Score candidates on what will matter as you grow, not on this week's cheapest bottle. Why long-term is a different decision

A supplier chosen for price is replaced when someone is cheaper. A supplier chosen for fit is still there in year three.

A new candle brand chooses its first fragrance supplier almost by accident: whoever had the scent, at a price that seemed fair, with a small size to try. That is fine for the first order. It is a poor basis for the next three years, because a growing brand's needs change. The scents you test at 15 g this year become the scents you pour by the kilo next year. The retail buyer you hope to win will ask for an IFRA certificate. The festive order that doubles your volume will need a quote beyond the listed packs. And by then, changing supplier means re-testing every scent in your range, re-costing every candle and re-collecting every document.

So the long-term question is not "who is cheapest?" but "who can I still be buying from, the same oils, when I am three times the size?" That turns on things a price list does not show directly: whether the oils you like are stocked at production sizes, whether their price per gram holds as you move up the sizes, whether the paperwork comes when asked, and whether the supplier is straight with you when something is out of stock. The weights lean toward stock and price because those are what break a growing brand's plans: a scent you cannot reorder at production size, or a per-candle cost that jumps when you move up a size. Documentation carries 15 points because it gates the retail, corporate and export buyers a growing brand wants. Candour carries only 5 because it is subjective, but it is not decorative: a supplier who tells you not to buy something is a supplier whose other advice you can use. The split between evidence sources matters most: 70 points can be scored from listings before you spend anything, and 30 points only from experience.

Score your own range, not the whole catalogue
A supplier with 500 oils scores nothing on stock depth if the six you need are out of stock. Always score against your actual shortlist. If your range will grow, add the scents you expect to add next year and score those too.
The scorecard filled in after the decision. A founder picks a supplier on gut feel, then fills in a scorecard that happens to agree. Fix: set weights and write down how each criterion will be measured before you look at any candidate. Where does CSI lose points? Only on the test-to-scale ladder: 4 of the six scents have an in-stock tester of 50 g or less and an in-stock 1 kg. Smoked Rose Royale and Sultan's Smoke start at 100 g, so testing them costs ₹799.00 each rather than the price of a 15 g. On stock depth, 6 of six were in stock at 1 kg and a second size on the pull date, and on price predictability 6 of six were within 1% per gram from 100 g to 1 kg. Delina (Parfums De Marly Inspired) lists no 500 g at all, so its production steps are 100 g or 1 kg. None of this disqualifies the range. It tells you which scents cost more to test, which have fewer sizes to route around a gap (and so need the reserves in How Much Fragrance Oil Inventory Should a Candle Manufacturer Keep?), and that all six will scale without the per-candle cost moving. A different shortlist would score differently, which is exactly why you score your own.

Argued against our own interest, plainly. We have left 30 points of our own scorecard blank, because we cannot honestly score ourselves on documentation, delivery record or candour. If another supplier earns more of them than we do, the scorecard is doing its job, and you should weigh that against the listing-based points we can show you today.

Will the supplier grow with you?

The best test of a long-term supplier is to walk one scent from tester to production on paper, before you do it for real.

A growing brand moves through the same stages with every successful scent: test it small, launch it in modest volume, then scale it. At each stage the supplier must stock the size you need, and the cost per candle must stay close to what you set your price against. The shape is what a growing brand wants. The test sizes cost more per gram, as they do across the catalogue, but from launch at 100 g to production at 1 kg the cost per candle moves only from ₹183.80 to ₹182.40. A price set at launch still works at scale. Contrast an oil with a steep ladder: a brand that launches on the 100 g and scales to the kilo gains margin, which is pleasant, but one that costs a candle on the kilo rate and then tops up with 100 g loses it.
