Quick answers — read this first
What is a commercial wick procurement system? Seven gates, each with a quantity, a rupee figure and a pass rule: sample breadth, burn-test ladder, full-life testing, fragrance-specific approval, bulk purchase, incoming QC and reorder point. Nothing is bought for a gate until the one before it has passed.

What does it cost to set up? For our worked brand (150 g jar, four oils, 400 candles a month), the sample wicks are ₹546.80 and the ladder materials ₹10,338.80: ₹10,885.60 before the first production order. Gates 3 and 4 buy nothing.

What is the first bulk order? A month plus 14 days of safety stock plus 20 retained wicks per wick SKU: Eco C2 500 + 20 (₹4,908.80) and Cotton Braided 100 + 50 (₹1,800.00) in the example, ₹6,708.80 in all. Not a 1,000-pack: CSI's tabbed wicks are flat per wick.

When do I reorder? At the reorder point, daily use × (lead time + safety days): C2 at 269, Cotton Braided at 68 in the example, ordering a month plus 20 retained each time (₹4,718.40). Any change to the jar, wax, oil, load or wick sends that build back to the ladder.
The short answer
Gates 1–2: buy every tabbed rung in ladder counts (C1 20, C2 20, Cotton Braided 2 × 10 = ₹546.80) and pour 4 oils × 3 rungs × 3 candles = 36 candles (₹10,338.80 of materials).
Gates 3–4: burn the leading rung's three candles per oil to the end; approve per oil in a matrix row. No purchase.
Gate 5: order = month × (1 + allowance) + safety stock + 20 retained, in the packs that land closest: ₹6,708.80 for the example.
Gates 6–7: every delivery is counted, retained, measured and released; reorder at 269 C2 and 68 Cotton Braided. Lead times are yours: CSI publishes none.
Seven gates from sample wicks to a reorder point Worked brand: 150 g jar (about 7 cm outer), CSI 464 at 8%, four oils, 400 candles a month. Each gate states what is bought, what it costs at CSI live prices on 1 October 2026, what must be true to pass, and the post that owns it. 1 Sample breadth Which rungs? Buy: C1 20 · C2 20 · Cotton Braided 2 × 10 Pass: all three rungs bracket the jar ₹546.80 owner: post 5519 2 Burn-test ladder Which rung, per oil? Buy: count, retain 20, measure 10, tab check Pass: release, hold or reject ₹428.80 retained owner: post 5594 7 Reorder point When to order again? Buy: C2 at 269 · Cotton Braided at 68 Pass: order a month + 20 ₹4,718.40 a month owner: post 5589 fail: re-pour change in jar, wax, oil, load or wick: back to the ladder Dashed: the loops back. A gate that fails never buys the next gate's quantity. Wick outcomes are illustrative, not recommendations.
The procurement system as a gated flow for the worked brand. Each gate buys only what it needs, and only after the gate above it has passed; the two dashed loops are the ways back to the ladder (a failed rung, and any later change to the build). Rupee figures are CSI live prices on 1 October 2026; quantities, the outcome per oil and the lead time are worked examples, not recommendations for your candles.
Straight answer
How do I build a commercial wick procurement system from sample-size selection → burn-test ladder → full-life testing → fragrance-specific approval → bulk purchase → incoming QC → reorder point?
Build it as seven gates in a line, where each gate has a quantity to buy, a rupee figure, a pass rule and an owner, and where nothing is bought for a gate until the one before it has passed. For our worked brand (CSI's 150 g Clear Glass Jar, about 7 cm, CSI 464 at 8%, four oils, 400 candles a month): gate 1 buys every tabbed rung in ladder counts, C1 20, C2 20 and Cotton Braided 2 × 10 (₹546.80); gate 2 pours 36 candles, three per rung per oil (₹10,338.80 of jars, wax, oil and holders); gate 3 burns the leading rung's three candles per oil to about 1 cm left and buys nothing; gate 4 writes each oil's approval into a matrix row with its evidence; gate 5 orders a month plus 14 days of safety stock plus 20 retained wicks per SKU, Eco C2 500 + 20 and Cotton Braided 100 + 50 (₹6,708.80); gate 6 counts, retains, measures and releases every delivery; gate 7 reorders at a calculated point (269 C2, 68 Cotton Braided) for a month plus 20 retained (₹4,718.40). Two loops run back to the ladder: a rung that fails, and any later change to the jar, wax, oil, load or wick. The system costs ₹10,885.60 to set up before the first production order, against a month of materials of about ₹91,886.72, of which wicks are 4.5%.
One line: buy the ladder, prove the full life, approve per oil, then buy by formula and reorder by calculation; every change goes back to the ladder.
Gate 1, the whole wick order: Eco C1 20 (₹118.00; the 10-pack is out of stock on 1 October 2026), Eco C2 20 (₹188.80) and Cotton Braided 2 × 10 (₹240.00): ₹546.80. Everything else in gate 2 is jars, wax and oil.
Eco C1/C2 — from ₹94.40

The system on one page

A procurement system is a set of reasons not to buy yet, each with a date when the reason runs out.

The series behind this post answers one wick purchase question at a time. This capstone joins them into one flow for one worked brand and hands each gate to the post that owns its depth. The test sequence underneath the gates (diameter, wax, oil and load, wick, pool, flame, glass, full life) is the commercial wick system post; this page is the purchasing layer on top of it.

Two rules hold the gates together. A gate that has not passed never buys the next gate's quantity: no production wicks before gate 4, no second production order before gate 6 has released the first. And a change anywhere in the build sends that build back to gate 2: a new jar batch with a different inside diameter, a wax or oil change, a load change, a wick supplier change. How to run those changes as a controlled process across the whole business is the change-control system post.

Gates 1 and 2: sample breadth and the ladder

Gate 1 is the cheapest purchase in the system, and the one that makes every later purchase safe.

For a 7 cm jar on CSI's range, "sample breadth" is short to answer: CSI's sized, tabbed wicks are Eco C1, Eco C2 and Cotton Braided, with nothing in between and nothing above. So gate 1 buys all three, in the counts gate 2 will consume. Four oils × 3 candles = 12 wicks per rung.

Cotton Braided 12 2 × 10 ₹240.00 ₹12.00 8
Gate 1 total 36 wicks four packs ₹546.80 — 24 spare

Why all three for a 7 cm jar, when Cotton Braided's page describes it for candles "exceeding 8 cm"? Because a bracket closes only when the chosen wick has a documented fail on each side, and vanilla-rich oils such as Vanilla Bean (its page: "Vanillin Content: 2.5%") are commonly linked to needing a wick step up from light florals. A rung you expect to fail is still evidence. How many sizes to sample around an expected centre in general is the sample-breadth post.

Gate 2 total 36 candles — ₹10,338.80 —

The 42 g of oil left per oil is three more candles: exactly one re-poured rung if a cell splits. One ladder candle costs about ₹238.66 in Lavender on C2 and ₹271.22 in Vanilla Bean on Cotton Braided, jar included and before labour, freight, packaging and GST; the wick is the smallest line on every candle. Gates 1 and 2 together are ₹10,885.60. Pour each oil's nine candles from one pot, same day, same wax bag and jar batch; the jar page says "Safe for hot pour up to 85°C" and CSI 464's says "Pour Temperature 80°C – 90°C", so pour at 80–85°C. How deep each rung's count should go, with screen, confirm and spare wicks, is the per-rung depth post.

Don't buy a production pack at gate 1: a C2 500-pack (₹4,720.00) bought with the samples costs exactly what 500 wicks cost later (₹9.44 each), and commits you to C2 before a single candle has burned. In the example, Vanilla Bean doesn't end up on C2 at all. Argued against our own interest: gate 1 is four small packs, ₹546.80.

Gates 3 and 4: full life, then a fragrance-specific approval

Gate 3 is time, not money. After burn 3, keep burning the three candles of each oil's leading rung (and its neighbours if the call is close) in sessions long enough to reach a full pool, about 2.8 hours on the very rough one-hour-per-2.5-cm rule for a 7 cm jar, until about 1 cm of wax is left. Heat commonly builds in the final third, so a rung that looks right at burn 3 can still fail low in the jar; how far down a test candle has to go is the acceptance-depth post. Gate 3 passes only when all three candles pass; one good candle is not evidence, for the reasons in the three-candle post.

Gates 3 and 4 · example outcome per oil · illustrative, not a recommendation
The rung each oil's three candles passed on at full life, with the fails that closed the bracket · these become matrix rows

Eucalyptus Spearmint "up to 10% for soy wax"; "No vanillin" C1 Eco C2 Cotton Braided R-03, 100 a month
Vanilla Bean "Up to 10% for soy wax"; "Vanillin Content: 2.5%" C2: tunnel never closed Cotton Braided none above in CSI's tabbed range; checked to the end R-04, 80 a month

The table is an illustration of how the result is recorded, not a prediction for your candles. Gate 4 turns each pass into a row of the approved wick matrix: jar (with the inside diameter you measured, about 6.3 cm on our wall assumption), fill, wax, oil, load, wick, count, fixture, evidence ID and date, plus retest triggers. That row is what gate 5 is allowed to buy for; the layout is the approved wick matrix post. Notice what the matrix does not say: that "C2 is the 7 cm wick". It says C2 is approved for three particular oils at 8% in this jar and this wax. A fifth oil starts at gate 2.

When the answer falls between rungs
If an oil fails on C1 and runs hot on C2, CSI lists no sized, tabbed wick in between. Before deciding, check centring, session length and still air; then test a cut braid or a lower load, and ask us on WhatsApp. Don't let the gate pass on the nearest rung.

Gate 5: the first bulk purchase

The first production order is the month you need, the buffer you trust, and the wicks you keep.

Only approved rows count. Wicks a month per SKU = Σ (units × wicks per candle) over its approved rows × (1 + allowance); with a 5% allowance (our worked-example figure) that is Eco C2 (120 + 100 + 100) × 1.05 = 336 and Cotton Braided 80 × 1.05 = 84. How to split units by sales mix when several oils share a jar is the sales-mix split post. The first order adds 14 days of safety stock (157 C2, 40 Cotton Braided at 11.2 and 2.8 a day) and 20 retained wicks per SKU.

Gate 5 buy list · first production order · worked example
Month + 14 days + 20 retained · smallest in-stock packs that cover it · per-wick price declared

Eco C1 none: no approved row — — — 8 left from gate 1, for tests
Gate 5 total 657 needed, 670 bought — ₹6,708.80 — —
Don't buy the 1,000-pack because it is "the bulk size": at 336 a month the C2 1,000-pack (₹9,440.00) is 3.0 months of stock at the same per-wick price as the 500, and three months is a long time for an approval to stay unchanged. Argued against our own interest: CSI's C1, C2 and Cotton Braided save nothing per wick in bigger packs; size the order by the formula, not by the pack list.

How much testing should stand behind an order of a given size is its own question: at a few hundred wicks the four approvals above are enough; a 5,000-wick commitment would also want a production-lot confirm, as the testing-scope post sets out. And keep the wicks in proportion. A month of materials for the worked brand, for scale:

A month of materials · 400 candles · worked example
Oils at their 1 kg per-gram prices, CSI 464 at the 10 kg price, jars in 20s, wicks flat · excludes labour, freight, packaging and GST · declared
Line Quantity ₹ a month
Jars, Clear Glass Jar 150 g 400 (20 packs of 20) ₹37,760.00
Wax, CSI 464 55,200 g ₹28,008.48
Oils (Lavender, Citrus Lemon, Eucalyptus Spearmint, Vanilla Bean) 4,800 g ₹21,938.40
Wicks (C2 336, Cotton Braided 84) 420 ₹4,179.84
Total about ₹229.72 a candle ₹91,886.72

Wicks are 4.5% of the month. That is the whole argument of this series in one number: the wick is cheap, so the system is not there to save money on wicks; it is there so that ₹91,886.72 of jars, wax and oil is never poured around a wick that was not approved for it.

Gate 6: incoming QC on every delivery

A wick approval is for a wick as it was delivered. Gate 6 checks that each new delivery is the same thing, before it reaches production, and keeps a sample of it for later. CSI publishes no wick specification or lot data, so your reference is your own retained wicks; ask on WhatsApp whether packs in one order share a lot and record the answer.

1
Count and quarantineCount packs against the invoice; mark the delivery "not released" on the stock sheet. Production continues from released stock and safety stock.
2
Retain 20 per SKUDrawn from several packs, sealed and labelled (₹428.80 per delivery in the example). Why and for how long is the retained-wicks post.
3
Measure against the referenceLength, the weight of ten wicks together, and the look of the braid, compared with the approval lot's retained wicks; the sampling table and tolerances are the measurement-plan post.
4
Check tabsCrimp, centring in the tab and tab flatness on a sample, with a hand pull test; the go/no-go method is the tab-check post in this cluster.
5
Release, or confirm by burningIf everything matches, release. If anything differs, run a six-candle confirm: three new-lot and three retained-lot candles in one approved oil, from production stock (72 g of oil; ₹1,264.06 of materials, jars included). The triage for a delivery that looks different is the incoming-QC triage post.
6
Log itDate, invoice, packs, retention ID, results, decision (release / hold / reject), and which matrix rows the lot will feed.

Gate 6 is also why the lead time you plan with is longer than the supplier's: the days a delivery spends in receiving are days you cannot pour from it. Add them to gate 7's lead time.

Gate 7: the reorder point, and the loops back

The last gate is a number on a stock sheet, and it is only as good as the six before it.

Reorder point = daily use × (lead time + safety days). With a 10-day order-to-bench time (a worked-example figure; CSI dispatches from Pune and publishes no lead times, so ask on WhatsApp and log your own) and 14 days of safety stock: Eco C2 11.2 × 24 ≈ 269, Cotton Braided 2.8 × 24 ≈ 68, both rounded up. Trigger on stock on hand plus stock on order.

Gate 7 · reorder points and the routine order · worked example

Cotton Braided 2.8 68 84 + 20 = 104 100 + 10 = 110 ₹1,320.00
Routine month — — — — ₹4,718.40

Re-run the numbers whenever volume moves, and before a festive month. Per-SKU reorder points from recorded consumption rather than plan are the reorder-point post; what to hold when the supplier's lead time is four weeks, or slips to six, is the lead-time post.

The loops back to the ladder

The system is a line with two returns. A rung that fails at gate 2 or 3 goes back for a re-pour or the next rung, using the spare oil and wicks gates 1 and 2 deliberately left. And any change to an approved build (a jar batch with a different inside diameter, a new wax or oil lot that behaves differently, a load change, a wick supplier change, even at "the same size") sends that build back to gate 2, while the builds it doesn't touch keep ordering. The matrix row goes to pending, its units leave the roll-up, and gate 5's next order shrinks accordingly. That is change control in its purchasing form; the full process is the change-control post.

Who runs which gate in a small team. One person owns gates 1–4 (testing and the matrix); one owns gates 5–7 (ordering, receiving, stock sheet). They meet at the matrix: the orderer buys only for approved rows, and the tester never orders. In a one-person business, keep the same split on paper: test on one day, order on another, from the matrix. Diwali is 8 November 2026, 38 days from 1 October 2026: a brand starting at gate 1 today will not finish gate 3's full-life burns for every oil before the festive pour; launch the festive range on the oils already approved and bring the rest through the gates after.

What to buy, and what to skip

Five items, in the order the system needs them, chosen on page statements, price and stock on 1 October 2026. CSI publishes no wick-performance data, so nothing here is ranked on burn results. Oil candle counts use 12 g per 150 g candle.

Eco C2 appears at every gate: 20 in the samples, 12 in the ladder, a 500 + 20 first order, a 360-wick routine order. Argued against our own interest: the 500-pack is the right first order here because of the volume, not the price; the 1,000-pack would be 3.0 months of stock at the same per-wick price.

Lavender Fragrance Oil
120 of the 400 candles in the example. The page lists "fresh lavender top notes, herbal green mid notes, and soft musk base" and states "Recommended fragrance load 6-10% for candles"; at 8% the brand is inside that range and inside CSI 464's 10% on either basis (8.70% of wax weight). The 50 g and 100 g are both ₹5.40 a gram, so the 100 g + 50 g ladder pair costs no more per gram than a single size would. The other three oils: Citrus Lemon ("candles (6-10%)"), Eucalyptus Spearmint ("up to 10% for soy wax", "No vanillin" per its page) and Vanilla Bean ("Up to 10% for soy wax", "Vanillin Content: 2.5%").

Steel Wick Holder (Set of 5)
The page says "3-hole layout fits single, double, or triple wick setups" and "Fits most jar diameters (up to 9 cm wide)", so it spans the 7 cm jar. It earns its place in production pours of 25 and in any later double-wick build. Argued against our own interest: for the single-wick ladder, the Wick Centering Device does the same job at ₹23.60 a holder against ₹50.00, which is why the ladder bill uses four packs of those (₹472.00). The holes are in a line and the text we captured states no spacing.
Pack Price Per unit What it covers here
Pack of 5 ₹250.00 ₹50.00 a small pour
Pack of 10 ₹500.00 ₹50.00 a 10-candle pour
Pack of 25 ₹1,250.00 ₹50.00 production pours of 25; flat per holder
₹50.00 a holder in the 25-pack, reusable. Buy 25 — ₹1,250.00

Skip: Eco C1 beyond the gate 1 pack (no approved row in the example); the 1,000-packs; Performance Wooden Wicks unless a wooden line goes through its own gates; and the Steel Wick Holder for the ladder, where centering devices do the job for less.

Gate 5, when gate 4 has passed: Eco C2 500 + 20 (₹4,908.80) and Cotton Braided 100 + 50 (₹1,800.00), ₹6,708.80, with 20 of each retained on arrival. Send us the order on WhatsApp for a GST invoice and the dispatch time to plan on; we publish no lead times, so plan on the one we give you for your city.

The CSI principle
Every wick bought should be able to name the gate that allowed it.
Samples for the bracket, a ladder for the rung, a full life for the approval, a matrix row for the order, a check for each delivery, a number for the reorder. Any change goes back to the ladder.
"Wicks are four or five percent of the candle. The system protects the other ninety-five."

Why trust this guide

CandleMakingSuppliesIndia sells the wicks, jars, oils, wax and holders named here and does not sell finished candles. This page still tells you to buy four small wick packs before anything else, to skip the 1,000-packs, that our tabbed range has no step between C1 and C2, and that our own centering devices beat our steel holders for a single-wick ladder.

Every price was verified on CSI's live store on 1 October 2026. Stock was checked per size: the Eco C1 10-pack is out of stock on that date and flagged wherever it appears; every other wick pack, both jar packs, every size of the four oils and every CSI 464 size shown is in stock. Product wording is quoted from the pages; where a page is silent in the text we captured, we say so.

The worked brand, its volumes and oil split, the example approvals, the 5% allowance, the 10-day lead time, the 14 days of safety stock, the 20 retained wicks and the 0.35 cm wall are our judgement or worked examples, not recommendations for your candles. Frequently asked questions

How do I set up wick purchasing for a candle business?
As seven gates: sample every rung in ladder counts, pour a ladder per oil, burn the leading rung to the end, approve per oil in a matrix, buy production quantities by formula, check every delivery, and reorder at a calculated point.
How many sample wicks should I buy before bulk ordering?
Three per rung per oil. For four oils on CSI's three tabbed rungs that is 36 wicks: C1 20, C2 20 and Cotton Braided 2 × 10, ₹546.80, with spares for re-pours.
How many wicks should my first production order be?
A month of approved use plus your allowance, plus safety stock, plus any retained wicks. In our example: Eco C2 513 (500 + 20) and Cotton Braided 144 (100 + 50), ₹6,708.80.
Do I need to test every fragrance on the wick?
Yes. Approval is per oil, jar, wax and load. In the example three oils pass on Eco C2 and Vanilla Bean on Cotton Braided; a fifth oil starts at the ladder.
How do I calculate a wick reorder point?
Daily use × (lead time + safety days), counted on stock on hand plus on order. At 11.2 C2 a day with a 10-day lead and 14 days of safety, about 269.
Is it cheaper to buy wicks in 1,000-packs?
Not for CSI's Eco C1, Eco C2 or Cotton Braided: each is flat per wick in every pack. Bigger packs change cash outlay and stock on the shelf, not unit cost.
A wick procurement system, start to finish

Editorial standards & sources
About this guide: the capstone of CSI's series on wick purchase × jar × wax × fragrance (5501–5600) and of cluster 5581–5600 (samples → testing → bulk purchase). It joins the series into one gated procurement flow for a worked brand (150 g jar, four oils, 400 candles a month): sample breadth, the ladder bill, full-life testing, per-oil approval into a matrix, the first production order, incoming QC on each delivery and the reorder point, with the loops back to the ladder and the owner post for each gate.

Non-price figures: load is a percentage of total candle weight (150 g at 8% = 12 g oil + 138 g wax). Ceilings as the pages state them (Lavender 6–10% for candles; Citrus Lemon 6–10%; Eucalyptus Spearmint and Vanilla Bean up to 10% for soy; CSI 464 up to 10%, pour 80–90°C; jar hot pour up to 85°C, the lower governs): formulation limits, not regulatory ones. The inside diameter uses a 0.35 cm wall assumption; the one-hour-per-2.5 cm session length is a commonly cited rule of thumb. The worked brand, oil split, example approvals, allowance, lead time, safety stock and retention counts are editorial judgement and worked examples. Costs exclude labour, freight, packaging and GST. Diwali 8 November 2026 is a calendar fact.
