I Received a 1,000-Piece Corporate Candle Order — How Much Fragrance Oil Should I Order Without Overbuying?

How do I avoid overbuying? Lock the load with a pilot, state your wastage (3–5%, not 10%), and round each scent to the nearest 100 g, not the nearest kilo. On this order that saves ₹15,370.94 against "10% extra, whole kilos".
What about the scent split? Calculate each scent separately. For 400 / 350 / 250 candles: Bergamot Amber 6,600 g, Cucumber Green Tea 5,800 g, Japanese Cherry Blossom 4,200 g. See kg by scent.
Can I buy more than 1 kg of one oil? The listed sizes go up to 1 kg per oil, so several kilos means several 1 kg bottles, or a quote on WhatsApp for the quantity. No discount figure is published; ask.
Four ways to size the same order
The client has ordered 1,000 candles of 200 g in three scents: 400 in a warm amber, 350 in a clean green tea and 250 in a soft floral. At an 8% load, each candle holds 16 g of oil. The candles need 16 kg of oil between them. How much you actually buy depends on three choices: the wastage allowance, whether you round each scent to the kilo or to 100 g, and whether you have run a pilot. Here is the same order sized four ways.

The gap between the first and last rows is 3.4 kg and ₹15,370.94. Two things cause it. The 10% allowance adds 1.12 kg more than 3% would. Whole-kilo rounding adds the rest: every scent is rounded up by up to 999 g. With three scents that is up to nearly 3 kg of surplus by rounding alone. Rounding to 100 g caps the surplus at under 100 g a scent.
Why is 3% defensible? Because a pilot tells you what your real losses are: oil left in the pouring jug, a spill, a candle rejected for a surface flaw. Without a pilot, 5% is a sensible working assumption. The series standard is "plan 3–5% extra for pour loss and test burns", and a corporate order, with one candle size and a small number of scents, is exactly where you can work at the lower end.
Kilos by scent, and the packs
Calculate each scent on its own; never divide a total. A 3% allowance on 400 candles is not the same pack decision as 3% on 250. For each scent below, the pack mix is the cheapest combination of in-stock 100 g, 500 g and 1 kg packs that covers the requirement, preferring fewer bottles where the price difference is under ₹10.

Total surplus above the 3% plan is 120 g, which is just the rounding to the next 100 g on each scent. Two pricing notes. Cucumber Green Tea is one of the 24 oils with a real 1 kg saving: ₹3.33 a gram against ₹3.53 at 100 g, so its kilos genuinely cost less. Japanese Cherry Blossom saves a little at 1 kg (₹4.84 against ₹5.00). Bergamot Amber is effectively flat: two 500 g bottles cost ₹5,436.00 against ₹5,437.00 for the kilo, so order whichever is in stock.
The load is the biggest lever

Every percentage point of load is 2 g per candle, 2 kg across the order and about ₹9,372.92 of oil with these three scents. That is why the load should be decided by a pilot, not by habit. If the chosen oils throw well at 7% in your wax and jar, you save about ₹9,372.92 and carry nothing extra. If they need 9%, you need to know before you order, not halfway through production. Luxury Soy Wax Chunks are rated up to 13% and CSI 464 up to 10%; those are the wax makers' stated formulation maximums, not targets.
Pilot first, then two drops
The safest way to avoid overbuying without risking a shortfall is to split the purchase. A small pilot locks the recipe. A first drop covers half the production with a slightly generous allowance. You measure what you actually used, and the second drop is sized to the gram.
The two-drop method costs one extra delivery and a little planning. In return, it makes overbuying almost impossible and turns the wastage allowance from a guess into a measurement. For a steady stream of corporate orders, the same logic becomes a reorder system: setting reorder levels and buying in bulk every month cover that.
The full bill
Here is the complete material order for the 3% plan. Wax is 189.52 kg of Luxury Soy Wax CSI 464, bought as 190 kg (eighteen 10 kg packs, one 5 kg and five 1 kg). CSI 464 is priced flat at ₹507.40 a kilo at 1, 5 and 10 kg, so mixing pack sizes costs nothing extra. Wicks are 1,050 Eco Thin C1; jars are 204 packs of five, 20 spare for breakage. If the client supplies branded jars, drop that line.

Materials come to ₹250.45 a candle, excluding labour, packaging, freight and GST. Fragrance is 30.2% of the bill. The overbuy you avoided on oil (₹15,370.94) is worth about ₹15.37 a candle on this order, which on a corporate price that was negotiated hard can be a meaningful share of the margin.
