Check eight things: MSDS and IFRA certificates for each oil, GST invoicing, prices listed by size so you can work out ₹ per gram, stock status by size, a small test size, honest volume terms, the rest of the candle (wax, wicks, jars), and your own reorder-consistency routine. CSI lists 41 premium oils (₹6.50 a gram or more) from 15 g to 1 kg, 32 of them in stock at 1 kg. It publishes prices and stock by size, and supplies MSDS, IFRA and GST invoices on request on WhatsApp. It does not publish a discount percentage, a minimum order, delivery times or stock quantities. The eight-point sourcing checklist

A luxury brand is judged by its fifth reorder. Choose the supplier that makes the fifth reorder easy.

The first instinct when sourcing for a luxury brand is to compare scents. That comes later. Before any oil reaches a test candle, the supplier has to pass some practical checks: can you get the safety paperwork, can you cost the candle from the listing, can you test without buying kilos, and can you buy the same oil again next season. Here are eight checks, with what each means for a luxury brand and what CSI publishes against it.

Two of the checks are easy to skip. Stock visibility matters because a luxury customer who falls for one scent expects to find it again. CSI publishes whether each size is in stock, not how many units, so for production quantities you still confirm on WhatsApp. On the pull date, nine premium oils had the 1 kg out of stock. Consistency on reorder is partly the supplier's job and partly yours. Keep a retained sample from each batch, and pour a reference candle from each new bottle before a production run. Both are general good practice, and they catch problems while they are still cheap.

Ask for documents before you fall in love with a scent
Ask for the MSDS and IFRA certificate at the shortlisting stage, not after the launch. The certificate informs the load you can use, and a stockist or corporate buyer may ask for it before they list your candle. If a scent you love comes with a certificate that limits it below your intended load, you want to know before you print labels. Load ceilings in this series: Luxury Soy Wax Chunks up to 13% and CSI 464 up to 10%, as stated by the wax maker.

What CSI publishes, and what it quotes

Being precise about this saves arguments later. Published on the store: prices for every listed size, 15 g to 1 kg per oil (41 premium oils, 32 in stock at 1 kg), stock status by size, and prices for waxes, wicks, jars, dyes and moulds. Available on request on WhatsApp (+91 7397976926): MSDS and IFRA documentation, GST invoicing, quotes beyond the listed packs, restock dates, and whether a quantity is available. Not published anywhere in our data: a volume discount percentage, a minimum order (the smallest in-stock size is effectively the minimum), free-shipping thresholds, delivery times, stock quantities, throw measurements, shelf life, and anything about exclusive or custom fragrance.

The practical upshot for a brand is to plan on listed prices and treat any quote as an improvement to check, not an assumption to build on. Work every quote out per gram and set it beside the listed ladder. For most premium oils the listed kilo already costs the same per gram as the 100 g. One of the biggest listed savings in the premium tier is Saffron Cedarwood and Sage and Cedarwood at 500 g (₹5.17 a gram against ₹6.87 for the kilo). Argued against our own interest, plainly. A sourcing page from a supplier naturally ends with "buy everything from us". We would rather you ran this checklist against every supplier you are considering, including us, and wrote down the answers. If another supplier gives you the documents, prices and stock visibility you need for a particular oil, that is a fair choice. A brand is safer with its sourcing written down than with loyalty to any one supplier.

A first season of sourcing, costed

Spend little while you are learning, and more once the customers have told you what sells.

Here is an illustrative first season for a four-scent luxury brand, in three phases. The candidates, winners and volumes are assumptions for the example. The prices are listed prices. Every candle is 200 g in the signature build: Luxury Soy Wax Chunks, a Cotton Braided wick and a White Matte Glass Jar.

Phase 1, discovery (₹2,791.84). Eight candidates at 15 g each: Santal Noir, White Royal Oud, Raat Ki Rani (Night-Blooming Jasmine), Neroli Signature Grade, Vanilla Bean, Gilli Mitti (Patchouli), Saffron Cedarwood, Jasmine Coconut Spa Ceylon. They cost ₹1,065.84 together. Each scents one 200 g test candle at 7.5% (15 g oil, 185 g wax). Materials: 1 kg plus 500 g of Luxury Soy Wax Chunks (₹898.00) for 1,480 g of wax, two packs of White Matte Glass Jars (₹708.00) and a 10-pack of Cotton Braided wicks (₹120.00). Cure, burn blind, and pick four.

Phase 2, launch (₹39,321.20). Four winners, in this example Santal Noir, Raat Ki Rani (Night-Blooming Jasmine), Vanilla Bean, Saffron Cedarwood, at 500 g each. That gives 31.25 candles per scent at 16 g, so 30 to sell and a little spare. The 500 g is the right size here. For Saffron Cedarwood it is also cheaper per gram than both the 100 g and the kilo. Materials for 120 candles: five 5 kg packs of Chunks (₹14,975.00, 25 kg for 22.08 kg needed), 24 packs of jars (₹8,496.00) and 12 packs of wicks (₹1,440.00).

Phase 3, first kilo (₹23,547.00). The best seller, here Santal Noir, moves to 1 kg (₹9,120.00, 62.5 candles). Materials for 62 candles: three 5 kg packs of Chunks (₹8,985.00), 13 packs of jars (₹4,602.00) and seven packs of wicks (₹840.00). The season buys materials for 190 candles for ₹65,660.04, before labour, packaging, freight and GST. That is an average of ₹345.58 a candle, including the test candles and spare. The first phase is only 4.3% of the spend, and it is the phase that decides whether the other 95.7% is well spent. Skipping it is the most expensive saving a new brand can make.

A luxury candle is sourced as a whole. Oil, wax, wick and jar from one store means one build you can keep consistent and one GST invoice. It does not replace testing: the wax and wick decide how the oil behaves. Coconut Wax sits between them at ₹513.30 for 500 g and ₹1,026.60 a kilo, also listed only to 1 kg. For wicks, Cotton Braided Wicks Ready Made are ₹12.00 each at every pack size, and Performance Wooden Wicks run from ₹59.00 each in 10s to ₹41.30 in 100s. Size either with a burn test in your jar, because wick sizing by diameter is not published here. For jars, the White Matte Glass Jar is ₹354.00 for 5, and the 200 ml Salsa Glass Jar with golden lug cap is ₹200.60 for 5 or ₹2,950.00 for 100. Its fill weight is not published, so weigh your own.

The supplier chosen on one oil. A brand picks a supplier because of one scent it loves, then sources wax, wicks and jars from three other places to save a little on each. Six months later the candle behaves differently because one component changed, and nobody can tell which. For a luxury range, a stable build matters more than a few rupees. Source the build together where you can, record every component, and change one thing at a time with a test.

Sourcing inspired-by oils safely

CSI lists a group of oils modelled on well-known perfumes under the store's own titles, alongside a separate BBW Inspired range: for example Hawas Ice (Rasasi Inspired), Delina (Parfums De Marly Inspired) and Good Girl (Carolina Herrera Inspired). They sit at the top of the price list, from ₹9.08 to ₹24.06 a gram at 1 kg. Sourcing one is legitimate. Labelling your candle with the original perfume or designer name is a different matter. That name belongs to its owner, and using it on your label, product name or advertising can mislead customers and may infringe their rights. We are not giving legal advice.
