Working safely with fragrance oil is mostly a paperwork problem wearing an apron. This guide sets out the general practice a small candle business can adopt today — how to handle and decant oil, how to think about ventilation and temperature, what a candle's label and care card should carry, how testing fits in, and the nine records that turn a good pour into a repeatable one.

Quick answers — read this first
What does "professional" actually mean here? Three habits: you weigh instead of estimating, you measure temperature instead of judging it, and you write down what you did. Everything else in this guide follows from those three.

What should I get from my supplier for every oil? The SDS and, where you need it, IFRA documentation — both supplied by CSI on request via WhatsApp — plus whatever the product page states about load, cure, temperature and discolouration, saved as it read on the day you poured.

What goes on a candle besides the scent name? A batch or lot code, the net weight, and plain care information: burn on a heat-resistant surface, trim the wick before each burn, do not leave a burning candle unattended, keep away from children, pets and draughts, and stop burning while wax remains in the base. That is ordinary good practice in the trade, not a claim about any regulation.

The short answer
Treat fragrance oil as a material with a data sheet, not as a scent. It is a concentrated liquid you handle warm, near an open flame, in a room you also breathe in. Everything careful follows from taking that sentence literally.
Work to the numbers your supplier publishes. The wax page states an add and pour band; the oil page may state a load, a cure and sometimes a flash point. Follow those, log the readings, and ask for the SDS when a page states nothing.
A candle you cannot trace is a candle you cannot defend. Batch code on every candle, one line per batch in a book or a spreadsheet, and the fragrance paperwork filed beside it.

Solid boxes come from your supplier, outlined boxes from your bench, shaded boxes from your shelf and your customers. None of the nine costs anything to start. All nine are difficult to reconstruct after the fact, which is the entire argument for starting them on the next batch rather than the next quarter.

What does safe, professional practice with candle fragrance oil actually involve for a small Indian candle business?
Six things, in this order. Handle the oil as a concentrated material: keep bottles closed and upright away from heat and open flame, decant over a tray, weigh rather than pour by eye, label every decant with the scent and the date, and clean spills immediately. Work in air that moves: a cross-draught or an extractor, breaks between long melts, and batch sizes matched to the room rather than to ambition. Respect the published temperatures: Luxury Soy Wax Chunks state fragrance in at 80–90°C and a pour at 70–80°C; CSI 468 states melt 50–53°C and pour 58–60°C; Eco Soy CSI 400 states adding at 80–90°C (85°C) and stirring two minutes. Where an oil page carries its own instruction — Gardenia states a flash point of 98°C and asks for the oil to be added below it — follow the page and note the deviation. Label properly: scent name, net weight, a batch code, and care information in plain words. Test every combination you sell, because a burn test is the only thing that connects your paperwork to a real flame. And keep the nine records above, because the difference between a hobby and a business is being able to answer "which batch was that, and what went into it?" without guessing. Handling and decanting

Almost every fragrance accident in a small workshop happens in the thirty seconds between the bottle and the scale.

Fragrance oil arrives concentrated. In a 200g candle at 8% it will be a sixteen-gram passenger; in the bottle it is the whole thing. Concentrated aromatic material is worth handling with the same unhurried care you would give to any strong liquid: over a surface you can wipe, in a container you can close, with your hands clean and your sleeves out of the way. It is not a dangerous job. It is a job that punishes hurry.

The habits below are ordinary trade practice rather than requirements, and every one of them costs nothing. Keep bottles closed, upright and labelled, away from heat sources, direct sunlight and any open flame — which in a candle workshop means away from the very thing you are making. Decant over a tray, not over the bench. Use one stirring stick per scent in a batch so you are not carrying last week's oud into this week's rose; Bamboo Stirring Sticks are ₹118 for five and ₹1,888 for a hundred, which makes one-per-scent affordable. Weigh into a tared vessel on a scale rather than pouring to a line. Wear gloves and eye protection if you prefer to, and keep food, drink and smoking out of the room as a matter of course. Wipe spills at once, because an unwiped spill is both a slip and a smell that will contaminate the next batch's assessment.

On storage, be careful about what you claim and what you assume. No CSI fragrance page states a shelf life or a storage specification, and this guide will not invent one. What is sensible general practice — cool, dark, closed, upright, decanted as little as possible — is sensible general practice, not a stated figure. Write the date you opened each bottle on the bottle, because that single act turns a vague worry about age into a fact you can check against your own test records.

The mistake: decanting into an unlabelled jar "just for today". Unlabelled decants are how two similar oils get swapped, how a batch record becomes fiction, and how a scent that failed a burn test reappears in a production run. Write the scent name, the bottle size it came from and the date on every decant, even a 20 g one you will use in an hour. If you cannot write on the container, put a strip of masking tape on it. The same rule saves you when a customer asks which scent a candle is a year later and the only honest answer has to come from your records.

Ventilation and the workspace

A candle workshop concentrates smells by design. That is fine for an hour and tiring for six, and a tired nose is a business problem as well as a comfort one: you cannot assess a cold throw, judge a cure or catch a wrong dose if you have been breathing the same scent all afternoon. Treat airflow as a working instrument rather than a nicety.

Practical general practice, none of it expensive. Work where air can cross the room — two openings rather than one, or an extractor fan positioned to pull away from you. Keep the melting station away from your assessment station, so the place where you smell a cured candle is not the place where 5 kg of wax is steaming. Take a break every hour on a long pour day and step outside; your nose resets faster than you expect. Keep one scent per session where the schedule allows, because two hot oils in one small room make both assessments unreliable. And if you have an open flame in the room for any reason, keep it and the fragrance bottles at opposite ends.

Equipment helps more than willpower here. Protect your nose like an instrument, because it is one
Your cheapest quality-control tool is the only one you cannot replace. Keep a reference jar of your best-selling candle, unburned and lidded, and smell it at the start of each assessment session before anything else. If today's reference smells weaker than you remember, the variable is probably you — not the batch. Professional makers who do this catch far fewer imaginary problems and far more real ones.

Temperature discipline

Temperature is where fragrance handling, safety and product quality converge, and it is the one area where you should work strictly to published numbers rather than to feel. Every CSI wax page that states a band states it for a reason, and the bands differ enough that a habit learned on one wax will be wrong on another.

Then there is the oil's side of the argument, which needs handling precisely. A flash point is the lowest temperature at which a liquid gives off enough vapour to form an ignitable mixture with air under defined test conditions. It is a handling and classification figure. It is not a "burn-off" temperature, not a quality score and not a load limit. Across CSI's 107 fragrance-oil pages, 18 publish a measured value, 32 carry only the line "Flash point > 93°C (suitable for alcohol-based products)" — a threshold for alcohol-based products, not a measurement of that oil — and 56 state nothing at all. So the professional position is straightforward: work to the wax page's stated band; where an oil page states a figure and an instruction, follow the page; where it states nothing, ask CSI for the SDS figure and file it rather than estimating.

Two real examples make the rule concrete. Gardenia Fragrance Oil states "Flashpoint 98°C" and then "This is a lower flashpoint than many fragrance oils - ensure you add this oil to your wax at a temperature below 98°C" — a page telling you to let the wax fall before the oil goes in. Jasmine Fragrance Oil states "Flashpoint 185°C", comfortably above any candle-making temperature, and its page draws the conclusion that it is "one of the most technically reliable oils in the CSI range". Same range, same supplier, two different instructions. That is why the figure belongs on your spec sheet rather than in your memory. The pour-day routine

A routine is what stops safety from depending on how your day is going. Six steps, the same every time, whether you are pouring six candles or six hundred.

Set the bench before you switch anything onClear surface, tray under the decanting area, thermometer and scale out and zeroed, cloth and bin bag within reach, bottles closed and upright at the far end from the heat. Open the window or start the fan now, not when the room gets heavy. Write the batch number and the date at the top of a fresh line in your record before the first gram is weighed.

Melt to the wax page's figure, and watch the thermometer, not the clockFor a 200g candle at 8% that is 184 g of wax and 16 g of oil. Melt only what the batch needs. Never leave heating wax unattended — not for a phone call, not for a delivery — and keep the melter or pan on a stable, level surface away from the edge. Log the highest temperature the wax reached, because that is the number that explains a surprise later.

Weigh the oil into the wax at the stated band, then stir for two full minutesNot "a good glug" and not by volume: fragrance load is a weight percentage, so the oil goes on the scale. Add inside the wax page's band — 80–90°C on the Chunks and on Eco Soy CSI 400, cooler on CSI 468 — unless the oil page asks for something lower, as Gardenia's does below 98°C. Two minutes of stirring is what the Eco Soy CSI 400 page specifies and it is good practice on any soy. Record the actual reading at the moment the oil went in.

Pour, then label immediatelyPour inside the stated band, and put the batch code on the candle before you walk away from it. An unlabelled tray of candles becomes an unidentifiable tray of candles in about a day. If you top up a sink or a hole later with a hot air gun or a second pour, note that too — it changes the top surface and occasionally the burn.

Close down, then close the recordCap the bottles, wipe the tray, wash or bin the stirrers, switch the melter off at the plug, and sit down for two minutes to finish the line: load and its base, temperatures, stir time, wick, jar, cure start date, planned burn-test date. The record takes less time than the washing up and is the only part of the day that is still useful next year.
The CSI principle
Safety in a candle workshop is not a set of warnings. It is a set of numbers you wrote down while things were going well.
Nobody reconstructs a temperature from memory after a complaint, and nobody remembers which bottle a batch came from six months on. The workshops that handle problems calmly are the ones that were boring about paperwork on an ordinary Tuesday.

Labelling and candle-care information

The label is the only part of your process the customer ever reads. It is also the only part that is still working when you are asleep.

Two different things belong on a finished candle: identification, so you and the customer know what it is, and care information, so it is used the way you tested it. The list below is ordinary trade practice, widely used by candle makers, and it is what we would put on our own candles if we made them. It is not a statement about what any law or standard requires of you, and you should confirm your own obligations for your own market with someone qualified.

Two things to avoid on a label, both of them tempting. Do not put a flash point on a candle: it is a handling figure for the raw oil, it is meaningless on a finished product, and on most oils you would be guessing. And do not describe your range with a compliance phrase you cannot evidence. If you want to say something about documentation, say what is true — that you hold the supplier's documentation for the fragrances you use and can produce it on request. That sentence is defensible, and it is more impressive to a serious stockist than any badge.

The mistake: a beautiful label with no batch code. It is the omission that turns a small problem into an expensive one. With a code, a customer complaint becomes "batch 26-09-B, poured on the twelfth, wick C2, oil from the 500 g bottle opened on the second — and the other forty candles in that batch are fine". Without one, every candle you have ever sold is potentially affected and you have no way to say otherwise. A date and a letter, written with a marker on the base, cost nothing and are the highest-leverage thing in this guide.

Testing as a safety practice

Everything above is preparation. A burn test is the only step that observes the actual product doing the actual thing, which is why it belongs in a safety guide and not only in a quality one. A candle is a small open flame in somebody's home, and the question "does this combination behave?" cannot be answered by any document — not the fragrance page, not the SDS, not the IFRA paperwork, not a review.

The unit under test is the combination: this wax, this wick, this fragrance, at this load, in this vessel. Change any one of the five and you have a new candle to observe. What you are watching for is a pool that reaches the glass in roughly two to three hours without the flame climbing, the glass overheating or the wick mushrooming — and then, separately, that the scent is what your label promises after a proper cure. Judge on soy at 14 to 21 days; the Luxury Soy Wax Chunks page asks for a minimum of 48 hours and "ideally 1-2 weeks" before you even begin.

Three practices make a test worth the wax. Pour a control — an unscented jar, or the recipe you already sell — in the same batch, so you can tell the oil's effect from the day's. Burn in the conditions a customer will: a normal room, a normal surface, no fan pointed at it. And write it down on a sheet, one per jar, because a test you cannot read back in three weeks is a test you will run again. Practical note on all nine: keep them for as long as the product could plausibly still be burning in someone's home — candles sit in cupboards for years — and keep the fragrance documents for as long as you sell the scent. Store them where a second person could find them without you: a shared folder beats a notebook in a drawer once you have help. Photograph handwritten sheets at the end of each week. None of this is a regulatory retention rule and we are not stating one; it is simply what makes the file useful when it is needed.
What to ask a supplier for, in one message
Send this when you buy a sample, not when a stockist chases you: the SDS for each oil you are buying, the IFRA documentation for each oil, and confirmation of the stated candle load and any temperature instruction for that specific product. Unglamorous and genuinely useful. A stirrer carried between two scents moves oil you did not weigh into a batch you are about to assess, which is how a "mystery" hot throw problem is born. Frequently asked questions

What documentation should I keep for every fragrance oil I use?
Three documents per oil and one sheet you write yourself: the SDS, the IFRA documentation — both supplied by CSI on request via WhatsApp — and your own spec sheet copying what the product page states about notes, candle load and its base, cure, flash point (or "not published"), discolouration and pack prices, with the date you copied it. Add the bottle log entry recording size, date received and date opened. Pages change; your file should show what you were told on the day you poured.
Do I need special ventilation to work with fragrance oils?
What a small workshop needs is air that moves and a nose that still works: two openings or an extractor pulling away from you, the melting station kept away from where you assess cured candles, a break every hour on long pour days, and one scent per session where the schedule allows. A closed-vessel melter such as the ₹2,360 Mini Electric Wax Melter reduces steam in the room. We are describing general good practice, not stating any requirement — confirm anything that applies to your premises with someone qualified.
What temperature should I add fragrance oil at?
The one your wax page states, logged as an actual reading. Luxury Soy Wax Chunks state fragrance in at 80–90°C and a pour at 70–80°C; Eco Soy CSI 400 states 80–90°C (85°C) with a two-minute stir; CSI 468 runs much cooler at melt 50–53°C and pour 58–60°C. Where an oil page carries its own instruction — Gardenia asks for the oil to go in below 98°C — follow the page and note the deviation on the batch record.
What should go on a candle label besides the scent name?
Identification and care. Identification: net weight of wax, a batch or lot code, your business name and a contact route. Care, in plain words: burn on a heat-resistant level surface, trim the wick before each burn, never leave it unattended, keep away from children, pets, draughts and flammable things, do not burn for long unbroken periods, and stop while wax remains in the base. That is standard trade practice rather than a regulatory list. Do not print a flash point on a finished candle — it is a raw-material handling figure.
How long should I keep batch records?
As a practical matter, for as long as a candle from that batch could still be burning — candles sit in cupboards for years — and keep each oil's SDS and IFRA documentation for as long as you sell that scent. Store them where a second person could find them without you, and photograph handwritten sheets weekly so a spilled cup cannot erase a year. That is our practical suggestion, not a retention rule; if a specific requirement applies to your business, check it with someone qualified to say.
Can I describe my candles as safety-tested because my supplier sent documentation?
No — and you do not need to. A supplier's documentation describes the fragrance material, not your finished candle, and it says nothing about your wick, your vessel or your load. What you can say honestly is that you hold the supplier's documentation for the fragrances you use and can produce it on request, and that every combination you sell has been burn tested and recorded. Avoid compliance phrasing you cannot evidence on a label; a serious stockist would rather see the burn-test sheet.
