Which refill format should I plan for? Decide now, because it decides the vessel. Return-and-refill needs a vessel worth sending back; drop-in inserts need a vessel whose inside you have measured; pour-at-home kits hand your safety testing to the customer.
When does return-and-refill pay? Only when the vessel costs more than the return courier and cleaning. In our worked example that break-even is ₹95.00: a ₹94.40 jar does not clear it; a ₹212.40 apothecary jar does.
What is the safety rule? Every returned vessel is inspected before it is refilled, and every refill uses the wick and fill you burn-tested in that vessel. CSI publishes no data on how many heating cycles any jar survives.

Six things a refill-ready vessel needs
Most jars are chosen for how they look on day one. A refill vessel is chosen for how it looks and behaves on its third or fourth cycle. These six features are what separate the two; none of them is exotic, but many attractive jars fail at least one.
1. A mouth at least as wide as the body
When a candle is burned to the stop line, a disc of wax and a metal wick tab are left in the base. In a jar with a shoulder or a narrow neck, that disc will not come out in one piece; you are chipping and scraping, and scraping is how scratches start. A rim as wide as the base, or wider, lets a cold wax disc slide out. It also lets a drop-in insert go in. The threaded neck of a lug-cap jar is the opposite case: wax gets into the threads, and the neck limits what you can fit through it.
2. Straight or outward-sloping sides and a flat inside base
Straight sides keep the melt pool the same width from top to bottom, so every refill burns across the same pool width your approved wick was tested on (refills still get a burn check). A flat inside base gives the next wick tab something to stick to squarely. A bellied or tapered jar is not a refill problem in itself, but it makes both cleaning and wicking harder (wicking a jar that narrows).
3. Walls and base that tolerate repeated heating
A refill vessel goes through a full burn-down more than once. Glass cracks are commonly linked to thermal shock, flames touching the glass, burning too low, and existing chips or flaws; a vessel used several times gets more chances for each. Heavier is not automatically safer, and no CSI listing publishes cycle-test data. What you can do is choose a vessel whose page at least states a heat figure, then test it through more cycles than you plan to sell (why the final third is where testing counts).
4. An uncoated, washable finish
A painted, sprayed or coated exterior has to survive heat, and then hot water, scrubbing and alcohol wipes, again and again. Coatings can discolour, soften or peel; how quickly depends on the coating, and our listings do not say which matte or frosted finishes are coatings, with one exception: the 70 gram matte votive pages state "external coating". For refills, clear or naturally coloured glass, or metal, is the lower-risk choice. If you want a coated look, run a wash-and-burn test first (coated and painted jars under heat).
5. A lid that belongs to the vessel, not the candle
The lid travels back and forth with the vessel, so it must wash well and still fit after several cycles. Metal, glass and clip-top lids wash easily; a bamboo or wooden lid can take up oil and water, so test how yours copes with cleaning before you promise it comes back (wooden-lid tolerances; metal, wooden and glass lids compared). Keep a few spare lids: a refill customer who has lost the lid is still a refill customer.
6. A vessel you can still buy in three years
Refills tie you to the vessel's exact inside diameter, fill line and lid. If the jar is discontinued, every customer's vessel becomes a one-off you must re-wick for. Before you launch, ask the supplier about continuity and keep a spec sheet of your master jar (protecting against a jar discontinuation).
Three refill formats, and the vessel each needs
The format is the decision that shapes everything else. Here are the three common ones, what each asks of the vessel, and who carries the risk.

Route A keeps quality in your hands but costs courier both ways and suits expensive vessels. Route B is lighter to ship and needs no washing by you, but only works if every customer's vessel has the same inside: which is another reason to sell the vessel yourself rather than inviting "any jar". Route C is the cheapest to run and the hardest to stand behind. The kit is not the danger in itself; the loss of control is. If you offer it, include the vessel's stated heat limit and the wax page's pour temperature, pre-weigh everything, and supply the wick you tested; we would still not build a refill brand on it.

One of the two reviews on our Tin Containers page is worth reading before you choose a tin insert: a 4-star buyer liked the material and design but found "some are little dent" and the tin "difficult to open" once the candle was made. A lid that is hard to open is a small annoyance on a single candle and a real one on an insert the customer must lift out of a vessel. Try the lid on a finished insert before you choose.
Several listings carry contradictions or gaps worth confirming: the Tin Containers title says 85 g and 135 g while its description says 100 g and 200 g; the Borosilicate title and description disagree on glass type; the Clip Top page does not say which of its three figures is the height. Confirm on WhatsApp before you design a refill around any of them.
When return-and-refill pays
Route A saves you one thing: the vessel. It costs you the return courier and the time to clean and inspect the vessel. So the rule is simple: the vessel has to cost more than those two, with room left for the returns you reject. Here it is with a worked-example return courier of ₹70.00 and ₹25.00 of cleaning and inspection per vessel; use your own quotes.

Worked through for the 500 gm apothecary jar with a 500 g candle at 8% in CSI 464 and Jasmine (460 g of wax ₹233.40, 40 g of oil ₹156.92, two Cotton Braided wicks ₹24.00 as a costing placeholder): the first candle's materials are ₹626.72; a refill is ₹509.32 including the return courier and cleaning. The refill saves ₹117.40 per cycle, 18.7% of a new candle's material cost. One vessel that fails inspection costs the jar you must replace, which cancels the saving on about 1.8 good refills. All figures exclude labour for pouring, packaging, outbound freight and GST.
Route B works differently: the customer keeps the vessel, so there is no return courier and nothing to wash. You sell a complete candle in a tin: an 85 g Golden Aluminium Tin insert at 8% costs ₹30.00 for the tin, ₹39.68 of CSI 464, ₹26.68 of Jasmine and ₹5.90 for a C1 wick, ₹102.26 in materials. It ships in a small carton (the 2.5 × 2 × 2.5 inch box is ₹16.80 each in a pack of 50; check the tin fits). The insert route suits smaller, cheaper refills; the return route suits heavier, more valuable vessels. Pricing either refill against your first candle is the same reverse calculation as in the container-budget post.
Safety: what changes when a vessel is used twice
A refill uses the same wax, oil and wick in the same vessel, so it is tempting to treat it as the first candle again. Four things are different, and each needs a rule.
The glass has history. It has been heated, cooled, washed and posted. Any chip, crack or deep scratch is a reason to recycle the vessel, not refill it; chips on the rim in particular are commonly where cracks start (why chipped rims are rejects). Inspect under good light, inside and out, every time.
The customer decides when the burn stops. Many makers stop burns with about 1 cm of wax left, a common practice, and a refill vessel that has been burned to the glass floor has seen the hottest part of a burn more than once. Tell customers where to stop, and say it on the label with a candle-care sticker.
The inside must still match your master jar. Measure the inside diameter at pool height and the fill line on returns from different batches; mass-produced glass varies between batches. If a vessel from a later batch is wider, the wick you approved may not suit it (why inside diameter drives the wick).
The label is new. A refill carries the same safety wording, a batch code you can trace, and a net quantity. Net-quantity declarations on pre-packaged goods are governed by India's Legal Metrology (Packaged Commodities) Rules; check the current requirements for your product and channel. A refill routine, step by step
For route A, this is the routine each returned vessel goes through. It mirrors the gates in the diagram; the timings and counts are yours to set from your trial.

Three vessels for return-and-refill, one tin for inserts, and the cleaning spray. Buy one of each vessel you are considering and run the full loop on it before choosing; a refill programme is the wrong place to find out a lid does not survive washing.

Sell the vessel at Diwali, the refill by Valentine's Day
A refill programme needs a first sale to refill. Diwali, on 8 November 2026, is 43 days after 26 September 2026; Valentine's Day, on 14 February 2027, is 141 days away, and 98 days after Diwali. A vessel bought as a Diwali gift and burned through the winter is ready for its first refill around Valentine's Day, which gives you a natural moment to invite it back.
