 at ₹9.44 each is a different candle, not a substitute — re-test before you swap
Stickers and finishing Sheet or roll size 21 sheets, 1 roll Low risk: these are small, cheap and easy to top up separately
You promised a colour, then discovered the pack was thin. The mock-up went out in one lid finish, the buyer approved it, and the pack of 10 in that finish could not cover 830 units in a single consignment. Now every option is bad: a second consignment weeks later, a mixed order, or an awkward call to change something the buyer has already signed off. The discipline is simple and it belongs at the sampling stage — send the buyer two or three vessel options that all have depth, let them choose from those, and confirm the variant depth on the day you send the samples, not on the day you place the bulk.

One more depth question that is easy to miss: your own. A 10 kg pack of flakes and 83 jar packs need somewhere dry to sit for two or three weeks. In a Mumbai or Kochi monsoon that means sealed packs off the floor; in a Delhi or Ahmedabad summer it means away from a west-facing wall. Both wax product pages ask for cool, dry storage away from sunlight and moisture, and a gifting consignment is the largest quantity most small makers will ever have in the house at once.

The CSI principle
On a gifting order, the quantity is not the hard part. The matching is.
Eight hundred candles in eight hundred identical boxes are judged side by side on a table. One consignment, one lot, one pour window.
Deep, single-consignment lines for a gifting run: Luxury Soy Wax CSI 464 at 10 kg ₹5,074.00, Eco Candle Wicks Thin (C1) 500 for ₹2,950.00, and Clear Glass Jar with Golden Lid (150 gram) at ₹94.40 each. Send the quantity and the dispatch date to WhatsApp before you quote.

One consignment or several: what to split and what never to

Split for cash flow, never for anything the buyer will see next to itself.

There is a reasonable argument for staging a large purchase: it spreads the cash, it reduces what you are storing at any one time, and it lets you start pouring before the last line arrives. There is a much stronger argument against staging the three lines that determine how the finished candle looks and smells. A gifting order is the one situation where all your output is seen together, so a difference that nobody would notice across a month of retail sales becomes obvious in a single conference room.

Split or single · gifting orders
What can be staged and what should arrive together
Line Stage it? Why
Vessel Never Glass colour, lid finish and wall thickness are the most visible things in a gift box. Buy all 830 in one consignment.
Fragrance oil Never One scent, one purchase. Split buying across dates is how two halves of an order end up smelling slightly different.
Wax Rarely Same reasoning, less visible. If cash forces a split, split it so that a whole pour day uses one delivery rather than mixing mid-batch.
Wicks If needed Functional, not cosmetic — but keep one thickness for the whole order and test before any substitution.
Stickers, care labels, finishing Freely Small, cheap, easily topped up. ₹2,100.00 and ₹699.00 on this job in total.
Spares for every line Never Spares exist to match. A spare bought later is not a spare, it is a second version.

Cash flow is the legitimate reason to stage, and on an 800-piece job it is real money: ₹1,95,745.52 is a large amount to put out before an invoice is settled. The answer is not to split the consignment but to change the terms. Corporate and wedding buyers expect to pay an advance; a common and entirely reasonable position is that the bulk consignment is placed on the day the advance clears. If a buyer will not pay an advance on a custom-scented, custom-vessel order of 800 pieces, that is information about the order, not about your terms.

The other legitimate reason to stage is capacity. If your melter is a Mini Electric Wax Melter at 1 litre, 126 kg of wax is a great many melts, and it will take a fortnight of evenings whether the wax arrives on one day or three. That is a production plan, not a purchasing plan — take the whole consignment, store it properly, and stage the pouring instead.

Buy the order in one consignment and pour it in twenty. The customer sees the pour, never the purchase.
— CandleMakingSuppliesIndia

What to hold back for replacements — and why it must already be cured

A replacement you cannot ship for three weeks is not a replacement.

Large gifting orders generate replacement requests, and they arrive at the worst moment: the day before the event, after the boxes have been opened at the client’s office, when four lids are dented and one jar is chipped. You cannot answer that with raw material. Soy candles need a cure — the Luxury Soy Wax Chunks page asks for a minimum of 48 hours and ideally one to two weeks, and 14 to 21 days is standard practice for soy container candles — so a pour started on the day of the complaint is useless to the buyer.

So the reserve is finished goods, not inventory. Pour it with the main batch, cure it with the main batch, finish it with the main batch, and then put it in a separate box that does not go out with the order. On 800 pieces, 3% is 24 candles, which is ₹5,615.60 of materials sitting still — and it is the cheapest insurance on the whole job, because the alternative is a discount on an 800-piece invoice.

Reserve options · 800-piece job, 3% = 24 candles
Three ways to cover replacements, ranked
Approach What it costs Time to ship a replacement Verdict
24 cured, finished candles ₹5,615.60 of materials, held Same day Do this. The only option that works on the day it is needed
Materials for 24 candles, unpoured The same ₹5,615.60 14 to 21 days Fails the one test that matters
Nothing held back; re-pour on demand Nothing up front 14 to 21 days, plus buying time Cheapest until the first complaint, then the most expensive
Cartons and outer packing spares your figure your figure Not a CSI cost — hold spares of these too
You held the reserve as raw material instead of cured candles. It looks efficient on a stock sheet: 3.6 kg of wax, 288 g of oil, 24 jars and 24 wicks, ready to go. It is not ready to go. On the day the buyer calls, you are 14 to 21 days from a candle with the throw of the ones you shipped, and the only fast alternative — a fresh pour shipped at four days old — is a worse candle going out under the same label. Pour the reserve with the batch. If it is not needed, it becomes stock you can sell at full price.

How large should the percentage be? Three per cent is our working assumption for a glass-vessel gifting order, and it is an assumption rather than measured data. Push it up when the vessel is fragile, when the boxes will be handled by an event team rather than a courier, or when the candles carry personalisation that cannot be redone quickly. Push it down when the vessel is a tin and the order is going to one address. What you should not do is set it at zero on the grounds that nothing went wrong last time.

The order calendar for a dated gifting job

Count backwards from dispatch, then add the days you always forget.

Every gifting order has a fixed end date, and the cure is the part of the schedule that cannot be compressed. Build the calendar backwards from the day the boxes have to leave your table, and put the consignment early enough that a delayed delivery still leaves the cure intact. The version below is written in days before dispatch so you can drop any date into it.

Working backwards from dispatch day · illustrative schedule

Anchor that to a real festive date and the pressure becomes obvious. Diwali 2026 falls on 8 November 2026, and corporate gift boxes are almost always wanted in the office a clear week or two before the holiday. Work back 30 days from a late-October dispatch and the bulk consignment for a Diwali corporate order is being placed in the second half of September — which is why enquiries that arrive in the third week of October can usually only be served by whatever is already cured on your shelf.

The lines this page deliberately cannot price

Half the cost of a gift candle is not a candle.

CSI sells wax, fragrance oil, wicks, vessels, dyes, finishing items and tools, and every figure above comes from one of those product pages. It does not sell rigid gift boxes, printed sleeves, ribbon, shredded filler, bubble wrap, outer cartons, labels or courier services, and it does not publish freight rates. Putting an invented number against any of those would make this page look more complete and be less useful. So they get blank rows, and the job totals as CSI materials plus your own costs.

Two further points that belong to you rather than to a supplier. Store prices are inclusive of tax, as stated on the Luxury Soy Wax Chunks page, and GST invoicing is available on request — but how your own tax position works on a corporate order is a question for your accountant, not for a candle blog. And documentation matters more on gifting jobs than on retail: corporate buyers increasingly ask for an MSDS for the fragrance oil, and a written record of pour temperatures and batch dates makes a complaint far easier to answer. Both MSDS and IFRA documentation are available on WhatsApp.

Finally, the honest comparison on grade. Running the same 800-piece job on Luxury Soy Wax Chunks at ₹599.00 a kilo instead of Luxury Soy Wax CSI 464 would cost ₹75,582.00 rather than ₹63,932.40 — ₹11,649.60 more across the order, or about a rupee a candle once you spread it. Choosing the vessel one tier down does far more: Black Glass Jar with Black Lid (150 gram) at ₹107.00 each would add ₹10,458.00 to the same job. On gifting orders the vessel, not the wax, is where the money is.

Why trust this guide

CANDLEMAKINGSUPPLIESINDIA supplies raw materials, not finished candles, so a page about a large order has an obvious commercial pull towards telling you to buy everything now. It says the opposite. Sample first, pour a pilot, and place the bulk consignment only once the buyer has approved a candle and paid an advance — because an 800-piece order that falls through leaves you holding ₹1,95,745.52 of materials, and only the wax and the wicks keep their value indefinitely.

Every price on this page comes from live CSI stock in September 2026 and the linked product pages are authoritative. Luxury Soy Wax CSI 464 is ₹507.40 a kilo at the 1 kg, 5 kg and 10 kg packs alike, so buying bigger packs on this grade saves handling, not money — we say so rather than dress a pack ladder up as a bulk discount. The 5% wax and oil allowance, the 3% spares allowance, the 3% reserve and the 800-piece job itself are stated assumptions and worked illustrations, not measured data. Wastage on your bench will differ.

WhatsApp +91 7397976926 for bulk pricing on a confirmed gifting order, for GST invoicing, for MSDS and IFRA documentation your corporate buyer may ask for, or to have stock depth checked on the exact variants before you commit to a quantity in writing.

Frequently asked questions

How much wax do I need for 800 gifting candles?
At a 150 g fill, 800 candles is 120 kg of wax, and with a 5% allowance for what stays in the pitcher and melter, 126 kg. In live packs that is twelve 10 kg packs and six 1 kg packs of Luxury Soy Wax CSI 464, or ₹63,932.40. The per-kilo rate is ₹507.40 at 1 kg, 5 kg and 10 kg alike, so the larger packs save handling rather than money.
Should I buy raw materials before a gifting order is confirmed?
Buy samples, yes — ₹2,058.32 of oils, wax and a jar pack is material you can use on your own range whatever happens. Buy the pilot once the buyer has approved the concept. Do not place the bulk consignment, ₹1,95,745.52 on an 800-piece job, until an advance has cleared. Wax and wicks keep; a branded vessel and 10 kg of one scent are a range decision you may not want.
How many spare jars and wicks should I order for a large order?
We use 3% as a working assumption — 24 on an 800-piece job — which rounds up to 83 packs of 10 jars (830) and 830 wicks. The extra packs cost about ₹3,009.00, roughly 0.2% of the bill, and they must arrive in the same consignment as the order so they match it.
Is it cheaper to buy candle wax in bigger packs for a bulk order?
On Luxury Soy Wax CSI 464, no: the rate is ₹507.40 a kilo at 1 kg, 5 kg and 10 kg. The 10 kg pack saves you handling, counting and consignment lines, not rupees. Some other CSI grades do step down with pack size, so check the per-kilo figure on the grade you actually use, and ask on WhatsApp what is possible on a confirmed order quantity.
How far ahead should I order materials for a Diwali corporate gifting order?
Diwali 2026 falls on 8 November 2026, and corporate boxes are usually wanted a week or two before the holiday. Working back from a late-October dispatch through 14 to 21 days of cure, five pour days and a consignment buffer puts the bulk order in the second half of September. Sampling has to happen a fortnight before that again.
What if the exact jar or scent I need is low in stock?
Check the variant — the specific pack size, colour and wick thickness — before you quote the quantity, not after. If it will not cover the order plus spares in one consignment, change the option at the sampling stage while it is still free to change, or send the quantity and the dispatch date to WhatsApp on +91 7397976926 and ask what can be arranged for a dated job.

About this guide: Written by the CANDLEMAKINGSUPPLIESINDIA team. The method — convert the order into four material numbers, add a stated allowance to each, stage the spend behind the buyer’s commitments, check depth at variant level, buy matching items in one consignment, and hold a cured reserve — applies to a gifting order built from any supplier’s materials. Only the prices and the product-page specifications are CSI-specific.

Customer reviews: The six reviews at the top of this page are genuine, published Judge.me reviews left by CSI customers on their product pages.
