How do I compare wholesale fragrance suppliers? Send every supplier the same list of named oils and kilos, ask for a landed total with a GST invoice, and compare per gram. Then test and check documents before you commit. See the quote sheet.
What should a GST invoice for fragrance oil show? Supplier's GSTIN, your GSTIN if you are registered, invoice number and date, each item's description, HSN code, quantity and taxable value, the tax charged and the place of supply. See the GST invoice.

The supplier scorecard
A wholesale buyer is committing to a relationship, not a single purchase. The cheapest kilo in the market is worth little if it is out of stock the month you need it, arrives without an invoice your accountant can use, or smells different on the second order. The scorecard below lists what to judge, why, and the evidence to ask for. It applies to every supplier; the last column shows what CSI can show on each point, stated plainly.

The first point is the one most buyers stop at, and the last is the one they discover later. A supplier's price is only proven when a second order of the same oil arrives, at the same price, and burns the same in your candle. That is why the evaluation ends at the reorder. Comparing quotes side by side
Send every supplier the same list: named oils, kilos per oil, delivery pin code, one-off or monthly, and a request for a GST invoice and documents. Then put the answers into one sheet like the one below. Everything is converted to landed ₹ per gram before anything is compared. Two conversions trip buyers up. Per-litre quotes need the oil's weight per litre, which differs between oils, so ask for a price per kg instead. And totals that mix tax-inclusive and tax-exclusive figures need putting on the same basis before comparison. Once every line is in landed ₹ per gram, multiply by your grams of oil per candle. At 16 g in a 200 g candle, a ₹0.25-a-gram difference is ₹4.00 a candle; decide whether that outweighs the other six points. The GST invoice
For a registered business, the invoice is part of what you are buying. A proper tax invoice lets you record the purchase correctly and, where your accountant confirms you are eligible, claim input tax credit. Ask for it at the time of ordering, give your GSTIN, and check the first one against the list below. We do not quote GST rates on this page; the invoice itself shows what is charged.

If anything is missing, ask for a corrected invoice before you pay the next order, not at year end. Keep the MSDS and IFRA certificate for each oil with its invoice, so that when a retailer or corporate client asks what is in your candle, you can answer with documents rather than memory. Stock is part of the price
Here is what happened on our own catalogue on the pull date. Nineteen oils listed a 1 kg that was out of stock. For each, we priced the cheapest in-stock route to a kilo. For most oils the catalogue is priced flat, so smaller packs cost about the same; for a few, the fallback costs real money; and for 6, no size was in stock at all. This is our stock, not a competitor's, and it is why the scorecard asks about stock at the size you reorder.

Three lessons for any supplier. First, ask about stock on your core oils before the first order, and again before festive peaks. Second, on a flat-priced catalogue a stockout at the kilo usually costs little money, because the 500 g, 100 g or 50 g is the same per gram, so the practical cost is more packs to handle. 2.5 kg of oil makes 156 full candles of 200 g at 8%, which need 28.7 kg of wax at 184 g each; 40 kg of Luxury Soy Wax Chunks (rated up to 13% fragrance load by the wax maker) covers them with room for a second pour of the next oil order. Two hundred wicks cover every candle. Jars depend on your container. Average oil cost is ₹84.59 per candle.
