Fragrance Oils for Diwali Corporate Gift Candles

Cost per piece at 100 and 500

Per-gram arithmetic gives the ideal cost of a candle. A real order has to buy whole packs: whole bottles of oil, whole bags of wax, packs of wicks and packs of five jars. It also needs a little extra oil and wax for pour loss and test burns. The table prices five corporate-friendly oils both ways, for a 200 g candle at 8%, with a 5% allowance on oil and wax (a working assumption at the top of the usual 3–5% range).

Two things stand out. First, the gap between the ideal per-piece cost and the real one is about ₹9 to ₹15 a piece, which is the allowance and the pack rounding. Quote from the real figure. Second, going from 100 to 500 pieces barely moves the per-piece cost. Sandalwood falls by ₹1.60, British Rose by ₹2.22. On the listed catalogue, jars are ₹70.80 each in any quantity, Eco wicks ₹5.90 each at every pack size, Luxury Soy Wax Chunks ₹599.00 a kilo at 1 kg and 5 kg, and most oils are flat above 100 g. A 500-piece order is cheaper per piece mainly because the rounding waste is spread over more candles.

Material cost is only the floor of a corporate quote. On top of it sit the gift box or sleeve, any printed insert or client branding, labour for pouring, curing, cleaning and packing, freight to the client, and GST. None of those are priced here, because they depend on your workshop and your client. The discipline that matters is building the quote upward from the whole-pack figure in this table, not downward from a price the client has suggested. If the client's budget cannot carry the material cost of the scent they want, change the scent before you cut the load or the wick.

The oil column also tells you where to look if the client pushes on price. Switching from Dark Vanilla to Sandalwood at 500 pieces saves ₹44.21 a piece; switching to British Rose saves ₹76.83. Cutting the order from 500 to 400 pieces saves nothing per piece. Offer the client a scent choice at two price points rather than a smaller candle, which usually disappoints more than a different scent.

Where the rupees go

Here is the full material list for a Sandalwood order at both sizes, with the per-piece share of each line. The jar is the largest single line after the oil and wax. Wax uses 5 kg bags, which cost ₹9.00 less per 10 kg than a 10 kg bag.

At 500 pieces, the oil works out at ₹84.45 a piece, the wax ₹116.21, the wick ₹5.90 and the jar ₹70.80. The 100-piece order needs 1,700 g of Sandalwood, bought as one 1 kg, one 500 g and two 100 g bottles; the 500-piece order needs 8,400 g, bought as eight 1 kg and four 100 g. Both leave a little oil over, which is the point of the allowance: a corporate order that runs short by five candles is a phone call nobody wants to make.

Scents for a mixed audience

The safest corporate scents are familiar and warm, or clean and fresh. Sandalwood reads as festive and respectful to most Indian recipients. Neroli, an orange-blossom floral by name, is light enough for an office desk. Cinnamon Vanilla and Dark Vanilla are comforting gourmands, and Dark Vanilla is fourth in the collection's best-selling sort. British Rose is the value choice and second in the sort. These are judgements about mixed audiences, not sales data. Leave earthy, smoky and resinous scents such as Gilli Mitti or the bakhoor oils for gifts where you know the recipient's taste.

Single scent or two? A single scent is simpler to pour and to approve. Two scents, split half and half, give recipients a choice and reduce the risk of a scent landing badly. The cost of the split is small. A 500-piece order of 250 Sandalwood and 250 Cinnamon Vanilla costs ₹1,36,752.36, or ₹273.50 a piece, against ₹277.36 for all Sandalwood. The extra work is a second test, a second approval and a second pour.

The documents a client will ask for

Corporate buyers increasingly run gifts through procurement, and procurement asks for paper. Have it before they ask. CSI provides a GST invoice, and MSDS and IFRA documentation for its oils, on request. Ask for them when you place the order, one set per oil you will use. Keep your own batch record too.

Two cautions. First, do not quote a fragrance-load limit or an IFRA figure to a client from memory or from a forum. Ask for the oil's IFRA certificate and use what it says. Second, do not promise a document you have not seen. If a client asks for something beyond the GST invoice, MSDS and IFRA documentation, ask CSI on WhatsApp what can be provided before you reply.

Client approval and the calendar

Corporate orders add a step retail orders do not have: client approval. Usually that means a sample candle the client smells and signs off before the run.
